etroy Student s Proctored Exam Guide What is a Proctored Exam? A proctored exam is a test taken under the supervision of a qualified person or with the use of an electronic device that allows a qualified person to monitor your activity. The Department of Education, through the Higher Education Act (H.R. 3746 Part H), states that accrediting organizations require institution(s) that offer distance education program(s) to have processes by which it establishes that the student who registers in a distance education course or program is the same person who receives academic credit. To that end, etroy has implemented proctored exams in online course(s) in order to verify that the student who registered for the course is the same student who is completing the work. Troy University s accrediting body, SACS (Southern Association of Colleges and Schools) has reviewed etroy s proctoring methodology and found it to be compliant with the federal regulation. Proctoring options Students are required to find a proctor that meets the etroy proctor policy requirements. The proctoring options available to students are listed below. Approved Technology based proctoring option- ProctorU Online Service - ProctorU is a company that offers live internet proctoring via webcam. You create an account with ProctorU and reserve a timeslot for your exam. When you log back into the site for your exam appointment, a proctor makes a connection with your computer and supervises you while you take your test. ProctorU charges a fee for all proctored exams; additional fees may exist for longer exams. Fees may also apply for appointments scheduled less than four days ahead of time. You are required to have a webcam, microphone and a good internet connection to use ProctorU. Many computers already have a webcam/microphone built into the system. If you do not own a webcam/microphone you may purchase a webcam on MBS or at any other retail store. Please watch the demonstration video and visit www.proctoru.com/ troy for more information. Note - ProctorU cannot be used for all courses and proctored exams. It is imperative for you to check and see if ProctorU is an approved option.
Page 2 STUDENT S PROCTORED EXAM GUIDE Proctoring options continued Third Party Testing Center - A third party testing center can be located at another higher academic institution (College or University) or at a company that offers tutoring/testing services. Military students may also use approved military education office testing centers. To find a third party testing center near you, do an internet search for local colleges or companies such as Sylvan Learning Center or Prometrics. Contact these places to see if they are able to proctor tests for distance learning students. If you want to use a testing center at another school it must be an actual testing facility or office. It must also have computers and staff designated specifically for testing. All testing centers must be approved through etroy. Testing centers charge fees ranging from $20 to $70 per exam. etroy is not involved in the exam fee process. Third party testing centers are typically only open during normal business hours. Military students may also use approved military education office testing centers that offer proctoring services. The exam must be proctored by an education control officer or test control officer. TROY Sites Many TROY campuses and sites offer proctoring in their offices for specialized exams only, but certain sites may be able to proctor course exams if staffing permits. Contact your local TROY site for details. http://trojan.troy.edu/etroy/testing/siteinfo.html 1. Check your syllabus, announcements and/or course schedule to see when your proctored exam is scheduled. Student proctored exam process. 2. Choose a proctor that meets the proctor policy requirements. 3. Contact the proctor to make sure they will be available to administer your exam during the testing timeframe. Also, make sure the testing facility can administer online exams. No paper & pencil exams will be given. You will need to get the proctor s contact information. 4. Submit your course exam proctor form. The form will be available the day after drop/add of each term (Week 2). You will have to submit a proctor form every term that you are taking a course that requires a proctored exam. If you choose ProctorU, you will only have to choose the proctor type and submit your form. ProctorU is a pre-approved proctoring option. Make sure you submit the form early to avoid any last minute problems. Also, ensure that you are providing the correct email address for the proctor because incorrect information can result in proctors not receiving exams. Submit one form for each proctored course exam. If you need to change your proctor or correct your form, resubmit the form. Each time you submit the form it overwrites the previous form. You cannot submit the form for more than one proctor. Your exam information will be sent to the proctor given on the most current submission. 5. You will receive a confirmation message to your TROY email account that your form has been submitted. Once your form has been processed, you will receive a message via email stating the form has been approved or denied. Proctor exam forms typically require 24-72 hours to process. Note: It is imperative that you call your proctor a day or two before you are scheduled to take the exam to confirm they have received your proctored exam.

