6 HMRC C ompliancy and legislation Should you need to contact HMRC for any Tax queries please call and provide our unique PAYE Ref Number: 577/SA48053 All systems directly linked with HMRC are done so in Real Time Information (RTI) which means as and when an employee moves, changes or alters their working schedule, HMRC are made aware of this in real time and are able to alter calculations relating to Tax codes, Tax deductions and National Insurance contributions. This legislation was introduced in An area to which this is directly related includes the processing and submission of employees P45 s. Should the assignment have ended and no further pay has been processed after a 12 week period, we will automatically make the employee inactive within our system. If, however, the circumstances change and work is found, we can easily reactivate the employee within our software and continue processing salaries. Please note this does not cancel the Contract of Employment so long as a valid assignment schedule is provided for the new contract. During the entire assignment we are required by default to retain a percentage of every employees salary for Working Time Directive, which employees can opt out of (this will be required in writing). We ask this be requested before the end of the Tax year. Pension Auto Enrolment Pension Auto Enrolment or Workplace Pension Scheme was introduced in It is a statutory requirement that employers and employees contribute into a pension (state or private). Once registered with us, you will be automatically deferred for 3 months and after this period you will be automatically enrolled if eligible and deductions taken from sufficient earnings. Should you wish to opt in before this date please inform us. About a week after enrolment, you will receive a welcome pack from NEST and will have 30 days in which to opt out directly with NEST. After the 30 day period you will no longer be able to opt out. However, you can choose to cease contributions and any amount deducted up to this point will then be available to you at pensionable age. Please also note that even if you opt out, you will be automatically enrolled with any new employer or if you are with the same employer after 3 years, you will be automatically enrolled again and will need to opt out should you not wish to take part. Q: Does it cost to work through epayme? A: Yes, as with any payroll provider there is a small administration cost to cover the processing and other services such as the Employers Liability, Public Liability and Professional Indemnity Insurances. You will only be charged when we process monies to you. Q: Is this service compliant? A: Yes, temporary workers across the UK already choose to be employed and receive their pay through epayme. We work hard to ensure that we are always fully compliant with the latest rules and regulations. Q: Can I claim additional business related expenses and offset all my expenses against my Tax? A: Yes, claims can be made for expenses that are incurred for the purpose of your work. For more information please refer to the epayme Business Expense Policy. Only those expenses within the Business Expense Policy will be approved. Q: How do I claim my expenses? A: The best method is to enter them via our mobile friendly online portal, accessed via Once you have been registered and activated you will be able to submit expenses and upload receipts straight from your mobile device, alternatively you can complete a paper expenses claim form and submit this in the post with your receipts. Q: Do I have to send the original receipts into you, or will a photocopy suffice? A: We can approve your claims with a photocopy, fax or ed receipt. Please note all original receipts, if not provided to us directly, will need to remain in your possession for up to 7 years for the purpose of epayme or HMRC spot audits. Q: How and where do I submit my time sheets? A: Unless advised otherwise, please submit your time sheets directly to your recruitment agency. FAQ s helping you every step of the way Q: What if I work through more than one agency? A: We can payroll you through multiple agencies, being paid through one provider has a Tax advantage as we would hold your Primary Tax Code. Competive Q: Will I receive a payslip? Low Rates A: Your payslip will be available on our Portal at any time. Payslips are published to the portal at midnight every Friday and available online from Saturday onwards. Your payslip will detail deductions and your net pay. Q: Will I receive a P45 & P60? A: If you or your agency notify us that your employment has terminated, we will issue a P45 after your last payment. Your P60 will be issued at the end of the Tax year, if you are within our employment at the end of the Tax year. Q: Can I claim Statutory Payments? A: When employed by epayme you are entitled to certain Statutory Payments. Please contact us should you require information regarding entitlements. Q: Why am I paying employers National Insurance? A: Because of Employment Laws, if you want to work as a contractor you must trade through a Limited Company. There are three legitimate ways to get Limited Company status; setup & manage your own Limited Company, use the services of a company like epayme or work through your recruitment agency. Whichever way you choose, you pay both National Insurance contributions, one way or another. Q: Why are you charging me so much Tax? A: We do not charge you Tax, this is a calculation made directly from HMRC whilst synchronizing your pay in real time (RTI). Once the calculation is complete, the deduction is made and paid directly to HMRC from within our automated software.
