3 Please read The explanations in this manual assume that the person who will install the product and the users of the product have a working knowledge of Microsoft Windows. This manual only explains features that can be used when the Network Scanner Expansion Kit is installed. For information on copy and printer functions, please refer to the manuals that accompanied the Digital Laser Copier/Printer and the Printer Expansion Kit. If you are using one of the following models, please also read "Operation Manual (for Network Scanner)", which accompanied the printer. Models: im3510/im4510 For detailed information on the software in the CD-ROM, please view the user's guide (PDF format) that is included on the CD-ROM. For information on the operating system, please refer to your operating system manual or the online Help function. The appearance of the screens explained in this manual may vary depending on the type of computer you are using and your computer settings. The appearance of the message screens on the operation panel of the Digital Laser Copier/ Printer that are explained in this manual may vary depending on the model. To use the network scanner functionality, an optional Print Server Card (ZB ) and Printer Expansion Kit* with memory expanded to a total of 160 MB must be installed in the Digital Laser Copier/Printer. For details, contact your Imagistics sales representative. * The Printer Expansion Kit has 32 MB of standard memory. To expand the memory, at least 128 MB of commercially available memory is required. For specifications of the memory that can be used for expansion, please refer to the manual that accompanied the Printer Expansion Kit.

5 Introduction The Network Scanner Expansion Kit (ZB ) adds network scanner functionality to your Imagistics Digital Laser Copier/Printer. A Digital Laser Copier/Printer with the network scanner functionality can scan a paper document, photograph, or other printed information into a data file, and send the file to a file server or personal computer over a corporate network (intranet) or the Internet. You can select from the following three transmission methods, depending on where you wish to send the scanned image data. 1. The scanned information can be sent to a memory storage device on a network (a designated directory on an FTP server). (Hereafter referred to as "Scan to FTP" in this manual.) When sending scanned information to an FTP server, an message can also be sent to a preset address to inform the recipient of the location of the scanned image data. (Hereafter referred to as "Scan to FTP (Hyperlink)" in this manual.) 2. The scanned information can be sent to one's own personal desktop. (Hereafter referred to as "Scan to Desktop" in this manual.) * To use this function, the software in the accompanying CD-ROM must be installed. (Refer to page 3.) 3. The scanned information can be sent to an recipient. (Hereafter referred to as "Scan to " in this manual.) * There are limitations to the use of Scan to . Before using this function, be sure to carefully read the explanation on page 12. NOTE If you are using one of the following models, please also read "Operation Manual (for Network Scanner)", which accompanied the printer. Models: im3510, im4510 2

6 Network Scanner Utilities CD-ROM (for Windows) The CD-ROM contains the following software programs: Desktop Document Manager* (Desktop Document Management Software) Network Scanner Tool Acrobat Reader Ver.4.05 (Adobe Systems Incorporated.) Type Reader Professional Ver.5.0 trial (ExperVision, inc.) * Desktop Document Manager can be installed and used in 10 computers. If you need to install Desktop Document Manager in more than 10 computers, please contact your authorized Imagistics dealer. Software Programs For detailed information on each of the software programs, please refer to the user's guides on the CD-ROM. Desktop Document Manager (Desktop Document Management Software) Desktop Document Manager lets you manage a variety of electronic information such as scanned image data from a Digital Laser Copier/Printer or documents created using word processing or spreadsheet application software. Some of the important features of Desktop Document Manger are: Desktop Document Manager works with your scanner to let you read paper documents into your computer using a full-featured set of scanning controls and options. Desktop Document Manager makes editing of your images and documents quick and easy. A text image scanned into Desktop Document Manager can be converted into editable text for use with your favorite word processor. Desktop Document Manager uses an advanced Optical Character Recognition (OCR) engine that even preserves your document layouts. Distributing documents by or printing a hard copy is as easy as dragging a file onto an icon on the Desktop Document Manager OutputZone. Multiple files can be combined together into a single new file. After creating a combination file, the page order can be changed or new pages added. Network Scanner Tool This is a utility that helps you use Scan to Desktop (page 2). It configures the necessary settings in the Digital Laser Copier/Printer and client computer to receive data. In addition, Network Scanner Tool will automatically start Desktop Document Manager upon receiving image data. The scanned image received by your computer can automatically be: Saved in a folder. Passed to the application set in Network Scanner Tool. Sent as . Saved in Desktop Document Manager. 3

