A Brief Overview Consolidate all your accounts into one This package is designed to make it possible to operate just one account for all your cost areas while at the same time maintaining an itemised, readily accessible record of all your taxi travel expenses. It all works on a 3 stage cycle. You record all details crucial to your accounting requirements as and when you issue dockets, whether singularly or by the book. Cabcharge processes the dockets capturing the docket/card number, account number and amount of the fare. You receive your periodical statement of account in electronic format and correlate the two sets of data to complete your records. p6

Getting Started System Requirements Work Station Requirements Processor Operating system Memory.Net Framework Disk space Monitor Disk drive Pentium 233 MHz or higher processor; Pentium III recommended Microsoft Windows 2000 Service Pack 3 or later, or Windows XP or later (recommended) 64 MB RAM (minimum); 256 MB RAM (recommended) Version 2.0. This is a free download and can be obtained from Microsoft. 50 MB, including 1 MB of available space on the hard disk that contains the operating system. Hard-disk space usage varies depending up the volume of transactions. Super VGA (800 x 600) or higher resolution with 256 colors CD-ROM drive Pointing device Microsoft Mouse, Microsoft IntelliMouse, or compatible pointing device Third Party Software Adobe Reader Microsoft Excel Adobe Acrobat Reader is required to view and print Statements and reports. This is a freedownload available from www.adobe.com In order to view Excel data exported from TMS Microsoft Excel is required. p8

Downloading Statement Data The first step in using TMS is to Import the Statement data for your account (or for multiple accounts if you desire). The Statement Data is available from the Cabcharge Web Site www.cabcharge.com.au. Step By Step... 1. Download Account Details Either Select Download from the File Menu or click DownLoad Statement Data on the Downloads Page. The dialog box below is displayed: 2. Download Account Details Click on the New.. button and the dialog below is displayed. p9

Enter your 8 digit Cabcharge Account number and the password sent to you by Cabcharge then press Save and Close. 3. Download the Statement Data From the Downloads Dialog select the account from the Account List that you created in step on above. Then press the List button. This will display the Periods (for example Period 5 2006) available for download. To download simply select the Period you wish to obtain and then press Download. 4. Open the Account With TMS Once you have downloaded the data for at least on Period you can display the information entering the number into the account field on the toolbar and clicking Find. p10

4. Setup your Account Information in TMS Now you can start to setup your account. p11

Set up your Cost Centres The next step is to set up your Cost Centres. It is recommended (but not required) that you enter at least one Cost Centre into your system. To enter a Cost Centre simply click on the New icon on the toolbar (this will display a menu) and then select Cost Centre. The Cost Centre dialog will then be displayed. Simply enter in your Cost Centre details and then click Save and Close. To List and review your Cost centres see the Cost Centres List p12

Set up your Sub Codes The next step is to set up your Sub Codes. It is recommended (but not required) that you enter at least one Sub Code into your system. To enter a Cost Centre simply click on the New icon on the toolbar (this will display a menu) and then select Sub Code. The Sub Code dialog will then be displayed. Simply enter in your Sub Code details and then click Save and Close. To List and review your Sub Codes see the Sub Codes List p13

Set up your Card holders The next step is to set up your Card Holders. If you have no Card Holders proceed to the Next Step. To enter a Card Holder simply click on the New icon on the toolbar (this will display a menu) and then select Card Holder. The Card Holder dialog will then be displayed. Simply enter in your Card Holder details and then click Save and Close. To List and review your Card Holder see the Card Holders List. There is a short cut to entering your Card Holders see Short Cuts for details. p14

Set Up Your Docket Books The next step is to set up your Docket Books. If you have no Docket Book proceed to the Next Step. To enter a Docket Book simply click on the New icon on the toolbar (this will display a menu) and then select Docket Books. The Docket Books dialog will then be displayed. Simply enter in your Docket Book details and then click Save and Close. To List and review your Docket Books see the Docket Books List. There is a short cut to entering your Docket Books see Short Cuts for details. p15

Set up your ETickets The next step is to set up your ETickets. If you have no ETickets proceed to the Next Step. To enter a ETicket Book simply click on the New icon on the toolbar (this will display a menu) and then select ETicket Book. The Docket Books dialog will then be displayed. Simply enter in your Docket Book details and then click Save and Close. To List and review your Docket Books see the Docket Books List. There is a short cut to entering your Docket Books see Short Cuts for details. p16

