3 3 1. Accommodation at Wolfson College There are 410 units of accommodation at Wolfson for students, mainly for single occupation but some for couples, accommodating up to 430 in total. In addition there are five family flats. This Guide tells you more about this accommodation and enables you to make an informed choice if you are applying for accommodation in Prices When you rent a room at Wolfson College, the price includes the following: electricity, gas, water, computer network access, insurance, cleaning and consumables such as toilet paper. The insurance cover is explained in 1.4 and in Appendix D. The rent does not include bed linen (please see below). When comparing the room rents at Wolfson with private accommodation in Cambridge, please bear in mind what is included in the price: the cost of utilities such as gas and electricity is often extra and can be considerable. When looking at the prices at other Cambridge colleges, computer network access is often charged as an extra, and the free insurance cover is very valuable. Another thing to bear in mind is that Wolfson does not charge a Kitchen Fixed Charge or a Minimum Meals Charge, which many colleges do, so there are no hidden extras. As a student, you will not be liable to pay the local Cambridge City Council tax (although any nonstudent partners in College flats may be liable). There are six main prices. All prices are per week: Price 1: (83 units) Price 2: (49 units) Price 3: (250 units) Price 4: (8 units) Price 5: (7 units, for couples) Price 6: (12 units, for couples) Price 1 rooms are single study bedrooms with shared bathroom facilities (including small rooms in the houses). Price 2 rooms are small single study bedrooms with en-suite bathroom facilities (plus one room in Barton House). Price 3 rooms are standard single study bedrooms with en-suite bathroom facilities; or a standard shared set (two study bedrooms sharing bathroom facilities and a kitchen, this being the price per study bedroom); or standard single study bedrooms in the houses. Price 4 rooms are self-contained single studio flats; or large single study bedrooms in Barton House. Price 5 rooms are for couples, either double studio flats or large bedrooms in houses. Price 6 rooms are for couples, large self-contained double flats. There is also a flat in Plommer House, PH4, suitable for a couple, priced between Price 5 and Price 6 at 2 times Price 2. All rooms, whether ensuite or not, have their own wash-basin (with the exception of one room in Chadwick House and shared sets, which share a wash-basin). Some rooms are suitable for students with particular physical needs: please enquire.
4 4 Duvet, Pillows, Bed Linen The following information about bed linen applies to new residents starting the academic year. We will provide new bedding for you as detailed below. The bedding pack (there is a difference in the content of the pack, depending on the type of Licence you have chosen; please see below) will be placed in your bedroom ready for your arrival. If you are supplying your own bedding, and you do not therefore need the bedding pack to be supplied by the College, please tick the appropriate option on the booking form. Failure to do so will result in the bedding being supplied and charged for. The cost of the bedding pack will be charged to your College account. Period Licence If you have chosen a Period Licence you will be supplied with a bedding pack, which will consist of one single duvet, one single duvet cover, two pillows (allergy-free filling), two pillow cases, one single sheet (all new), at a cost of If you have chosen a room with a double bed, you will be supplied with one double duvet, one double duvet cover, four pillows (allergy-free filling), four pillow cases and one double sheet (all new), at a cost of Termly Licence If you have selected a Termly Licence you will be supplied with a bed linen pack, which will consist of one single duvet cover, two pillow cases, one single sheet (all new), at a cost of If you have booked a room with a double bed, you will be supplied with one double duvet cover, four pillow cases and one double sheet (all new), at a cost of During term time your room will be supplied with the actual duvet and pillows (allergy-free filling). 1.2 Couples and Families Couples where both partners are Wolfson students The options for couples where both partners are current Wolfson students are: Price 5 large rooms in Houses or double studio flats J21 or J22 Price 6 large double flats in S or T Flat PH4 in Plommer House These rooms are provided with double beds. Also, the shared sets can be taken by two Wolfson students to create a flat, as follows: Price 3 shared sets in R or S In such cases, the College can move the two single beds into one bedroom to create a double bed, leaving the other bedroom as a separate study. Couples where only one partner is a Wolfson student The only options for couples where only one partner is a current Wolfson student are: Price 5 large rooms in Houses or double studio flats J21 or J22 Price 6 large double flats in S or T Flat PH4 in Plommer House
5 5 Families There are five Family Flats which are suitable for a couple plus two children. Only one partner needs to be a current Wolfson student. The price in is per week (excluding cleaning). See section 6 of this Guide for further detail. Weekly cleaning by College Staff is offered at 8.15 per week, and is the default option. However, if you wish to take responsibility for your own cleaning, you can do so. 1.3 Termly licence versus period licence Undergraduate and Masters students can have either a termly licence or a period licence. PhD students (including MRes, CPGS, PhD Probationary) can only have a period licence. A termly licence is ideal for undergraduate (BA) courses and some Masters courses, and is just for the University term. This means the student must vacate their room at the end of term, as the room will be used by other guests out of term. A termly licence gives residence for Full Term only plus the preceding weekend and the Friday night at the end of term, as follows: Dates of Full Term : Dates for Termly licences: 4 October to 2 December 2016 (Michaelmas) Arrive 1 October and leave 3 December January to 17 March 2017 (Lent) Return 14 January and leave 18 March April to 16 June 2017 (Easter) Return 22 April and leave 17June 2017 Termly licences are not available in the five houses covered in section 2 of this Guide or in the flats in J, S and T, or in the Family Flats. Only period licences are available in these cases. Period licences are not available in V block, only termly licences. For new students a period licence runs for 12 months from 1 October, depending on your course. If you have a period licence, you can end your licence by giving one month s notice. If you have a termly licence, you are committed to paying for the entire term, and cannot give notice mid-term. Accommodation is available before 1 October for those students who have a pre-sessional/orientation course, if their academic course requires them to arrive earlier or if exceptional travel arrangements dictate an early arrival. For continuing students, period licences commence on 28 September. See Appendix B for examples of termly and period licences. 1.4 Insurance The College recognises that many students fail to take out adequate insurance for their personal possessions. The College has, therefore, taken out an insurance policy on behalf of, and for the benefit of, those Wolfson students who rent a room in College. Details of the current policy are given in Appendix D, although this is subject to change. You should look at this carefully, and decide if the level of insurance cover is suitable for your needs. You have the option to increase the level of cover on, for example, your laptop computer or bicycle.