7 Network Scanner Utilities CD-ROM (for Windows) User's Guides for Software Programs The Manual folder in the CD-ROM contains user's guides (in PDF format) for each of the software programs. Desktop Document Manager User's Guide Network Scanner Tool User's Guide In addition to explaining how to use the programs, the user's guides also give detailed instructions for installing and setting up the programs. Be sure to read the user's guides before installing the programs. Acrobat Reader Version 4.05 or later is needed to view the user's guides. If not already installed in your computer, you can install Acrobat Reader from the CD-ROM. Installing Acrobat Reader Quit any software applications and/or resident programs that are running on your computer. Insert the CD-ROM into your CD-ROM drive. If the Desktop Document Manager installation window appears, click "Cancel" to exit the setup procedure. Select "Run" from the Start menu. Enter "R:\Acrobat\ar405eng.exe" (substitute the letter of your CD- ROM drive for "R") and then click "OK". The Acrobat Reader installation screen appears. Follow the instructions on your screen to complete installation. 4

8 Installing the Software Program Network Scanner Utilities CD-ROM (for Windows) Note the following when installing the software program from the CD-ROM: Be sure to check the system requirements for installation of each of the software programs in the user's guides and on the information screen during installation. The user's guides give detailed instructions for installing and setting up the programs. Be sure to read the user's guides before installing the programs. In particular, if you are going to use Network Scanner Tool, be sure to carefully read the instructions regarding network preparation and setup procedures before installing the program. The network administrator should verify that network preparation has been carried out correctly. If you are going to send an original scanned with the Digital Laser Copier/Printer to a computer (Scan to Desktop), Network Scanner Tool must be installed. If you perform a standard installation of Desktop Document Manager (select "Typical" in the installation type selection screen), Network Scanner Tool will be simultaneously installed. You can also select "Custom" installation and install only Network Scanner Tool. If your computer does not currently have Internet Explorer version 5.01 or later installed, Desktop Document Manager will install a minimal version of Internet Explorer 5.01 on your computer. The contents of the information screens that appear during installation can also be found in the ReadMe files on the same CD-ROM. The ReadMe file for Desktop Document Manager is located in the root directory of the CD-ROM. Installing Desktop Document Manager and Network Scanner Tool Quit any software applications and/or resident programs that are running on your computer. Insert the CD-ROM into your CD-ROM drive. The Desktop Document Manager installation screen appears. Proceed to step 4. If the screen does not appear, proceed to step 3. Select "Run" from the Start menu. Enter "R:\Deskmng\setup.exe" (substitute the letter of your CD-ROM drive for "R") and then click "OK". 5

9 Network Scanner Utilities CD-ROM (for Windows) 4 Follow the instructions on the screen. The Desktop Document Manager installation program begins. In the license number entry line in the user information screen, enter the license number that appears on the cover of this manual. If you select "Typical" in the installation type screen, Network Scanner Tool will also be installed. If you only wish to install Network Scanner Tool, select "Custom" in the installation type screen and then check only Network Scanner Tool. Desktop Imaging is installed together with Desktop Document Manager. If Imaging for Windows was previously installed, Desktop Imaging will overwrite Imaging for Windows. The Desktop Document Manager installation package contains Desktop Imaging, which is a version of Eastman Software's "Imaging for Windows Professional Edition" that has been customized for Imagistics. If Eastman Software's "Imaging for Windows Professional Edition" has already been installed on your computer, Desktop Imaging will not be installed. "Imaging for Windows Professional Edition" and Desktop Imaging use common registry entries, and installing "Imaging for Windows Professional Edition" after Desktop Document Manager has been installed may result in abnormal operation. In this case, uninstall Desktop Document Manager and Desktop Imaging, and then install "Imaging for Windows Professional Edition". After that, reinstall Desktop Document Manager. Setting up Network Scanner Tool After you finish this Configuration, some Destination Profiles for "Scan to Desktop" are registered in Digital Laser Copier/Printer(s). 1 When the Imagistics Network Scanner Tool Setup Wizard appears, click "OK" after confirming that the Digital Laser Copier/Printer is connected to the network. Set up Network Scanner Tool following to the messages shown on the screen. 6