Short Cuts TMS provides for some short cuts to help you set up your Accounts. Card Holders TMS is able (should you require) to automatically update your Card Holder details from Statement Data. This option can be enabled by checking the Add Cards from Statement? checkbox on the Options Dialog. Once this item is checked the TMS will when Updating automatically add Card holder from Statement Data when the Card Holder (as found on the Statement data) does not already exist. For more information see Updating. Docket Books TMS is able (should you require) to automatically update your Docket Book details from Statement Data. This option can be enabled by checking the Add Dockets from Statement? checkbox on the Options Dialog. Once this item is checked the TMS will when Updating automatically add Docket Books from Statement Data when the Docket Book (as found on the Statement data) does not already exist. For more information see Updating. p17

Correct your Data As not all your data may have been allocated (Cost Centre, Sub Code or Card Holder) you may need to manually update individual transactions. This is done via the Transactions Pane. For each transaction (Manual, EFTPOS, ETIcket or International) that has not been allocated simply select the correct Cost Centre etc using the drop down lists within the Grids. For information on how to make this task simple please refer to Working with Grids. Once you have completed the transaction allocation you are ready to generate reports. p18

Update your TMS data Now that you have enetered in your Account information you should update your TMS data. Simply select the Update on the file menu. TMS will cycle through all of your Statement Data and update the Card Holder, Cost Centre and Sub Code information in your data. Unfortunately in some cases (for example dockets where no Docket number has been captured) TMS will not be able to identify a Cost Centre (Sub Code or Card Holder) for a transaction. Proceed to the next step to rectify this. p19

Generate Reports Now that you have completed allocating your transactions the system is ready to report on your Cabcharge Usage. There are a number of reports available to you (see Reports for detailed information) however we recommend the first report you generate is the Sum mary report. This will generate a report similar to the illustration below. You can use this report to ensure that all of your transactions have been allocated to a Cost Centre. If transactions have not been allocated to a Cost Centre the report (again see below) will contain a Cost Centre 'Unallocated', this indicates that you still have transactions that require correcting. p20

Forms and Dialogs Main Window The Main Window is formatted in a similar fashion to Microsoft Exchange. It consists of a Navigation Pane down the left hand side of the window and a display pane on the right hand side of the window. Loading An Account The Tool Bar provides an account box that allows you to enter an account number and display the To load an account simply enter the Account number (leading zeroes are not required) and click Find. Pressing enter from the Account box or the short cut (Alt-D) will also load the entered Account number. Selecting the Billing Period By default when an Account is loaded the latest billing period data is loaded. To select another billing period simply select an entry in the Period drop doen list and click (or use the shortcut Alt-L) Load. p21

Downloads Statement data from the Cabcharge Web Site Prints the currently displayed pane. Prints the current help text page. Exports the Images to individual Tiff images. Displays the Import WinHelp Wizard screen where you can import a.hlp or.hpj file. Saves (if any) changes to the Statement Data. Exits TMS Shows up to five of the last opened Accounts. Clicking on any one of these will re-open that Account. p23

Edit These are the choices within the "Edit" menu Copy Copies the contents of the currently selected control to the clipboard. p24

Statement These are the choices within the "File" menu Full Statement Front Page Save Statement Displays the full Cabcharge Statement as a PDF file in an Acrobat viewer. Displays the Cabcharge Statement page as a PDF file in an Acrobat viewer. Saves the full Cabcharge Statement to a user selected PDF file Export Statement... Saves the current Statement as an Excel file. p25

Tools These are the choices within the "Tools" menu Check for Updates Saves everything in your Project. Customise Options Exports the Images to individual Tiff images. Displays the Import WinHelp Wizard screen where you can import a.hlp or.hpj file. p26

Help These are the choices within the "Help" menu. Contents Search About Displays the Contents for this help file Displays the Index tab of this help file where you can search for a keyword Displays the splash screen showing the Product name and current version. It also contains the support link to support@cabcharge.com.au.com and our website address. p27

Tool Bar The Tool Bar provides quick access to commonly used functions. New The toolbar item new provides a drop down menu for creating new configuration item. See the items under Lists for further information. Buttons Saves the current Statement data to disk. Copies the contents of the currently selected control to the clipboard. Displays a Print Preview dialog using the contents of the active pane. Exports the contents of the (displayed) grid to an Excel Spreadsheet. p28

Transactions Navigation The Transactions pane contains all of your Cabcharge Transactions for the (selected) period. p29

