While researching this site I was impressed by the quantity, quality and timeliness of the materials presented. It is worth your time to see if they cover a topic on which you need to be kept up-todate. NEO Find and Pro If your Outlook Inbox resembles my system of helter-skelter folders and a filing system NO ONE could replicate, you may be in need of NEO Find or NEO Pro. Both are inexpensive, $15 and $50 respectively, but each comes with a 90-day trial period to see if it s worth the cost in convenience and organization. Both are add-on products to Outlook and work with Outlook 97 and above and Exchange Servers 5.5 and above. They are an additional interface to Outlook, NOT a replacement. In fact, when you create a new mail message, appointment, contact, journal entry, note or task in NEO, the Outlook interface opens for you to accomplish the action. You can also easily switch between the two interfaces 5 There is a very clear chart comparing the features of both available at: <http://www.email organizer.com/products/features _comparison.php> so you can decide which version to try out. Or take a look at their tutorials at: <http://www.emailorganizer.com/ products/webinars_tutorial.php>. (Continued on Page 3)

(Continued from page 2) If you are basically happy with Outlook but have a hard time finding your emails, NEO Find may be a good fit for you. This tool doesn t actually search for lost email but organizes them so you know exactly where they are. Features include: All your messages organized by Correspondent Sent and received mails always automatically together Search for Conversation and Advanced Filtering Caelo's patented lightning fast search capability 6 NEO Pro is an Outlook add-on that shows you many views of all your messages - by date, by sender, by attachment - in all the ways you think about email, and it's instantly searchable. In a nutshell, this is what it does: Organizes for easy access - showing each message in different contexts making it easy to find emails in the future Prioritizes to focus on what s important by separating highpriority correspondent mail from low priority subscription mail ADVANCED Encryption, Part 3 In the past couple of months we have been reviewing encryption of email and system wide encryption, touching a little on back-up encryption. This month I d like to go a little deeper into back-up security, especially for the solos and small firms. My favorite back-up tool is the Lexar JumpDrive Secure II Plus 16 MB USB Flash Drive which for $90 offers a lot of security features and (Continued on page 4)
Page 4 Encryption, Part 3 (Cont.) (Continued from page 3) comes pre-loaded with advanced security software that lets you protect your data securely, quickly, and easily. You can create multiple password-protected areas called Encrypted Vaults that automatically encrypt your data with on-the-fly 256-bit AES encryption. Use the File Shredder feature to securely and thoroughly delete files so they can't be recoveredgiving you complete peace of mind that your data is secure. 8 For more storage capacity, try the Kingston's DataTraveler Vault Privacy Edition USB Flash drive. It stores 32 GB of data, provides full 256-bit AES encryption and the drive locks down and reformats after ten intrusion attempts. It is a great product, but very pricy at over $900. 9 As mentioned last month, the frontrunner in back-up as well as other security issues is PGP. PGP Endpoint Device Control, <http://www.pgp.com/products/ endpoint/> is an extension of the PGP Encryption Platform which prevents data loss from removable storage and portable devices. An additional safety feature for removable storage is Device- Lock <http://www.devicelock. com/dl/>. For about $350 it allows system administrators to define and control the encryption policies their employees must follow when using removable devices.
