1 Prior Credit Evaluation Workflow After the VA student s high school, military credit and/or college transfer credit evaluations are completed by the Office of the Registrar, a workflow notification will be sent to the designated academic advisor and academic department chair. Please make a note of the workflow number in the subject line for the student. It will be utilized at the end of the workflow process. This student has a declared BIOL major and Jefferson Lebkuecher is listed as their assigned faculty advisor. The U.S. Department of Veterans Affairs requires the school to obtain VA education benefit recipients' prior credit. Prior credit is defined as the amount of credit allowed for previous education, training, and experience; including military training and experience. This is the credit that is applied to the student's specific degree program and indicated upon his/her program of study. Each academic department generally develops their own program of study also known as advisement sheets or degree completion templates. Basically, the prior credit evaluation is the academic degree template/educational plan that the student must complete in order to obtain his/her degree. The educational plan must be inclusive of major requirements, general education requirements, and number of electives. The academic advisor clearly annotates on the educational plan what the student has received credit. For detailed instructions on the prior credit evaluation and an example, please visit However, if an academic advisor is not assigned, the process will pause and send a workflow notification to the academic department chair and administrative assistant. In order to continue the APSU VA Office's prior credit workflow, an advisor will need to be assigned to the student.

3 Click on the Web Self-Service tab

4 Select Faculty and Advisor Select Student Information Menu

5 Under the Student Information menu, you will be able to access the Academic Deficiencies, Academic Transcript, Course Substitutions, and View Test Scores. You will be required to select a term the first time that you utilize this.

6 **Helpful Hint: It is much easier to search by the student s ID number rather than a name search.

8 In this particular instance, this student has a science major and has an ACT Mathematics score of 16. The student will be required to complete multiple Mathematics courses as pre-requisites prior to enrolling in the degree required Mathematics course. The pre-requisite Mathematics courses willl be counted towards the student s electives and will need to be noted on the student s prior credit evaluation (also known as degree program, program of study, educational plan). 10 Part II completing the prior credit evaluation (degree program, program of study, educational plan) Each academic department has an educational plan/advisement sheet thatt outlines alll course requirements to earn that particular degree. Student s academicc deficiencies, substitutions, waivers, and transfer credits will be noted on the priorr credit evaluation (educational plan) ). **NOTE: If a student changes his/her major and/ /or concentration, a new prior credit evaluation will be required. For graduate students, the approved graduate program of study that is completed with their committee chair and members serves as the student s prior credit evaluation.

12 Part III submitting the prior credit evaluation (degree program, program of study, educational plan) In order to submit the prior credit evaluation, you will need too log back into your AP One Stop. However, this time you will need to click on the My Worklist tab.

13 When you locate the workflow that corresponds with the number, the status will reflect advisor upload docs. In order to upload the document, click on the workflow instance.
