1 Cornerstones Five cornerstones recognized as essential to NWSRA s continued success reviewed during strategic planning years. Quality Service & Community Access for Participants & Families Goals completed by: Andrea JoAnn Summer Theresa (Nanette, Cathy for donor member businesses) Focus/Long Term Goals The area of focus under each corner stone. These are broad ideas that are developed every 3 5 yrs. during strategic planning. Facilities To address identified facility space through our member park districts, churches, schools, donor partners and community facilities to address the growing needs for program space. Short Term Goals What we need to do to address our long term goals, annually, under each focus/long term goal. Address our space needs with member park districts and community contacts to emphasize the need for specific program space. Identify contact people and investigate possible program space availability through donor partners with large agencies. Measurable Objective The measurable actions that will tell us that we are succeeding. Each Facility Coordinator will schedule 1 2 meetings for potential park district and commercial facility space. Facility Coordinators will arrange for program staff to tour 2 potential spaces per year. Hold 2 meetings with donor partners to inquire about potential program space. To create new programs and evaluate existing programs by utilizing the feedback from surveys, ROI, Instructor feedback, parent comments, etc. Expand the number of low cost family special events and opportunities that are offered. Create a Program Development Committee to assist the facility coordinators with the development of new programs and the evaluation of existing programs. Offer one low cost family special event per season. Andrea Inclusion Team Inclusion Support the inclusion model by implementing the inclusion process collaboratively with the member park districts. Increase Paralympic program opportunities. Discuss and share current inclusion trends and needs with member park district staff. Provide ongoing inclusion training to the NWSRA member park district staff, NWSRA inclusion aids and the community. Work with Adaptive Adventures to provide 1 new Paralympic opportunity. Meet quarterly with PIT (Programming Inclusion Together) group. Create a park district inclusion training handbook for each member park district. Develop a Site Director training for new sites with inclusion. Meet with 2 park districts to discuss involvement in Healthy Minds Healthy Bodies for veterans. Meet with park district senior supervisors to discuss programming for seniors. 4 Build brand awareness in the community and with our member districts and establish marketing minded leadership within the NWSRA staff. Ensure functionality and enhance efficiency of work systems through effective, networked IT solutions. Ensure a consistent, branded message to the NWSRA target market Look for ways to continue to increase exposure of NWSRA Increase social media engagement by 5%. Provide at least 5 opportunities for staff involvement to market the agency. Provide one opportunity per year to train staff on marketing efforts. Identify and contact five businesses that will distribute NWSRA information and marketing materials. Attend at least 15 community expos/resource fairs and provide information. Enhance customer service efforts to provide an outstanding customer experience Provide 5 low cost social media and e marketing opportunities to promote services. Work with member park districts marketing and PR staff to develop agency marketing opportunities. Ensure functionality of existing server and computer systems Save costs and increase capabilities of telephony through Unified Communications platform Provide training and materials to staff on providing excellent customer service. Implement cloud based database with online registration enabled on website Implement new accounting software that integrates with new database Utilize cloud technology to decrease dependence and save costs on future hardware purchases. Outreach/ROI Create a strategic outreach plan to target inactive participants and to address unmet needs utilizing ROI. Identify community partners, park districts and commercial organizations to broaden the scope and increase capacity of NWSRA programs and services. Utilize ROI program to address the unmet needs identified through communication with inactive participants. Offer 10 programs/events that are held in collaboration with other SRAs, park districts, community contacts, schools, etc. Based on outreach efforts through ROI, 10 participants from the Inactive list will rejoin NWSRA. Utilize census and school district data to identify potential new families and/or individuals. Based on outreach efforts through ROI, 10 new families will join NWSRA. Create a tracking system for outreach of new families and/or inactive participants. Organizational Preparedness Tracey Trisha Admin Team Managers Committee Chairs Recruitment Team Supervision/Management /HR To keep board and staff updated on new, revised and current operations and procedures. Revise the NWSRA policy and operations manual to comply with PDRMA risk management, state and federal requirements. 7 Strategically address upcoming retirements in key employment positions. Provide opportunities for staff to develop leadership skills. Introduce the succession plan process to staff. Maintain 6 inter agency committees that are committed to the development of goals and objectives within the agency mission, vision and values. Committee chairs and committee members will create a list of at least 8 goals and objectives due by January 31, 2016 and report quarterly at designated staff meetings. Participate in the Distinguished Agency Accreditation process. Create a team to develop the process for the creation of an agency wide comprehensive 3 year Strategic Plan. Involve staff members in the completion of the Distinguished Agency Accreditation evaluation by September 31. Introduce the 3 year comprehensive strategic plan to staff. Develop 2 trainings per year that are focused on the succession plan process for managers and coordinators. Offer 1 optional training per year on qualities and qualifications for interagency advancement as outlined in the succession plan. 7 P age

