1 MARCUMS Board Minutes August 31, 1998 York College of PA The meeting was called to order at 10:30 AM by President Rice. Those in attendance were: Randy Rice, York College of PA; Jim Buratti, U. of MD College Park; Barbara Buchanan, Millersville Univ.; John Golding, No. Va. Comm. College Absent: Karen Kaczmarek, Duquesne University; Nancy Guthrie, Geneva College; Elaine Rafferty, Rider University. Minutes & Old Business: This being the first official meeting of the Interim Board, there were no minutes to approve or Old Business to discuss. New Business: Randy stated that there will be two registrations at the ACUMS Conference. One for ACUMS Members & one for MARCUMS Members. The Hotel registration mix up came about because the Holiday Inn Staff was informing members that the Hotel was booked for the conference. It was only booked for Friday night , not for the balance of the conference. Randy secured the Best Western Inn as an alternate Hotel, for attendees and stated both hotels will be available for the conference. Randy presented a sample of the proposed "MARCUMS" logo and color scheme, along with the conference ribbons, letterhead, envelopes and golf shirt. The motion was made and carried to accept the design and color scheme and all of the above. Jim Buratti will work on a brochure and the proposed by laws, e mail everyone for input, then forward a final copy to Barbara Buchanan for printing. A packet of MARCUMS information and proposals will be given to all attendees. We will mail the packet to all members and interested parties not attending the conference. We will solicit nominations for the 1999/2000 MARCUMS Executive Board Officers at the conference. Solicit a Host School for the first MARCUMS Conference in the Fall of It was proposed that we have a mail election of Officers an By law approval in the spring of The proposal was made that the Interim Board and the Newly Elected Executive Board meet in early summer and work together on the Fall Conference with the representative of the Host School. We will hold the installation of the Elected Officers at the Fall Conference. All of the above motions and proposals were approved. It was proposed that the Vice Presidents title be changed to president elect, to insure continually in the Executive Board. This proposal was tabled for a decision by the elected board. Randy stated that we need a host for the MARCUMS list Server.

2 It is tentatively scheduled to hold the next Interim Executive Board meeting after September 20th in a West Central PA location. There being no other actions or proposals at this time, the meeting was adjourned. Submitted By: John P. Golding, MARCUMS Interim Secretary

3 MARCUMS Board Minutes September 10, 1998 Comfort Inn, Breezewood, PA The meeting was called to order at 10:00 AM by President Rice. Those in attendance: Randy Rice, York College of PA; James Buratti, U. of MD College Park; Barbara Buchanan, Millersville University; Karen Kaczmarek, Duquesne University; Elaine Rafferty, Rider University; & John Golding, No. Va. Community College. Absent: Nancy Guthrie, Geneva College In order to expedite the meeting & work session, the Minutes & Treasurers reports were dispensed with. Old Business: MARCUMS List Server, Randy announced that York College of PA will host it. The board approved this action. The board worked on the proposed by laws and approved several minor changes in terminology to them. Election of officers: The board set up the following tentative schedule for the election of officers. At Conference & by mail: Solicit Nominations January 1999 Mail Ballots for Election & By law approval form to all paid members. Two Week period for the ballots to be returned to the Election Committee. February 1999 Announce the election results by mail. New Business: Establish a new standing committee: Professional Development. Approved. Ask Glenn Molzer, Carnegie Mellon University to Chair the committee. Send Representatives to the National and other regional College & University Mail Service Associations Conferences, with the conference fee waived. Approved. Approved the design of the "MARCUMS Certificate of Appreciation" for service rendered, by non members. Invited by Gregg J. Asciutto, Manager Addressing and Mailing Services, Penn State University, to consider co hosting a Mail Service Conference with UMMA in the Fall 1999, at Penn State University. Tabled for further discussion. The next Interim Executive Board meeting is scheduled for October 9, 1998, 10:00AM at the Comfort Inn, Breezewood, PA.

5 Minutes of MARCUMS E Board Meeting October 10, 1998 Comfort Inn, Breezewood, PA The Meeting was called to order by President Rice. Those in attendance: Randy Rice, York College of PA; James Buratti, U of MD College Park; Barbara Buchanan, Millersville University; Glen Molzer, Carnegie Mellon University; & John Golding, Northern Virginia Community College. Absent: Nancy Guthrie, Geneva College; Karen Kaczmarek, Duquesne University; & Elaine Rafferty, Rider University. In order to expedite the meeing & work session, the Minutes & Treasurer's report were dispensed with. Old Business: Randy Rice presented the final copy of the membership letter. Approved. Barbara Buchanan presented the final copies of the Membership Brochure and the final copy of the proposed By laws. Approved. Certificates of Appreciation, forward any requirements that you may have to Randy by Tuesday Approved purchase of frames for the certificates. Reviewed the agenda for the MARCUMS business meeting. Scheduled a working session for Sunday, , 8:00PM at the Holiday Inn to finalize the MARCUMS Business Meeting on Tuesday, Review the schedule of events for the four day ACUMS Conference. 12 vendors will be at the Vendors Showcase during the conference. Discussion was held on co hosting a Fall, 1999 Conference with UMMA, at Penn State. Then doing a Spring 2000 conference on our own.
