Accounts Payable Overview Use Accounts Payable to enter and track amounts owed to vendors and customers, as well as track other charges incurred by companies you deal with. When you send a purchase order to a vendor, that vendor sends an invoice to you to account for each item you ordered. You then use that invoice to match what you ordered to what was received. You can reconcile the purchase order and resolve any discrepancy that may occur, such as not receiving all the items you ordered. The Accounts Payable system reduces confusion and miscommunication within your company. When problems do occur, you spend less time fixing them because the payables system allows you to virtually recreate the point in time when the problem developed. Use the procedures in the following areas to manage your accounts payables: A/P Entry A/P Inquiry A/P Ledger A/P Preview Queue Recurring A/P Entry Print Checks A/P Reports 2011 Epicor Software Corporation. 21 Rel Accounts Payable Managing Variances Using the Purchase Variance Queue When physically matching your vendor invoices to purchase orders, you may find there are discrepancies or variances in what you have received to what you originally ordered, as well as the cost of the items you ordered versus what you were invoiced. Use the Purchase Order Variance Queue to review purchase orders that do not match the received invoice. The system does not remove the purchase order from the P/O Variance Queue until Accounts Payable has the system cut a check to that vendor for the purchase order. For example, you may have received more or fewer items than you ordered. From A/P Entry, drill into the purchase order and identify which items have been received. When you enter the variance using the Vendor Qty, Vendor UOM, and Vendor Extended Cost fields and the information does not match the original purchase order, the system adds that purchase order to the Purchase Order Variance Queue. From the queue, either purchasing or warehouse users resolve the issue. After resolution, the system removes that purchase order from the queue. Note: To display summary information for this queue at all times, add a P/O Variance widget to your Solar Eclipse main window. To manage a purchase order variance: 1. From the Purchase > Queues menu, select P/O Variance to display the Purchase Order Variance Queue. 2. In the Branch/Territory/All field, enter the branch, branches, or territories for which to display the purchase orders that have variances and press Enter. 3. Populate the header fields to limit the queue display results. Column Writer Pay-On Date (On or Before) Directs Lot Billed EDI Invoices Variance Type Status Enter a purchase order writer's name to limit the queue to only orders entered by that user. Select whether to include lot-billed items in the queue. Select whether to include EDI 810s with variances in the queue. The system only creates variance records for EDI 810 invoices if the PO Variances For EDI 810 Invoices control maintenance record is set to Yes. Select how you want to filter the queue for the type of discrepancies or variations you need to review. Select whether to display resolved, unresolved, or unreceived variances Epicor Software Corporation. All rights reserved. 15

Edit the ship date of the order generation being reconciled, by the following: 1. From the File menu, select Material Detail display the Lot Item Material Detail window. 2. From the Edit menu, select Change Shipment select the date from the list. (View Only) Total customer price for the entire lot item. (View Only) Total vendor cost for the entire lot item (View Only) Total remaining (open) lot price, before reconciling. (View Only) Total remaining (open) lot cost, before reconciling. To change the billing amount, enter any amount that does not exceed the open price. If you round the amount, for example, an asterisk (*) indicates that the system has overridden the amount. To clear an override, press the Spacebar Epicor Software Corporation. All rights reserved.

Rel Accounts Payable Field A/P Billed Do one of the following: Enter the amount of the vendor invoice you are reconciling for payment. The system warns you if the amount is greater than the open cost. Select one of the following to continue: Match Open Cost - Adds the order to the P/O Variance Queue with a cost variance. Accept Vendor Amount - Overrides the error and takes the overpayment. Cancel - Returns you to the A/P Open Lot Item window. Leave the field blank to un-reconcile your initial selections.. From the Edit menu, select Material Detail display the Lot Item Material Detail window. Enter the material detail prices and costs from the vendor's invoice. When you click OK, you can copy the extended totals of the material detail prices and costs into the A/R Billed and A/P Billed fields. Note: If you enter an amount in the A/P Billed field and then change amounts on the Lot Item Material Detail window, the system prompts you to decide whether to replace the A/P billed amount with the material detail total. Material Detail Needed Select to add the order to the P/O Variance Queue to resolve a quantity variance. * Updates when you return to A/P Entry. 2. From the File menu, select Exit and click Yes to save your changes and return to the A/P Entry window. If the lot item has no other open ship date generations and the lot price or lot cost are not billed in full, the system prompts you to schedule a backorder shipment. Note: On the Lot Item Status window, the system updates the A/R Billed field to show the total amount of customer invoices and the A/P Billed field to show the total amount reconciled for payment to the vendor. 3. Verify that the amount in the Invoice Amount field equals the amount in the P/O Received field. If it does, the Difference Amount field should be zero, and the invoice approved for payment. 4. If the value in the Approved field is Yes, the system processes the transaction and sends the customer invoice to the print queue. The invoice will print with the next print cycle. If the value is No, then select the account to which to post the unreconciled amount. 5. Address lot-billing variances using the P/O Variance Queue. 6. Save your changes and exit the window Epicor Software Corporation. All rights reserved. 39

