1 School of Medicine IT Office Setting up a Mac on the CU network v1.3 JAM 23/12/13 This document explains how to setup a Mac on the Cardiff University network, access useful resources and configure native applications. The operating system used to create this guide was OS X 10.9 Mavericks. The specific areas covered are: 1. Change Finder Preferences to display hidden desktop items 2. Enable right-click 3. Enable a 'workstation lock' feature 4. Allow the installation of applications from any source 5. Connect to the network 6. Install applications from the Cardiff University macsoft.cf.ac.uk server 7. Update OSX with the latest updates 8. Login to icloud with an Apple ID 9. Setup the Mail application 10. Setup the Calendar application 11. Setup the Contacts application 12. Setup the University network drives 13. Install printers

2 1. Change Finder Preferences to display hidden desktop items: I. Click on the 'Finder' dock icon II. 'Finder' menu III. Preferences IV. 'General' tab V. tick all checkboxes under 'Show these items on the desktop:' 2

3 2. Enable right-click: I. Click on the 'System Preferences' dock icon II. 'Mouse' or 'Trackpad' (depending on which device you use) III. tick the checkbox next to 'Secondary click' 3

4 3. Enable a 'workstation lock' feature: I. Click on the 'System Preferences' dock icon II. Security & Privacy III. click on the padlock icon and enter the computer password when prompted to make changes IV. tick the checkboxes next to 'Require password immediately after sleep or screen saver begins' and 'Disable automatic login' Now whenever you choose to send the display to sleep using the keyboard shortcut Command-Option-Eject (or Shift-Ctrl-Power for Macs without an Eject key) and then press any key to wake up the display it'll prompt you for the computer password. This is a useful security workaround for when you need to leave your computer for a period of time. 4

5 4. Allow the installation of applications from any source: I. Click on the 'System Preferences' dock icon II. Security & Privacy III. under 'Allow applications downloaded from:' select the radio button next to 'Anywhere' IV. click on the Allow From Anywhere button to confirm Changing this setting is essential if you plan to install application from the internet, afp://macsoft.cf.ac.uk or from removable media, e.g. USB sticks and CD s. 5

6 5. Connect to the network: I. Click on the 'System Preferences' dock icon II. Network III. select 'Wi-Fi" or 'Ethernet' on the left-panel IV. 'Advanced' button V. 'Hardware' tab VI. make a note of the 'MAC Address' reference The MAC addresses are required when completing a 'Permission to Connect to the Network' on line form at The 'Permission to Connect to the Network' request will then be automatically sent to MedicIT for approval - an InsrvConnect helpdesk call will also be created to facilitate the request. Once you've received an from MedicIT (via InsrvConnect) confirming the computer is now registered on the network you'll be able to connect the Mac to a network outlet using a network patch cable (available for sale from Cochrane Library) or connect to the 'Eduroam' WiFi network by: I. Clicking on the System Preferences dock icon II. Network III. select 'Wi-Fi' in the left panel IV. click on the 'Turn WiFi On' button V. select 'eduroam' from the 'Network Name' drop-down list VI. enter your University username and password VII. click on the 'Join' button VIII. click on the 'Continue' button IX. enter your computer password X. click on the 'Update Settings' button 6

7 6. Install applications from the Cardiff University macsoft.cf.ac.uk server: I. Click on the 'Finder' dock icon II. 'Go' menu III. 'Connect to Server ' IV. enter afp://macsoft.cf.ac.uk in the 'Server Address:' field V. click on the + button to save macsoft.cf.ac.uk to your Favorite Servers list VI. click on the 'Connect' button VII. enter your University username in the "Name:' field VIII. enter your network password in the 'Password:' field IX. tick the checkbox next to 'Remember this password in my keychain' X. click on the 'Connect' button XI. double-click on the 'Mac OS X' folder displayed in the MacSoft window that then opens You'll then have access to the installation files for various applications provided by Cardiff University. Each of these have a 'Read Me First' file in their folder with instructions about how to install the application. Some useful applications available from macsoft.cf.ac.uk are: Sophos Anti-Virus Microsoft Office Endnote FileMaker Pro SPSS Adium Instant Messaging Client Lotus Notes Note: access to Microsoft Office and Endnote is restricted to Local Computing Representatives - please contact MedicIT to make arrangements. 7

