Your role as a Campaign Chair is critical; because of you, we have positively impacted the lives of more than 350,000 people who were served through Mile High United Way programs including Bridging the Gap, Colorado Reading Corps, Centers for Family Opportunity, our Information and Referral Center and in partnership with more than 100 Impact Investment Partners. Because of your belief in and support of a united community, we continue to work to ensure that every child enters school ready to learn and is reading at grade level by the end of third grade; every young person graduates from high school prepared for work or college and every individual and family has the opportunity to progress toward economic stability. Our School Readiness Initiative provides thousands of children from low-income families access to high-quality early childhood education so they enter school ready to learn and read at grade level by the end of the third grade. Our Youth Success Initiative provides thousands of school-age, low-income and at-risk students access to mentoring, quality after school programs, tutoring and dropout prevention, and post-secondary programs to ensure that they succeed academically, graduate from high school and are ready for college or work. Our Adult Self-Sufficiency Initiative supports and creates programs that help low-income people increase financial skills, develop workforce experience and move toward economic self-sufficiency. 5 HOW TO RUN A GREAT CAMPAIGN This handbook includes information that will help you run a great campaign and give you ideas from fellow Campaign Coordinators and experts on our Mile High United Way team. During your campaign: You ll enjoy your role as Campaign Chair. Nod only will you successfully raise money to ensure that kids are reading, youth are graduating, and all adults are afforded the opportunity to be economically self-sufficient, but you ll have fun leading the way. Your employees will understand how they can make a difference by participating. People like to get involved in helping the community. With your Workplace Campaign, they can have fun at the same time. Your company will get the most out of its partnership with United Way. Whether you have an official corporate social responsibility policy or not, giving back to the community will help your company stand out from the crowd. And remember Mile High United Way Staff is here to Help You! Remember, you are not alone in running your campaign. Mile High United Way staff includes campaign event support, leadership donor stewards, and a volunteer group of campaign chairs available for consultation and brainstorming. 6 CAMPAIGN CHAIR CHECK-LIST PLAN Meet with your United Way Resource Development Lead and begin planning your campaign Attend Mile High United Way Corporate and Employee Engagement Summit in August Go to unitedwaydenver.org for ideas and sample materials Secure CEO and senior management support Establish campaign goals like fundraising dollar amount and participation percentage Due Date GEAR UP Recruit and train your campaign team Work with Mile High United Way to establish a timeline for campaign activities Begin campaign promotion with a thank you and recap from previous year Send letter from management to all employees (sample available) Order campaign supplies and prepare any customized materials your company wants If applicable, update your online pledge site and/or intranet RUN Conduct a pacesetter campaign for current or potential leadership donors Host a campaign kick-off event with Mile High United Way mission speakers Host an off-site volunteer event to engage employees and teams Hand out pledge forms and send information about online giving tool Hold meetings and fundraising events with all departments (See ideas on following pages) Give employees opportunities to learn more with volunteer events and agency speakers CLOSE Send a reminder that your campaign is concluding and pledge forms need to be returned Collect pledge forms and submit campaign totals to Mile High United Way Submit contribution forms and final reports to your payroll department Announce campaign results to all employees Thank employees and the campaign committee with a celebration event, letter, , etc. Gather feedback and notes for next year and schedule debrief with your Resource Development Lead Choose a campaign coordinator, kick-off date for next year and develop a year-round engagement calendar CAMPAIGN MANAGER HANDBOOK For more resources, visit unitedwaydenver.org

