UNIVERSITE NANCY 2 INFORMATION GUIDE FOR EXCHANGE STUDENTS (Erasmus and other exchange programs of the University of Nancy 2) International Office of the University of Nancy 2 (last update : January 2009) 1

INTRODUCTION You ve made your decision: you would like to come to France for an exchange period. Here in this guide you will find some good reasons to come to the University of Nancy 2. WHAT'S SPECIAL ABOUT NANCY 2 A university in the heart of the city Nancy 2 University campuses are right in the heart of the city of Nancy. Their ideal location thus allows our students and staff to participate actively in the life of the city... where there are more than students, belonging to one of the 3 universities of Nancy. The city of Nancy is also a human size city, where new students do not feel lost : there always is someone to welcome and help you! Pluridisciplinarity and diversified training With an offer of 245 courses, from the classics to maintenance, whether in the form of initial training, continuous education or distance learning, Nancy 2 clearly provides a rich and varied curriculum, open to a wide range of public. Partnerships and exchange programmes Our university participates to several exchange programmes. It has partnerships with 200 universities over the world. You'll be leaving your country for a new culture, a new way of life, new people and sometimes a new weather. You will have to use a new language. It's not an easy choice, but it is a good one we believe, both for your personal and academic experience. You may feel a kind of a small cultural shock for some weeks when arriving in France, do not worry though, for this feeling is very usual and almost necessary to the experience of moving abroad: it does not last long and it makes you stronger when you ve got over it, and more able to enjoy all aspects of your exchange period. Do not feel guilty about the first weeks stress you may feel: it is a very normal feeling. The first weeks are always stressful with many formalities, but you know it won t last long; in the end of your stay in France, you ll find the time has gone very quickly and this time you will feel rather nostalgic to leave. This is the experience which we witness every year with our exchange students, and what we are sure about is that it surely is an unforgettable experience! 2

Registration procedures for Erasmus students at the University of Nancy 2 : BEFORE ARRIVING Selection Exchange students coming to study at our University will have been selected by their home university. If you wish to study at our University under an exchange program, you should contact the International Office of your University. Once you have been nominated by your home university to participate to an exchange program with our University, you must fill in the exchange student application form of the University of Nancy 2 and return it to the central International Office of our university (application form and instructions attached at the end of this guide) Deadlines For students wishing to start their studies in the winter term, applications must be received by 1 July, and for those starting with the second semester, by 1 November each year. This will include: - Information about Nancy city - A Nancy 2 student s record book - A Nancy 2 University academic calendar - A brief description of Departments helping Erasmus students - An application file for university accommodation in Nancy This documentation is usually sent from May for we expect the approval of our next academic calendar by our Academic Board in May. Therefore if you have sent your application very early (in March for example) do not worry if you do not receive immediately our documentation. All applications forwarded by our partner universities are accepted by our university, unless the application does not at all correspond to our academic requirements (for example : if the student wants to follow courses that are not offered at all at Nancy 2, or : if the student wants to attend French courses when he/she has never studied French before). In this specific case, as soon as we get the application, our University contacts your home university to find an arrangement. Otherwise, once the student s application is accepted here, (s)he will be posted some useful documentation from our Office. OTHER FORMALITIES ON YOUR ARRIVAL Your student card: on your arrival in Nancy, the international office responsible for you (see above!) will register you so that you can get your Nancy 2 student card. This card will enable you to benefit from all the services and discounts offered to students in Nancy : computer rooms, students restaurants, bus, cinema As an exchange student, you will not be required to pay registration fees at Nancy 2. You will then be given the Nancy 2 student card for free. Yet, PLEASE NOTE! ) if you are not a citizen from a European Union country or a citizen from Québec, the international office responsible for you will have to ask you to pay the French Social Security fees (health insurance. Exchange students who are not citizens from a European Union country or citizens from Québec will then have to pay around 200 to cover their French social security contributions as they are not eligible for benefits under the European Health Card. Indeed in France, the national law states that all students (either French or not) registered at a French university must pay French social security contributions unless they have a European Health Card (European Union citizens) or unless there is an specific agreement between their home country and France (Québec). Contribution to the French social security allows you not to pay anything in case you have to go to the hospital during your stay in France. The contribution is a fixed amount and can unfortunately not be reduced according to the length of your stay. Please note that this contribution to French social security is not to be confused with university fees; they are two distinct things. 7

