3 Introduction The Account Admin Tool provides the ability to add and modify access to the Lawson application for non-core users. Viewing of specific bookmarks, assignment of process flow tasks, access to certain Lawson forms, etc. are based on the business roles assigned to a user by this tool. The Account Owner and Department Admin will use the Account Admin Tool to request access for users who belong to the accounting units they are responsible for. The access requests will be sent to the holistic access matrix, also known as HAM, which is the underlying database that defines access to Lawson. DIS will monitor the database for any incoming requests and grant the access needed within 24 hours. Accessing the Account Admin Tool Account Owners and Department Administrators can access the Account Admin Page from the Account Admin bookmark on the left side of the Lawson Portal. P a g e 3
4 Adding or Modifying Lawson Access for a User The name of the Account Owner or Department Admin who is using the Account Admin Tool will display on the home page. In this example, John Smith is the Account Owner or Department Admin. Here you will enter the employee number of the desired employee and click on the Go button. On the new screen that appears, you will be able to define access for this employee. The employee s full name, employee number, and picture will be displayed. The Business Role column defines the various business roles that the employee can be assigned. There is a description of each business role to facilitate appropriate assignment. The Accounting Unit Associations" column is where the Account Owner or Department Admin can perform assignments by selecting the specific accounting unit in which the employee will have that business role. You will see any existing business roles and accounting unit associations on this screen if they ve been previously added. The existing access will be displayed as read-only text with a checkbox next to it. As you can see, Jane Doe is already defined as a Supply Chain Requester for three accounting units, (SER-DIS-Core-COO), (SER- DHA-HER Project), and (SER-DIS-Core-Director IT). P a g e 4
5 In order to add a new business role within a specific accounting unit for an employee, click on one of the dropdowns in the Accounting Unit Associations column aligned to the row of the needed business role. The accounting unit values that display in the dropdown are only those which the Account Owner or Department Admin is responsible for. You cannot assign an employee a business role in an accounting unit outside of your responsible units. You are initially limited to selecting four accounting units per business role, but once the pending changes have been completed you will be provided with four additional dropdowns to assign more accounting units per business role if needed. 6 You can also remove any existing business roles and accounting unit associations in the same access request submission, if needed. Click on the checkbox next to the appropriate read-only text so it is now checked. P a g e 6
7 Once all changes have been made, click on the Submit button at the bottom of the screen. The following message(s) will display, outlining each access requested. If you go back and bring up the same employee that you just submitted business roles and accounting unit associations for, you will see a list of pending changes at the top of the screen. P a g e 7
8 If you noticed that you made a mistake with one of the pending changes submitted, you will need to contact the Service Desk to retract or modify the access request. As mentioned, the access requests will be sent to HAM, which is the underlying database that defines access to Lawson. DIS will monitor the database for any incoming requests and grant the access needed within 24 hours. P a g e 8
