4 Introduction The AT&T Connect Web Participant is a browser-based client application that lets users participate in AT&T Connect conferences without permanently installing AT&T Connect software on their computers, and without employing third-party browser plug-ins or a Java Virtual Machine. The Web Participant allows conference participation for users whose corporate security policies prevent them from downloading and installing the AT&T Connect Participant Application on their desktops. The AT&T Connect Web Participant also supports the ability to host conferences. For a list of what a host and presenter can do, see Presenting in a Conference. The Web Participant operates in the most popular browsers available on Windows, Macintosh, and Linux operating systems. Built using AJAX technology, the Web Participant is easy to deploy and use, and effectively employs the distinct technological advantages that AJAX has to offer: No need for plug-ins or client-side virtual machines. End users do not require administrator rights on their computer. The Web Participant is a compact application, and can run in all major browser versions on all popular operating systems. The application is built using an open standard not owned by any single company, and is supported by a growing community of developers. The browser-based AT&T Connect Web Participant is a streamlined version of the Windows-based application. The Web Participant adheres to AJAX platform restrictions, and as such, trades some functionality as compared to the Windows-based Participant Application for significantly enhanced security on behalf of Web Participant users. An option exists to enhance the Web Participant presenting capabilities on the Mac by downloading a small module to the user s Mac. This module lets users launch conferences in their meeting room and share applications when participating as a presenter (more details can be found in Using the Web Participant in an AT&T Connect Web Conference Quick Start Card for Mac Users). 5 System Requirements The system requirements to run the Web Participant are summarized in the following table. Table 1 System Requirements Operating System Windows 2000 Windows XP Windows Vista Windows 7 Mac OS X 10.5 (Leopard 32 &64 bit), OS X 10.6 (Snow Leopard ) For presenter to share an application: Intel processor, 512 MB of RAM or better recommended Linux Any flavor/version of Linux capable of supporting the indicated browser versions Browser 1. IE v.6.0, v.7.0, v.8.0 and v.9.0 When working with IE 6, the browser options Run ActiveX controls and Script ActiveX controls must be enabled. 2. Firefox v.3.5, v.3.6 and v Google Chrome 1. Safari v.5 2. Firefox v.3.5, v.3.6 and v Google Chrome For presenter to share an application: Java should be enabled Firefox v.3.5 and v.3.6 Google Chrome Web Participant Screen The Web Participant screen is displayed below. 6 Conference Whiteboard Participants Pane Notes Pane Figure 1 Web Participant Main Window Top Toolbar The top toolbar includes shortcuts to tools that are frequently used when participating in a Web conference. These include buttons to change emoticons, step in and out of the conference, mute and un-mute the audio device, and enlarge and reduce the whiteboard pane, and view the dial-in instructions. In addition, any user in the conference can use the whiteboard pointer tool for pointing at the whiteboard during a conference. Figure 2 Web Participant Toolbar Main Menu The main menu includes the Event, Participants, Language and Help menus for performing various actions during a Web conference. 7 Figure 3 Web Participant Main Menu An additional Share menu is available to presenters running the Web Participant on a Mac. Whiteboard The left pane displays the conference whiteboard. Web Participant users can view all content that the host or presenter places on the whiteboard, including an application sharing session, inserted or uploaded documents or materials (including Microsoft Office PowerPoint presentations), whiteboard drawings and annotations, and the Web Tour ( co-browsing ). Web participants can answer polls initiated by hosts/presenters, and can see the results when they are shared with all participants. PowerPoint presentations can be resized to fit the whiteboard when working with the IE browser. When the user resizes the whiteboard, the PowerPoint presentation is fitted to the new whiteboard size. Participants Pane The right pane of the Main Window displays the Participants pane which lists each user s name and status, and indicates the type of audio connection that users are using. The Participants pane also shows the total number of participants, and how many are currently raising their hands to vote. Emoticons next to the participant s name enable participants to express how they are feeling to the other participants during the conference. Presenters or hosts can perform various actions in the Participants list by using items listed in the right-click menu of a selected participant. Introducing AT&T Connect Web Participant 7
