2 2015 Guide to Application Degrees Please read this guide carefully. It is intended to help you through the process of enrolling and sets out our Terms and Conditions of Enrolment. Open Polytechnic is working with ABLI to facilitate Australian students to enrol in Open Polytechnic s Business degrees. As part of this ABLI is collecting the tuition fees in Australian dollars on Open Polytechnic s behalf and assisting students with the application process. N.B. All documents are to be verified by a certified Justice of the Peace. A verified copy of evidence is a photocopy that has been signed and dated (preferably with an official stamp) as a true and accurate copy of the original by a qualified Justice of the Peace. You can find a list of JPs in your region clicking here. If you have enrolled with Open Polytechnic before, and your name has changed since your last enrolment, you will need to send us verified documentation to confirm that change. One of the following is required as evidence of acceptable documents: o Birth certificate o Passport o For change of legal name only: Marriage certificate or Deed Poll declaration. Page 2

3 Identification If you have studied with Open Polytechnic before, you will have a student number which contains 7 digits. If you do not know the number, please info@ablearning.com.au for assistance. New Zealand National Student Index/Number (NSI/NSN): The National Student Index stores basic personal information about every student studying with a New Zealand education provider. If your NSN has already been verified by the NSI you do not need to provide the personal details documents listed below. In case your NSN is yet to be verified and/or you wish to change your details, you will need to provide supporting documentation as specified below. For more information regarding National Student Numbers see Academic requirements Students must meet the following entry criteria: Applicants must be at least 17 years of age on the programme start date and have met university entrance requirements or one of the following equivalents: Or Or Passes in other Certificate/Diploma qualifications or courses considered appropriate by the programme leader e.g. Higher School Certificate (Year 12) Have successfully completed any Australian Business Diploma An overseas qualification assessed to be equivalent to one of these by the programme leader. Residency Status and Citizenship In order to enroll you must supply verified evidence of your citizenship or residency status. Please see the list below of an example of what you need to supply. Australians citizens: certified copy of the passport page that includes personal details and photo. Australian permanent residents: certified copy of the overseas passport page that includes personal details and photo and a certified copy of an Australian Certificate of residency status. New Zealand permanent residents: certified copy of the passport page that includes personal details and photo AND a certified copy of the page with the residency stamp. Page 3

4 Iwi Affiliation If you identified as New Zealand Maori in the Ethnicity section, the Ministry of Education requires that you specify your Iwi. A list of Iwi codes has been compiled by Statistics New Zealand and is included at the end of this guide. English Language Proficiency If English is not your first language, you may need to provide evidence of English language proficiency. Accepted evidences are: IELTS test: Score of 6 with no band score lower than 5.5 University of Cambridge ESOL examinations: CAE with a score of 58 or higher or CPE with a score of 45 or higher Previous primary and secondary study in English in Australia, New Zealand, Canada, the Republic of Ireland, South Africa, the United Kingdom or the United States: o completion of all primary education and at least three years of secondary education or o completion of at least five years of secondary education. Previous tertiary study in English: clear evidence of completion of a tertiary qualification of at least three years duration with English as the language of instruction in Australia, New Zealand, Canada, the Republic of Ireland, South Africa, the United Kingdom or the United States. Certificate in English Language Teaching to Adults (CELTA): evidence of achievement of the Certificate in English Language Teaching to Adults (CELTA). N.B. Please send certified copies, not originals, as documents cannot be returned Page 4

5 Terms and Conditions Your enrolment cannot proceed unless you have consented to the Terms and Conditions of Enrolment and Privacy Statement. Read them carefully before confirming that you have read, understood and accepted them online or by signing the Declaration section of the Application for Enrolment form. By applying for enrolment through Australian Business Learning Institute you are agreeing to the Terms and Conditions of payment and withdrawals specified below. These Terms and Conditions are over and above Open Polytechnic s generic Terms and Conditions of Enrolment available online at Enrolment Date On receipt your Application for Enrolment will be checked to ensure you are eligible to enrol at Open Polytechnic, and in the qualification and course(s) requested. Your form will also be checked for date, signature (whether electronic or otherwise), completeness and that all required documentation has been provided. If required documentation or information is missing, your Application for Enrolment will not be confirmed until all documentation or information is provided to the Open Polytechnic. The start date will be the official trimester start date of your course as published on Duration of an Enrolment Your course enrolment will expire either: - At the end of the fixed period or trimester for which you have enrolled or - When you complete all the summative assessments required for the course whichever comes first. Amendments to your Proposed Course of Study The Open Polytechnic reserves the right to make amendments to your proposed course of study during your period of enrolment where such amendments are necessary to comply with programme regulations, course requirements, where it is necessary to restrict enrolments, or courses are unavailable to enroll in for any reason. Your enrolment cannot be transferred to another person. Page 5