6 6 1.5 Definitions First floor Please bear in mind that in the UK the ground floor of a building is known as the ground floor, and the next floor up is the first floor. So a two-storey building will have a ground floor and a first floor. No building in Wolfson has more than three storeys, i.e. ground floor, first floor and second floor. Bathroom A bathroom is a room with a bath or shower in it. There will not necessarily be a toilet in such a room. Ensuite An ensuite room is a bedroom which has its own toilet and shower. Studio Flat and Flat A studio flat has a bedroom, a kitchen and a bathroom. Double flats also have a separate study/living room. 1.6 Security Keys, Doors and Windows You will be issued with a key to your room. You should lock your door at all times even when nearby in a kitchen or bathroom. Cambridge is a city and opportunist thieves operate as in any city; and laptop computers and mobile devices are particularly susceptible to theft. Your key also locks your nearest communal kitchen (where applicable) and you are strongly encouraged to lock your kitchen after use, because unfortunately theft of food can take place in student communities. Your key also operates the lock on the ground-floor entrance to your accommodation building. It is very important that you do not prop the door open by doing so you would be compromising the security of the building as a whole. By keeping ground-floor entrances locked, you are greatly reducing the chances of theft, and you are also enhancing your own personal security. Rooms on ground floors are particularly vulnerable if windows are left open when the room is empty. Residents in ground floor rooms should always close their windows when leaving their rooms. Indeed, all residents are advised to close their windows when leaving their rooms in case of high winds. Termly Licences If you have a termly licence, you must remove all your possessions, including your bed linen, from your room and from your cupboard, fridge and freezer in your kitchen at the end of the term, because your room will be occupied by someone else during the vacation. Gates and CCTV CCTV cameras are used throughout the College site for your security, and CCTV footage is monitored regularly by the Porters, who have the overall responsibility for security in the College. The gates at the Selwyn Gardens entrance are locked at night and at weekends, and entry is by your University/College card.
7 7 1.7 Fire Safety With a large population living in close proximity on a small site, there is always a real risk of fire. All residents must play their part in minimising this risk. Here are some rules that you must adhere to: never leave cooking unattended in a kitchen do not use cooking equipment in your room do not leave heated hair devices (straighteners, curlers, tongs) unattended do not use unsafe or untested electrical equipment, and do not overload electrical sockets you must only use adapters that meet UK specification and are fused (see below left) do not store combustible materials, including piles of paper do not use naked flames (eg candles) do not smoke in any room, and do not disable, tamper with or cover up smoke or heat detectors do not leave items in corridors or stairways keep all fire doors closed at all times, especially kitchen doors (never wedge them open) do not tamper with fire safety equipment (extinguishers, fire blankets) report anything that looks unsafe or hazardous to the Porters The correct adapter is on sale at the Porters Lodge for 4.00 Do not disable, tamper with or cover up smoke or heat detectors 1.8 IT network access and Wi-Fi All accommodation is wired for high-speed internet access via the College s network. Wi-Fi is currently not available in most accommodation, although some rooms can pick up the Wi-Fi signals from nearby public rooms such as the Club Room and the Library. The Houses There are five former domestic houses in Wolfson which have been adapted for student accommodation: Williams House and Chadwick House on the Barton Road side; Barton House and Norton House on the Barton Close side; Plommer House on the Selwyn Gardens side Termly licences are not available in these houses only period licences. These houses are shown on this plan:
9 9 2.1 Williams House This house is named after the late Professor Sir David Williams, President of Wolfson College It has six bedrooms, two on the ground floor and four on the first floor, as follows: Ground floor Room WH1 Price 5 (double accommodation for a couple) Room WH2 Price 3 First floor Room WH3 Price 3 Room WH4 Price 1 Room WH5 Price 3 Room WH6 Price 1 (this room is particularly small) On the ground floor there is a kitchen and a shower room with toilet; and on the first floor there is a toilet and a bathroom. All rooms have their own wash-basin. 2.2 Chadwick House This house is named after the Reverend Professor Owen Chadwick, the Chair of the Trustees of University College, as Wolfson College was known from its foundation in 1965 until being re-named Wolfson College in It has six bedrooms, two on the ground floor and four on the first floor, as follows: Ground floor Room CH1 Price 5 (double accommodation for a couple) Room CH2 Price 3 First floor Room CH3 Price 3 Room CH4 Price 3 Room CH5 Price 3 Room CH6 Price 1 (this room has no wash-basin, and is particularly small) On the ground floor there is a kitchen, a toilet, and a bathroom with bath, shower and toilet; and on the first floor there is a toilet and a bathroom. All rooms have their own wash-basin, except CH6.
10 Barton House This house became available for student accommodation for the first time in It is named after the village of Barton, which lies to the west of the College and which gives its name to Barton Road and Barton Close, which act as the south and east boundaries of the College s site. It can be entered either from the College site or from Barton Close. It has six bedrooms, two on the ground floor and four on the first floor as follows: Ground floor Room BH1 Price 4 Room BH2 Price 3 First floor Room BH3 Price 4 Room BH4 Price 3 Room BH5 Price 2 Room BH6 Price 3 On the ground floor there is a kitchen, a dining room, a toilet and a shower room with toilet; and on the first floor there is a toilet, a bathroom with bath and shower, and a bathroom with bath and toilet. All rooms have their own wash-basin. On the first floor there is also a small room, which is for general use as a study. Students are not permitted to park cars in Barton Close. 2.4 Norton House This house is named after Frederick Norton, one of the first Fellows of the College. It can be entered either from the College site or from Barton Close. 11 Plommer House This house is named after Dr Hugh Plommer, a founding Fellow of the College. The ground floor is used for offices and meeting rooms. All rooms have their own wash-basin. PH4 is a flat for a couple, with a large bed-sitting room, a kitchen and a bathroom.