Focus on retention of qualified and high performing employees. Collaborate with park districts to develop cooperative interview nights. Focus on recruitment for specific seasonal employment opportunities. Increase on line presence for recruitment of staff. Three mentoring opportunities will be established. Offer 3 cooperative interview nights with member park districts in NE, SW and central. Create a recruitment marketing timeline with focus on seasonal employment opportunities. Increase the volunteer pool in the S/W and N/E areas of the NWSRA service area and for large group activities and social clubs. Recruit high school students though attendance at Career Day or through classroom presentations. Create a seasonal recruitment strategy in preparation for fall programs to be held in April/May. Evaluate the current recruitment process and make changes for a more defined and better communicated process. Create a Recritment manual Offer one interview night in the spring specifically for recruitment for fall programming. 8 P age

9 Determine contacts at the area high schools and ask to be put on the list of businesses that will be available at the Career Nights. Collaborate with high school student work programs. Evaluate the current recruitment process and create a more defined process. Attend 3 high school career days/nights for recruitment opportunities. Create a report to track employee longevity and hiring trends for better forecasting. Offer 1 Career Night with member park district(s) with the focus on recruitment of H.S. students. Track seasonal and annual hiring trends Provide flyers to area high school special education departments for their Buddy Group about part time and volunteer opportunities. Work with District 214 Internship Program. Promote the field of Therapeutic Recreation at 2 area high schools and 2 NWSRA seasonal orientations; including day camp. 9 P age

10 Create a recruitment task force to develop a strategy to enhance recruitment efforts. Visit and present a minimum of 1 time/year to a college or university to recruit potential seasonal staff, fieldwork students and interns. Offer 1 classroom presentation at a high school class room per quarter. (4/year) Create a report to track hiring trends (seasonally/annually) for better forecasting of recruitment needs within each department. A summer recruitment plan will be created annually by the managers to target summer employment strategies. 10 P age

11 Jayne Admin Managers Trisha Training & Certifications Provide training and mentoring opportunities at all levels of employment; and for both part time and full time employees. Design and implement a new mentoring program to increase leader confidence and build leadership effectiveness. Develop an incentive program for purposes of staff retention. Provide supervision and management techniques at each (3) seasonal trainings for part time leaders and one time per year for full time staff. Include topics required by Distinguished Accreditation and PDRMA standards. Manage the certification requirements of all eligible full time employees. Provide additional training opportunities through webinars, and on line learning. Develop department/project specific training manuals. Provide training to park district new employees to enhance their understanding of NWSRA s services. Create 2 opportunities for staff to receive mentoring to develop skills for advancement. (program leader/site director) Staff will receive 3 opportunities for on line and/or webinar training. Create a training packet that park district can use when training new employees. Analyze PDRMA incident and accident reports for internal trends for 3 year training cycle. Create a standard for new hire training and a minimum criteria of training needed Training topics will include those that are required by PDRMA and Distinguished agency to be covered annually. Distribute training packet to be utilized by park districts for new employees to 11 P age

Develop an annual training calendar utilizing PDRMA, Distinguished Accreditation standards and NWSRA certification requirements. Offer 1 training per session for full time staff on behavior management. 13 Tracey Admin Kelly Long Range Financial Planning Address the NWSRA investment portfolio, the capital replacement plan and the agency s operating and capital reserve funds for long range financial planning. Follow the NWSRA fund balance policy to address the operating and capital reserve fund balances. Quarterly, analyze revenue and expense trends for annual financial planning and budgeting. Follow the investment plan to invest funds at the end of the fiscal year. Maintain a fixed asset program. Prepare an annual plan of long range capital needs for the Investment Committee s consideration. Provide financial updates in the quarterly reports. Invite investment managers to report at board meetings. (May/October) Report annually of the fund balances. 13 P age