6 Fees In signing the Application for Enrolment or Re-enrolment form, you undertake to pay all fees as they become due, and to meet any late fees and collection charges associated with debt recovery. Payment terms 1. If you are electing to pay course fees upfront, total payment is due 5 working days prior to commencement of course. Failure to pay by the due date may result in your access to the learning management system being suspended. 2. If you are electing to pay course fees using a payment plan, the deposit of 20% of the course fees is due 5 working days prior to commencement of the course, with the remaining 14 weekly payments collected from week 1 of the course. Failure to pay by the due date may result in your access to the learning management system being suspended. 3. Failed/Dishonoured payments ABLI understand that from time to time payments may be dishonoured. However if arrears are not paid within 10 working days it may result in your access to the learning management system being suspended. 4. Any dishonour fees with regard to failed payment plans will be recovered from the student. 5. You will be responsible for any costs associated with arranging the examination venue, supervision and the cost for the venue and for the supervisor to return your exam paper to the Open Polytechnic by signature required courier. 6. Cross Credit applications will only be accepted for Australian Business Diplomas listed on the current advanced standing agreement between ABLI and Open Polytechnic and do not attract a fee. 7 Withdrawals All applications for withdrawal must be submitted via the online withdrawal application. This form is available online at The date of withdrawal is the date when your online withdrawal application is received by the Polytechnic. To receive a full or partial refund, you need to meet the relevant criteria in the table below: Date withdrawal received Refund of fees paid Effect on Academic Transcript Prior to the official start date of 100% of fees There will be no record of your the course enrolment on your official Within 28 days from the official start date of the fixed enrolment period or trimester 75% of the total fees. An administration fee equal to 25% of the total course fees will be charged academic transcript There will be no record of your enrolment on your official academic transcript After 28 days and up to 75% of the enrolment duration You may not withdraw after 75% of the enrolment duration No refund No refund Your official academic transcript will state withdrawn If you do not complete the academic requirements your official transcript will show Fail, Incomplete or Academic Withdrawal For students on payment plans -ceasing to make weekly payments IS NOT an acceptable withdrawal. ABLI will calculate any refund owing, then will amend and cease student payment plans for students who withdraw within 28 days of the start date. Payment Plans will remain in place for students withdrawing after 28 days from the official start date. Availability of Courses You agree: - Enrolments are in individual courses, not the complete programme/qualification. - The Polytechnic does not warrant that you will be able to complete or achieve an award or qualification through study with it. - Not all programmes/qualification, majors or courses are open for enrolment in any given trimester or year. 8 Regulations You agree to abide by the statutes, regulations and policies of the Polytechnic. These are available on Detecting Plagiarism - Turnitin You agree that assessments and assignments will be your own work and that you will not pass off the work of others as your own (plagiarism). Subject to the Terms and Conditions of Use contained on the Turnitin.com site you agree all papers submitted by you for assessment may be submitted to Turnitin.com for comparing with text contained on their database to determine whether plagiarism has occurred. Submitted documents will also be added to Turnitin s database of submitted documents for plagiarism detection purposes only. Variations to Conditions of Enrolment No modification, alteration of or addition to these conditions of enrolment shall be binding on the parties unless it is in writing and signed by the Polytechnic and the student. Disputes Procedure The parties will discuss in good faith any disputes between them arising out of the Enrolment Agreement. If discussions fail to resolve the dispute within a reasonable time, then either party may, by written notice to the other, require the dispute to be submitted for mediation. The place of mediation shall be Wellington, New Zealand, and the language of mediation English. The President of the New Zealand Law Society or his or her nominee will select the mediator and determine the mediator s remuneration. In the event of mediation the: - mediator will be deemed to be not acting as an expert or arbitrator; - mediator will determine the procedure and timetable for the mediation; and - cost of the mediation will be shared equally between the parties. 9 Law and Jurisdiction This Agreement shall be governed in accordance with the laws of New Zealand and all disputes arising shall be irrevocably subject to the jurisdiction of New Zealand courts in respect of any proceedings arising out of or relating to this Agreement. AUSTRALIAN PRIVACY ACT 1988 Please note that the information you provide on the Australian Business Learning Institute Application for Enrolment form into a Degree offered by the Polytechnic is considered personal information pursuant to the Privacy Act 1988 ( The Act ). This information is being collected for the purposes of assessing your eligibility for entry into the Degree as selected on the form. The intended recipient of this information is Australian Business Learning Institute (ABLI) and the Polytechnic. You have the right of access to, and alteration of, personal information concerning yourself held by ABLI in accordance with the Act. Your information will be stored and used for marketing purposes by ABLI for the promotion of relevant products and services by ABLI and its service providers. You have the right to opt out of these non-essential student communications at any time. Open Polytechnic will communicate with you, the student, in accordance with the following section. NEW ZEALAND PRIVACY ACT 1993 Authorisation By signing the Application for Enrolment or Re-enrolment Form, you have authorised the Polytechnic to collect, use and disclose personal information about yourself in accordance with the sections specified below and the New Zealand Privacy Act 1993 (if applicable). You have also authorised any agency holding the source of information you have provided on this form to release that information to the Polytechnic on request. Use of Personal Information Gathered Enrolment Forms, associated documents, and other information collected from you during your period of enrolment at the Polytechnic are required to enable the Polytechnic to comply with its purposes and functions under the New Zealand Education Act Without affecting the generality of the above statement, the information will be held by the Polytechnic and used in the following ways: 1.The Polytechnic will use the information collected and stored to comply with the requirements of the New Zealand Ministry of Education (student statistical returns), New Zealand Qualifications Authority (record of achievement registration and unit standard outcomes), New Zealand Tertiary Education Page 9