12 12 3. East Court & Toda House On the eastern side of the College there are two purpose-built accommodation blocks, as shown on this plan:
13 East Court (M, N, O, P staircases) This building, which was fully refurbished in 2015, is designed along the typical Cambridge model of staircases. Each letter is a separate staircase, which does not inter-connect with its neighbouring staircase. Each staircase in this building has two entrances, one into East Court and one into Lee Court. Half the rooms have a view of East Court and half have a view of Lee Court. M staircase There are 11 small ensuite rooms, as follows: Ground floor First floor M1 to M4 Price 2 M5 to M7 Price 2 Second floor M8 to M11 Price 2 Facing East Court: Rooms 1, 4, 5, 7, 8, 11 Facing Lee Court: Rooms 2, 3, 6, 9, 10 There is a kitchen on the first floor. Although all the rooms are ensuite, there is also a bathroom with toilet on the second floor. West Court There are accommodation blocks on three sides of West Court, as shown on this plan: 4.1 A block A&B block is a two-storey building at the front of the College, with A on the ground floor and B on the first floor. The B floor contains flats for use by Visiting Fellows, while the A floor contains student accommodation. This building was fully refurbished in There are 9 study bedrooms, A1 to A9, all Price 1. There is a kitchen, and three shower rooms with toilets.
16 C, D, E, F, G staircases This building is designed along the typical Cambridge model of staircases. Each letter is a separate staircase, which does not inter-connect with its neighbouring staircase. Each staircase in this building has two entrances, one facing West Court and one facing the Western Field. Half the rooms face West Court and half face the Western Field. Each staircase in this building has two entrances, one facing inwards (West Court / Western Field), one facing outwards to the back of the College; and therefore half the rooms face inwards and half outwards. 18 18 5. The Western Field Unlike the older blocks C to P, which follow the traditional Cambridge staircase model, the newer blocks R to V have horizontal corridors as well as vertical stairways, making it possible to walk between any two rooms in R, S, T or V without having to go outside.
19 R block The even-numbered rooms face inwards into the Western Field, and the odd-numbered rooms face outwards to the back of the College. There is a lift in R block. 20 T block Unlike S block and V block, which run north to south, T block runs east to west. The majority of the rooms either face north into the Western Field or face south towards the Chancellor s Centre and Fuchs House; while some rooms are at the back of the building towards the western boundary of the College. An impressive octagon divides the inner rooms from those towards the western boundary. Rooms T101, T201 and T301 and all the flats are at the back of the building. All other rooms are on the inner side of the building, where even-numbered rooms face north and odd-numbered rooms face south. Family Flats There are five family flats in the south-west corner of the College, as shown here: Each flat comprises a large bedroom and a small bedroom, a living/dining room, a study, a kitchen and a bathroom. In the small bedroom you can have either a single bed or two bunk beds. There is a laundry room with washing machine and dryer; and a garden with a children s swing. The College cleans the Family Flats weekly, at a charge of 8.15 per week. If, however, you choose to take on the responsibility of cleaning your flat yourself, appropriate cleaning equipment is provided. Flats 1 and 2 are on the ground floor, and flats 3 and 4 are on the first floor. Flat 5 is mainly on the first floor, with an entrance hall and study on the ground floor. The rent for a family flat in is per week (excluding cleaning at 8.15 per week). Termly licences are not available in the Family Flats only period licences.
22 22 7. The Rules Furniture & Furnishings You may not bring your own furniture or curtains into your room. Furniture and curtains provided by the College cannot be removed from your room. All rooms have curtains and are fully carpeted. Beds have mattresses and a mattress protector fitted. You may purchase a bedding pack (see Page 4) or bring your own bedding. There are self-service laundries with washing machines and tumble dryers. Crockery, cutlery, cooking utensils and towels are not provided by the College. Heating Central heating is provided in all College living areas from October (sometimes September) through to April (sometimes May). Please do not have the radiator on when your windows are open. Please turn your radiator down, or off, when you are away from your room. Electrical items There are sockets for electrical equipment such as radios, CD players etc., which should normally be used with headphones unless you intend to play them at a low volume. Certain models of small table top fridges and freezers are allowed, but other electrical appliances, such as electric fires, non-approved fridges, cookers, rice cookers, toasters, kettles, hobs and microwave ovens, etc., are not allowed for safety reasons and will be removed from your room by College Staff. The use of non-uk adapters is not permitted. The use of multiple sockets is only allowed for computers and computer-related items (such as a printer). All portable electrical appliances should have a current Portable Appliance Test (PAT) certificate which the student is required to provide. If you are in doubt about electrical loading, please check with the Clerk of Works first. To help Wolfson College s sustainability, please remember to switch off all lights, unplug all chargers, and switch off all appliances that are on stand-by mode. The College reserves the right to remove any electrical equipment or adapters from a resident s room if it is deemed to be unsafe. This is often necessary when a resident tries to use electrical equipment from outside the UK, which does not conform to UK safety standards, or which may have different safety standards that will not work with our electrical systems. For example, if electrical equipment is not correctly wired, fused or earthed they may not comply with our legal safety obligations, and may be dangerous because of the incompatibility of the electrical safeguards. If in doubt, please check with the Clerk of Works. Cleaning Your room will be cleaned once a week by a College cleaner (Monday to Friday). Residents are responsible for the tidiness of their own rooms, washing up their dishes, making their beds, and helping to keep any communal area, especially the kitchens, clean and tidy. Keys You will receive one room key on arrival. There is a charge for providing a duplicate key if the original is lost. Giving notice of vacating a room Residents with a period licence must give a minimum of one month s notice if they wish to vacate a room. Anyone with a period licence vacating a room without due notice (one month) will be charged. Residents with a termly licence are committed to paying for the entire term, and cannot give notice mid-term. Vacating a room When you vacate a room, you must clear it of all possessions and any rubbish. If you leave it in a state that requires Wolfson College staff to clear it, you will be charged an amount at the discretion of the Bursar.