Also, PLEASE NOTE : No private health insurance from your home country will be accepted by our University to replace the European health card or the payment of French Social Security fees, except for students who come from Germany and are German citizens. If you are not a student from Germany having the German citizenship, our University will have to ask you either to show your European Health Card or to pay the French social security fees as required by our national rules. Therefore DO NOT buy any private health insurance in your home country before coming to Nancy, unless you are a student from Germany and German citizen. If the French Embassy in your home country or your home university asks you to buy a private health insurance before coming to France, please write to our central international office ( marie-christine.viry@nancy-universite.fr) which will contact immediately the French Embassy or your home university to find an arrangement. The following documents will be required both to register at Nancy 2 and get your student card : a certificate from your home university stating that you are an exchange student 2 identity photos for non European Union citizens only : a residence permit or summons from the French authorities to get this residence permit for European Union students: the European Health Card (except for German citizens coming from Germany, who usually have a private insurance accepted in France) Other administrative formalities: If you are not a EU citizen, you will need a Carte de séjour to stay in France. Please go on arrival to : Students Reception and Information Office Guichet Unique d Accueil EPCS Nancy-Université 34, Cours Léopold Nancy Cedex This office will help you to get your Carte de séjour. We also recommend that you read the Practical Guide for Non-French Students in Lorraine produced by the Students Reception Office and available on the web at: Choosing your courses and get academic advice: on arrival in Nancy, every exchange student will meet his/her academic coordinator at Nancy 2. The academic coordinator is the professor who will help the exchange student choose his/her courses and will advise him/her on academic matters. Every exchange student may of course contact his/her academic coordinator before arriving in Nancy (see attached list of academic exchange coordinators at Nancy 2). If you are unsure about who is your academic coordinator at the University of Nancy 2, please contact the international office which will be responsible for you in Nancy. 8

Intensive courses in French Language and Culture at Nancy 2 University (free for exchange students welcomed at the University of Nancy 2) ATTENTION! Please note that this information does not concern the students who will be welcomed at the Nancy Charlemagne IUT who have their own courses in French language, due to the specific IUT academic calendar. Please contact IUT international office directly for more information about these specific courses : relint-iuta@univnancy2.fr Almost all courses at the University of Nancy 2 are given in French therefore a good knowledge of French is necessary to come to Nancy 2 under an exchange program! Before each semester begins, the University Department of French as a Foreign Language on the Human and Social Sciences Campus offers intensive sessions on French language and culture for exchange students. The training is in modules of 20 hours per week and is partly subsidised by the Lorraine Regional Council. The courses enable exchange students to play a fuller part in University life by improving their French and it is also a good opportunity for exchange students to meet each other before university lectures start. The courses take place 3 weeks before the beginning of the 1 st semester, and 2 weeks before the beginning of the 2 nd semester. You can either follow one week of course or several weeks, according to your needs. The courses always begin on a Monday, and finishes on Friday. These intensive courses are free for exchange students welcomed at Nancy 2. A registration form will be included within the general information we will send you prior to your arrival in France. All applications are accepted. These courses can give you either 2 or 3 ECTS credits. Contact : Département de Français Langue Etrangère (DeFLE), Campus Lettres et Sciences Humaines 23 boulevard Albert 1er BP Nancy cedex Tél : (0) Fax : (0) Courriel : defle@univ-nancy2.fr IMPORTANT : the courses in French language are only free when given prior to the beginning of the semester. Please note that the courses offered by the Department of French as a foreign language during the semester are not free. These courses are made for foreign students who want to pass the DELF or DALF examinations, and are not part of our exchange program offer. This means that exchange students who would like to follow these courses during the semester could only do it by paying the specific fees attached to these courses, of an amount of about 600 per semester. Now if you need only some more knowledge of French (and not to pass the DELF or the DALF) you can still work on French language during the semester by going to the free French courses given during the semester on our Human Sciences campus, but please not that these courses will not give you any ECTS credits. 9