Summary Tab The Summary Tab display the account summary information for the Account. p30

Manual Tab The Manual Tab displays all of the Manual transactions for the Account in the selected billing period. Note that manual transactions include Cabcharge blue dockets and the charge card transactions that have been processed on an emergency paper slip. See Image Display for information on working with the images. p31

EFTPOS Tab The EFTPOS Tab displays all of the EFTPOS (charge card) transactions for the Account in the selected billing period. p32

ETicket Tab The ETicket Tab displays all of the ETicket transactions for the Account in the selected billing period. p33

International Tab The International Tab displays all of the International transactions for the Account in the selected billing period. Not that where the transaction is a manual transaction (for example paper docket or Cabcharge blue docket) an image will be displayed. See Image Display for information on working with the images. p34

Images Cabcharge process all paper based transactions using high speed imaging equipment. Where images are available for a transaction (all transactions on the Manual Tab and any paper based International transactions) TMS displays an Image. This image window is displayed beneath the grid that lists the transactions. To display an image for a particular transaction simply click on the grid row required. Not that to adjust the image display window there is a splitter bar that can be dragged up and down changing the height of the image window. A sample image window is displayed below: The Image tool bar functions as follows: Fit - This button toggles the display of the image between (Fit) fitting the image to the windows and displaying the full image. Copy - Copies the image to the clipboard. Print - Produces and Displays a PDF document containing the Image. This can then be emailed or printed. p35

Lists Navigation TMS provides lists so that you can review and edit all of your settings (Cost Centres etc) for an account. Simply click on the list that you wan to view. p36

Cost Centres The Cost Centres list displays on all of your cost centres as illustrated below. Adding a Cost Centre To enter a Cost Centre simply click on the New icon on the toolbar (this will display a menu) and then select Cost Centre. The Cost Centre dialog (see below) will then be displayed and you can set up your cost centre. Editing a Cost Centre To edit a cost centre simply select it on the grid and double click. An Edit Cost Centre dialog will be displayed: Please ensure that you press Save and Close to keep your changes. Not that the Cost Centre number is read only unless you are adding a new Cost Centre. p37

Deleting a Cost Centre There are two ways of deleting a cost centre: 1. Select the Cost Centre you wish to delete and press the delete key. You will be prompted (whether you are sure you wish to delete the Cost Centre) and should press Yes to delete. OR 2. Double click on the Cost Centre you wish to delete and the Edit Cost Centre Dialog will be displayed. On the dialog menu press File->Delete. The Cost Centre will be deleted. p38

Sub Codes The Sub Codes list displays on all of your Sub Codes as illustrated below. Adding a Sub Code To enter a Sub Code simply click on the New icon on the toolbar (this will display a menu) and then select Sub Code. The Sub Code dialog (see below) will then be displayed and you can set up your Sub Code. Editing a Sub Code To edit a Sub Code simply select it on the grid and double click. An Edit Sub Code dialog will be displayed: Please ensure that you press Save and Close to keep your changes. Not that the Sub Code number is read only unless you are adding a new Sub Code. p39

You will be prompted (whether you are sure you wish to delete the Sub Code) and should press Yes to delete. OR 2. Double click on the Sub Code you wish to delete and the Edit Sub Code Dialog will be displayed. On the dialog menu press File->Delete. The Sub Code will be deleted. p40

Card Holders The Card Holders list displays on all of your Card Holders as illustrated below. Downloads Cabcharge make Statement Data available for download at the end of each of our (13 periods per annum) billing periods. p54

Software Update Periodically the TMS software may be updated either to provide enhancements of to resolve issues. p55

Options The Options dialog allows you to change the behaviour of your TMS software. The dialog provides five tabs as outlined below. Folders Tab This Tab is used to set the locations where TMS looks for data files and image files. Please note that if the TMS user does not have full (read and write) access to the directory containing the TMS program files the this tab is read only. For further information please see Configuration Files. Changes to the Folders requires TMS to restart. The user is prompted with the following message box on which OK must be pressed to save the changes and restart TMS. Behaviour Tab p57

Print Preview Pressing the Print button or select the Print... item from the File menu allows you to print any of the grids within TMS. p62

The Customise Dialog allows you to change the way the Menus appear and behave. p63

The About form displays information about your version of TMS. If Cabcharge Support request your version this is where it is found. p64

