1 Welcome to SMART Tutoring in Lincoln Park! Whether you are a veteran tutor or new to Tutoring Chicago, we are glad you have chosen to dedicate some of your valuable time this year to spend with a young student. We welcome your commitment as a charitable gift to those who benefit most the children of Tutoring Chicago. For 49 years, Tutoring Chicago has been committed to the children of the community. Our Mission Tutoring Chicago fosters pathways for success by positively influencing the relationship that elementary school children have with learning. We do this by providing economically disadvantaged children in Chicago with one-to-one tutoring by adult volunteers, along with quality resources and programming. 1

4 Quick Facts about Tutoring Chicago What is Tutoring Chicago? We are a private, non-profit organization that provides free, one- to-one, weekly tutoring to over 300 students in grades one through six. Our program is funded by various foundation grants and individual donations. We have approximately 350 volunteer tutors. History The program was started in 1965 by a group of Montgomery Wards employees. It operated out of Montgomery Wards space for 35 years. Tutoring Chicago (formerly known as the Cabrini Green Tutoring Program) was housed out of the New City YMCA until the late 90 s, and later moved into its current location at the St. Vincent de Paul Center in Lincoln Park in In 2011, Tutoring Chicago was fortunate enough to add an additional location at Goethe Elementary School in Logan Square. When/Where does it operate? Tutoring Chicago provides tutoring during the school year, September to May. SMART Tutoring takes place on Monday, Tuesday and Wednesday evenings from 6:00-7:30pm at the St. Vincent de Paul (SVDP) Center in Lincoln Park and at Goethe School in Logan Square. SMART students attend one night a week. Our LIT program is a specialized program that operates at the St. Vincent de Paul Center on Monday and Tuesday evenings from 6:00-7:30pm for 1 st through 4 th graders. How does it operate? Each student is matched with a volunteer tutor for the duration of the school year. Students and tutors work one to one. Many of our tutors have worked with their students for at least one year already. Tutors and students use our SMART Resources at tutoring to focus on Social Skills, Mathematics, Attitude/Attendance, Reading, and Technology, in addition to assisting with homework. We offer a tremendous amount of resources and support for the tutors. SMART Students are assigned to a classroom on the 3 rd floor of SVDP based on their grade level; LIT Students are assigned to a classroom on the 2 nd floor. Students are bussed from the Cabrini-Green Row Houses, Division/Larrabee and Marshall Garden Apts, among other areas in the city. About 35% of the student population comes directly from the After School Program of St. Vincent de Paul Center. 5 Tutoring Chicago Procedures Tutor Arrival & Check-In Please arrive at the Tutoring Center by 6pm. Enter through the front doors or the parking garage. Do not use the back doors. Free Parking is available by accessing the driveway directly behind the SVDP building off of Webster. Follow the driveway into the parking garage. Check in each night by picking up your nametag at the tutor table located in the first floor lobby. Nametags must be worn at all times during the tutoring session. Review your nametag for student and room information. Please note if you do not take your nametag, you will be marked absent. Check here for other information, weekly updates, upcoming events, new resources and activities, scheduling, etc. Student Arrival & Check-In All students will check-in on the third floor. - Those students who attend the St. Vincent de Paul Center After-School Program will go directly to this area at about 6:00pm. - Bussed students will enter from the front doors and proceed up the stairs to the third floor. Students should not take the elevators. Students will wait for their tutors in the third floor lobby area, getting signed in by taking their nametags and eating a snack that is provided by Tutoring Chicago. Please find your student or wait patiently for your student to arrive. Students may not leave the lobby area unless they are with their tutors. Pick up your student s folder located in a file by the elevators. Folders are filed under the student s last name. Please wait until 6:00pm to enter the classroom. Classroom Tutoring Time The eight classrooms that Tutoring Chicago uses on the third floor are not exclusive to our program. They belong to the After School Program at the St. Vincent de Paul Center. Therefore, please follow the guidelines below accordingly: Proceed to your student s assigned classroom, designated on the tutor s and student s nametags. Once inside, find a spot to sit and begin the tutoring session. Please do not use the materials (toys, computers, games, books, etc.) inside these classrooms, as they do not belong to us. Throw away all garbage at the end of