Instructions on deployment, licence management, configuration, location list options, and troubleshooting. Installation and licensing To install efiler either run the efiler.msi installer on each machine, apply it as a Group Policy Object or deploy it with a third party deployment tool. Once efiler has been installed on a machine it will run on a 30 day trial licence. Upon purchase you will be assigned a serial number (a long Hex string) which will be applied for activation. Irradiant has created its own licensing software and licences can be applied in different ways, according to your needs. To receive a licence a machine needs to be able to have an Internet connection and Port 80 must be open. The licence server keeps a count of the number of licences which have been granted and records machine name, workgroup name, MAC address and domain name (where applicable) for each activation. Licences will be served up to the number which have been assigned to your serial number. Any activation requests over this number will create overflow licences which are effectively trial licences. This means that if the IT department has made an error and applied efiler to the wrong machines, users will still be able to use it while the IT department sorts it out with us. We can also help you to audit your licences for compliance purposes and we can revoke licences for retired machines to make them available for replacements. Please contact us and we will be able to provide list of all computers currently associated with your licence serial numbers.

Licensing method 1 Manual Activation by Serial number. Best method for smaller companies operating from different sites 1. On each machine, click on the efiler button on the toolbar to open the Location Manager. 3. Click on the Change licence ID button. 4. Copy and paste the licence serial number into the Serial number field. 5. Click on Set serial. 6. You see a progress wheel for a second and then a confirmation dialog. It s a good idea to restart Outlook at this point, particularly if you have settings and locations you want to download with your licences. Licensing method 2 Automatic Activation by Internet connection Best method for larger enterprises 1. Click on the efiler button on the toolbar to open the Location Manager. 3. Click on the Change licence ID button. 4. Click on Send details or make a note of Your IP address as shown in the dialog. 5. Email us at support@efiler.co.uk and request that we authorise the specified IP for licensing. 6. We will make contact to confirm your request and ask you to select Check by IP. 7. You see a progress wheel for a second and then a confirmation dialog. 8. Any other computer currently in trial mode attempting to activate from the same IP address will be assigned a licence from the associated serial number. Ask your colleagues to restart Outlook. Assuming you are all connected to the Internet via the same IP gateway all machines will be served a licence. 9. Repeat for each site or gateway IP number. Notes If a computer has been activated with a manual serial number entry this will remain in place until Check by IP is used. Each company may be configured with several licences to suit your organisation. A unique efiler policy configuration and an efiler locations configuration can be applied to each unique serial number. Each serial number can be associated with a singular or multiple gateway IP addresses. Example Within each office you might want to apply different policies for different departments. Each department may be assigned their unique configuration by entering a specific serial number or by using a common gateway IP. Multiple IP addresses can be associated with any given serial number. Example - Offices in London, New York and Dubai can all receive licensing from the same licence pool and can receive the same configuration.

Setting up a company-wide configuration: Many businesses using efiler will want all users to have their efiler settings configured to suit company policy and QA schemes. This is particularly true for settings such as filename templates, prompting to file sent messages and deleting emails after filing. Also, to prevent these settings from being tampered with, customers need to be able to grey them out of the settings menu. Follow these steps to create a company-wide policy compliant configuration: 1. Click on the efiler button on the toolbar to open the Location Manager. 3. Tick the settings as required in the efiler settings menu, taking care to make sure the filename template is correct. Click the Save settings button. 4. Click the Backup settings button. This will create a backup of your current settings and filing locations which will be stored alongside your serial number online. 5. Email us at support@efiler.co.uk to let us know which settings you want greyed out. 6. We will email you or call you to confirm that we have applied your settings and will ask you to restart Outlook to check all is as expected. When other users restart Outlook they will automatically be served the new settings. Different teams can have different settings to suit their needs just create them and tell us how many users to assign to each configuration. We will create a licence serial number for each one and send it to you. When the serial numbers are set by the users they will receive their new settings when they restart Outlook. Setting up a company-wide list of shared filing locations: As well as having their own configuration settings teams can also be given filing locations which are relevant to them. Follow these steps to create a company-wide configuration: 1. Click on the efiler button on the toolbar to open the Location Manager. 3. Click the Backup settings button. This will create a backup of your current settings and filing locations locally on your computer and online. 4. Close the settings menu and return to the Location Manager. Use the Location Manager to create a list of locations to be deployed to users. Remember to remove any locations you don t want your colleagues to receive. 5. Click on the cog icon to open the Settings menu. 6. Click the Backup settings button. This will create a backup of your new settings and filing locations locally on your computer and online. 7. Email us at support@efiler.co.uk or call us to let us know you want the new locations added to your licence. 8. We will email you or call you to confirm that we have applied your settings and will send you your original list of locations with instructions on which folder to copy them into (see below) so you when you restart Outlook you will have your original locations merged with the new list. When other users restart Outlook they will automatically be served the new locations. Different teams can have different lists of locations to suit their needs just create them and tell us how many users to assign to each configuration. We will create a licence serial number for each set and send it to you. When the serial numbers are set by the users they will receive their new filing locations when they restart Outlook.

Follow these steps to create restore previous configurations: Each time you backup your settings a local copy is stored in the following location: Windows 7 and Vista C:\Users\%username%\AppData\Roaming\eFiler outlook addin\configuration backups Windows XP C:\Documents and Settings\%username%\Application Data\eFiler outlook addin\configuration backups Current efiler configurations are located here: Windows 7 and Vista C:\Users\%username%\AppData\Roaming\eFiler outlook addin Windows XP C:\Documents and Settings\%username%\Application Data\eFiler outlook addin Copy the desired backup files (the date they were created is in the filename) and navigate to the folder one level up and you will find the current configuration files in use by efiler. Replace these with good configurations from your backups. Rename the date stamped backup to Config.efc and Config.efl to activate them. Restart Outlook.

Troubleshooting From time to time, whether because of a bug, damaged or corrupted files, an interaction with another issue elsewhere on a machine or because of user error, things don t go according to plan. If you do get an error message or if efiler stops working properly please contact your IT manager and have them contact us so we can diagnose and fix the issue. To speed up the diagnostic process detailed log files can be sent automatically by clicking on the Send details button in the Change licence ID dialog accessed from the Settings menu. These log files are located in the following folder: Windows 7 and Vista C:\Users\%username%\AppData\Local\eFiler outlook addin Windows XP C:\Documents and Settings\%username%\Local Settings\Application Data\eFiler outlook addin Outlook can sometimes decide that an Add-in such as efiler has experienced a problem and might ask you if you want it disabled. Always click No as otherwise the toolbar will disappear. If you click Yes by mistake and you want efiler back then on Outlook 2003, click on Help, then click on About and then click Disabled Items. There you will see a box with the disabled item listed. Select it, enable it and restart Outlook. Forlater versions of Outlook click the File tab, click Options, click Add-Ins. On the Manage menu, click Disabled Items, and then click Go. After you view the items listed in the Disabled Items dialog box, you can select an item and then click Enable to turn it on again.