Remember to pick activities and develop a campaign plan that will work for your company s culture and employee interests. We recommend selecting at least one item from each of the below categories. 8 10 GREAT IDEAS TO GET AND KEEP PEOPLE INVOLVED 1 Host a campaign kick-off at one of Mile High United Way s program sites to showcase the work you are supporting. 2 Create office teams to encourage friendly competition and boost morale. 3 4 Invite co-workers to join Mile High United Way s affinity groups and giving societies: Tocquville Society, Leadership Giving Society, Women United and Emerging Leaders Council. Encourage your in-house clubs or employee resource groups to help spread the campaign message and incorporate the campaign into their existing activities. 5 Host a group volunteer activity for employees to see their dollars at work Host food-themed events and contests. Breaking bread is always a good way to get people engaged and feeling like they are part of a team. Mission. Mission. Mission. The more you can incorporate the reasons WHY your company is participating in the campaign, the better! 9 CAMPAIGN EVENTS KICK-OFF EVENT Hosting a campaign kick-off event can be an exciting way to launch your campaign. To change the lives of individuals and families in our community. Below are some tips for a successful campaign kick-off: 1. Repurpose an existing meeting that people are required to attend rather than adding an additional to meeting to people s calendars. 2. Make sure your top-level executives are able to attend and encourage them to show their support. 3. Make it fun! Create a theme, provide food or light snacks, consider doing a prize drawing, anything that will get your employees excited and energized. 4. If you do not have one all-staff meeting, consider hosting multiple kick-off events. These can be hosted at separate locations, within smaller teams, on different floors of a building. Mile High United Way is here to help and happy to attend multiple kick-off events. 5. Most importantly, include your Mile High United Way Resource Development Lead, who can offer additional ideas for how to customize your kick-off. Allowing them to speak about the impact your employee giving makes on the community is critical. 10 Fundraising ideas for your workplace giving campaign are seemingly endless. Make sure to tailor your events to fit the interests of your employees. The most engaging theme for employees is often one that ties to Mile High United Way s initiatives: Reading, Graduation and Adult Self Sufficiency. Consider having three different activities, events, or drives that relate to the three themes throughout the year. Or focus on one initiative each campaign year. NO OR LOW COST FUNDRAISING EVENTS Silent Auction: Secure items from vendors, co-workers, and the leadership team. Allow employees to pay for their items via payroll deduction. Wall of Wine: Have leadership donate bottles of wine, including a couple of high-value bottles. Bag the wines and display them on a table. Employees purchase tickets for $10 and get to select one of the bottles of wine. Cubicle Makeover: Have employees makeover their cubicles. Theme the cubes to Mile High United Way initiative areas or partner agencies. CEO Embarrassment and Change for Change: Whether it is a pie in the face, dunk tank, or any number of other activities, embarrassing the senior leadership is always a popular activity. Conduct a change for change drive. As a part of the drive, give all of the Leadership Team a bucket with their picture next to it. Any coins add to the total amount and dollar bills take away from total. Leadership that raises the least gets embarrassed. Casual Day: This is an oldie but a goodie. Sell stickers for jeans days. Some companies will sell stickers that are good for the entire year! Mile High United Way can provide the stickers free of charge. Raffle for Executive Parking Spot Bike-a-thon: Charge an entry fee. Participants collect pledges for the number of miles they ride. Bake Sales: Ask employees to bring their favorite cakes, cookies or breads. Even a small office can raise a lot of money with minimal effort. Executive Auction: Get the executive staff to donate half a day to the campaign. Then auction each executive off to employees. The executive must take over the employee s job for that half day. Dinner For a Week: Get 7 restaurants to donate a dinner for 2 and raffle off a week of eating out. Sell tickets for around $30 each. The lucky winners are able to eat out every night for a week. Barbecue Contest: Fire up the grill and breakout your best BBQ recipe. Ask members of the team to act as judges and have different categories for various meats or vegetables. Require guests to pay to attend. Home Grown: Employees donate items for auction such as cakes, cookies, monthly parking spots, a weekend at their summer cabin or a home cooked dinner. 