Page 5 STUDENT S PROCTORED EXAM GUIDE Questions and Answers Q: What steps the do the etroy Staff perform to ensure your proctor receives your exam? A: 1. Form is submitted to the proctor database and reviewed by a member of the testing staff. 2. All forms indicating ProctorU are approved automatically, unless the student is taking a specialized exam. 3. For academic and military education testing centers, etroy will make sure the testing center meets the requirements. If the testing center is not pre-approved, a verification form will be sent to your proctor via email. You should make sure that the proctor returns the form in a timely manner. Once the form is approved you will receive a confirmation email to your TROY email account. Students that submit proctored exam forms late risk the proctor will not receive the exam in a timely manner. Q: How do I know if my form has been approved or denied? A: A confirmation email will be sent to your @troy.edu email account. If your proctor is denied, you will receive an email from etroy explaining why your proctor doesn't meet the requirements. At that point, you will be asked to find a new proctor and resubmit your form. Q: What do I need to do if I entered the wrong information on the proctor form, or I need to change proctors? A: You can resubmit the course proctor form. The newly submitted information will overwrite the previous proctor information and there will be no record of the previous form. Q: How do I contact ProctorU to schedule/cancel/or change my proctored exam appointment? A: You can go to ProctorU s website @ http://proctoru.com or call 855.772.8678. Q: I m trying to make a ProctorU appointment but my class is not listed. What should I do? A: Make sure your exam can be taken with ProctorU. If so, call ProctorU directly at 855.772.8678 to schedule an appointment over the phone. Q: Blackboard kicked me out of my test before I was done. How do I get my test reset? A: If your proctor cannot log you back into the exam, contact your instructor and ask for the test to be reset. Q: I am a deployed military student and cannot use any of these options. What do I do? A: If you cannot use one of the approved options because you are deployed overseas, TROY will allow a commanding officer with a pay grade of 0-2 or higher, enlisted personnel with a pay grade of E-7 or higher, or a warrant officer with a pay grade of W-2 or higher. You can indicate your deployed status on the online proctor form and enter your officer s contact information instead of a testing center s information. Q: I missed my proctored exam, what should I do now? A: Talk to your instructor about the possibility of an extension. If your instructor gives you permission, TROY will help you set up a proctored exam past the deadline.
STUDENT S PROCTORED EXAM GUIDE Page 6 Important graduate proctoring information MBA 6611, MGT 6685, MSM 6650, HRM 6698 and PA 6699 are capstone courses and have specialized proctored exams. These exams include the Capstone Final, MFT and MSHRM Competency. The proctoring options for these exams include third party testing centers and TROY sites. ProctorU is not an option for these exams. Students will submit the course exam proctor form for MBA 6611, MGT 6685, MSM 6650, HRM 6698 and PA 6699 in the same manner as for their other courses. MBA 6611, MGT 6685 and HRM 6698 have two exams, the Capstone final and the MFT or MSHRM Competency. Students will only have to submit the proctor form once for these courses. The proctor information submitted will be used for both exams required in the course. Note - ProctorU CANNOT be used with the following exams: Comprehensive Exams, Capstone exams (COM 6699, CJ 6690, PA 6699, MBA 6611, MGT 6685, HRM 6698), MFT exams, and MSHRM Competency exams. The proctoring options for exams that cannot use ProctorU include third party testing centers and TROY sites. Important undergraduate proctoring information CJ 4499, PSY 4400, PSY 4480, and BUS 4476 are courses that have the MFT exam. The proctoring options for the MFT exam include third party testing centers and TROY sites. ProctorU is not an option for the MFT. Students will submit the course exam proctor form for CJ 4499, PSY 4400, PSY 4480, and BUS 4476 in the same manner as for their other courses. For courses that have both a Capstone and an MFT, students will only have to submit the proctor form once for these courses. The proctor information submitted will be used for both exams required in the course. ProctorU CANNOT be used for the following exams: Capstone exams (ACT 4497, BUS 4476, IS 4460, MGT 4479, MGT 4485, MKT 4469, FIN 4431), MFTs, or MAPPs. Proctoring questions?