23 23 Changing rooms Normally a change of room is not permitted. But if you have a special reason for wanting to move, you should speak to your Tutor. Damage Any damage to rooms will have to be paid for by the occupant(s). If damage to rooms or staircases is not traceable to individuals, costs may be charged equally among all residents on that staircase. Cooking Please note that cooking is only allowed in the designated kitchen for your room. Cooking in your room is not allowed. You should never leave cooking unattended. Please make sure to switch off cookers and kettles at the switch on the wall. Smoking Smoking is not permitted in any buildings at all in Wolfson College. Please refer to the Smoking Policy (Appendix C). Candles etc Please note that you are not permitted to use any lighted candles, joss sticks or other naked flames of any kind in the accommodation. Guests You are allowed occasional overnight guests. No guest can stay for more than three nights in any seven and you cannot have guests for more than ten nights in any month. For Fire Safety reasons, all overnight guests should be registered at the Porters Lodge. Bicycles You cannot keep a bicycle in your room. If you have a particularly valuable bicycle which you would like to store securely, please ask the Porters. Fire alarms and fire drills You must always respond to a fire alarm, by leaving the building and reporting to your designated fire assembly point, the location of which will be set out on the back of the door into your room. There will be at least one fire drill in the course of the year, which is a legal requirement. Tampering with Fire Safety equipment (such as extinguishers), fire detection equipment (such as plastic covers over smoke/heat detector heads) contravenes the Fire Safety regulations. If you tamper with any of this equipment the College may cancel your licence agreement and you will be removed from College accommodation. 8. Green and Sustainable Issues In past years Wolfson College has been making great strides in becoming a more Green and sustainable college. We rank high in the official Cambridge University Environmental Consulting Society (CUECS) Green League Table and have become a visible presence in the sustainability debate, both at College and University level. Each accommodation building has a Green Rep, who also acts as Fire and Safety Rep, who will help you find out more about our excellent recycling programme and sustainable ethos. 24 24 Recycling in your room To help you recycle items from your room, a green bag-for-life is in every room/flat in College. You can use it to carry your recycling to the kitchen or it can be collected from your room once a week by the cleaner. Please note that these bags should never leave your accommodation building, or be used for any other purpose. The bags remain the property of Wolfson College. 9. Accreditation Network UK Under the terms of the Housing Act 2004, Wolfson College is required to be licensed either with an approved Code of Standards (typically UUK or ANUK/Unipol) or with the local authority. Wolfson is licensed with ANUK (Accreditation Network UK). ANUK has overall responsibility for administering the Code of Practice. This includes: maintaining a list of all institutions signed up to the Code, and all buildings within those institutions covered by the Code; liaising with other bodies over areas where the Code is only applicable in parts; and periodically reviewing the Code. This review will be undertaken by a standing committee representing relevant stakeholder groups, including University management, students and specialist professions (e.g. facilities managers, maintenance etc). In this task, they will take note of significant complaints made by students concerning non-observance, other breaches noted by internal or external audits, and reports from bodies such as the Office of the Independent Adjudicator. If necessary, the committee may undertake further investigation, and then issue remedial proposals. In extreme cases, the committee may decide that a higher educational institution is no longer compliant with the Code, at which stage responsibility may pass to an alternate body, such as the Local Authority, to impose changes. In registering with the ANUK Code of Practice, the College undertakes that: all the accommodation registered with ANUK meets the standards and accords with the procedures set out in the Code; an appropriate complaints procedure is in place, integrated into normal College practices with a procedure for reporting back to ANUK on any significant complaints relating to the Code; auditors will consider the College s management of its student accommodation in relation to the Code, advising HEFCE and ANUK as appropriate. 32 32 Appendix C: Smoking Policy SMOKING POLICY Introduction Wolfson College aims to provide an environment which is safe, which minimises any risks to health and which makes adequate arrangements for the welfare of our employees, residents, students and visitors whilst they are at Wolfson College. Those who smoke endanger not only themselves but also others who do not smoke, through passive smoking. Passive smoking - breathing in other people's tobacco smoke - has been shown to cause lung cancer and heart disease in nonsmokers, as well as many other illnesses and minor conditions. Inhaling other people's tobacco smoke is both a health hazard and a welfare issue. In addition, smoking can constitute a fire risk. Wolfson College has adopted the following policy concerning smoking within the College and its grounds. This policy sets out how we intend to manage smoking within our environment. Scope of this policy This policy applies to all employees, residents, Fellows, students and visitors regardless of seniority, and whether or not their environment is shared with others. Aims of this policy This policy seeks to guarantee to non-smokers the right to air that is free of tobacco smoke, while also taking account of the needs of those who do smoke. Legal background The following pieces of legislation apply to this policy: - The Health Act 2006 and the Smoke-free (Premises and Enforcement) Regulations The Prohibition of Smoking in Certain Premises (Scotland) Regulations The Smoke Free Premises etc. (Wales) Regulations In addition, employers have a common law duty to provide a safe place and system of work under the Health and Safety at Work etc. Act 1974 (HASAWA). Definitions Section 1 of the Health Act 2006 defines smoking as smoking tobacco or anything which contains tobacco, or smoking any other substance and states that smoking includes being in possession of lit tobacco or of anything lit which contains tobacco, or being in possession of any other lit substance in a form in which it could be smoked. Enclosed means premises that have a ceiling or roof, and (excluding doors, windows and passageways) are wholly enclosed whether permanently or temporarily. Tents and marquees are therefore included. Areas where smoking is prohibited Smoking is prohibited in any enclosed area on our premises. This includes the Porters Lodge and entrances, corridors, stairs and lifts, meeting rooms, rest rooms and toilets, as well as outside areas that are not designated as smoking areas.