11 MISSION-DRIVEN AND EDUCATIONAL EVENTS Statistics Game: At a team meeting, distribute stickers to represent statistics from the Help Center (i.e.: homeless population, past due on rent, in an abusive relationship). At the meeting, ask people who have a red sticker to stand and share with them that this means you were one of the X people who slept on the street last night, or one of X youth who did not graduate. These powerful messages reinforce the mission of Mile High United Way. Educational Panel: Host an educational lunch n learn with an issue-based topic to inspire employees to get involved. Topics can include, Status of Women and Girls in Education, The Education Gap in Denver, What is Impacting Poverty in Denver, and much more! On-Site Volunteering: Host an on-site volunteer project, such as snack pack or hygiene kit assembly, to donate to an agency in need. Check with your Resource Development Lead about options and pricing. Are you Smarter than a 3rd Grader?: Integrate United Way s Reading by Third Grade initiative with a take-off of this television show. Contestants are asked questions which can be 3rd grade material or United Way information, with a panel of 3rd Graders to ask for help. Bingo/Trivia: Send out key information and trivia questions about Mile High United Way s work in the community. First person to respond gets a chip for their bingo board or points. TEAM EVENTS Hallway Golf: Form teams, get creative, and create golf holes throughout your office. Incorporate Mile High United Way s mission by conducting a food or book drive and use the donated items to create the holes. Employees pay to participate in the golf. Consider getting your corporate vendors to sponsor holes. Tricycle Race: Set up an office relay course for participants to race, either sitting in a chair or on tricycles. Have employees bet on their favorite contestants to win. Amazing Race/Scavenger Hunt: Host a scavenger hunt competition. Consider including Mile High United Way impact partner as part of the hunt. Sports Tournaments: Host a basketball, dodge ball, four square, or any number of sporting event tournaments for your company. Participants pay to enter and proceeds come to Mile High United Way. Donate the sporting equipment from the games to a Mile High United Way impact partner. College Basketball Bracket: During March Madness, turn your work bracket into a fundraiser for Mile High United Way. Fifty percent of the proceeds go to the bracket winners and 50 percent come to support Mile High United Way s programs. Point System Competition: During the campaign, develop a point system to encourage participation and a friendly competition between departments. The team that wins the most points will earn a team lunch, half day of PTO, week of jeans, etc CAMPAIGN MANAGER HANDBOOK For more resources, visit unitedwaydenver.org

12 For example: 6 points for giving during the campaign 4 points for increasing gift from last year 3 points for donating to the food drive 2 points for volunteering during the campaign 1 point for attending a campaign event (i.e.: kick-off, meeting, etc.) Competition between Companies: Do you have a vendor or a competitor that also runs a workplace giving campaign with Mile High United Way? Consider doing a friendly competition between companies. Most raised? Most participation? The winning company has to provide the other company with a prize (i.e.: hosted lunch). Baskets for Auction: Gather your department and create themed baskets for a raffle. Basket theme ideas include: Backyard BBQ, Wine Lover, Beer Lover, Movie Night, etc. Bowling Tournament: Set up a bowling alley in a hallway using bottled water and a ball. Charge participants to enter. Participants can get pledges for the number of pins knocked over. COMPANY-SPONSORED EVENTS Mobile Food Sales: Host a coffee cart or ice cream truck. Sales of all items come to Mile High United Way. Leadership Lunch: During the campaign, encourage participation amongst employees. The department with the highest participation gets to attend a lunch or dinner hosted by all senior leadership. Lunch can also be for those who give $1,000 or more. Pancake and Waffle Breakfast: Host a pancake or waffle breakfast for employees. Charge employees for the ticket. Encourage leadership to serve food at the breakfast as a way to show their support for the campaign. Office Olympics: Set up an obstacle course in the lunchroom, several offices, and several floors of offices or outside. One station can be for typing a couple of paragraphs, another station for filing, another for photocopying, etc. The contestants pay an entry fee to support Mile High Unite Way. Lunch Time Meals: Sponsor a lunch of spaghetti, chili, barbecue or another favorite food. Charge a flat fee for all you can eat, enough to cover expenses and make a small donation. Executive Auction: Get the executive staff to donate half a day to the campaign. Then auction each executive off to employees. 