10 Commission (funding returns), New Zealand Ministry of Social Development (confirmation of enrolment and academic outcomes and New Zealand Department of Immigration (if you are not a New Zealand citizen or permanent resident). The information is also used to select students for qualifications, to manage internal administrative processes, for providing tuition, academic advice and support, for internal reporting, to provide you with information on Polytechnic courses and programmes, for maintaining order and discipline and to advise you of the Polytechnic s Alumni Programme and activities. It may also be used to put you in contact with other students studying your course(s) if you specifically authorise this. Information may also be given to textbook/learning resource suppliers to assist you to purchase textbooks, learning resources, stationery, etc. If you are successful in your course and become eligible to attend a Polytechnic graduation ceremony, your name will be published in the list of graduands in the programme for that graduation ceremony. 2. The Polytechnic may also be required by law to provide some personal information to other New Zealand or other Government agencies upon request (for example, New Zealand Police). 3. Information about particular students may be supplied to the following agencies in the circumstances detailed below: Other education institutions and providers where the student concerned is enrolled in a course taught at another institution in association with the Polytechnic. Where the student concerned is transferring his or her records to that other institution or applying to enroll in a course taught at that institution. Where the student concerned is enrolled in a course leading to a qualification awarded by another body or institution. Where the student has been enrolled at the Polytechnic but is receiving student support at another institution or organization in association with the Polytechnic. Note: 1. The Polytechnic undertakes to observe the general conditions governing the release of information, as set out in the New Zealand Privacy Act 1993 and any other legislation (if applicable). You may see any information held about you and amend any errors in that information. To do so, contact the Academic Registrar. 2. The New Zealand Privacy Act came into force on 1 July 1993 with the stated aim of protecting the privacy of natural persons. It requires the organization to collect, hold, handle, use and disclose personal information in accordance with the twelve Information Privacy Principles in the Act Page 10

My Courses: After your application is confirmed, it will list all the courses you are currently enrolled in. My Applications o Course application: all the courses you have enrolled for and o New application: all the course applications that are pending confirmation of enrolment. My Timetable: a calendar for your reference. My Employer: Not applicable to you as you are not required to provide employer details. Change my password: in case you want to change your password, please use this option. Messages o My messages: messages exchanged between you and the ABLI team. o Send us a message: to be used in case you want to send us a message via the portal instead of by . Documents: all the documents you have uploaded in the portal. o Add a new document: to be used when you need to upload a new document to the portal. o Balance: your current balance. Invoices: this page will show all the invoices issued to you for payment Payments: this page will show all the payments you have made for your courses. Page 12

13 Uploading documents in the student portal ARE YOUR DOCUMENTS CERTIFIED? Please name your documents using the following naming convention: FirstInitial.Surname_IDDocument e.g. J.Smith_IDDocument Click on Add a new document Type the name of the document under Name please make sure you specify if it is identification, personal details, residency status, etc. Under Category choose the one that specifies the document you will upload. You can choose between ID Documents, English Language evidence, Resume, and others. The Document Type will always be Resources. When uploading multiple pages of a single document, use the Order box. For example, uploading two pages of a passport; for the photo page, type 1 into the Order box as this page comes first. Then for the visa/stamp page, type 2 into the Order box as this page comes second. Choose the file from your Browser and click upload. You will be able to preview all the documents you have uploaded under the tab My Documents. Page 13