8 7. Update OSX with the latest updates: I. Click on the 'Apple-icon' menu at the top-left of the screen II. Software Update III. click on the 'Update' button next to any available updates or click on the 'Update All' button if displayed 8

9 8. Login to icloud with an Apple ID: I. Click on the 'System Preferences' dock icon II. icloud III. sign in with your Apple ID and password This will automatically setup and synchronize your icloud Mail, Contacts, Calendar & Reminders, Notes, Safari bookmarks, Photo Stream pictures and iwork documents (if available). If you ve used icloud in the past to store your data then this is a very convenient way of setting up any new Apple devices you might use in the future. 9

10 9. Setup the Mail application: I. Click on the 'Safari' dock icon II. navigate to cardiffmail.cf.ac.uk III. login and make a note of the cardiffmail server the URL changes to, e.g. cardiffmail01.cf.ac.uk IV. Click on the 'Mail' dock icon V. enter your University address and network password then click on the Continue button VI. on the 'Verify Certificate' pop-up window click the Connect button VII. in the 'Username' field enter your University username VIII. click on the Continue button IX. change 'Account Type' to IMAP X. in the 'Incoming Mail Server' field enter the address of the cardiffmail server you made a note of earlier XI. click Continue XII. in the "Outgoing Mail Server:' field enter smtpauth.cf.ac.uk XIII. tick the 'Use Authentication' checkbox XIV. click Continue XV. click Create Your University mail account is now created and the Mail application will begin synchronising from the server to your Mac - the process can be monitored by selecting: I. View menu II. Show Mailbox List III. and look at the 'MAIL ACTIVITY' panel on the bottom-left area 10

11 10. Setup the Calendar application: Unfortunately, the University calendar can only be accessed on a Mac via webmail (cardiffmail.cf.ac.uk) or by installing Lotus Notes (from macsoft.cf.ac.uk). If you've already logged into icloud then this will automatically create your icloud calendar in the Calendar application. If you don't need to access any University group accounts then then icloud calendar should be fine for your needs, otherwise use webmail. Note: the next University and calendar solution, Office 365, does include the improvement of accessing it's calendar from the native Mac Calendar application. The migration of MEDIC staff accounts to the new system is planned for March

12 11. Setup the Contacts application: I. Click on the 'Contacts' dock icon II. select 'Contacts' menu III. Preferences IV. 'Accounts' tab V. click on the '+' button to add an account VI. select Other contacts account, then Continue VII. change 'CardDAV' to LDAP in the drop-down list VIII. enter Description as CU Directory IX. enter 'Server address' as ldap-jccs.cf.ac.uk X. click on the Create' button XI. close the window XII. select 'View' menu XIII. select Show Groups XIV. select CU Directory' under 'Directories' You'll now be able to search for University contacts details (whilst connected to the University network) by typing their name into the search field. 12

13 12. Setup the University network drives: I. Click on the 'Finder' dock icon II. 'Go' menu III. Connect to Server IV. in the 'Server Address:' field enter: (for your personal H: drive) (for the departmental S: drive) (for the school R: drive) V. click on the '+' button to save the address as a favourite VI. click on the 'Connect' button VII. enter your University username in the 'Name:' field VIII. enter your network password in the 'Password:' field IX. tick the checkbox next to 'Remember this password in my keychain' X. click on the 'Connect' button XI. your network drive files will then be displayed in a new window 13

14 13. Install printers: Locally connected printers (and scanners), most commonly using a USB connection, will be installed and configured automatically immediately after being plugged into the Mac. For network printers you'll need to print a 'Network Configuration Page' from the printer by selecting this option on it's front panel display. From this printout you can find the printers 'IP Address' - this is what you need to install the printer on your Mac. I. Click on the 'System Preferences' dock icon II. Printers & Scannners III. click on the '+' button and then 'Add Printer or Scanner' IV. select 'IP' tab V. in the 'Address: field enter the IP address of the network printer VI. in the 'Name:' field enter a description of the printer, e.g. IT Office printer VII. click on the 'Add' button VIII. if prompted, choose configuration options available for your printer IX. click on the 'OK' button An alternative way of installing network printers is via iprint. If the printer has been setup on the iprint system by Insrv then all you should need to do is install the iprint client from printers.cf.ac.uk and follow the on-screen prompts to select and install the desired printer. 14