Solar Eclipse Accounts Payable Rel Lot Item Order Prompts While reconciling your lot shipments, you might encounter the following additional prompts Prompt Do You Wish to Reconcile this Lot Item Generation with Zero Cost? (Y/N) There is No More Material Detail Scheduled. Do You wish to Complete the Billing? (Y/N) Displays when... the distributor releases material detail to the customer with zero price and zero cost. and you want to close out a generation with zero cost. If you enter Y, the generation process. all the material detail has been delivered, but the vendor has accidentally under-billed the distributor. If you enter Y, the system bills the unbilled portion of the total lot price Epicor Software Corporation. All rights reserved.

Rel Accounts Payable Reconciling Partial Lot Item Shipments Occasionally, a vendor may not have enough inventory in stock to ship an entire order. When this happens, you reconcile only the products actually received against the products ordered. You can then invoice the customer and pay the vendor for only the quantity received, following the process for reconciling complete lot item shipments. To reconcile a partial lot item shipment: 1. From the Orders menu, select Sales Order Entry to display the Sales Order Entry Body window. 2. Open the order containing the lot item. 3. From the Line Item menu, select Lot Item Status to display the Lot Item Status window. 4. From the File menu, select Material Detail to display the Lot Item Material Detail window. 5. From Edit menu, select Change Shipment, and select New from the list. 6. Select Change Shipment again and select the original shipment date generation that matches the vendor invoice. 7. For each item not shipped, from the Edit menu, select Detail Scheduling to schedule the products for the new shipment date. When you are done: The items on the original ship date generation must match the partial shipment information on the vendor's invoice. The items not shipped must be scheduled for the new ship date generation. 8. Finish reconciling the lot item shipment Epicor Software Corporation. All rights reserved. 41

Solar Eclipse Accounts Payable Rel Scheduling Lot Item Backorder Shipments If the lot item has no other open ship date generations and the lot price or lot cost are not billed in full, the system prompts you to create a new backorder ship date. The system determines this date based on the vendor's Backorder Days field setting in Vendor Maintenance. This setting takes into account how long, on average, manufacturing items take when determining when more of the product will be available to ship. You can change the date to any date after the suggested date. Use the new ship date generation to complete the lot item's billing at a later time. To schedule a lot item backorder shipment: 1. On the A/P Entry window, when the backorder prompt displays, do one of the following: Accept the suggested backorder date. Enter the backorder ship date at the prompt. 2. Press Enter to process both the sales order and the purchase order, to create a new generation that does not include materials, and to return to the A/P Entry window. 3. Finish reconciling the lot item shipment. Note: To see the backorder generation you just created, refresh the A/P Entry window by closing it completely and then reopening it. Backorder Prompts Prompt Total Lot Cost not Reconciled in Full Total Lot Price not Billed in Full Create B/O Ship Date On: <date> Total Lot Cost not Reconciled in Full Create B/O Ship Date On: <date> Total Lot Cost has been reconciled. Bill the remaining price? (Y/N) Total Lot Price not Billed in Full Create B/O Ship Date On: <date> Displays when... The amount in the A/P Billed field is less than the amount in the Open Cost field, and the amount in the A/R Billed field is less than the amount in the Open Price field. The amount in the A/P Billed field is less than the amount in the Open Cost field and you billed the customer before the shipment arrived from the vendor. The amount in the A/R Billed field is less than the amount in the Open Price field. If you enter Yes, the system updates the A/R Billed field value to match the value in the Open Price field. If No, the next prompt displays. You select not to bill the remaining amount in the Open Price field Epicor Software Corporation. All rights reserved.

Rel Accounts Payable How Eclipse Updates Reconciled Lot Item Shipments After you complete the reconciliation of materials in a vendor shipment against the vendor invoice, the system updates several lot item change logs, ledgers and other windows. Click a form and leave the cursor positioned over it to view changes made to the displayed screen, or click Window Updates for a list of changes Epicor Software Corporation. All rights reserved. 43
