Call to Order John called the meeting to order at 10:06 a.m. 2. Welcome and Introductions John welcomed the chairs and co-chairs to the May Board of Directors meeting. There were no introductions made. 3. Approval of Minutes The May 15, 2015 minutes were moved for approval by Carol and seconded by Karen. There was no discussion and the minutes were approved. 4. Comments from the Floor John notified attendees that Carol Quigley has resigned from her MACRAO Secretary post due to health reasons. Stephanie Gerling has graciously agreed to take minutes until the new Secretary is appointed at the Annual Business Meeting for his/her 3-year term. 5. Committee Reports (See attached, written committee reports) College Articulation Report submitted by Christopher Marx, Chair Enrollment Management- Report submitted by Libby Bonnell on behalf of Anthony Gallina, Chair Equity in Education- Report submitted by Tiara Wair, Chair

2 2 Legislative Issues- Report submitted by Matt Bohlen, Co-Chair Professional Development- Report submitted by Stephanie Bremenour, Chair Registrar s Practices- Report submitted by Kimberley Blair-Chambers, Chair Secondary School Relations- Report submitted by Caitlin Thayer, Chair College Day/Night Committee Libby reported on behalf of Jennifer Fenning, Chair. Libby said that the table scanner idea will be further discussed at the next meeting. Emily Thibodeau, prior Co-Chair, was offered a new position at SCAD as a regional Admissions Representative. Her supervisor will not allow her to continue as a part of MACRAO s College Day/Night Committee for now. Libby will check with Jennifer about Emily s successor. Conference Planning John reported on behalf of Kara Fields, Chair. The Annual Conference fee has been reduced to $225. John advised everyone to book hotel soon as there is the possibility that there might be an overflow hotel. Data & Technology Applications/Michigan Transfer Network (MTN) Governance Carrie Bonofiglio, Chair, reported. The Committee recently had a conference call regarding new a RFI for an MTN replacement solution. The RFI will be submitted to vendors in the coming weeks. 6. Board Reports Treasurer Funds available as of June 17, 2015 Savings $105, Checking $13, Balance $118, Karen made the motion to accept the June 17, 2015 Statement of Financial position, and Carrie seconded the motion. There was no discussion and the motion passed. Karen provided a document of the MACRAO Budget vs. Actuals for the Fiscal Year. President John thanked all committee chairs and co-chairs for their hard work and support. Report under Old Business and New Business. President-Elect No items to report. Vice President Libby thanked all committee chairs and co-chairs for their patience and hard work. Report under New Business.

3 3 Past President Carrie informed everyone that the Nominations Committee met on Tuesday, June 14, 2015 to discuss all nominations for open positions. There were four candidates that accepted the MACRAO Secretary nomination. There were three candidates that accepted the nomination for each of the following: 4-year public university, 4-year private university/college, and 2-year college. Carrie will report to the Board of Directors at the July meeting for final review of candidates and hopes to have all positions filled and ready by August. Secretary Position is vacant. Historian John presented Dorene s report, in her absence. Award recipient names have to be submitted to Dorene by August 28 th so that plaques can be ordered and received in time for the Annual Conference. Web Editor In Kris absence, John said there were new items to report. Newsletter Editor Stephanie reported there are 15 articles submitted for the June newsletter. Membership Coordinator Tammy reported that she has wrapped up all May events, Summer Summit, New Professionals workshop, and vendors for the Annual Conference on CVENT. A total of twenty-six institutions have paid their dues, and an additional 5-6 paper invoices were sent out. Tammy will send out another reminder of dues at the end of this month. The link to pay dues on the website will be shut down at 11:59pm on August 31 st (last day to pay) in order to add late fees to payments Conference Committee Chair Report under New Business. 7. Old Business a. Calendar Review Kara will start to build MACRAO Master Calendar. John reviewed the remaining events through August. Caitlin corrected the dates listed for the New Professionals Workshop. The dates on the Master Calendar are listed as Tuesday, August 24- Wednesday, August 25 but the actual dates are Tuesday, August 25- Wednesday, August 26. Correction will be made on the Master Calendar. Leadership Summit will be held on Friday, December 11 at the Macomb Community College South Campus in Warren. John will add to the Master Calendar. b. 501c3 Status Update John has all materials needed to move forward with MACRAO s status change. John needs to list all MACRAO events and the reasoning why we have them before he can submit the complete report. It could take up to a year for formal approval. John advised all committee chairs to still