8 Figure 4 Participants Pane Notes Pane In the Notes pane, users can view notes they received and sent during the conference. Figure 5 Notes Pane A Web participant can send notes to hosts or other participants as permitted by the notes-sending policy set by the Event Initiator for all participants. Web participants can send and receive notes from other Web or mobile phone participants in any language. Note: A Web Participant who sends a note to a user using a full Participant Application must send the note in English or in the non-unicode language installed on the full Participant Application. 9 Share Pane (only available to presenters using a Mac) A new pane was added to control application sharing from the Web Participant. The pane only appears when a user has installed the Share application module, and has presentation rights. Presenters can select to share one or more windows, applications or even the entire desktop. Once sharing starts, a new dashboard is displayed that is always on top and helps the presenter to stay oriented while sharing applications. Figure 6 Application Sharing Pane Connecting to the Conference by Telephone When users enter a conference using the Web Participant, they may be presented with a dialog box to choose whether they would like to dial in to the conference or whether they want the system to call them. If users choose the Call Me option, they must enter a phone number and the system will then call them using the entered phone number. If users choose to dial in, they are presented with an initial screen that explains how to dial in to the AT&T Connect system by telephone to receive the audio portion of the conference. If the Call Me option is not allowed for a particular conference, the Dial-in Instruction page is automatically displayed. Introducing AT&T Connect Web Participant 9

11 Localization Set Security Code Set Billing Identifier Start Application Sharing (only available for Mac users) The host/presenter cannot initiate the following features: Insert and upload materials Polls Start a Web tour Draw annotations on the whiteboard (can use the pointer) Control event settings Users can select the preferred language from the Language menu for use in the Web Participant application. 12 Unsupported Features Meeting Materials Web Participants can see all materials inserted and loaded onto the whiteboard by hosts/presenters. Currently there are some limitations on the Web Participant s handling of meeting materials. Materials List: Web Participants cannot see the Materials List in a conference. Whiteboard Only: The Web Participant cannot display uploaded materials that have been defined to open outside the whiteboard. Only uploaded materials defined to open on the whiteboard can be viewed by Web Participants. No Insert: Web Participants cannot insert material on the whiteboard on-the-fly during a Web conference. DHTML PowerPoint: PowerPoint slides are automatically resized only when using the IE browser. Slides are displayed using a fixed size in all other browsers. Participant Tools Video Conferencing: Web Participants cannot receive or send video. Over-the-Shoulder Sessions: A Web Participant cannot have their computer taken over by a host/presenter after invoking an Over-the- Shoulder (OTS) session. Telephone-only audio: The Web Participant does not support computerbased desktop audio. Web Participants must use telephone access for the conference s audio stream. When participants join a conference using the Web Participant, they must use their phones to connect to the conference to hear audio in the conference. Annotations: Web Participants can only use the pointer tool. They cannot draw or write comments on whiteboard drawings or comments that are submitted by other participants. Additionally, Web Participants cannot save whiteboard contents to a local.bmp file, meaning that is there is no snapshot capability. Introducing AT&T Connect Web Participant 12
13 Conference Recording/Pre-Recorded Conference: The Web Participant is currently only intended for real-time participation in live AT&T Connect conferences. Web Participants cannot perform client-side recording of the conference. In addition, the Web Participant does not include a player that can download and play back AT&T Connect conference recordings or AT&T Connect on-demand conferences. User Settings: Web Participants cannot set and save application options or adjust Event Settings. Currently, the Web Participant has no accessibility mode to support handicapped users. General GUI improvement: If running the Web Participant in the Internet Explorer, the Explorer toolbar remains visible at the top of the browser window, even though this reduces the amount of screen space available for the whiteboard. Sorting the Participant List: When the user first enters the conference. the Participant list is automatically sorted by name. After this, whenever a new participant joins the conference, their name is added to the bottom of the list, and the list is not refreshed until the user clicks on the table header. Clicking on the table header will alternately sort the list from top to bottom and back again. Using 800*600 screen resolution: When working with 800*600 screen resolution, the note pane display may be corrupted. Use F11 to work with full screen mode. Performance Using the recommended AT&T Connect system specifications as described in the AT&T Connect System Requirements document, we recommend a maximum of 200 concurrent Web Participants per server. These users can be distributed over a maximum of 65 concurrent conferences per server. The server selection mechanism routes each participant to the server that responds most quickly to a join query which was initiated locally from the participant's browser. Typically this results in a relatively uniform geographic distribution of participants among the servers. Introducing AT&T Connect Web Participant 13
14 Web Participant System Settings Several configuration settings must be changed to enable use of the Web Participant in AT&T Connect conferences. ACC Settings ACC AT&T Connect Communication Center Application Parameter Settings: The WebClientServerSelection application parameter must be set to 1 for the user to be automatically connected to the closest TCS server. Event Entry Settings: The default value for Event Entry should be set to "Ask user" or "Smart Select" options. Figure 9 Event Preferences ISM Settings Web-based participants are supported by the TCS server application in the AT&T Connect system.
