1 IU Health is allowing affiliated providers and their employees to view and print medical records that were created in the McKesson EMR for all patients prior to January In January 2016, access to the McKesson Application HPF will be terminated. The complete medical record has been exported and loaded into the Harmony application Health Data Archiver, available in the Archives folder on the CSGate home page. IU Health has tried to automatically set up anyone who had HPF access through CSGate. New users will have to do a SOLAR for Archive access. 1 Nancy Lorey Technology Manager January, 2016

2 Once you have logged into CSGate and responded to your Multi-Factor Authentication text or phone call, the CSGate home page will load. We need to open the Archives folder. I am using Google Chrome. I have access to the Bloomington Paoli archives. Depending on your needs, you can submit a SOLAR for other archives. I am going to double-click on Bloomington Paoli. 2

3 Depending on your system setup, you may have to open the launch.ica file that is downloaded. This file has information on the Citrix session to be loaded. I am going to double-click on the file name in the lower left corner of my screen. The Citrix thermometer tells you everything is going alright. 3

4 The Archiver loads in an Internet Explorer window running on a Citrix Server in Indianapolis. The user name and password should be the same as your network log in. If you have any trouble, you can call the IU Health help desk at Here I ve filled in my user name and password. I must choose IU from the domain drop-down list. I don t have permission to log into the System. 4

5 The application is ready to search. There are many test patients in the archive. The last name of IUHB was used rather frequently. I will type that into the Last field. As you type, the patients matching will appear below. You can fill in more fields to limit your results. 5

6 You could click on the drop down for Date of Birth, and enter that if you knew it. I m going to enter a bit of the first name DONOTUSE. There are just a few patients. Now it gets a tiny bit tricky. Ignore the down arrows in the Encounter column. It will limit results to that encounter and you may miss results that you need. Just click on the patient s last or first name. 6

7 Your patient s information will be loaded with the Encounters tab loaded. Again, ignore this. We can see all we need on All Global Documents (insurance cards and picture ids) and All Encounter Documents (everything else). Here are all of the patient s medical records in All Encounter Documents. They seem to be in no particular order. The drop-downs under the column headers are filters, not sorts. To open a document, click on the black paper icon in the far right column. I will open the Intake and Output Record. 7

8 The document opens in a separate tab of Internet Explorer. You can print the document from here using the Printer icon. It looks like you can save it (it is in PDF format). However, remember we are running this application on a server at IU Health Here is the window that loads when I press the Floppy Diskette icon. When I click on Computer 8

9 I don t have a floppy disk drive or a CD drive on my notebook! Oh, but look, there is a local disk, C: on NancyLoreyx230, my notebook computer. If I click on that This is the root directory of my hard drive. To get to the my documents folder, I would have to navigate through a bunch of subfolders. It is much easier to print the document to a PDF printer, such as Bullzip or CutePDF. 9

10 Here, I ve clicked on the Cancel button on the Save window, and clicked on the Printer icon. This is a very standard printing window. I can chose any printer installed on my computer. To close the document, just close the tab by clicking on the X. 10

11 We are back to All Encounter Documents. To filter documents, you can scroll down in the left column. Some useful menu choices are Dictated Reports, Discharge, ED, Facesheet, Lab- Pathology-Bloodbank, Medications, and Radiology. You can also use the drop-down filtering feature of the columns, especially Document Name and Image Group I ve clicked on the down-arrow head in the Document Name column. The old dictation system named recent dictated reports ZZ followed by something descriptive. You could filter on that to find operative reports. 11

12 I typed in progress and pressed the Enter key, because I noticed the patient had several progress notes. The filter actually loads behind the pop-up window. To see the results, I click on the X to close the pop-up window. Here is the result of my filter. I will have to scroll through the list and open documents to find what I want. I can delete the filter by pressing the X beneath Document Name 12

13 I just wanted to show what I get when I entered lab into the filter window for Image Group. Of course, I don t get the names of the labs, I have to open the documents and look. They do distinguish between Lab Reports HLAB which are regular lab reports and Pathology. To change patients, I have clicked on the icon with 3 horizontal lines to the left of HEALTH DATA ARCHIVER. You can see that it drops down a one item menu, Patient Data Archives. This will take me back to search Results. 13

14 From here, you can look for another patient. When you are done with the application, it is always a good idea to log out. Harmony uses an icon very similar to the power button on numerous electronic devices. Just click on it. It is also a good idea to Log Out of CSGate, using the Log Out button in the upper right corner. If you need to go to the CSGate main menu, perhaps to use Cerner for more recent medical records, click on the word Main. 14

15 There are many test patients in the Health Data Archiver. Just search for IUHB or IUHP. The records of these test patients mimic the records of real patients, so they are an excellent way to explore the system. The only thing you can change in the Health Data Archiver is to add your name to the log of the users who have viewed the record, so don t be afraid to open one to see if it is what you need. It may take a while to find the records, especially a particular lab. Please LOG OUT! We don t know how picky Health Data Archiver is yet. It may be okay if you use the X to close the Internet Explorer window. However, make sure you click on the Log Off lock icon on the CSGate Home Page. It is in the upper-right corner of your browser window. Failing to Log Off may prevent CSGate from reloading until you reboot your computer! What is HealthLINC?