4 4 budget for taxes with events next year. c. MTA 2.0 Ad Hoc Committee update Committee will be meeting next week. They just wrapped up the community college review and a summary sheet will be presented to Michigan Community College presidents, provosts, and registrars. Following their review, all MACRAO members will be ed the summary. The committee also conducted a review of the 15 public universities via . John reported that MACRAO has lost its two main partners Chris Baldwin (MCCA) and Patty Farrell-Cole (PCSUM). d. MTN Replacement Solution Subcommittee RFI has been completed and will be sent out to three vendors for information. The full proposal process is not expected until the fall. e. MCAN College Application Week John sent out an to the membership regarding the vacant MACRAO MCAN representative position. The deadline to apply is July 1 st. The name of the new representative will be voted on at Board of Directors Conference Walk-Thru meeting. Karen Hutslar, former MCAN Representative, will transition the new representative into the role. f. Enrollment Management Committee Libby requested the conversation be tabled until next meeting. 8. New Business a. College Articulation Survey Libby reported that the College Articulation Committee has requested to offer an incentive of free registration to the Summer Summit for people to take their survey. Carrie said there have been difficulties with offering free registration in the past. If an incentive of free registration for next year s Summer Summit is offered, it would need to be offered for every event and subsequently budgeted into each event as well. This can get costly depending on the year. The Board of Directors is not opposed to giving an incentive, however, free registration may not be the right one. After some discussion, the Board said that they prefer the incentive be a gift card. The College Articulation Committee has $25 gift card left over and will award this instead. No need to approve. b. Enrollment Management Committee Survey Libby provided proposal from the Enrollment Management Committee for an on-line survey. The results of the survey will be sent to the MACRAO membership via the listserv. Two $25 gift cards for Amazon.com will be offered as incentives and awarded randomly. The survey will be sent through listserv and included in the June newsletter. c Board Meeting Locations John reported on Kara s behalf. Carrie proposed the question if the Board meeting location should be changed for next year. There has been difficulty reserving a room at the CMU-Lansing

5 5 location. If the Board moves forward with the different pods through GoTo Meeting, the current location cannot host GoTo Meetings. Carrie reported that meeting pods could work, would be informal, and the possibility of different pod locations in northern, eastern, and central/western Michigan. A more formal discussion will take place at the July meeting. John asked chairs/cochairs if this is worth looking into and there was discussion among them that the meeting pods would provide a sense of community while still being convenient. Chris Marx offered to have Davenport as a meeting pod since there are multiple locations throughout the state. John said he wants to make sure there is still free parking available for members. Carrie will pass this information along to Kara. d Conference Venue Recommendation Wendy supplied report for three recommendations for the annual conference location: Shanty Creek, Bay City Doubletree, and the Bavarian Inn. All locations are willing to work within the proposed budget. Bay City could be too small with 150 rooms. Wendy did discuss the possibility of overflow hotels with each proposed location. Shanty Creek and Bavarian Inn have the capacity to hold attendees. After discussion, the Board narrowed the choices down to Shanty Creek and Bavarian Inn. Wendy will request contracts from both and will forward to the Board. The Board vote via so Kara can be involved. e Appropriations Legislation John supplied a printout of the legislation where MACRAO is mentioned. MACRAO has to report by March 1st on MTA 2.0 roll out. A state study committee regarding a 60-credit transfer block will be formed with ten representatives from community colleges selected by the Michigan Community College Association; ten representatives from public universities selected by the Presidents Council, State of Universities of Michigan; and four members of MACRAO, along with appointed government officials. John said that Chris Baldwin (MCCA) assisted in the drafting of legislative language. It was his hope that MACRAO would use most of its four appointments for independent/private institutions to be represented through MACRAO. The goal is for the Association to appoint committee members in September. John reported that Chris envisioned a proposal regarding the 60-credit transfer block by March 2018; implementation and the formal rollout may not be ready until Comments from the Floor a. Tammy received a membership application for Monica Jones to be an individual member. She is the founder of Building Scholars and works as a consultant with parents/students on various aspects of the college process (applications, FAFSA, etc.) After discussion among the Board, it was decided that Monica Jones will need to apply as an affiliate member through her company, not as an individual. The formal vote will be tabled until we receive an affiliate application for the company (Building Scholars) and will be discussed at the July meeting. b. Tammy received a membership application from Calvin College. Calvin College has not paid dues for several years, and they are now hoping to be a member institution. According to the bylaws, the Association can only charge for the two