10 Network Scanner Utilities CD-ROM (for Windows) 2 Enter the Process Definition Prefix, and an Initial, if necessary, and click "Next>". Click "Help" for the detailed information. Process Definition defines the instruction for how the image will be processed once it arrives at the computer. And it includes a definition of a Destination Profile with which Digital Laser Copier/Printer(s) sends image data to the Process. The "Process Definition Prefix" and additional characters will make a Destination Profile name which is appeared in the operational panel of Digital Laser Copier/ Printer(s). Please specify unique name in 6 characters. The "Initial" is one letter with which Digital Laser Copier/Printer(s) classifies Destination Profiles with Tab group (ABC index). Some models do not use "Initial". Please input any character, ex. "A", and go forward. 3 Check the Process Definition you use and click "Next>". Network Scanner Tool is shipped with 3 pre-define set of instructions called Process Definitions if you install Desktop Document Manager and Network Scanner Tool. When the "Process Definition Prefix" is "PCName", the names of the pre-defined processes on operation panel are as follows. -Convert By OCR (The name on operation panel : PCName-OCR), which converts a scanned file to an editable document. -Send (The name on operation panel : PCName- ), which launches your default applications so the file can be ed. -Desktop Document (The name on operation panel : Desktop Document Manager), which launched Desktop Document Manager application. This is the default. Network Scanner Tool is shipped with 2 pre-define Process Definitions if you install only Network Scanner Tool. -Send (The name on operation panel : PCName- ), -My Documents (The name on operation panel : PCName-MyDocs), which stores the file in the "My Documents" folder with your PC. This is the default. 7

11 Network Scanner Utilities CD-ROM (for Windows) 4 Check the Digital Laser Copier/Printer name to use as a network scanner and click "Next>". The name displayed are based upon the Machine Name set during the installation of the network scanning function. 5 When Windows 98, Windows Me, Windows NT 4.0 with Service Pack 4 or later or Windows 2000 is used, the network connected Digital Laser Copier/Printer is automatically detected. The automatic detection is not available when Windows 95 is used. (The "Auto Detect" is disabled being grayed out.) Click on "New" and enter the IP of the Digital Laser Copier/Printer to be used as a network scanner. Even when you use Windows 95, the automatic detection will be available if you update Winsock2 (Windows Socket 2). The setting in the above steps 3 and 4 can be modified later. For the modification, click the Windows Start button, then Program and then Desktop Document Manager and finally Network Scanner Tool Configuration. For the detailed information about such settings, refer the on-line Help or the Network Scanner Tool User's Guide contained in the supplied CD-ROM. When the completion screen message appears, click "Finish". 8

12 Uninstalling the Software Program Network Scanner Utilities CD-ROM (for Windows) Uninstall the software with "Add/Remove Programs" in the Control Panel. When Desktop Document Manager is uninstalled, Network Scanner Tool is also uninstalled. Note that if Network Scanner Tool is uninstalled, you will no longer be able to directly receive image data from the Digital Laser Copier/Printer. The Desktop Document folder is not removed when you uninstall Desktop Document Manager. If you uninstall Desktop Imaging, you will not be able to open image files unless you re-install the Windows accessory Imaging for Windows. Uninstalling the software program from the Control Panel Select "Settings" and then "Control Panel" from the Start menu. Double click on "Add/Remove Programs". Select the software program you wish to delete from the list ("Desktop Document Manager"), and then click "Add/Remove". Uninstalling programs with the Desktop Document Manager Uninstaller Desktop Document Manager can also be uninstalled with the Uninstaller. When Desktop Document Manager is uninstalled, Network Scanner Tool is also uninstalled. 1 2 Select "Programs", "Desktop Document Manager", and then "Uninstall" from the Start menu. Follow the instructions on the screen. 9

