1 WEB TIME ENTRY BANNER [WEB TIME ENTRY ELECTRONIC TIMESHEET SUBMISSION] [Step by Step instructions for submitting timesheets electronically through APSU Self Service.] 1
2 1. Log into APSU One Stop Website or Employee Self Service Self Service Login. 2
3 2. From the list of options, choose Employee. 3
4 3. From the next list, choose Timesheet. 4
5 4. On this screen you ll see a drop down list of all available timesheets and their status. The status is where the timesheet is in the payroll process. (Completed = processed for payment, Pending = awaiting approval, Approved = awaiting the payroll process to pull the time, Not started = no hours entered yet). NOTE: You can start entering time as soon as a timesheet comes available, however, there is a cut off time that will freeze your timesheet and not allow any additional changes, which will 11:59 P.M on Monday night following the last day of the pay period. By this time you must submit it for approval in order to receive your paycheck with this cycle.) Click on the Time Sheet button at the bottom to access the timesheet and start entering your hours. 5

This screen shows your timesheet, the top line is your hours (units) for the current pay period, you will need to click on the Enter Units link under each day you worked in order to enter your time for that day. The second line is for prior period adjustments ONLY, if you were missing some hours or were not paid at all on a prior payroll and should have been. Those hours should be entered on the second line. Please refer to the instructions on the HR website for entering these adjustments. If they are not entered correctly they will not be paid. 6
7 6. Enter the hours worked in the Units box. (Shortcut tip: If you worked the same number of hours each day, by using the Copy button (after you have entered your hours for the first day) you can copy them to the remaining days you worked in the period.) 7
8 7. Copy feature continued... check the boxes below that apply to your work schedule (see notes on screenshot). Once you have checked all of the appropriate boxes, click on the Time Sheet button. Only use these boxes for hours worked on Saturday and/or Sunday. Check this box only if you worked Mon Fri the same number of hours every day on both weeks. Otherwise, just check the boxes below for the days you did work. 8
9 8. Review your timesheet carefully, click on the Preview button, and check each day you worked and the hours. If you are sure that the hours are correct click on Submit for Approval. However, if you find that you timesheet is not correct you can click into the days that are incorrect and change them. Note: Be very careful with the Restart button it will erase your entire timesheet, and cause unforeseen problems if other changes have been initiated in Banner related to your job information. 9
10 9. Once you submit your timesheet for approval, you will be redirected to this Certification page. By entering your PIN number you are electronically signing your timesheet certifying that the time you are submitting for payment is a true and accurate representation of the hours you worked. It is just as legally binding as your written signature. (Reminder: Your pin number should never be given to anyone, it is your number. No one at APSU should ask you for your pin number, and should you ever need your pin number reset, you should always sign into your account and change your pin number immediately afterwards for protection of your information.) 10
11 10. After you enter Pin number and submit your time sheet for approval. You will be taken to the status screen below. You should always be sure that you receive this confirmation that your time sheet was submitted successfully. 11
12 11. You can also check the status of the approval at any time by logging back into Self Service, choosing Employee, then Timesheet, and choosing the pay period you wish to see from the drop down list of available timesheets. 12
13 12. The Approver also has the option of adding comments to your timesheet. To view them, just select the timesheet from the drop down list and click the Time Sheet button to open it. There is a Comment button at the bottom of the screen. Click this to access any comments that might have been added. 13