6 6 most recent years of dues and a $50 penalty/late fee, plus this year s current dues. Tammy will bring this back to a vote at the July meeting. c. Tammy reported that Grand Rapids Urban League had an issue paying for their dues since they had just applied for MACRAO membership in April. According to the bylaws, the Association does not offer proration and Grand Rapids Urban League will still need to pay for membership. d. Libby reported that the Summer Summit had attendees that were not members. CVENT is open for public registration. John will add a special section to the Leadership Manual requesting committee chairs and co-chairs check for membership of registrants. e. Wendy thanked committee chairs and co-chair for their help and input with conference. 10. Adjournment John adjourned the meeting at 12:12pm. 11. Other Business a. 7 7 Committee Name: College Articulation Committee Chair/Co Chair: Christopher Marx, Chair David Johnson, Co chair Date of Last Meeting: Wednesday, June 10, 2015 Date of Next Meeting: Friday, July 10, 2015 COMMITTEE REPORT Action Items in Progress/Pending: 1. Continuing to work on the development of 6 sessions for the MACRAO Annual Conference Action Items Completed: 1. The 2015 MACRAO Summer Summit was an outstanding success! The attendees were in unanimous agreement that the 2016 MACRAO Summer Summit should be held at The H Hotel again next year. 2. We had a total of 87 people register and 84 actually attended. I received copies of the final Banquet Orders from The H Hotel and will submit an updated budget by Friday, June 19, Submitted 4 of our 6 sessions for the MACRAO Annual Conference Comments: The College Articulation Committee meets the first Friday of the month at CMU East Lansing, 2900 West Road, East Lansing, MI Submitted By: Christopher Marx Date: June 15, 2015

8 8 COMMITTEE REPORT Committee Name: Enrollment Management Committee Chair/Co Chair: Anthony Gallina/Josh Jacobson Date of Last Meeting: 6/12/15 Date of Next Meeting: TBD. Proposed a week after the BOD meeting when issues below are addressed. Action Items in Progress/Pending: Enrollment Management Gmail Purpose: With constant turnaround within a committee, a stand alone can be median for which committee members can utilize this area to send and receive s pertaining to their committee. The chair & co chair would be charged to check this weekly. While there is a great portal on MACRAO s site, we felt that having a central place for messages where MACRAO members could use this to contact us on any ideas, thoughts, or other items they can use this as a consistent throughout the years. Enrollment Management Next Survey Purpose: With the large scope of enrollment management in the title of our committee it is challenging to gather ideas on purposeful and timely issues that we can help MACRAO members address. Each time we would like to send out a survey this would help us understand specific topics within the area and what can be investigated further for more beneficial dialogue at the yearly conference. EIE Award Nominations are being accepted until August 1, The committee has received two new membership applications. Action Items Completed: Comments: 1. Final EIE Workshop Budget has been submitted. 2. EIE Workshop Evaluations have been summarized. (See attached). 3. Ten annual conference session proposals have been submitted. 4. (Committee) 50% of attendees rated this session as excellent. 42% of attendees rated this session as good. b. Suspending Disbelief Removing the Doubt (Lee Hampton) 92% of attendees rated this session as excellent. 8% of attendees rated this session as good. c. Self Efficacy in Spite of Inequities (Eric Williams) 69% of attendees rated this session as excellent. 31% of attendees rated this session as good. d. LGBT Career Mentorship Program (Alexander Susienka) 18% of attendees rated this session as excellent. 64% of attendees rated this session as good. 2. Location 77% of attendees rated the workshop site as excellent. 15% of attendees rated the workshop site as good. 3. Catering 77% of attendees rated the workshop catering as excellent. 23% of attendees rated the workshop catering as good. Lunch was excellent! Chicken was awesome! Summary of Comments: 1. Was the Equity in Education workshop beneficial to you? Excellent examples of success presented by Dr. Hampton and Dr. Williams. Enjoyed the icebreaker with the tennis ball. Powerful. Appreciated the variety of presentations. Knowledgeable presenters. Well done! The presentations were amazing. Great takeaways. I loved the exercises. Wow!!! This blew my expectations out of the water and really struck a chord with my passions. Lee Hampton was a great, motivating presenter I learned a lot. Helped me realize that my institution is not alone. We all could make improvements. I loved the interactive activities, specifically the tennis ball ice breaker game. Great keynote speaker. Enjoyed icebreakers. Each presentation taught me something different and was amazing. 2. Did you receive the information you expected? No. I gained more. Yes, and more. Both admissions and retention mindsets were hit. I learned way more than I thought. 3. Overall comments: Well worth the drive. Very good information and inspiring for me to do more within my institution. Conference affordable but also very informative Thank you. Thank you! Great!!