13 Troubleshooting If a problem or question arises, try to solve the situation using the following information before contacting your authorized Imagistics dealer. If the problem persists, contact your authorized Imagistics dealer. 10 The image cannot be scanned. Cause: The original is loaded upside down. Solution: If you are using the platen glass, the original must be placed face down. If you are using the optional Reversing Single Pass Feeder or Single Pass Feeder, the original must be inserted face up. A moiré (stripe pattern) appears on the scanned image. Cause: A slight amount of moiré sometimes appears when printed matter is scanned. Solution: Moiré can in some cases be reduced by changing the scanning resolution. If you are using the platen glass, also try shifting the position and/or angle of the original on the platen glass. The scanned image is fuzzy or has smudges. Cause: The platen glass or the underside of the platen cover is dirty. Solution: Follow the instructions in your copier manual to clean the platen glass and the underside of the platen cover. The scanned image is clipped. Cause: The set original scanning size is smaller than the actual original size. Solution: Set the actual original size (see page 12 of Network Scanner Operation Manual ). If you have intentionally set a smaller size than the actual original size, place the original taking into account the guides for the set original size. For example, when scanning an A4 original using a B5 setting, align the original using the scale at the left edge to fit the area you wish to scan into the B5 scanning area. The scanned image is upside down or on its side. Cause: The original was not placed in the correct orientation. Solution: Place the original in the correct orientation (see page 7-8 of Copier Operation Manual"). The scanned image range is on the opposite side of the selected image range. Cause: The original was placed with the left and right sides reversed. Solution: Place the original in the correct orientation (see page 7-8 of Copier Operation Manual ). The received image data cannot be opened. Cause: The viewer program used by the recipient does not support the format of the received image data. Solution: Try selecting a different file type (TIFF or PDF) and/or a different compression format (uncompressed, G3, or G4) when sending the image data (see page 15 of Network Scanner Operation Manual ). Otherwise, have the recipient use Desktop Document Manager or a viewer program that supports the above combinations of file types and compression formats.

14 Troubleshooting The recipient does not receive transmitted data. Cause: An incorrect destination was selected. Otherwise, there is a mistake in the information stored for the destination ( address or FTP server information). Solution: Select the correct destination and make sure the correct information is stored for the destination (see page 4 of Network Scanner Operation Manual ). * If delivery by (Scan to ) is unsuccessful, an error message such as "Undelivered Message" may be sent to the designated administrator's address. This information may help you determine the cause of the problem. * To send image data to your desktop (Scan to Desktop), Network Scanner Tool must be installed (refer to page 5). The recipient does not receive data sent by (Scan to ). Cause: The amount of data that can be sent in one transmission is sometimes limited by the administrator of the mail server. If the amount of data exceeds the limit, the data will not be delivered to the recipient. Solution: Decrease the amount of data sent in the transmission (reduce the number of pages scanned). (Ask your mail server administrator what the data limit is for one transmission.) (Refer to page 12.) Transmission takes a long time. Cause: When there is a large amount of image information, the data file is also large and transmission takes a long time. Solution: In order to select image quality and data compression settings that are suited to the purpose of transmission and create image data that is well-balanced in terms of image quality and file size, pay attention to the following points: Image quality modes ("TEXT", "TEXT/PHOTO", "PHOTO") The default setting is "TEXT/PHOTO". If the original does not contain photographs, illustrations, or other halftone images, "TEXT" mode will give you a more workable scanned image. "TEXT/PHOTO" should only be selected when the original includes a photograph and you want to give priority to the quality of the photograph. (There is no advantage to scanning a text-only original with "TEXT/PHOTO" or "PHOTO" mode.) "PHOTO" mode should only be used to scan a photograph or illustration. Note that this will produce a larger file size than the other modes. Resolution The default resolution setting is 300 dpi. This is suitable for originals with mixed text and illustrations/photographs; however, it produces a slightly larger file size. For normal text originals, a resolution setting of 200 dpi or 300 dpi produces image data that is sufficiently readable. (200 dpi is equivalent to the "Fine" character mode used for facsimiles.) The 600 dpi setting should only be used in cases where high-clarity image reproduction is required, such as an original that includes photographs or illustrations. Note that a highresolution setting will result in a larger file size and transmission may not be successful if there is insufficient disk capacity in the server to which the image is sent (or if the administrator of the server has restricted the file size). If transmission is not successful, you can try such measures as reducing the number of scanned pages in the file or reducing the scan size setting for the original (see page 12 of Network Scanner Operation Manual ). 11

