1 Scopia Desktop for Windows Installation and Configuration Prepared by ITS Teaching Services Version 1.1 Updated 2 December 2011 Scopia Desktop is a software application that allows a personal computer, running Microsoft Windows or Macintosh OSX, to be used for video conferencing. With the right equipment and using this software, you can connect to other Scopia Desktop and room-based video conferencing endpoints via the KAREN Video Conferencing Service (KVCS). This guide covers the installation and initial configuration of Scopia Desktop for Windows. There is a separate guide covering the installation on a Macintosh computer. There are two versions of Scopia Desktop for Windows: Scopia Desktop Standard Allows a user to connect to the KAREN Bridge and join a video conference meeting Users may connect to and configure their KVCS personal virtual room Scopia Desktop Pro A Pro licence allows you to arrange video conferencing sessions directly with other Scopia Pro users without having to book meetings through the KAREN Bridge. Scopia Pro licences may be requested through the ITS Helpdesk. Scopia Desktop Pro includes all of the features of Scopia Desktop Standard, plus: Presence based Contact List application with favourite users and rooms Central, integrated directory for easily looking up Contacts and Endpoints Call another Scopia Desktop Pro user directly for point-to-point calls eliminating the need to use any ports on the KAREN Video Bridge Point-to-point calls with other Scopia Desktop Pro users are possible; they do not need to use the KAREN Video Conferencing Service bridge Point-to-point calls are seamlessly connected to the KAREN Video Bridge when additional participants are added to a meeting Prerequisites Recommended Dual Core Computer Windows XP SP2 + / Vista / 7 Microsoft Internet Explorer 6, 7, 8 (Windows) Scopia Windows installation guide docx Page 1 of 10
2 o Scopia Desktop Installation Guide - MSWindows Note: other browsers are not currently supported Broadband connection or better Webcam (High Definition HD with built-in echo cancelling microphone recommended) Headset (speakers may be used instead, but a head set is required if you find that your voice echoes during video conferences ). Installation Open Internet Explorer browser and navigate to You will be prompted to install SCOPIA Desktop Update if Scopia Desktop is not already installed. Click on the link to install the updates. 3 You may receive a message like this; click on Close. You may then receive the following, or similar, security warnings. Click on Run. If you will only be joining pre-arranged meetings on the KAREN Bridge, then you need only select Conference Client. Ensure that the Conference Client box is checked, then click Install. 4 Scopia Desktop Pro users only: If you are a licensed Scopia Desktop Pro user, then select Conference Client, Contact List, and optionally SCOPIA Add-in for Microsoft Office Outlook Click Install The Scopia Desktop client installation will proceed. 5 The Scopia Desktop website should now be displayed. If not, then use your Internet Explorer browser to navigate to Create a favorite (bookmark) for this site if you want. Scopia Windows installation guide docx Page 5 of 10
6 Testing There are 3 steps to testing your Scopia Desktop installation: audio, video and connection. Audio Click on Check Your Audio, select the appropriate Record and Playback devices (often the default selections are the correct ones), then click on Start audio test Talk, and adjust your microphone levels and speaker volume, as required. Note that the system will usually adjust these levels automatically Click on Stop audio test when you have finished. Video Click on the Video tab, select your camera device, and click Preview Adjust your camera position. Close the preview pane, and click on OK Connection to KAREN Video Conferencing Service Now try connecting to the KAREN Bridge and join the AVVC Test Room. 7 If it is not already displayed, type in your name and Meeting ID: 6222, then click on Participate Now You will be connected to the KVCS Test Room. You should soon hear a welcome message and see your image displayed. Click on the Leave meeting button when you have completed your testing. Scopia Windows installation guide docx Page 7 of 10
8 Configuring Scopia Scopia Desktop Installation Guide - MSWindows Disabling Self View Note that this is controlled in two places in Scopia: Disable self-see if required (default is disabled) from the Remote Video Layout Options menu both self-see (with display name) and picture in picture are ENabled in the first screen shot below Disable picture in picture (default is enabled) on a PC by right clicking on any picture both selfsee and picture in picture are DISabled in the second screen shot below. 9 Changing Screen Layouts Scopia Desktop Installation Guide - MSWindows Ideally with video conferencing we want the head sizes,rather than the screen sizes, to be as even as possible. With Scopia Desktop you can pick from selected layouts in the View menu or on a PC you can also right click and choose between more layouts as shown in the screen shot below. The person or group speaking will flick to the big picture but you can also drag the windows around on the screen. Muting the Microphones Clicking on the microphone or video icon within the Participants box will block or mute other participants, if you have the required rights for the session. The padlocks shown in participant box below will then be visible on everyone s screens. Scopia Windows installation guide docx Page 9 of 10
10 To mute your own microphone, click the microphone icon above and left of the participant box. To switch off your own camera click the camera icon to the right of the participant box. Note that as well as everyone having no image or sound from that participant, that the icons in the participant box will also change as shown below on everyone s Scopia screens.
