THE BUILDING IS CLOSED ON THE FOLLOWING HOLIDAYS: New Year s Day Memorial Day Independence Day Labor Day Thanksgiving Day Christmas Day IN ADDITION TO TENANT LEASE RULES AND REGULATIONS, THE FOLLOWING GUILDELINES MUST BE ADHERED TO: 1. AFTER HOURS ACCESS is obtained by use of an access card, which is programmed in the security system. This card allows access into the building entrances. The card readers are located at the east and west entrances to the building. The east entrance facing S. Parker Road is locked at all times and needs an access card to obtain entry. Access cards may be obtained from building management via an email request and completion of a form. The cost for a lost or stolen access card is $25.00. Each company receives 4 cards per 1,000 square feet leased. New employee or magnetically damaged cards will be replaced at no charge. 2. AFTER HOURS EMERGENCIES are handled by calling 303-892-1111. Our Answering Service will page an engineer immediately to respond to buildings emergencies. 3. AFTER HOURS PROJECT REQUEST BY TENANT should tenants require after hours or weekend project assistance, no less than 10 days notice is required for the staff to schedule an engineer, and to discuss scope and related cost with the tenant. 4. ASSISTANCE BY BUILDING STAFF is available to assist a tenant request in a limited capacity. With prior written approval by a tenant, the engineering staff will be able to assist you in small repair jobs, or handyman type situations on a time-available basis. Management may use the Day Porter to clean up spills or other accidental mishaps. If you need assistance by our staff, please contact the management office and someone will assist you or provide a recommendation for assistance. Please note there is a minimum charge for building assistance and the current cost for a building engineer to assist with your needs is $60.00 per hour and $30.00 per hour for day porter/janitorial assistance. After hours (anytime excluding the office hours noted above and including holidays) the rate will be $90 per hour (Time & one half) and will be charged at a 2 hour minimum. These charges will be billed-back to tenant and appear on the monthly rental statement. 5. ACCESS REQUESTS AFTER HOURS - If an employee requires access to the building/suite after hours, a supervisor of the company must contact management to authorize the access. Each tenant must provide to Management a list of authorized personnel. Please refer to number 4 BUILDING STAFF ASSISTANCE for the afterhours charge the tenant will be assessed to accommodate after-hour calls. Identification will be required in order for anyone to then gain access to the building/suite after hours. 6. BICYCLE POLICY No bicycles, shopping carts, or other type vehicle shall be brought into the suite, premises or the halls, corridors, elevators or any other part of the building by a Tenant. If using the bike storage room, bicycles can be brought in through the Page 2
loading dock down the back hall on the ground floor to the bike storage room. Bikes are not allowed to be brought up through the elevators and stored in the offices. An Outdoor bike rack is located on the southwest side of the building near the loading dock. An Indoor bike storage room is available for employees of the building. All those who use the indoor bike storage room must sign a Bike Waiver and pay $5 to obtain an access key to the room. The bike room is located on the first floor by the mail boxes. A secondary bike room is located on the first floor back hall, just north of the elevators. 7. CONFERENCE ROOM is located on the main level of the building. It is available for use on a first come, first serve, basis. Cancellation must be received 24 hours in advance of the reservation time, or a $25 cancellation fee will be charged. You can book a conference room by e-mailing your request for date, time, full or half room to the management office at kbaalman@ngkf.com. The conference room has a capacity for 80 people. It can also be divided into two rooms that hold up to 40 people each. Capacity is dependent on how you want to set-up the room with or without tables. See flyer within the Misc. tab of this book for the current conference room rental rates. 8. DESIGNATED NO SMOKING AREAS Thank you for your cooperation in maintaining a smoke free environment. Smoking is prohibited in the building. Smoking is allowed at the exterior southwest section by the loading dock. Colorado state law prohibits smoking within 15 feet of a building entrance. Therefore, no smoking is allowed in your office, hallways, restrooms, cafeteria, stairwell etc. Please do not smoke near the building vents for the smoke travels up the vents and into the building. Many people are sensitive or asthmatic to smoke, so please be considerate. We also ask that smokers dispose of their cigarette butts into the ash trays when they are done, rather than on the ground or in the bushes. For more information on smoking laws you can go to www.smokefreecolorado.com. 9. FITNESS CENTER The secured Fitness Center is available to Denver Highlands Tenants only. There are men s and women s showers and saunas available for use. All who use the Fitness Center must sign a Fitness Center Waiver and pay $5 to get an access key to the facilities. The Fitness Center Hours are 5 a.m. to 11 p.m. Use of the Fitness Center is at each individuals own risk. 10. HVAC (HEATING, VENTILATION AND AIR CONDITIONING) a. System is programmed to start early to insure that the building is comfortable during normal business hours. The building automation system will operate to maintain 70 degrees to 74 degrees in the building throughout the year. If you have a specific hot or cold complaint within your suite, please contact us at 303-745-7573. b. Should you require after-hours HVAC, the hourly cost is dependent upon the time of year and will be billed to your suite on your rent bill statement. Prior written approval is required. Refer to your lease regarding after hour air cost. Please call the management office at least 24 hours prior to your request. 11. JANITORIAL SERVICES are provided Monday through Friday on a nightly basis. These services include the cleaning and restocking of restrooms, trash emptied, recycling picked up, the cleaning of common areas, elevator lobbies and tenant suites. The scope of the work within the tenant suites is limited to vacuuming, dusting, cleaning Page 3