33 33 Areas where smoking is allowed Designated external smoking areas are provided as follows: 1) The smoking shelter at the back of R/S blocks 2) The graveled area at the rear of Fuchs House (where the benches are located, not against the wall of the house) 3) The graveled area by the railings between Front Court and the Sundial Garden, to the right of the Jack King Building (this smoking area is not to be used by employees and workers) In many organisations and businesses, those who smoke do so just outside the entrances and exits to the premises. We believe that this does not present a professional image. Employees and workers are therefore not permitted to smoke in the following areas: in front of the main entrance, around the back gate on Selwyn Gardens or at the designated smoking area located on the graveled area by the railings between Front Court and the Sundial Garden, to the right of the Jack King Building. Those who need to smoke may do so within the designated areas. Employees are only permitted to smoke during any recognised rest period or lunch break. Employees who smoke will not be allowed longer or more frequent breaks than their non-smoking colleagues and use of the smoking areas is not to interfere with normal job performance. Smoking areas will be kept clean and those using these areas are expected to keep them tidy and to dispose of any rubbish appropriately. Receptacles are provided for the disposal of cigarette ends and other waste smoking materials. There are two litter/ash bins located at the entrances to College on the main driveway and just inside Selwyn Gardens gate and one located between the rear of the Gym and W Block. These bins are for smokers to stub out their cigarettes on their way into College. The locations of these particular bins are not to be considered as designated smoking areas. There are litter/ash bins located at the three Areas where smoking is allowed, as detailed above. Cigarettes, cigars and pipes must be extinguished using the receptacles provided and smokers should ensure that there is no risk of fire. These areas will be monitored to ensure an acceptable standard of cleanliness and adherence to safety. Visitors, contractors and temporary staff Visitors, customers, suppliers, contractors and temporary staff are expected to comply with this policy. Employees and Students meeting visitors from outside the College, or responsible for temporary staff or contractors, are required politely to explain our policy and to ensure such people comply with it. Assistance to those who smoke We recognise that passive smoking adversely affects the health of everyone. Whilst smoking is a personal choice we are concerned where people smoke and the effect that smoking in these locations has on non-smokers. However, it is recognised that this policy will impact on smokers' lives and that some smokers may wish to reduce or give up smoking, but may have difficulty in doing so. Some details of where to obtain advice and guidance on giving up smoking are listed below: Quit line: NHS smoking helpline: and from their website: Electronic cigarettes Electronic cigarettes ( e-cigarettes ) are battery-powered products that use heat to release a visible vapour that contains liquid nicotine that is inhaled by the user. They are designed to replicate smoking behaviour without the use of tobacco, and some look very similar to conventional cigarettes. However, the use of these would not be classed as smoking according to the legal definition of this. Whilst e-cigarettes may help some smokers to give up, guidance from the British Medical Association states that there is a lack of evidence about the health risks that they pose to the individual using them and those in close proximity. Additionally, we are concerned that electronic cigarettes may create the impression that smoking is accepted within the
34 34 workplace, and we also have concerns that it is difficult to differentiate visually between e-cigarettes and normal cigarettes at a distance. The use of electronic cigarettes is also banned within our premises. To allow those who choose to use e-cigarettes in an area free from those smoking regular cigarettes, we have designated an area adjacent to the Lee Hall as a vaping area. This vaping area is not to be used by those smoking regular cigarettes. Enforcement of this policy Smoking in an area other than those designated as a smoking area will be regarded as general misconduct and will be dealt with in accordance with the College s disciplinary procedures. Implementation, monitoring and review of this policy The Health & Safety Committee has overall responsibility for implementing and monitoring this policy, which will be reviewed on a regular basis following its implementation (at least annually) and additionally whenever there are relevant changes in legislation or to our working practices. Employees will be consulted about any proposed changes via the Staff Communication & Consultation Committee, and adequate notice given of these. April 2015

To cover the cost of replacing your contents and to avoid losing your deposit or having to pay for damage to college contents. In the event of an insured incident, the policy includes, as standard, 5,000 accidental damage to landlords contents, xtures and ttings. 2. What cover do I have? Your college has chosen to provide you with this basic cover as part of your accommodation charge. You can top this up but such top up cover will be in addition to the automatic cover provided by the college and you would pay the extra premium for the top up to NW Brown directly. 3. When does the cover operate? The cover provided by the college will only operate whilst you are resident in accommodation provided by the college. The cover is based on the main college residence you specify. If you move address the cover will cease unless you advise us. 4. What is meant by high risk items and valuables limit of 1,000? All items of this type are insured to a maximum value of 1,000 unless you have told us about them and they appear on your schedule. High risk items and valuables are any of the following - television, radio, recording and audio equipment, jewellery, gold, silver and articles of precious metal, personal computers, clocks, watches, cameras, furs, pictures, works of art and curios, stamps, coins and other collections. 37 5. What is meant by Personal Possessions? These are items that are kept on or about the person and taken outside the college room, e.g. items such as valuables, personal effects and clothing. They have a 1,000 single article limit unless speci ed on your schedule. 6. What is Accidental Damage and why do I need it? The policy includes Accidental Damage to college/landlord's contents, xtures and ttings automatically but not accidental damage to your own contents. Accidental Damage would be an incident such as dropping, spilling or knocking something over. You can add cover for your own contents by visiting the website link below. 7. What do I do if I need to claim? If the claim relates to your own contents you can use this link and complete a claim form. 42 2 General Conditions 1. Policy Voidable This policy shall be voidable in the event of misrepresentation misdescription or non-disclosure in any material particular 2. Observance of Terms It is a requirement of this Policy that liability of the Company is conditional upon observance of the terms of this Policy relating to anything to be done or complied with by the Policyholder. This shall include any requirements described in this Policy or any clause attaching to and forming part of this Policy as condition precedents to any liability of the company. 