3 1.0 GENERAL INFORMATION 1.1 Scope of the Project JKL Bahweting School is seeking a qualified vendor to provide proposals for physical servers that will be used as part of a virtual desktop environment. This RFP is directly related to the project illustrated in the Virtual Desktops RFP release dated February 19, This posting supersedes the requirements for physical servers in Category One of that RFP. All vendors are welcome to provide a response - it is NOT a requirement to have previously provided a proposal for the Virtual Desktop RFP. The vendor award of this posting is contingent upon School Board acceptance of all components of the VDI project. 1.2 Bid Submission Bid closing is March 29, 2013 at 4:00 PM EST, at which time all received bids will be publically opened. All bids received after closing will automatically be rejected. Bids must be sealed and clearly marked Sealed Bid Response for VDI Servers and addressed to the attention of the Director of Business and Finance. 4 2.0 REQUIRED HARDWARE 2.1 Servers Physical Servers with the following specifications: All hardware components must be VMware ESXI 5.0 certified and supported Rack Mountable with Sliding Rails for a Square Hole Rack Dual Socket Intel Xeon 2.2GHz, 6 Core 64GB 1333 Mhz Memory o Memory Optimized Configuration o Configured to allow for additional memory in the future Chassis designed for up to 8 Hot Swap Hard drives Qty 8 300GB 10K RPM SAS 6Gbps Hard Drives Raid Controller supporting Raid10 configuration o Minimum 512MB Cache, 1GB preferred 6 Gigabit Ethernet Ports o Minimum of 2 ports must be provided by add-in NIC Card 1 Internal USB Port Internal Optical Drive Not Required Keyboard, Mouse Not Required 5 Year Basic (8x5) Hardware Only, NBD Onsite Warranty Total Quantity: Optional Component Upgrades This category is optional; vendors will not be penalized if they do not provide pricing for these items. 5 3.0 BID REQUIREMENTS 3.1 General Bid Requirements Completed Appendix Forms must be submitted Vendor submissions must be clearly marked on the outside of the shipping package as Sealed Bid Response for VDI Servers and addressed to the Director of Business and Finance. Submissions that fail to do so will be rejected. The school reserves the right to consider proposals based on their relative merit, risk, and value to the school. The school reserves the right to cancel all or parts of this request for bid if it is in the best interest of the school. This bid request does not commit us to award a contract, to pay any costs associated with the preparation of a response, to procure or contract for services or equipment. All components must be itemized and include per unit costs and extended costs. All associated costs with this project must be listed (shipping, etc.) All alternates, variations, and exceptions to any requirement or specification must be clearly stated. Hardware that is classified as new, manufacturer recertified, or unopened equipment will be considered. All equipment not classified as new, must carry the same warranty/support as listed above by vendor or manufacturer. Documentation may be required. Vendors may NOT submit a proposal for more than two server models. 3.2 Rejection of Bids JKL Bahweting School reserves the right to accept or reject any or all bids, and to waive any minor discrepancies or technicalities in the bid or specifications when deemed to be in the best interest of the school. 3.3 Required Information in Bid Responses The following items must be submitted in order to be considered as a completed proposal submission. Failure to provide all required items will result in submission being rejected without further consideration. Completed Appendix Form A Contact Information Completed Appendix Form B Server Pricing Overview and Delivery o Detailed formal quotation included o If proposing more than one server model, the Appendix Form B must be included for each model. Provide a statement regarding authorized reseller status for all new hardware. Page 5

6 Documentation o Model Brochure Informational sheet detailing all features and components of the server beyond required base specifications o List detailed exact specifications for proposed servers. Vendor references o Any vendor which JKL Bahweting School has no prior business must submit contact information for three client references. References from educational organizations are preferred.