of any sinks and countertops, dusting of window coverings and baseboards, and other general housekeeping jobs. If your suite requires a special need, please contact the management office. (i.e. dusting desks or carpet cleaning etc.). There may be a billback for additional items. 12. KEYS. An initial supply of keys is supplied to a Tenant upon move-in to the building. Should an existing tenant require additional keys an authorized representative must request this in writing. The cost for additional suite keys is $5 per key, plus a trip charge fee, if required. Should a tenant require their suite to be rekeyed, provide in writing the required number of keys and the approval of the reimbursement expense. (See Key Form). 13. LOADING AND DELIVERIES are restricted during regular business hours for large items or volume deliveries unless you request management s approval 24 hours prior to the move to reserve the elevator. All deliveries to the building must come through the loading dock. The building does have a freight elevator with pads that must be used for all deliveries. Please contact the management office to schedule to have the elevator locked off for use, 24 hours in advance. 14. MAIL BOXES the post office delivers to the mail boxes located on the ground floor near the elevators. Each tenant receives a key at move-in. FedEx Express and UPS drop boxes are located near the mail boxes and pick-up time is 5:30 p.m. 15. PARKING - Surface and garage parking on the third level are on a first come, first serve basis. The first level is reserved for red and blue tagged employees and the second level is reserved for employees with brown tags. Tenants should hang their tag from their automobile mirror so that it is visible. Tag numbers do not represent space numbers. Cost to replace a misplaced tag is $25. 16. PET POLICY Tenant shall not permit any animal, other than Seeing Eye dogs, to be brought or kept in or about premises or any common area of the property. Animals are not allowed to be left in the car during the day. If an employee requires a Seeing Eye dog, please provide management with the requisite doctors orders. 17. RECYCLING PROGRAM Alpine Waste Management provides a recycling program for the tenants. Tenants may purchase a small recycling container at $7 each that fits under a desk or a large recycling box $42 each that is typically placed near a copy machine. Contact the management office with your request in writing indicating the number and size containers you need. We will deliver the recycle containers to your suite and will bill Tenant back for the cost. Tenants are asked to empty their small boxes into the larger recycling container before their pickup day. Additional information, including what materials/items are acceptable for recycling is located within the Misc. tab of this manual. 18. SECURITY PATROL is provided by Advantage Security. Security patrols the building from 3:30 p.m. to 9:30 p.m. Monday Friday. If you see unwanted or suspicious activity, or want to be escorted to your vehicle call 303-230-0077. Security also provides weekend drive by patrols. Page 4
19. SIGNAGE - Signage for your suite is coordinated with the management office at the time of your company s move-in to the building. After initial tenant move in, all signage costs are at tenant s expense. To update or change your company s signage, please send an email to kbaalman@ngkf.com. Tenant directory in the lobby is electronic; changes to this directory require a written request. 20. SOLICITING - petitioning and sales are prohibited at Denver Highlands. Please report any solicitation activity to the management team. 21. SPACE HEATERS AND CUP WARMERS are not allowed at all per City of Denver code. If an incident occurs in a tenant suite and is found to have been caused by any device such as cup warmers and space heaters, it will be the tenant s responsibility, per the Insurance clause of tenant s lease, to restore and repair all damages at tenant s expense. 22. TENANT OUTSIDE CONTRACTORS Tenants who wish to use outside contractors for work inside their suite must first obtain approval from Management. Once approved, contractors/vendors will need to provide a certificate of insurance to the management office no less than 48 hours in advance before work is to begin. See sample Certificate of Insurance to give to your vendor so their insurance company can mirror for additional insureds. If you request management to provide a contractor (i.e., plumber for your sink, electrician, painter etc.) you must submit, in writing, a request to the management office. This work will be billed back to tenant on the monthly rental statement. 23. TENANT PARTIES OR FUNCTIONS WITH BEER OR LIQUOR - Tenants must provide the management office with additional insurance evidencing hostess license coverage prior to any tenant party or event. See form within this manual to give to management prior notice of your party. 24. TOWING POLICY Please note the following Tow Policy for Denver Highlands. Any car that is illegally parked on the premises will be posted with a parking violation warning ticket. After the second violation, the car will be towed at the car owner s expense. Violations that may result in towing are: a. Parking in a handicap or van accessible space without proper handicap hangtag/license plate b. Parking in a fire lane. c. An employee parking in the loading, delivery, two hour or 30 minute Visitor Parking, taking up two parking spaces or parking in a Reserved Parking space. If a client or guest parks illegally at the property regarding the above criterion, they will be subject to the same Towing Policy. 25. VISITOR PARKING is located at short term posted signs, or at the top (3 rd level) of the garage. Tenants are not allowed to park in marked visitor spaces. If you are having a company meeting and are having company employees at the building, please remind them to park on the third level of the parking garage. 26.