3. Reasonable Precautions The Policyholder at his own expense shall (A) take all reasonable precautions to prevent or diminish loss destruction or damage or any occurrence or cease any activity which may give rise to liability under this Policy. (B) as soon as reasonably practical after discovery cause any defect or danger to be made good or remedied and in the meantime shall cause such reasonable additional precautions to be taken as the circumstances may require 4. Alterations This Policy shall be avoided if (A) the business be wound up or carried on by a liquidator or receiver or permanently discontinued or (B) the Policyholder s interest cease otherwise than by death or (C) any alteration be made either in the Business or in any other circumstances whereby the risk is increased at any time after the commencement of this insurance unless its continuance be admitted by memorandum signed by or on behalf of the Company 5. Cancellation This Policy may be cancelled (A) by the Company giving 30 days notice in writing to the Policyholder at his last known address Thereupon the Policyholder shall become entitled to a proportionate return of premium (B) by the Policyholder giving 30 days notice in writing to the Company at the address shown in the Schedule The Policyholder shall be entitled only to a return premium in accordance with the Company s usual short period scale The Policyholder shall not be entitled to any return premium if a claim has been made in the then current Period of Insurance
43 3 6. Non Payment Consumer Credit Termination Clause The Company reserve the right to terminate the Policy in the event that there is a default in instalment payments due under any linked loan agreement 7. The Company s Liability For all purposes including but not limited to the application of the Sums Insured or Limits of Indemnity and consideration of when and how the Policy will respond all parties included in the definition of the Policyholder in the Schedule shall constitute one Policyholder or one party or legal entity so that there will be only two parties to the contract of insurance between the Policyholder and the Company 8. Law Applicable Under the laws of the United Kingdom (England, Scotland, Wales and Northern Ireland) both parties may choose the law which applies to this contract, to the extent permitted by those laws Unless the parties agree otherwise in writing the Insurer has agreed with the Policyholder that the law which applies to this contract is the law which applies to the part of the United Kingdom in which the Policyholder is based or if the Policyholder is based in the Channel Islands or the Isle of Man the law of whichever of those two places in which the Policyholder is based The parties have agreed that any legal proceedings between them in connection with this contract will only take place in the courts of the part of the United Kingdom in which the Policyholder is based or if the Policyholder is based in either the Channel Islands or the Isle of man the courts of whichever of those two places in which the Policyholder is based 9. Financial or Trade Sanctions The Company shall not provide coverage or be liable to provide any indemnity or payment or other benefit under this Policy if and to the extent that doing so would breach any prohibition or restriction imposed by law or regulation If any such prohibition or restriction takes effect during the Policy period the Policyholder or the Company may cancel that part of this Policy which is prohibited or restricted with immediate effect by giving written notice to the other at their last known address If the whole or any part of the Policy is cancelled the Company shall return a proportionate amount of the premium for the unexpired period subject to minimum premium requirements and provided no claims have been paid or are outstanding.
44 4 Claims Conditions 1. Fraud If the claim be in any respect fraudulent or if any fraudulent means or devices be used by the Policyholder or anyone acting on his behalf to obtain any benefit under this Policy or if any loss destruction or damage be occasioned by the wilful act or with the connivance of the Policyholder all benefit under this Policy shall be forfeited 2. Action by the Policyholder On the discovery of any circumstance or event which may give rise to a claim under this Policy the Policyholder shall (A) notify the Company in writing as soon as reasonably practical (B) give immediate notice to the Police Authority in respect of loss destruction or damage (other than by fire or explosion) caused by malicious persons or thieves if insured by this Policy (C) carry out and permit to be taken any action which may be reasonably practicable to prevent further loss destruction or damage and to minimise or check any interruption of or interference with the Business or to avoid or diminish loss (D) as soon as reasonably possible after discovery cause any defect or danger to be made good or remedied and in the meantime shall cause such additional precautions to be taken as the circumstances may require (E) within 30 days (7 days in the case of loss destruction or damage caused by riot civil commotion strikers locked-out workers persons taking part in labour disturbances or malicious persons if insured by this Policy) after the circumstances or event or of the expiry of the Indemnity period or such further time as the Company may allow at his own expense deliver to the Company (1) full information in writing of the claim (2) details of any other insurance relating to the claim (3) all such business books documents proofs information explanation and other evidence as may be reasonably required all of which information and details may be produced by the Policyholder s professional accountants or auditors who are regularly acting as such their report being prima facie evidence of such information and details (4) if demanded a statutory declaration of the truth of the claim and of any matter connected with it If the terms and conditions have not been complied with (1) no claim under this Policy shall be payable (2) any payment on the account of the claim already made shall be repaid to the Company immediately
45 5 3. Rights of The Company (A) On the happening of any loss destruction or damage in respect of which a claim is made or may be made under this Policy the Company and any person authorised by them may (1) enter take or keep possession of the Premises where such loss destruction or damage has occurred (2) take possession of or require to be delivered to them the property insured (3) deal with such property for all reasonable purposes and in any reasonable manner without thereby incurring liability or diminishing any of the Company s rights under this Policy (B) No property may be abandoned to the Company whether taken possession of by the Company or not 4. Rights of Recovery The Policyholder shall at the Company s request and expense do and concur in doing and permit to be done all such acts and things as may be necessary or reasonably required by the Company for the purpose of enforcing any rights and remedies or of obtaining relief or indemnity from other parties to which the Company shall be or would become entitled or subrogated upon the Company paying for or making good any loss under this Policy whether such acts and things shall be or become necessary or required before or after the Company indemnifies the Policyholder. The Company shall not enforce any rights against any company being parent of or subsidiary to the Policyholder or any company which is a subsidiary of a parent company of which the Policyholder are themselves a subsidiary in each case within the meaning of Sections 736 and 744 of the Companies Act 1985 or Articles 2 and 4 of the Companies (Northern Ireland) Order Contribution If at the time of any claim there is any other insurance covering the Policyholder s interest in the property lost, destroyed or damaged the Company s liability under this Policy shall be limited to its rateable proportion of such claim. If any such other insurance is subject to any condition of average this Policy if not already subject to any condition of average shall be subject to average in like manner If any other insurance effected by or on behalf of the Policyholder is expressed to cover any of the property hereby insured but is subject to any provision whereby it is excluded from ranking concurrently with this Policy either in whole or in part or from contributing rateably to the loss destruction or damage the Company s liability hereunder shall be limited to such proportion of the loss destruction or damage as the sum hereby insured bears to the value of the property