13 Balloon Pop: Place gift cards or small prizes inside balloons and sell raffle tickets to get a chance to pop the $5, $10, $20, $50 etc. balloon at your campaign wrap-up celebration. CEO Lunch: Sell tickets to employees to attend a luncheon where your CEO/Leadership serves and busses tables. Or, consider doing a raffle for a lunch with the top-level executives at your company. INCENTIVES Many organizations provide incentives tied to their campaign goals. A large budget is not necessary for incentives there are many free incentives you can offer to employees for participating in the campaign. These items can also be donated and used in silent auctions. Personal day off Company gear Sleep-in or long-lunch pass Free lunch pass Chair massages Weekend at a vacation home or unused Jeans or casual day passes time share Covered or close parking Lunch with CEO or senior leadership Tickets to sports,show or movie Gift cards for retail, gas, oil change, car wash THANK YOU EVENT It is often easy to forget to thank employees at the conclusion of the campaign but it is one of the most important items. Be sure to celebrate the success of your campaign through a special thank you event or, at a minimum, in your wrap-up communications. Campaign Thank You Event Ideas: Distribute thank you notes, personally signed by the campaign chairs or an executive, to all employees to recognize their involvement in the campaign. Notes to not need to just go to those individuals who gave ensuring people do not feel singled out. Have your executives share your campaign totals, percentage participation and highlights. Invite Mile High United Way say a few words to thank employees and remind them of the impact their gifts make in the community. Close the office an hour early and have a casual gathering with snacks and beverages. Give out superlatives for best of the campaign such as Best of Chili Cooker Award, Best Trike Racer, Most Creative Golfer. 14 EMPLOYEE EDUCATION AND COMMUNICATION While campaign events can be incredibly fun, the most critical piece of your campaign is ensuring that your employees understand the impact they can make in the community by participating. Don t forget to talk to your employees about the work Mile High United Way is doing to change lives and transform communities. ENCOURAGE A CONTRIBUTION TO MILE HIGH UNITED WAY Mile High United Way supports hundreds of human service programs that address the community s most pressing needs. Focusing in the areas of school readiness, youth success and adult self-sufficiency, United Way improves lives by supporting programs that achieve real and lasting change. A contribution to United Way provides support not only to one cause or issue it provides valuable resources that tackle multiple issues with a single donation. 15 2-1-1 Help Center: Helping Coloradans one call at a time How policy can support our most vulnerable community members Schedule an agency speaker from one of Mile High United Way s Community Impact Partners to attend smaller team meetings throughout the campaign. Schedule a Mile High United Way agency tour during your campaign to help enlighten your co-workers learn more about community needs. PRINT AND ELECTRONIC EDUCATION OPPORTUNITIES Use communication templates to send weekly newsletters to your employees. Post the Mile High United Way campaign video, as well as one or two success stories, on your employee intranet. Display posters in stairwells and restrooms with fun facts about the impact of gifts (facts can be provided by Mile High United Way). If there are employees that have benefited from Mile High United Way see if they are comfortable sharing their story at an event or in an . Create a short video of your executive or campaign team members sharing why they give and participate in the campaign. 16 VOLUNTEERISM Volunteering is a great way to educate your employees about community issues while engaging them in a fun and worthwhile activity. Did you know volunteers give an average of 10 times more money to charity than people who do not volunteer? Mile High United Way s team can create a year-round plan for your corporate and employee volunteer program to engage your employees in the community while also aligning opportunities to your corporate values and community priorities. Below is a summary of opportunities and events we encourage you to participate in today! POWER LUNCH Adopt a classroom with co-workers and read to students for 45 minutes each week. Benefits: Build a relationship with a student. With a co-worker, trade-off reading weeks to keep your schedule flexible. Select a school near your workplace to minimize the weekly commute. TUTORMATE Tutors connect with students using a telephone and an innovative shared-screen online tutoring program. Students and tutors read stories and play activities that encourage fluency, comprehension, phonics and spelling skills. Benefits: Highly flexible, including scheduling and virtual learning Opportunity for one-on-one relationship building, regardless of tutoring online Opportunity for two in-person meetings with students SCHOOL PARTNERS Denver Public Schools Foundation, Mile High United Way, corporations (big and small) and community organizations have teamed up to contribute to the success of every DPS student. Join our movement to create great futures for our kids. CUSTOM DPS SCHOOL PARTNERSHIPS This program creates tailor-made partnership between schools and businesses to help every Denver Public Schools student succeed. 