TMS Hints and Tips Working with Grids All of the Grids within TMS provide advanced sorting and filtering capability. Sorting and Filtering Any column in a grid may be sorted by clicking on the column header. The indicates the column is sorted in Ascending order while the indicates the column is sorted in Descending order. Simply click on the header to reverse the sort order. Any column in a grid may also be filtered. Simply click on the filter indicator and a filter list will be displayed. You can select any of the items on the list to filter the grid, to clear the filtering condition simply select (All) from the filter list. Please note that when printing and Exporting (see below) the grid the sort conditions and filter conditions are included. This functionality is very useful for correcting missing docket numbers and identifiying which transactions have not been allocated a Cost Centre/Sub Code. Grid Printing Any of the Grids may be printed. Once you have the grid you wish to print displayed in TMS simply press the Print button or select the Print... item from the File menu. Excel Export Any of the grids may be exported to Excel. Simply press on the Excel button or select the Export... item on the File menu. Note that if you wish the file to be displayed within Excel immediately after Export set the Open Generated Documents check box on the Options Dialog. p65

Email PDF Files TMS reports and Statements are produced as PDF files. If you wish to email these (for example to a Card Holder for confirmation) you should simply use the Email (this may be called Send Mail depending on the version of Acrobat you are using) function from within the Adobe Acrobat Reader. Excel Files TMS allows for the export of grids (see for details see Working with Grids) as Excel files. As with PDF files these may be sent (use the Excel Send To... menu item) via Email. Image Copies The Copy function on the Image Window allows you to copy Images to the clipboard. This means that you can insert the images into documents (for example Word documents and HTML email messages) for distribution by email. p66

Image Export Cabcharge provide images of all manually processed transactions including paper vouchers and manually processed Cabcharge card transactions. These images can be extracted using the TMS system for use by other software. See the File Menu for details on how to do this. The extracted images are saved as Tiff files with LZW compression. Please note that as per your software licence (and therefore a condition that you agree to prior to using the TMS software) the definitive version of an image is considered to be the version stored in the Cabcharge archive. The Cabcharge version contains authentication information protecting our customers and ourselves against fraudulent manipulation of the images. p67

Service Fee Calculations Cabcharge Service Fees are calculated against the Total Fare value for an account. Under certain circumstances this can lead to there being a minor discrepancy between the total calculated on the Usage reports as against those calculated on the Cabcharge Statement page. Multi-User and Network Operation By default TMS install it's data files into a directory on the local hard drive of the PC where the software is installed. The default directory is c:\tms It is possible to copy the TMS data files onto a Network drive and for those files to be shared between users. Backing Up TMS Files As is the case with any data files it is important to ensure that the files are backed up. Copying/Moving the TMS Directory It is recommended that an experience PC support person be consulted prior to moving or copying the TMS data file. Before moving the files please read and understand the TMS Configuration Files and the TMS Files and Directories. Sharing TMS Data Files It is possible to install TMS on multiple work stations and share the data from a network drive. The way TMS data files work is similar to the way Word or Excel documents function. That is TMS loads the files into memory and manipulates them in memory. The files are only saved by User request. This means that the same considerations/issues must be taken into account as when sharing Word files etc on a network: If two users are working on the same file (account) simultaneously then only the changes made by the last user to save the file will be retained. If two users attempt (inadvertently) attempt to save files at exactly the same time a file sharing violation will occur. TMS will display an error message and one (or both users) will lose the changes they have made and will need to restart TMS. p75

Image Splitter Some of our customers have requested a means of integrating the Cabcharge images into their existing document management/imaging systems. We have provided (installed with the TMS files) a command line utility to provide this service. The utility is called ImageSplitter and is located (after the TMS install) with the other TMS executables. Typically this is 'c:\program files\cabcharge\tms'. ImageSplitter is a command line utility to allow for automation of the image (splitting) extraction process. It has the following Usage instructions... Usage: <opts> source destination source Specifies the image file to be split. destination Specifies the directory into which split images are written. /T Indicates file output type is Tiff Fax Group 4. /J Indicates file output type is JPEG. /G Indicates file output type is GIF. /S Indicates silent mode, no feedback is written to the console. The default output type is jpeg. Image Quality defaults to 100 and only effects JPEG output. The program returns zero if successful, a non-zero value indicates an error. If you need only to use ImageSplitter (not the rest of the TMS software) the following files are needed. ImageSplitter.exe ImageSplitter.xml IMSolve.dll In addition you will need the Microsoft.Net Framework version 1.1 redistributable. This is a free download and can be obtained from Microsoft. p76