Health-care at the University of Nancy 2 Nancy 2 University has its own team of doctors, nurses, social workers and secretaries who provide the following services for all students: preventive medicine consultations, in particular if so requested by the student, but also to arrange for exam conditions for disabled students to be modified; psychological and gynaecological consultations and support, vaccinations. The University Health Centre is on the Human Sciences Campus at 23 Bd Albert 1 er, Nancy Handicapped or disabled students Our University believes that welcoming handicapped or disabled students is a priority. A strong procedure -both academic and concrete- has been performed to help handicapped or disabled students in their student life at Nancy 2. More information on the following links: If your are a handicapped or disabled student, please contact as soon as possible our central international office (marie-christine.viry@nancy-universite.fr) so that we can organise your stay at Nancy 2! More information available on the University website : PRACTICAL INFORMATIONS For any practical information on the following matters: How to come to Nancy? What are the administrative formalities (residence permit for those who are not European Union citizens, student social security, accommodation, budget, etc), Please visit Nancy Student Reception and Information s website : and We would just like to remind you some important aspects of the formalities! But this reminder should not prevent you from reading carefully the information contained on the website! Administrative formalities Residence permit Reminder: you will need a residence permit in France if you are not a European Union citizen. Social Security (health insurance) 10

In France, social security is compulsory for all students. European citizen are not required to pay social security contribution if they come with a European Health Card (except for students coming from Germany and having the German citizenship, who usually come with a private health insurance accepted in France). Students who are not citizen from a European Union country will have to pay French social security contribution, except exchange students coming from Québec. REMINDER (see page 9): at the University of Nancy 2, no private health insurance can be accepted, except for students coming from Germany and having the German citizenship. All other European Union citizens will have to show their health European card. Non European Union citizens will have to pay French social security fees, except students coming from Québec. NO EXCEPTION WILL BE MADE. Cost of living Prepare carefully your budget before arriving in Nancy! Here are some indications of average prices A room at the CROUS per month is 200 (average) Renting a Studio per month between 300 and 500 House insurance (for one year) Between 17 and 40 A meal at the University canteen 2,85 A meal at the pizzeria (with dessert but without drinks) 15 A coffee 2 A soft drink 4 to 5 Bus fare : student's rate for 31 days 27 Cinema ticket, student's rate 5 to 6 Museum (there are days when entry is free for students ) 2,5 to5 Accommodation Student halls of residence The CROUS is responsible for student halls of residence in Nancy. Every exchange student coming to Nancy may book a student room under the deadlines fixed by the CROUS (15 July for Erasmus students arriving in Nancy in October, 1 st December for Erasmus students arriving in Nancy in February). The accommodation form is sent you as soon as the central international office of our University receives your complete exchange application form (attached). Please do not use any other accommodation form than the one which is forwarded you by Nancy 2 international office! Please note that in France, student rooms are small : 9 m² ; however, the cost of a student room is also very low compared to private market s 11

rooms, and you should take this financial aspect into consideration if you have not much money to spend. European and international students are allocated rooms in the same halls of Residence as French students and all rooms are of the same size. You may be used to having a bigger student room in your home country, in that case you must prepare yourself to the relatively small size of student rooms in France, for we won t be able to offer you a bigger room (except if you decide to look for one yourself on the private market). Here are some pieces of information about the CROUS halls of residence to help you make your choice. Both Monbois and Boudonville halls of residence are very close to our Human and Social Sciences Campus, IAE, IECA, UFR Mathématiques et Informatique, as well as our Faculty of Law and Economics. Médreville hall of residence is very close to the IUT Nancy Charlemagne. Notre Dame hall of residence is for girls only. PLEASE NOTE : the later you send your accommodation form, the more you take the risk not to get a room in the hall of residence you have applied for. Therefore do organise yourself to forward your accommodation form as soon as possible! If all exchange students applying under the deadlines fixed for a student room do get a room, please be aware that the CROUS cannot always rent you a room in the hall of residence you have applied for ; there are several halls of residence in Nancy, and the CROUS makes its decisions according to the rooms vacant in these different halls of residence. Please also note that renovated rooms with sanitaries are very few and are usually rented to students who have already studied several years in Nancy. Please note also that the International Office of the University only forwards you the accommodation form to make the procedure easier for you ; but once it has sent your accommodation form to the CROUS, the University cannot follow the procedure any more ; you will then have to contact directly the CROUS for any question regarding student accommodation. As soon as the CROUS will have allotted you a student room, a CROUS letter will be sent to you to inform you that a room is booked for you. ATTENTION it is compulsory for you to answer the CROUS letter in which you state that you accept the student room booked for you ; otherwise the booking will be suppressed and the room given to another student. Please note that if you have not received any CROUS letter by 15 August for students arriving in October, and by 15 January for students arriving in February, you must contact urgently the CROUS to check whether there is any difficulty with your accommodation! Reminder : the CROUS is an independent body from the University and makes its own decisions ; that is why the University won t be able to bring any change to the CROUS decisions concerning the booking of your student room. In case of difficulties or questions about your student room, you will always have to contact directly the CROUS, Foreign Students Office ( agee@crousnancy-metz.fr). If you rent a student room from the CROUS, you are engaged to pay the rent for the length of your exchange contract only and not for the virtual length of one academic year stated in your contract with the CROUS; that is why you must send the CROUS a certificate from your home university stating the exact length of your Erasmus stay in Nancy. The CROUS will also ask you to find a guarantor; it means that a European Union citizen must answer for you in case you could not pay the rent of your student room. 12