the night. Put away any Tutoring Chicago materials on the carts or in the Resource Room. Stack chairs neatly on tables. Tutor and Student Check-Out Tutoring ends promptly at 7:30pm. An announcement is made at 7:25pm reminding everyone of the time and to begin preparations to leave. Please do not go downstairs before this announcement. Tutors should escort their students down to the first floor lobby. Here kids will enter either the bus line or wait in the parent pick-up area. It is important for you to know whether your student takes the bus or is picked up by a parent. If a parent picks up the child, they must park in the garage and come up to the first floor. Do not release kids to walk to the garage or out to Halsted St. by themselves to wait for a ride. Once your student is in the bus line, with a parent/guardian, or under the supervision of staff, you are free to leave. 5

6 Tutoring Chicago Policies Regular attendance is the most important ingredient to successful tutoring. Once you have been matched with a child, we expect you to commit to the tutoring arrangement. Tutors should take the following actions when they are going to be absent: *We do understand the priorities of work, business travel, illness and vacations. However, the following actions will be taken when tutors have consecutive/overall absences: - Tutors will receive a reminder phone call or after 2 consecutive absences. - A warning letter will be mailed to tutors after 3 consecutive absences, or 6 overall absences. - Any tutor who misses 4 consecutive sessions, or 8 overall, will be dismissed from the program. Student Attendance Students that enroll in our tutoring program make a commitment to Tutoring Chicago for the school year and are expected to attend tutoring on a regular, weekly basis. The tutoring year is divided into approximately three, ten-week periods. Those students with perfect attendance are rewarded at the end of each period. Similar to our Tutor Attendance Policy, Tutoring Chicago will hold absent students accountable by taking the following actions: - Tutoring Chicago will call the parent of any child who misses 2 consecutive sessions. - A warning letter will be sent home after 3 consecutive absences. - Any child who misses 4 consecutive sessions, or 8 overall, will be dismissed from the program. 6

7 Tutoring Chicago Policies- miscellaneous Snacks Tutoring Chicago will provide a healthy to students each week. Students should pick up their snack in the third floor lobby after retrieving their name tag. Tutors should be aware of any allergies that their student may have. Allergies are listed on your student s nametag and reprinted every week. Water fountains are located in each classroom and in the west hallway near Room 314. Medications It is very important that tutors DO NOT GIVE ANY MEDICATIONS TO STUDENTS. This includes prescriptions and over the counter medications such as pain relievers, antacids, inhalers, vitamins, supplements, cold medicine, cough drops, etc. If a child is feeling too ill to work, notify staff to call a parent/guardian. If a child has asthma, he/she may have an inhaler with him/her. This is okay to use. Incidents Contact a staff member if a child gets hurt or there is an unusual incident. A staff member may ask you to complete an incident report upon assessment of the situation. Emergencies Stay with the victim(s) or remove them from the dangerous situation. Assign a person to contact a Tutoring Chicago Staff member or call 911. Locate and push the Emergency Call Button in the classroom. Guide a violent child to a safe area away from others and equipment OR have the other tutors remove their students immediately. See exit procedures located by each classroom door for a fire or other emergency. Gifts Tutoring Chicago discourages tutors from purchasing major gifts or giving money to their students; it may put others in an awkward situation. Exceptions include birthdays you might buy your student something small like a cupcake or book; and Christmas donors provide gifts for each child, but many tutors like to purchase something else for their students. Field Trips Tutoring Chicago may offer several Field Trip opportunities during the school year. Permission slips and instructions will be given to Room Leaders and distributed during Classroom Meetings. In the event of a Field Trip, tutors should read through the information given with their student and remind him/her to return the form to the Student Table by its due date. Tutors are not required to attend Field Trips with their students unless otherwise specified. However, we often ask volunteers to help supervise. Activities Outside of Tutoring Chicago Tutoring Chicago is a tutor/mentor program. However, all student/tutor contact must take place under the guidance and organization of Tutoring Chicago. Any student/tutor activities organized outside of Tutoring Chicago are not sanctioned by the program. If you have any contact or outside activities scheduled with your student, Tutoring Chicago is not liable for any accidents or incidents resulting from the event. 