1 Software Version Release Date (Build # ) 12/14/2011 I. Application Feature Enhancements / Modifications Feature Pertains to Description Municipalities Providers 1 Provider claims are now permitted to have overlapping time in/out for same rendering provider on same service date for same or different child. The modification permits time out for one claim to equal the time in another claim for the same rendering provider. 2 Clarified the rendering provider errors displayed in electronic claiming 837 F-File. The modification provides clearer explanation regarding the nature of the error and the corrective action required. 3 The 837 F-File consists of two separate validation steps. Prior to the change the F-File was created and displayed after the first validation step, and updated if additional errors were detected during the second validation step. This modification holds the display of the F-File until after both validation steps have been completed. 4 Created a new Employee ID page associated with the Provider Home page Employee/Contractors page. Enables Users, limited by User Role, to view rendering provider employee / contractor Social Security Number (last 4 digits only) and NPI number. Enables User, limited by User Role, to add or edit a NPI number. Displays Review Required in the Social Security Number field if the system detects an error with the recorded number. Page 1
2 5 Added SA Download feature. Link added to Provider Home page Navigation menu. Enables Users to export Service Authorizations from NYEIS. The exported Service Authorization data file is in ML format and contains all Service Authorization information in NYEIS. 6 Changed a claiming validation to enable a Provider whose status is set to Withdrawn by BEI Provider Approval Unit to submit claims for Service Authorizations approved prior to the Withdrawn status effective date. When claiming, system validates that the claim service date is prior to the Withdrawn status effective date. 7 Modified the process for changing the Initial Service Coordination assignment. System enables user to indicate the Start Date for the new Initial Service Coordinator. The corresponding new Service Authorization has an effective date based on the Start Date recorded by the user. The End Date of the original Service Authorization is set to the day before the new SA Start Date. 8 Added auto-extension feature for Initial Service Coordination service authorizations. Created an overnight batch process that detects Initial Service Coordination service authorizations set expire and extends the Service Authorization by 30 days if there isn t an Active Ongoing Service Coordination Service Authorization. System records Initial Service Coordination Auto-Extension reason for the extension. Child s EIOD and Provider agency receive a Notification concerning the extension. 9 Added a system feature that automatically checks if there is an Initial Service Coordination Service Authorization with a Status of Active or Approved or Extended when an Ongoing Service Coordination Service Authorization is created and Activated. If yes, the system Page 2
3 automatically sets the Initial Service Coordination Service Authorization status to Closed and sets the End Date to one day prior to the Ongoing Service Coordination Service Authorization Start Date. System sets the Initial Service Coordination Service Authorization status to Pending Closure if Open tasks associated with the Service Authorization are detected. System creates a new Task for the EIOD to action Open tasks. System subsequently sets the Initial Service Coordination Service Authorization status to Closed via an overnight batch process once open tasks are Closed. 10 Enabled the User to designate a different rendering for the Service Coordination claim than the rendering assigned in the Service Authorization. Allows User to select a new rendering from a list of approved service coordinators associated with the Provider of Record. II. Defect Fixes / Corrections Correction Pertains to Description Municipalities Providers 1 The system query related to provider / employee /Qualified Personnel invoked during the 837 electronic invoicing process was modified in a similar manner to the Provider Search query modification included in Release 1.5 to reduce overnight batch processing time. N/A N/A 2 Corrected an issue that prevented NYC payments from being staged in the 835 Remittance File after the claim was paid. Issue was caused by the provider configuration record set to the NYC Citywide municipality and the provider configuration validation checking for the specific borough on the Service Authorization. Page 3
4 3 Corrected a defect that sometimes prevented the synchronization of the case Nominee (i.e., the provider who receives payment) when a Service Authorization Provider of Record was changed as a result of a modification. 4 Corrected an error that occurred during the import of the Mobile IFSP data file. The system issued an erroneous validation error "IFSP start date must be on or after the MDE Eligibility Date" when the IFSP Start Date occurred after the MDE Eligibility date. 5 The format of the Name field on the IFSP User Roles enabled any user with access to the page to access to the individual's NYEIS User Account page and change account settings (e.g., User Role). Removed access ability. 6 Corrected the Service Delivery Summary page data to count claims with a status of Submitted for Municipal Review as utilized. Claims in "Submitted for Municipal Review" were not being counted as utilized visits, and the Service Delivery Summary page to display the incorrect number of Units remaining. 7 Corrected an error that occurred during the Cloning of IFSP when 1) the child had been transferred from another Municipality, and 2) more than one Initial IFSP were created for the child. The system should have set cloned IFSP Type and Start Date / End Date to next appropriate period (e.g., 1st Review). The system was setting the Cloned IFSP Type to Initial and set the End Date based on the second Initial IFSP Start Date rather than the first Initial IFSP Start Date. System now identifies correct IFSP to base Cloned IFSP type and dates. Page 4
5 8 Corrected the validation related to Occupational Therapy Service Authorizations that restricted the Script authorizing professionals to Physician and Physicians Assistant. Added Nurse Practitioner to the list of professional who can authorize the script. Page 5