17 Benefits: Year-Round opportunities to engage a wide-variety of employees Targeted impact with one local school Commitment of a minimum of 4 engagements during the year ANNUAL VOLUNTEER EVENTS PROJECT HOMELESS CONNECT NOVEMBER 17, 2015 Each November at the Colorado Convention Center, Mile High United Way partners with Denver s Road Home to host Project Homeless Connect. This one-day, one-stop shop for programs and services offers help to those experiencing homelessness and those at risk of becoming homeless. The event serves more than 1,500 individuals and depends on more than 1,000 volunteers. MILE HIGH UNITED WAY TURKEY TROT NOVEMBER 26, 2015 Every Thanksgiving morning, more than 20,000 people make the Mile High United Way Turkey Trot an annual tradition with their families and friends. Proceeds from the four-mile run/walk benefit Mile High United Way. The Turkey Trot is only possible with the help of more than 300 volunteers. MILE HIGH UNITED WAY CHILDREN S HOLIDAY PARTY DECEMBER 12, 2015 This annual event brings together volunteers and families to help celebrate the holiday season through service and community. Volunteer opportunities include: face painting, gift wrapping, cookie decorating, gift shop attendant, and many more activities. In addition, your company can host a Toy Drive for this annual event. MILE HIGH UNITED WAY BRIDGING THE GAP CAREER WEEK Quarterly, Mile High United Way hosts a Bridging the Gap Career Week with the goal to provide youth transitioning from the foster care system the supports they need to become gainfully employed. Sessions throughout the week provide flexible volunteer opportunities and include resume writing, mock interviews, professional dress, workplace communication and much more. DAYS OF SERVICE If Mile High United Way s signature volunteer events do not meet your corporate volunteer needs, we are happy to create a customized day of service, similar to the ones below. 1. 18 Volunteer Opportunities: Corporate employee work days (grounds upkeep and maintenance projects), children s parties and events, school activity assistance for grades K-8. Time, Number of Volunteers, Ages: Weekday and weekend options. Accommodates 5-20 volunteers. Great for team building. Minimum age is 18 years. Website: msvhome.org 2. Urban Peak Denver Helping youth graduate, ready for college or work. Volunteer Opportunities: Preparing and serving meals, life skills counseling, and large scale projects (painting, organizing, and maintenance). Time, Number of Volunteers: Accommodates 6-15 volunteers. Other factors vary depending on project; ability to customize. Website: urbanpeak.org 3. Food Bank of the Rockies Helping adults and families meet basic needs Volunteer Opportunities: Reclamation (inspect, clean, sort and box items), Distribution (pull and build orders), Community Kitchen (prep food, cook, clean), Nutrition Network (fill snack orders and load for delivery), and USDA (assembly line filling boxes). Time, Number of Volunteers, Ages: Mon-Fri, 8:30a.m. to 4:30p.m. and one Saturday per month. Shifts from 9a.m. to Noon and from 12:30 to 3:30p.m. Accommodates volunteers. Great for team building. Foster Youth Move-In Kit: Youth who are transitioning out of foster care into adulthood often move into their first apartment with little to nothing. Create move-in kits that include kitchen supplies, bedding, etc. and help make this often difficult transition a bit easier. Baby/Toddler Kit: Provide a Baby/Toddler kit for a Bridging the Gap young person to encourage him/ her as a new parent or as a parent living on their own for the first time. Donor Analysis: Review workplace giving campaign to assess the number of individuals who are giving $1,000 or more annually and are therefore part of the Leadership Giving Society. Also review those that are giving at lower levels but have the ability to give more. Use this data to inform your leadership engagement strategy and goal. 2. Identify a Leadership or Tocqueville Giving Chair: Find a champion from within senior management who can encourage other leaders to step-up their giving to the next level. Consider creating a 10 percent challenge to encourage people to increase their gift by 10 percent. 3. Host a Leadership Event: Consider hosting an event at a special location or one of the Executives home. At the event educate leadership about the campaign and United Way and challenge them to make a meaningful contribution. 4. Partner Agency Site Visits: Depending on the size of your leadership team, consider hosting an afternoon or early morning tour at one of more than 100 partner agencies. 5.