8 Communication You will receive an reminder the day of your tutoring session. Additional monthly s are sent to keep you informed of special events or important updates. Please be sure you are receiving our s. * Gmail users, this might go directly to your Promotions tab and you may be missing it! Drag it to your Primary tab and Gmail will send subsequent s from Tutoring Chicago directly to your inbox. Monthly News Our monthly newsletter will be ed to you via Constant Contact and there will be copies printed the first week of every month. Please be sure to read it each month and identify the information that relates to you and your student. Check the Calendar to know what is going on each night and what may be expected of you and your student. Information in the newsletter will also be reviewed by the classroom leader at the beginning of each month. Website contains an up-to-date calendar located under the news tab as well as general program information. A pdf of the handbook is also on the site. Social Media Tutoring Chicago utilizes Facebook, Twitter, and LinkedIn to connect with others through social media. Please like our page on Facebook, and follow us on Twitter and LinkedIn to view reminders, fun facts, upcoming activities, and photos from our events. Tutor Advisory Board (TAB) The TAB is an advisory group of tutors who have volunteered for at least one full year. Their role is to represent, mentor the tutoring population and assist with fundraising and event planning. Along with chairing the tutor committees, they organize events for tutors to get together outside of the program. The TAB members are happy to answer your questions or provide support when needed. Feel free to approach a TAB member during tutoring. Classroom Families & Classroom Meetings Each student is assigned to a classroom by grade level. Each classroom is considered a Classroom Family. This group should get to know each other, ask one another for help, and be in contact via . Each Family is led by a room leader, often a TAB member. This volunteer hosts a Monthly Classroom Meeting to remind others of upcoming events, necessary paperwork, etc. Classroom Meetings will be from 6:15 6:25 the first week of every month. All tutors/students are expected to be in their assigned classroom during this time. Student Information A copy of your student s registration information should be kept in his/her folder. Here you will find basic information regarding parental contact, school, teacher, special needs, etc. There may be a parent s for additional communication. Tutors must be able to access this information from home. Put your student s contact information into your phone upon receipt. - Establish methods of communication early in the year. Introduce yourself to parents and siblings. We encourage you to contact your student prior to tutoring for reminders, etc. Turn-In Bins If you need to submit papers, such as Life Skills or Santa Letters, put in the Turn-In bin. These are located on top of each of the large rolling carts in both the east and west hallways. 8

9 Use of Tutoring Center Space Tutoring Chicago leases space from the St. Vincent de Paul Center. Our SMART tutoring program is housed on the third floor. Our Literacy Intensive Tutoring (LIT) is located on the second floor. We use the first floor lobby for enter and exit procedures. Use only the stairwell adjacent to the elevators. Classrooms Each student is assigned to a classroom by grade level. Tutors and students must go to the classroom that they are assigned. Please let us know if there are any conflicts within the room (student issues, allergies, etc). We are happy to switch rooms if necessary. Resource Room Our resource room contains Tutoring Chicago s collection of leveled books. Books are organized in genre bins. Each book contains a colored dot. - Red Dots refer to Chapter Books - Blue Dots signify Fiction Books - Green Dots signify Non Fiction Books Remember to use the 5-Finger Rule when choosing an appropriate book for your student: 1) Open the book to the middle and choose any page. 2) Read the page (aloud if possible!) 3) Put one finger up for every word your student does not know or cannot read. 4) If you have five fingers up by the end of the page, the book is too difficult. 