46 6 6. Arbitration If any difference shall arise as to the amount to be paid under this Policy (liability being otherwise admitted) such difference shall be referred to an arbitrator to be appointed by the parties in accordance with the statutory provisions in that behalf for the time being in force Where any difference is by this condition to be referred to arbitration the making of an award shall be a requirement to any right of action against the Company
47 7 College Students Possessions Insurance If any of the property insured described in the Schedule suffers Damage at the Premises by any of the Covers insured the Company will in accordance with the provisions of the insurance pay to the Student of the College the amount of loss or at its option reinstate or replace such property Provided that the Company s liability in any one Period of Insurance shall not exceed in the whole the total sum insured or in respect of any item its sum insured or any other stated limit of liability For the purpose of this Insurance Damage shall mean loss destruction or damage Cover A and G: Insurance of the Contents Definitions Contents shall mean - household goods and personal effects which belong to or are the responsibility of the student - deeds and documents up to 1,000 - visitors personal effects up to 250 but excluding (A) motor vehicles (other than gardening machinery and pedestrian controlled vehicles) (B) caravans trailers aircraft hovercraft or boats or parts or accessories for any of them (C) swimming pool covers (D) pets and livestock (E) securities of any kind (F) property more specifically insured High Risk Items shall mean Television radio recording and audio equipment jewellery gold silver and articles of precious metal personal computers clocks watches cameras furs pictures works of art and curios stamp coin and other collections Covers The following are the Covers insured except as otherwise stated in the Schedule 1 Fire lightning explosion earthquake 2 Storm or flood 3 a) Water escaping from fixed water or heating installations washing machines or dishwashers b) Oil escaping from a fixed heating installation 4 Riot civil commotion strikes or labour disturbances excluding 1) loss or Damage occurring in Northern Ireland 5 Malicious persons or vandals excluding 1) loss or Damage occurring in Northern Ireland 2) loss or Damage caused by any student of the college 6 Theft or attempted theft excluding Damage 1) by deception unless only entry is gained by deception
48 8 2) caused by any student of the college 3) where there is no forcible and violent entry or exit except where occupant is inside 7 Subsidence or ground heave excluding Damage 1) resulting from movement of solid floor slabs unless the foundations beneath the external walls are damaged by the same cause and at the same time 2) resulting from coastal or river erosion 3) resulting from demolition of or structural alteration or structural repair to the premises 4) resulting from faulty workmanship or the use of defective materials 8 Falling television or radio aerials aerial fittings or masts 9 Falling trees or branches 10 Collision involving aircraft or aerial devices or anything dropped from them vehicles or animals excluding Damage 1) caused by domestic pets 11 Accidental breakage of mirrors plate glass tops to furniture and fixed glass in furniture 12 Accidental damage to televisions audio video and computer equipment excluding Damage 1) by wear and tear, depreciation, gradually operating cause, process of cleaning, repair or restoration, mechanical or electrical breakdown 2) to items damaged outside the Premises 13 Accidental damage caused by any student of the college to the landlords contents fixtures and fittings greenhouses and sheds part of the structure decorations that are the responsibility of any student of the college under a tenancy agreement Maximum limit of indemnity 5,000 Student of the College s Contribution As shown in the Schedule Claims Settlement Accidental Damage Cover We will pay the cost of replacement as new, except for i. household linen and clothing where a deduction for wear and tear will be made ii. items that can be economically repaired (including household linen and clothing) where the cost of repair will be paid iii. deeds and documents where we will pay only the value of the deed or document as stationery and for any expenses incurred in obtaining a copy of or re-writing the deed or document and re-stamping If at the time of any loss or damage the sum insured on Contents is less than the cost of replacing all the Contents as new (less an allowance for wear and tear on items of household linen and clothing) we will pay the cost of replacement as new less a deduction for wear and tear) We will not pay for the cost of replacing or repairing any undamaged part of the contents which forms part of a suite or part of a common design or function when the damage is restricted to a clearly definable area or to a specific part The maximum amount payable in respect of any one claim is the Sum Insured (less any student of the colleges Contribution) subject to any limit stated in the Schedule By household linen we mean towels bed and table linen
49 9 Covers B and C: Insurance of Personal Possessions Definition Personal Possessions shall mean valuables personal effects and clothing belonging to any student of the college and for which the student is legally responsible in or away from the premises Cover Loss or Damage within the British Isles and while temporarily elsewhere in the custody or control of any student of the college provided that the period for which the student is outside the British Isles does not exceed 60 days in any Period of Insurance Exclusions i. Motor vehicles pedal cycles caravans trailers aircraft hovercraft or boats or parts or accessories on or in any of them ii. Pets and livestock iii. Securities documents of any kind money or credit cards iv. Unless specified in the Schedule china glass earthenware and other items of a brittle nature household goods domestic appliances contact lenses camping equipment or documents of any kind v. Damage to external television satellite receiving equipment vi. Property more specifically insured vii. Items stolen from a vehicle unless in a locked glove or luggage compartment and concealed from sight ix. Loss by deception unless only entry to the premises is gained by deception x. Loss or Damage caused by wear and tear depreciation insects vermin atmospheric or climatic conditions gradually operating cause process or cleaning dyeing repair alteration restoration mechanical or electrical breakdown delay confiscation or detention by order of the Government or Public or Police Authority xi. Loss or damage by riot or civil commotion outside England Scotland Wales the Isle of Man of the Channel Islands Student of the College s Contribution As shown in the Schedule Claims Settlement We will pay the cost of replacement as new except for i. clothing where a deduction for wear and tear will be made ii. items that can be economically repaired (including clothing) where the cost of repair will be made The maximum amount payable in respect of any one claim is the Sum Insured (subject to any Limits) stated in the Schedule