15 Troubleshooting Error Messages When Communication Errors Occur If an error occurs during the transmission of scanned image data, one of the following messages will appear in the display of the Digital Laser Copier/Printer along with an error code. Error Code Table Error Code CE-01 CE-02 CE-03 CE-04 CE-05 CE-00 Description of the Error The optional network interface card (Print Server Card) is not installed or is out of order. Cannot find the specified mail server or FTP server. The server was down during the scanning of the original. An invalid account name or password for the FTP server has been entered. An invalid directory of the FTP server has been entered. An error other than the above has occurred. Important points when using Scan to Be very careful not to send image data files that are too large. Your mail server's system administrator may have placed a limit on the amount of data that can be sent in one transmission. If this limit is exceeded, the will not be delivered to the recipient. Even if there is no limit and your is successfully delivered, a large data file may take a long time to be received and place a heavy burden on the recipient's network, depending on the recipient's network (Internet) connection environment. If large image data files are repeatedly sent, the resulting burden on the network may slow down the speed of other, unrelated data transmissions and in some cases, may even cause the mail server or network to go down. The images on the following page will produce the following file sizes when scanned as A4 size or 8-1/2" x 11" size originals: Resolution File size of text original A when scanned in "TEXT" mode. File size of photo original B when scanned in "TEXT/PHOTO" mode. 300dpi Approx. 50 KB Approx KB 600dpi Approx. 90 KB Approx KB * All sizes are for image files created in TIFF G4 format. If multiple images are scanned into a single file using "SINGLE" composition mode, the file size will be approximately (Size of each image as indicated above) x (Number of images scanned). When a single photograph is scanned in "TEXT/PHOTO" image quality mode at a resolution of 300 dpi, a file of more than 1000 KB is created. Sending a file consisting of only a single page scanned in "PHOTO" mode at a resolution of 600 dpi may cause a mail server or network to go down. Even if successfully transmitted, considerable time will be required to receive the file and this may inconvenience the recipient. Although the actual limitation depends on your network environment, a general guideline for the maximum file size for Scan to is 2000 KB. In cases where you need to send multiple documents, try such measures as lowering the resolution or image quality mode. 12

18 Glossary Application software A computer program that performs a specific type of work such as a word processor, a drawing program, a spreadsheet, or a database. dpi Dots per inch. A unit of measurement indicating a printer's resolution. FTP (File Transfer Protocol) A protocol for sending files between a client and host computer on a network. PDF (Portable Document Format) A document format developed by Adobe Systems that enables a document to be displayed without requiring a specific platform. Text with character and paragraph formatting that previously required a specific software application can be displayed on a variety of platforms. Port number A TCP/IP function that is used to distinguish multiple services (functions) operating on one server or personal computer by assigning a number to each service. G3/G4 A standard for transmitting facsimiles established by the CCITT. Host name A name that identifies a machine on a network, particularly on a TCP/IP network. Hyperlink format A text system whereby a line of text in a document is linked to another text or file for immediate reference. Resolution The resolution is expressed in dpi units (dots per inch), and indicates the minuteness of detail in an image. TIFF (Tag Image File Format) A format for bitmap files developed by Aldus and Microsoft. Uninstall Removing a software application from a computer. Install Setting up a software program from a floppy disk or CD-ROM in a computer so that it can be used. Web browser An application such as Microsoft's Internet Explorer that is used to display documents in HTML (Hyper Text Markup Language) format. IP address (Internet Protocol address) An address that identifies senders and recipients when sending by TCP/IP protocol. Web server A server that uses the World Wide Web (WWW), and which transfers data from a location indicated by a URL (Uniform Resource Locator) using HTTP protocol (Hyper Text Transfer Protocol). 15