5) If you have one-two fingers up by the end of the page, the book is an appropriate reading level for your student. Students may check out a book to keep in their folder or take home. Books must be checked out by completing the Book Checkout Sheet found in the Resource Room. Resource Carts There are two rolling carts in each of the hallways. The materials on the larger cart include paper, pencils, markers, scissors and glue, Time for Kids (TFK) Magazines, and weekly SMART resources. On top of this cart you will also find two bins of grade-level appropriate enrichment activities one filled with SMART Resources for Mathematics; the other SMART Resources for Reading. The smaller cart contains educational games and activities as well as Life Skills and additional forms for your student s My Everything Packet. You can find everything you need on these carts. *Please see a staff member if you need assistance choosing SMART activities. Computer Lab The computers in the lab belong to the St. Vincent de Paul Center and we use them in the evenings. Tutoring Chicago also has laptops and ipads to check out during the tutoring session. All Tutoring Chicago Technology has a separate log-in. See the Technology Coordinator for login and password information and/or to check out a piece of equipment. Room 351 Large events or gatherings will take place here on an occasional basis. Please do not use this room unless a special event is scheduled. Restrooms Each classroom has both a girls and boys restroom. There is also an additional (adult) restroom located in the west hallway. 9

10 - Meet, Briefly discuss your day/week and establish student s needs - Set a plan for the session and gather materials Take actions towards those needs - Guided Instruction - Guided practice 3 - Independent practice - Tutor reviews 4 - Review what was covered - Reflect on the learning process, - Set a plan for the week or the next session This is a general ideal tutoring model. Since you are working with elementary school children, you will most likely be tutoring several subjects, often within the same session. See below for samples of a Tutoring Chicago tutoring session. The following is a sample of a structured tutoring session with an active, young student who may need a lot of activities in one session with breaks and movement throughout. Get student s folder, find a spot to call your own, talk about the day or week, look through the backpack, assignment notebook and other homework papers. Set a plan for the next ½ hour. 10 minutes Together, find the materials you may need. 5 minutes Work on a homework assignment or Tutoring Chicago SMART activity. 10/15 minutes Select a book and read together in a comfortable spot. 15 minutes Take a short walk to return the book, use the restroom, set a plan for the next ½ hour, etc. 5 minutes Use flash cards or math manipulative to practice facts or number sense. 10 min. Draw a picture or play a game together. 10 minutes Talk about all that you did together and what you will do next week. Complete the Student/Tutor Log and award your student Points for the tutoring session. 5 min. Return the folder and materials. Pack up your things. The following is a sample of a structured tutoring session with an older, more focused student who may be able to stay on task longer. Get folder, find a spot, talk about the day or week, look at homework or other papers he/she brought. 10 minutes Gather materials you may need; visit the computer lab if a laptop or computer will be needed during the tutoring session. 5 minutes Work on homework assignment or Tutoring Chicago SMART activity. 25 minutes Move to the computer lab to practice skills from the Technology Curriculum. Look up current events on a safe website for kids. 25 minutes Pack up your things, play a quick educational game together 10 minutes Complete the Student/Tutor Log, recording what you did for the week. Discuss what you will do next week. Award your student Points for the tutoring session. 10

11 Tutoring Chicago Resources SMART Tutoring: Tutoring Chicago emphasizes several key content areas that complete what we call SMART Tutoring: Social Skills, Mathematics, Attitude/Attendance, Reading, and Technology. SMART Tutoring allows both tutors and students to concentrate on specific target areas to best improve individual and grade-level needs and expectations. (See Page 15 for additional SMART information). Tutoring Chicago offers the following SMART Resources: Aimsweb Assessments: Mathematics, Reading Tutoring Chicago uses Aimsweb assessments that help tutors better determine the reading/math levels and needs of their students. Tutoring Chicago will administer Aimsweb testing to all students in their tutoring classrooms. Tutors can use information from the outcome of each assessment to determine focus areas to work on, and guide their instruction or help the child select SMART activities at his/her performance level. We expect all students to take these tests in the fall, winter, and spring for reading and math. Assignment Notebooks: Attitude/Attendance Students are provided a new assignment notebook if needed. Assignment notebooks are a great organization tool for encouraging communication among teachers, parents, tutors and students. Students are expected to bring this to tutoring, school, and home. Some students may use a notebook provided by their school instead. Please help students learn how to most effectively use this tool and reward your student points for continued use. Books: Reading Tutoring Chicago offers an entire Library Resource Room filled with fiction and non-fiction