50 10 Cover D: Food in your Freezer Definition Food in your freezer means food in your home contained in a domestic deep freezer cabinet which is not more than 15 years old Cover Loss or Damage caused by a rise or fall in temperature Exclusions i. Loss or Damage resulting from the deliberate act of any power supply authority or the withholding or restricting of power by such an authority ii. Loss or Damage caused by riot or civil commotion in Northern Ireland Student of the College s Contribution As shown in the Schedule Claims Settlement We will pay the cost of replacement and if incurred the reasonable cost of hiring temporary alternative freezer space The maximum amount payable in respect of any one claim is the Sum Insured stated in the Schedule
51 11 Cover E : Personal Money and Credit Cards Definitions Personal Money shall mean money belonging to the any student of the college kept and used solely for private social and domestic purposes Credit Cards shall mean Any credit cheque bankers or cash card issued in the British Isles to any student of the college Cover Personal Money Loss or Damage within the British Isles and while temporarily elsewhere in the custody or control of any student of the college provided that the period for which the student is outside the British Isles does not exceed 60 days in any Period of Insurance Credit cards Financial loss resulting from any credit card being stolen or accidentally lost and subsequently used by someone other than any student of the college Exclusions i. Loss due to confiscation to depreciation in value or to errors or omissions in receipts payments or accountancy ii. Loss due to riot and civil commotion outside England Scotland Wales the Isle of Man or the Channel Islands Student of the College s Contribution As shown in the Schedule Claims Settlement Personal Money : We will pay the amount of money lost. The maximum amount payable in respect of any one claim is the Sum Insured stated in the Schedule Credit cards: We will pay the amount for which any student of the college is responsible provided that the student has complied with all the terms and conditions under which the card is issued. The maximum amount payable in respect of any one claim is the Sum Insured stated in the Schedule
52 12 Cover F: Pedal Cycles Definition Pedal cycles shall mean any pedal cycles including accessories belonging to any student of the college. Value of accessories will be included within the value of cycle on the schedule Cover Loss or Damage within the British Isles and while temporarily elsewhere in the custody or control of any student of the college provided that the period for which the student is outside the British Isles does not exceed 60 days in any Period of Insurance Exclusions i. Motor assisted pedal cycles ii. Theft unless by violent and forcible entry or exit to a building or if securely locked to an immovable object iii. Accessories unless stolen with the pedal cycle iv. Loss or Damage while being used for racing v. Loss or Damage caused by wear and tear depreciation atmospheric or climatic conditions gradually operating cause repair or mechanical or electrical breakdown vi. Loss or Damage caused by riot caused by riot or civil commotion outside England Scotland Wales the Isle of Man or the Channel Islands Student of the College s Contribution As shown in the Schedule Claims Settlement We will pay the cost of replacement as new except for pedal cycles that can be economically repaired where the cost of repair will be paid The maximum amount payable in respect of any one claim is the Sum Insured stated in the Schedule
53 13 Exclusions which apply to whole of College Student Possessions Insurance This insurance does not cover 1 Radioactive Contamination Any expense consequential loss legal liability or any loss or damage to property directly or indirectly caused by or contributed to by a) ionising radiations or contamination by radioactivity from any nuclear fuel or from any nuclear waste from the combustion of nuclear fuel b) the radioactive toxic explosive or other hazardous properties of any explosive nuclear asembley or nuclear component thereof 2 War Risks Any consequence of war invasion act of foreign enemy hostilities (whether war be declared or not) civil was rebellion revolution insurrection or military or unsurped power 3 Sonic Bangs Loss of damage by pressure waves caused by aircraft or other aerial devices travelling at sonic or supersonic speeds 4 Terrorism This insurance does not cover Damage or loss resulting from Damage occasioned by or happening through or in consequence directly or indirectly of a) Terrorism regardless of any other cause or event contributing concurrently or in any other sequence to the loss and b) in Northern Ireland civil commotion This policy also excludes Damage or loss resulting from Damage directly or indirectly caused by resulting from or in connection with any action aimed at controlling preventing suppressing or in any way relating to an act of Terrorism Terrorism means acts of persons acting on behalf of or in connection with any organisation which carries out activities directed towards the overthrowing or influencing by force or violence of Her Majesty s government in the United Kingdom or any other government de jure or de facto In any action suit or other proceedings where the Company alleges that by reason of this exclusion any Damage or loss resulting from Damage is not covered by this Policy the burden of providing that such Damage or loss is covered shall be upon any student of the college
54 14 Liability Insurance The Student of the College is indemnified against liability at law for damages and/or claimant s costs in respect of accidental bodily injury (including death disease or illness) or accidental damage to material property occurring during any Period of Insurance incurred a) solely as occupier (not as owner) of the Premises and its land b) solely in a personal capacity (not as occupier or owner of any buildings or land) c) as an employer to an employee The Limit of Indemnity for all damages and claimant s costs resulting from one original cause is a) 10,000,000 in respect of accidental bodily injury to employees under a contract of service to any student of the college and arising out of and in the course of such employment b) 5,000,000 in respect of accidental damage to material property or other accidental bodily injury The Company will also pay defence costs and expenses incurred with the Company s written consent The Total amount payable for any one cause in respect of a) above shall not exceed 10,000,000 inclusive of all defence costs and expenses incurred with the Company s written consent b) above shall not exceed 5,000,000 inclusive of all defence costs and expenses incurred with the Company s written consent Exclusions applicable to Liability Insurance The Indemnity will not apply to 1 Damage to property belonging to or held in trust by or in the custody or control of any student of the college 2 Injury or damage arising out of the employment profession or business of any student of the college 3 Injury (except to an employee) or damage arising out of ownership possession or use by or on behalf of any student of the college of mechanically propelled vehicles (except gardening machinery and pedestrian controlled vehicles) lifts caravans aircraft hovercraft or boats (other than hand propelled boats) 4 Liability assumed by agreement unless the liability would have existed without the agreement 5 Liability resulting directly or indirectly from the transmission of any communicable disease by any student of the college 6 Injury to any employee for which any student of the college is required to arrange motor insurance or security in accordance with any road traffic legislation within European Community