For students who could not find any guarantor in the European Union, the CROUS normally asks for the payment of the rents as soon as they arrive in Nancy, yet you can negociate with the CROUS a spreading out of the payments by writing to the CROUS about your financial difficulties. Private accommodation If you do not wish to book a student room in Nancy, you can of course look for a private accommodation in the city. However please note that the University of Nancy 2 will not be able to help you look for private accommodation in Nancy. You will therefore have to get through private accommodation search and formalities on your own if such is your choice. Housing allowance In France you can benefit from housing allowance (Allocation de Logement or Aide Personnalisée au Logement) under certain conditions. FOR MORE INFORMATION : Miscellaneous Student life There are more than students in the city of Nancy, coming from 3 universities: University of Nancy 2 (human and social sciences), University Henri Poincaré (exact sciences), and the National Polytechnic Institute of Lorraine (ingineering). 15 Choosing your courses at the University of Nancy 2 According to European rules, our university is under the LMD system: Licence-Master- Doctorat. These are the 3 levels of diplomas which we offer to our students (Licence: 3 years, Master : 2 years, Doctorat : 3 years). As an exchange student, you will not be able to obtain one of our diplomas, except if you decide to pay the registration fees (or if there is a double degree agreement between your home university and our university). However, if your level of study is sufficient, you will be allowed to choose courses in the different levels of our diplomas and in our different departments in order to follow the study program which your home university has recommended you to take. Yet, please not that the more you will choose courses in different diplomas and departments, the more it will get difficult for you to organise your timetable. We then advise you not to choose courses in more than 3 different departments if possible. Before your arrival in Nancy you will have looked through our offer of courses on our website. You will be able to get details about each courses by contacting your academic coordinator at Nancy 2 or by contacting the international office of your host department. Please note that the central international office does not have the details of each course, which must be found in each academic department of the university. Academic registration to the courses On your arrival at Nancy 2 most of our departments will leave you a delay of one month to choose your courses, in agreement with your home university instructions and your Nancy 2 academic coordinator. During this month, you will be allowed to follow the courses without registration, only introducing yourself to the professor in the beginning of each course. Once you have chosen your complete study program at Nancy 2, you must register to each course by using an academic registration document which will be given to you on your arrival in Nancy, and which you will have to hand to the international office which is responsible for you at Nancy 2. Lectures at the French university You may need a few weeks before getting used to the French way of teaching, for it will probably be different from what you are used to at your home university : that s what makes your exchange all the more interesting! At the French university, you will have to get used to taking many notes during the lectures. It may seem a bit difficult for a start, but you will find it easier and easier. If you find it difficult to understand the lectures during the first week, why not record them on a handheld recorder, and listen to them again in the evening? It is also a very good way to improve your French. Exams, grading scale and transcript of records Exams You will have to take exams at the University of Nancy 2 (unless your home university does not wish you to). Usually, you take the same exams as French students. French grading scale In France, you get a mark between 0 and 20, 0 being the lowest mark, and 20 the highest. At the French university, a mark of 12/20 is already quite decent, therefore do not expect to obtain many 18 or 19/20! These are really exceptional marks in the French grading scale. Transcript of records 15

In the end of your semester or academic year of study at Nancy 2, an official transcript of records will be sent to your home university. Please note that due to the delay of correction of the exams and to our corresponding administrative procedures, the transcript of records will usually not be ready before you leave Nancy; that is why it is usually sent to your home university by regular mail once ready. Other certificates may be prepared for you by the international offices of our university: certificate of stay, or certificate stating which courses you have followed regularly.