books, dictionaries, thesauruses, encyclopedias and reference books. Complete story maps to strengthen comprehension skills and use the Book Log to record books read together. (See Library Resource Room in Use of Tutoring Space - page 9 - for more information) Computer Lab/Laptops/iPads: Technology Sign in or check out a computer, laptop, or ipad in the computer lab. The Technology Coordinator will help you get set up, find activities and answer your questions. The Internet is intended for educational use only and must be closely monitored by a tutor. Examples of use include school research, educational web games, current events and Internet instruction. See home page for educational games and reference pages organized by subject and level. Educational Flashcards/Manipulatives: Mathematics Take advantage of the numerous educational flashcards and activities available on the resource carts located in the hallways. Flashcards are especially important when memorizing mathematical facts, reading sight words, and/or practicing new vocabulary. Folder System: Attitude/Attendance All students are assigned a folder that should be kept here at tutoring. All students and tutors are expected to use their folders on a weekly basis. The folders will be used for: Maintaining Student/Tutor logs where entries should be made at the end of each session. Keeping an up-to-date Points Tracker. Holding the student s My Everything Packet. Storing work from week to week, SMART activities, Life Skills, etc. Distributing personal papers (awards, notes, etc.) 11

12 Games: Social Skills, Mathematics, Reading, Attitude/Attendance Tutoring Chicago provides many educational games. These can be beneficial to building social skills, enhancing new vocabulary, and reviewing mathematical concepts. Use the games as an incentive to work efficiently, reinforce content areas, and behave properly. Encourage the child to learn how to play new games. *Recreational games will be provided during Holiday Events and Perfect Attendance Celebrations. Homework: Social Skills, Mathematics, Reading Students are expected to bring their homework to tutoring, even if it is finished. This allows the tutor to see what the child is expected to know and what they are working on in class. Keep in mind that homework assignments are often an important assessment tool for the classroom teachers to determine a student s independence with a skill or concept. Your role is not to do the assignment for the child or complete it without his full understanding. Your role as a tutor is to help your student better understand and guide their progress. Life Skills: Social Skills, Attitude/Attendance Students will practice and master varying levels of life skills. These skills include phone etiquette, ordering from a menu, writing a check, reading a food label, etc. Students can choose which skills they would like to complete; they do not have to be completed in succession. Students receive points on their Points Tracker for completion of each skill. A culminating dinner takes place in the spring for students who have mastered 15 of the skills. My New Book Guest Reader Series: Social Skills, Reading, Attitude/Attendance Tutoring Chicago invites special guests to read and promote quality children s literature. All students receive a new copy of the book read aloud by the special guest reader. Students are broken up by grade and assigned a night to attend the reading. Points Tracker/Tutoring Chicago Store: Attitude/Attendance Students will earn points for various accomplishments. These points will be tracked by tutors and accumulate over a period of time. A tracking sheet of a student s points is found in the My Everything packet in each student s folder. Students can use their points to buy items from the Tutoring Chicago Store. The store will be open the first week of every month in the student check-in area of the third floor lobby. Opportunities to earn points include: Attendance, Life Skills/Technology Skills, use of Assignment Notebook, Homework Completion, SMART Activity Completion, and overall good behavior. SMART Resources on the Carts: Reading, Mathematics Tutoring Chicago provides weekly resources/activity sheets in the areas of reading, writing and math. The activity sheets are leveled by grades 1-6 and can be used at will. If your student does not have homework, or it is complete, you may want to select an activity sheet. Feel free to move up or down grade levels, depending the child s abilities and interests. Technology Skills: Technology A Technology Curriculum is available for all students. By completing the technology curriculum, students will develop competencies of basic technology skills based on grade level expectations. Time for Kids Magazine: Social Skills, Reading Time for Kids (TFK) is a weekly news magazine geared for students in grades 1-6. These current event magazines are updated and available every week. Each edition also has a corresponding activity sheet that is copied and ready for your use. TFK engages students while presenting them with non-fiction text to build reading, critical thinking, and social skills. 12