12 12 COMMITTEE REPORT Committee Name: Legislative Issues Chair/Co Chair: Deedee Stakley/Matthew Bohlen Date of Last Meeting: May 21, 2015 Date of Next Meeting: June 18, 2015 Action Items in Progress/Pending: o Monthly submission to MACRAO Insider (15 th ) or March Legislative Issues Update (end of month) submission ideas. o Members discussed different ways to keep the monthly issue relevant. Members will continue to submit ideas and updates to Deedee and Matt for submission to the MACRAO Insider. o SAT responsibilities: Deedee/Matt: Upcoming Webinar, results of MACRAO survey to membership: o The survey came back as the MACRAO membership saying YES to wanting an SAT webinar. It was Wednesday, June 3 at 10:30 a.m. Info regarding it was in the L.I. Update sent to the membership. We have been working with Marc Geslani of CollegeBoard to get this done. o Gretchen Parks (president of MACAC) also sent it to the MACAC membership. o Liaison to Michigan Student Financial Aid Association (MSFAA) update, o Session proposal was submitted. Val is still working on getting a presenter for this workshop. o Legislative Issues site on the MACRAO pages o Member are reviewing the first draft of website and providing feedback to Rhonda. When the committee is ready, the draft link will be provided to the Executive Board for review. The website looks great and Rhonda s hard work on this is greatly appreciated. o o Establish AACRAO Legislative Committee connection o No update. Advocacy Day: tabled until next year: o No update.

13 13 o Michigan Guided Pathways Institute & Michigan Community College Association (MCCA) o No update. o o Annual Conference (Nov. 9 11, Traverse City) Members discussed the Annual Conference and are hoping for a strong representation of the committee at the conference. Discussed deadlines for presentation proposals to be submitted. Please continue to submit proposal topics to the MACRAO site. Current workshops submitted as of o Hot Topics o SAT for Admissions o SAT for Registrars o Presentation from MSFAA/NASFAA representative o Proposed Topic: TIP Other new business? Will have guest attendee at our June Meeting. Action Items Completed: Everything is in process at this time. Comments: Matt and I continue to be very pleased with the cohesiveness and collaboration of the committee. 14 14 COMMITTEE REPORT Committee Name: Professional Development Committee Chair: Stephanie Bremenour Co Chair: Tiffany Rohner Date of Last Meeting: Professional Development Workshop was Friday, May 15 th Date of Next Meeting: TBD. Early August to discuss Action Items in Progress/Pending: 2015 Outstanding Professional Team Service Award Nomination form has been sent to the membership. Deadline is Monday, August 3 rd. As soon as registration opens up for the annual conference we will send out the Annual Conference Travel Grant. Action Items Completed: Professional Development Workshop is complete! Comments: The Professional Development Committee held their annual Professional Development Workshop on Friday, May 15 th. We had 49 people register and attend the workshop. The theme of the workshop was Embracing the Unknown: Changes in Higher Education. Session topics included How Do You Manage Change, Changes in Technology, and Serving Our Students in a Changing Student Demographic. The overall evaluations were good and most people felt like the workshop was worth their time. Our current committee consists of 6 members and 4 members have terms that end in Action Items Completed: Close out completed for the Spring Drive In. We are finalizing the entertainment and order of our agenda, continuing to communicate with our guest speakers, and finalizing the method of our survey. Action Items Completed: Conference date, location, and theme along with the signed contract and approved budget. Menu selections and sessions have been confirmed. Comments: Our last meeting was very productive and we are all set with all conference sessions. We ve confirmed the flow of both days and have reached out to our guest speakers. Information was included in both the MACAC and MACRAO newsletters to spread the word to new professionals entering the admissions world.
