2 Your STREAM trial enables you to experience the features of STREAM so that you can see how easy it is to manage your orders, vehicles and deliveries efficiently. This trial tutorial will take around minutes to work through. You can stop at any time and come back and pick it up later. The trial will put you in the role of an office furniture and supplies company who needs to plan and fulfill a set of orders in Wales. Your trial comes complete with the following already set up: - 25 orders 1 driver 1 vehicle 1 delivery run During your trial you will be shown how to: - Find specific orders Plan an optimised delivery route Add additional drop-offs using the map customers to confirm delivery slots See all information held on a specific order in one place. Plus, you will also see how your partners and retailers can use STREAM's collaborative portal to view their own customers orders. Please complete the actions in the purple call outs Blue call outs provide further information on a particular function or feature Before you start - - You will need to ensure that popups are enabled for demo.go2stream.net in your web browser. Please follow the instructions for your particular browser by clicking the link below: Firefox Chrome Explorer When it comes to the section on route planning, we recommend that you use two screens, but this is not essential. You will need to download the mobile app for drivers from the Google Play store. You might be asked to install Adobe Air when installing the app. 2

3 Logging into STREAM The log in page for your STREAM trial is available at Login using the details provided in the you received shortly after signing up for the trial. After logging in to STREAM you will be able to see a list of the 25 orders for our furniture and supplies company. Open the search box by clicking once anywhere on the search bar Understanding the order search options You can search for specific orders using any of the parameters Run any of the useful reports by selecting one from the drop down You can search using part of a customer name, order or postcode You can active a search by clicking here or pressing 'enter' 3

4 Loading your vehicle and planning your delivery route The menu can be accessed from the upper left of STREAM at any time. This enables you to move between the different functions in STREAM. Let's start by loading orders into your vehicle. Click on 'Load Planning' in the main menu Load Planning in STREAM is used to create and manage all your delivery runs. The trial comes with one run already set up which we will use for this tutorial. In this section we will load the run with some of the orders that are available for planning in Wales. You can active a search by clicking here or pressing 'enter' 4

5 Once the run has been selected, the details of the run will appear in 'Run Details' in the lower left of the screen. As the details of this run have been entered already no action is required. Load planning is divided into a number of key functions. Here you'll find the list of runs with the one you're working on highlighted Use the search to find orders available for planning Details of the run you are working on are shown here Searching for orders to load onto your vehicles To find orders that are available for planning on this run we will use the search function. We can search for orders to fulfill by using a number of parameters, for instance customer name, order date range or postcode / region. In our tutorial, we are going to deliver the order to 'Morris'. Note: Activating the search without entering any details in the search will return all orders that are ready for delivery. Enter 'Morris' in to the customer name field Click on 'activate search' or press 'enter' 5

6 Loading orders onto your vehicles for delivery Orders can be loaded onto your vehicle by clicking 'Load All', or dragging and dropping individual orders. Add the order to the run by clicking 'Load All'. A dialogue will appear. Click OK Ideally, we don't want to send a half empty vehicle to deliver one order. Now, let's search for other orders to fulfill in Wales. 2. Open the search and select 'Country: United Kingdom' and 'Level-1 Region: Wales' 1. Click 'clear search' 3. Click on 'activate search' or press 'enter' 6

7 Optimising our delivery route Note: if the map window does not appear it might be that pop-ups are blocked and need to be enabled for STREAM. Click 'Optimised Route' to bring up the map with the optimised route for this run The map opens in a second window. We recommend that planners would use two monitors - with the Load Planning function on one monitor and the map on the other. 7

8 Adding or removing orders from the delivery run using the map Orders can be added and removed from the run by clicking once on the markers on the map. Grey markers are orders available for adding to the run. Purple markers show the orders currently on the run. 1. Add a few more orders to the run by clicking the grey markers. Make sure to ADD THE MARKERS HIGHLIGHTED IN RED 2. Click 'Optimised Route' to recalculate the most efficient delivery route. Note: if you used 'Route' rather than 'Optimised Route' in this situation, the order in which deliveries will be made will be reserved rather than being resequenced to calculate the most efficient route. This is useful if a particular delivery has to be made at a certain time in the day based on a delivery time you may have specifically agreed with the customer. If the vehicle's maximum weight capacity is exceeded a warning will appear here Driving time and total time for the run are displayed here Click on 'Close Window' and return to Load Planning 8