13 Tutoring Chicago Expectations and Responsibilities Tutoring Chicago offers enrichment in a one-to-one setting, maximizing attention to the individual needs of our students. As a tutor, you should plan to structure your sessions to best meet your student s academic and personal needs. Your time spent is valuable and should be structured accordingly. As a volunteer tutor, I commit to Be Reliable Attend regularly and according to my agreed upon commitment. I will arrange for a substitute if I will be absent. Show my student that I care just by being there. Be Positive Greet and treat my student in a positive, renewed, and encouraging manner, regardless of my workday or previous tutoring frustrations. Understand that progress takes time and my attitude can impact theirs. Be a Role Model Model all procedures and rules of Tutoring Chicago. Model proper behavior and attire. Model a love for learning and will to succeed. Share my education and life experiences. Be an Educator I will use the SMART report to assess my student for his/her strengths and weaknesses. Address the needs of my student. Structure our time at tutoring effectively. Understand that it is okay to express that I am not always sure of the answer. Be Involved Check in nightly by taking my nametag and reviewing all materials on the tutor table. Read the Monthly Newsletter and be knowledgeable about upcoming activities and new materials; share this information with my student. Read the handbook and refer to it when I have a question. Know where all supplies and materials are located. Complete student/tutor logs weekly. Ask when I am not sure of something. Be in Touch If I am going to miss a session, arrange with a substitute in advance so there is someone to tutor my student in my absence. Communicate with staff, my student, and my student s guardian of any changes that affect my tutoring schedule. Inform staff of any phone, address, name or job changes. Keep in Mind You are the tutor and the adult. Establishing limits and structure early on in your relationship will help you both achieve the maximum benefits of your time spent together each week. 13

14 Donations to Tutoring Chicago Supply Donations Some of the common supply needs of the Tutoring Program are: Lined paper (wide-ruled), blank paper, folders, notebooks Pencils and pens, markers, colored pencils, crayons Scissors, rulers, glue, glue sticks, index cards, post-it notes Sticky nametags (Avery Style 5144) New or good condition books, dictionaries, reference books Copy paper (white and colored) Calculators, math materials New or good condition games New or good condition backpacks Student awards or incentives Service Donations Copying services, especially colored copies for flyers, posters, brochures etc. Snacks (peanut-free) Photography, Videography Holiday Donations We organize a Letters to Santa campaign at Holiday time, donating gifts, clothes, and books to the children of Tutoring Chicago. New or gently used coats. These are offered to our students at holiday time. New hats and gloves sets. These are given to the children with their holiday gifts. Contact staff by November if your business/company/family would like to participate as a donor. *Prior to any in-kind donation, please contact us to see if your donation can be used or if another agency may be recommended. Cash Contributions Tutoring Chicago is a not-for-profit 503(c)3 organization and individual cash contributions are welcome and tax deductible. Efforts can be made to obtain contributions from the companies where you work through Dollars for Doers programs and grants. If you have a volunteer donation program at your company, we would greatly appreciate it if you filled out the appropriate forms to help us attain funding from your company. If you would like to act as a representative to your company to request funding, please contact Jill Heller, Director of Fundraising, at jheller@tutoringchicago.org. Fundraisers The Tutor Advisory Board (TAB) hosts several social fundraisers/bar events where tutors are encouraged to come and bring their friends and colleagues. Generally, raffle tickets are sold prior to the event for several great prizes. Many tutors take a pack of tickets to sell at work. Read the Greens Golf Outing Tutoring Chicago hosts an annual golf outing with all proceeds benefitting our program. Many sponsorship opportunities are available. Donations for the Silent Auction (sports tickets, gift certificates, etc) are also accepted. THANK YOU, IN ADVANCE, FOR YOUR TIME AND DONATIONS!!! 14

15 SMART Focus Areas Measurements Programs and Interventions Tutor Resources Events All students are assessed in each focus area at least 2x a year. Students may receive additional testing to best determine areas of need and monitor progress. Tutors and parents will receive a fall and spring SMART report along with periodic updates.
