1 PROJECT INFORMATION Project Name Enterprise Mobile Applications Requestor Acct/Dept. ITS Project Office Divisional VP Dr. Theodora Kalikow - Provost Office Stakeholders Project Champion Primary Customer(s) Campus-wide What problem are you looking to solve? Provide mobile-friendly solutions to enable users to easily access enterprise applications on their mobile devices. Currently, tools like the myhumboldt portal are accessible on mobile devices through the URL but are not responsively designed to resize and reformat the content displayed based on the size of the device being used. Which departments or processes are affected? Students can access myhumboldt features like the MyAnnouncements communications on their phones but the screen display is very small. Visibility is better on tablets but still not designed for optimum resolution. Employees can report absences in the myhumboldt / PeopleSoft Absence Management application on mobile devices but, again, the display is very small. The campus website, is a good example of where responsive design can help solve this problem; redesigned a year ago, now adjusts the format and layout depending on the device. What is the consequence of not doing this project? Customers will be dissatisfied. The use of mobile applications will only continue to increase
2 and the ability of campus users to access and perform business on the devices they most frequently use and rely on is critical to staying current and connected to our community. What would a successful solution look like? Develop requirements for a Request for Information (RFI) to identify potential solutions, costs and services to support development and maintenance of mobile enterprise applications. Ideally, the RFI would gather the information necessary for the campus to identify the best technical solutions, costs and support structure, such as in-house or hosted leading to selection of an approach and provider. A later proposal would be submitted with the exact costs, resources and features intended for delivery. Enterprise mobile applications could include a mobile version of the myhumboldt portal, mobile PeopleSoft applications like Registration, Enroll in Classes, View Grades, Report Employee Absences and other mobile applications like campus maps, news/events, directories, dining menus. Some specific requirements could include ensuring students are still required to view portal communications via MyAnnouncements before accessing other myhumboldt services. Technical solutions include whether the solution supports responsive design - automatically adapting to the size of the device viewing the web page - or is a native application which is designed for use on a particular platform or device and exactly which types of devices (phones, tablets, operating systems) are supported. How else might you solve this problem? The only real alternative is to do nothing; users can still access applications but not nearly as efficiently nor with as positive an experience as a mobile deployment would provide. We're definitely considering Oracle / PeopleSoft as a solution, included in a number of different solutions ITS has participated in some preliminary product reviews through Chancellors Office hosted webinars and system-wide technology groups. A wide array of solutions are now in the market with over half of the CSU, and the Chancellors Office, live or in the process of implementing mobile applications. Strategic Objective(s) Prepare students for meaningful relationships across differences. Prepare students for socially & environmentally responsible leadership. Prepare students for sustainable environmental & financial stewardship. Strengthen partnership with local communities. How does this project align with HSU s strategic objectives? Our students are coming to us with expectations derived from interactions with businesses in their personal life which have all adapted their customer-facing practices to be mobile device friendly. To not be able to register or pay tuition, or any other of their core business interactions with the University, through a mobile device seems 'klunky' to them.
3 Adapting to these expectations will contribute constructively to the student experience at HSU, which will in turn contribute to retention and ultimately student success. What resources will this project require? Coordinated by an ITS Project Coordinator, a functional team would need to be identified and enlisted to develop the business needs and requirements for enterprise mobile solutions. Technical ITS resources would be involved to help craft language around desired technical solutions, DEADLINES What is your deadline? And is your deadline a hard deadline? No Why must the project be completed by this date? There is no specific deadline for this project; the sooner completed, the sooner these services can be extended to the campus community. 5 Considerations / dependencies The campus is currently engaged in conducting an assessment of the Faculty & Staff features of the myhumboldt portal. Conducted by the students of the Marketing Research class, results are expected in December 2015 and could greatly inform the features and direction of the employee portal, with potential downstream impact to mobile designs. A subsequent survey is expected for Spring 2016 for student features of myhumboldt which could also impact student-centered mobile designs. Information Technology (IT) Feasibility Statement Described elsewhere in this document, some ITS programmers have participated in webinars describing different types of technology available in the mobile application arena. Of great interest is the area of responsive design, thought to provide greater flexibility and use over time. Final feasibility will be evaluated as a result of RFI responses. ADDITIONAL INFORMATION Initial conversations have been held with the campus myhumboldt Portal Steering committee, leading to the need to conduct both the Faculty/Staff and Student surveys of myhumboldt usage to help inform these designs.