9 Confirming delivery slots with customers At this point we can our customer with the calculated delivery slot and ask them to accept or reschedule it. 1. Click the envelope icon to Patrick Edwards with his proposed delivery slot. 2. Click 'OK' to send an with the proposed delivery slot. Automatic notification to customers You will now receive an with a link to the customer tracking page as your has been used on these trial orders. Click on the link in the to launch the tracking page 9

10 Customer tracking page Accept the proposed delivery slot and close the window Note: if the customer requests that the delivery slot is rescheduled a note and any message they choose to enter will be added to the order and an sent to your customer services team. Close planning To make a run available for a driver to access in the STREAM mobile app, Load Planning must be closed. The warning appears as not all delivery slots have been confirmed (highlighted in red) 1. Click 'Close Planning' Click 'OK' on the warning to make the run available in the mobile app 10

12 Mobile app for drivers If you have not already done so, you can download the mobile app for drivers from the Google Play Store. You may be asked to install Adobe Air when installing the STREAM mobile app. The driver user name and password is different to the login that you used for STREAM. It was provided in the welcome that you received at the beginning of the trial. Remember Me' option will save your details In this section we will complete the?wales Run?using the driver mobile and view the updated events on the tracking page. Login to the mobile app for drivers Selecting and starting your run Note: if you can?t see the run, make sure that you have closed planning in 'Load Planning' and then refresh on the app using the double arrow button in the top right. Note: The driver?s GPS location is tracked so that their progress can be monitored. Click 'Run Departed' Select the order for Patrick Edwards Select the 'Wales Run' Click 'Confirm Run' 12

13 Order details are made visible including the delivery address, the items on order and the option to text or call the customer. Note: any notes that have been added to this order specifically for the driver are also visible in this screen. This is updated in real-time and highlighted in red if the driver has started the run. Click 'Log Event' 1. Click 'Delivered OK' 2. Click 'Confirm' The customer can be contacted by the driver here Note: you will be provided with a list of options to select when registering the event. This will update STREAM in real-time to keep the customer services team up-to-date at all times. Click 'Signature' 1. Sign here as proof of delivery This field will be filled automatically filled with customer name, but can be changed 2. Click 'Confirm' 13

14 Click 'Photo' 1. Capture photo as proof of delivery This field can be used to register any observations or an explanation of the photo, i.e. you may want to record where the delivery was left 2. Click 'Confirm' Note: you will be provided with a list of options to select when registering the event. This will update STREAM in real-time to keep the customer services team up-to-date at all times. 3. Sign off the app using the back button until you return to the login screen. Click 'OK' when warned about exiting. Return to the delivery list using the back button 1. Select the order for Karen Moore 2. Log and event of 'Delivery Failed' providing a reason for the failure 14

15 Completed orders You will have received two s about the two orders processed with the mobile app for drivers, one for the delivery fail and the other for the successful delivery. Select the successful delivery for Edwards. Print an order summary for the completed order Tracking events are updated in real-time Search for specific orders We can use the 'Search Orders' function in STREAM to find and manage all our orders. In this section we will find a delivered order to check completed events and the GPS location of where the delivery was made in response to a customer query. Return to STREAM and click on 'Search Orders' from the menu. 1. Click on the search bar and enter 'Patrick Edwards' in the 'Customer Name' field 2. Activate the search 15

16 Click once on the order to view complete details Complete details on orders You will now be able to see all the details stored in STREAM about each order. The events table in the upper right of the 'Order Detail's screen contains all the events for an order, including the time of the event and event detail. As you will see, the delivered event is now in the table and the signature and photo that were captured while making the delivery can be viewed. 17 Collaborative partner portal STREAM enables you to provide your business partners, i.e. retailers with the ability to log in and only see the orders which are related to them. The partner account is for the retailer?kerry Stores?.In this section we will sign in as a user from?kerry Stores?to check the latest status of one of our orders following a customer query. Sign out of STREAM and sign back in using the partner user name and password that was provided in the you received at the beginning of the trial. In the examples, Kerry Stores can see the order for Karen Moore, but not Patrick Edwards as this order was though retailer Dakota Stores. Search for the order for 'Karen Moore' Search for the order for 'Patrick Edwards' 17
