I. Overview The objective for this project is to assist the City of Georgetown with the upgrade of their existing Cisco communications infrastructure and the addition of new unified communications (UC) products. The products to be upgraded include: Cisco CallManager, Cisco Emergency Responder and Cisco Unity. The products that will be added to the UC solution include: IPCC Express, Cisco Unified Presence, Cisco MeetingPlace and Cisco Unified Mobility Advantage. II. Skill Set Required The following skill set is required for the successful completion of this project: IP Telephony System Engineer with thorough knowledge of the Cisco Unified Communications product line and infrastructure. One Flair Data Systems engineer will be involved in most phases of this project. III. Out of Scope Statement about not included items/tasks Cabling is assumed to already exist and is therefore not included as part of this project. Deployment of end user software (soft phone, Cisco Unified Personal Communicator, Mobility Advantage Client, etc) has not been proposed. The first ten (10) deployments of end user software is included for testing purposes. Network infrastructure is in place and configured and is not a part of this project. IV. Customer Responsibilities Customer will provide access to the existing Cisco voice infrastructure. Customer will be available for review of existing configuration and to discuss modifications for moving forward. Network addressing to be used on new voice components. Power/rack space will be available for new components. Customer will have and provide contract numbers for SmartNet contracts on existing voice infrastructure pieces. V. Planning Setup Planning Meeting with all key Project Leaders from City of Georgetown
Discuss and introduce Project Leaders Discuss current configuration and how that configuration will be changed moving forward with the new version. Discuss cutover and implementation strategy for all products in the project. Discuss auto attendant configuration. Receive file from City of Georgetown with IP Addressing, logins and any other pertinent information about the current voice install. Develop timeline for the phased cutover the new unified communications components. Discuss CallManager features and which features will be used above and beyond what is currently implemented with CallManager. Discuss IPCC Express implementation and how call flows will be designed in the system. Flair to provide Visio document with IPCC Express call flow for approval by City of Georgetown. VI. Telephony Hardware IOS Review on existing equipment Proceed with upgrade process on equipment as needed VII. Communications Manager Upgrade Verify that all phones are configured in the Communications Manager and add phones if necessary. Run Data Migration Assistant (DMA) on the existing CallManager servers. Install Communications Manager on the new publisher server and import the DMA data. Install Communications Manager on the new subscriber servers and verify communications with the publisher. Review configuration in the Communications Manager and make changes where necessary to meet up with recommended best practices. VIII. Migration to Unity Connection Run COBRAs backup on existing Unity server. Install Unity Connection and import COBRAs information. Verify data fidelity and integration with Communications Manager. Review configuration of Unity Connection for subscribers and auto attendants and make changes where necessary to meet up with recommended best practices. IX. Cisco Emergency Responder
Run Data Migration Assistant (DMA) on existing CER server. Install CER on new servers and import DMA data. Verify the data import and integration with Communications Manager. Review CER configuration and make changes as necessary. X. Cisco Unified Presence Ensure that Communications Manager is integrated with LDAP and if not, perform this integration. Install Cisco Unified Presence Server (CUPS). Integrate CUPS with Communications Manager through SIP Trunk. Within Communications Manager, assign license rights and configure users that will use the Cisco Unified Personal Communicator (CUPC) software. Verify user synchronization between Communications Manager and CUPS. Configure user templates within CUPS and apply the templates to CUPS users. Deploy CUPC in ten locations to verify proper functionality of the software and server. XI. Cisco MeetingPlace Install MeetingPlace. Configure MeetingPlace with pilot numbers and web addresses as discussed in the planning meetings. Integrate MeetingPlace with Communications Manager and verify. Test voice and video meetings. XII. Cisco Unified Mobility Advantage (CUMA) Install CUMA software on server. Integrate CUMA with Communications Manager Configure users in Communications Manager for CUMA and verify synchronization with CUMA server. Install CUMA software on up to ten Blackberry devices and verify functionality for presence, voicemail access and dial from office capabilities. XIII. IPCC Express Install OS and IPCC Express software on server Integrate IPCC Express with Communications Manager using information gathered in the planning meeting. Develop Call Flow Script and test. Install agent desktop and supervisor software on up to 10 agents for testing. Provide training to City of Georgetown for remaining agent installs.
XIV. Cutovers Any service effecting cutovers will be performed after normal business hours with mechanisms in place to eliminate or reduce any potential down time. Cutovers will be phased and cutover products that are version dependent will be implemented at the same time. Flair Data Systems engineers will follow a cutover and testing plan that has been approved by the City of Georgetown. Flair Data Systems engineers will be on site the morning after the cutover to ensure proper operation of all required components. XV. Training & Documentation Provide administrative training through shadowing of the installation and configuration process. Provide 1 day administrative training with documentation handoff. Provide documentation for phone system addressing, configurations and basic administration tasks. XVI. Acceptance By signing below, City of Georgetown accepts the SOW as detailed above.
