Warranty Claim Processing System Equipment Dealer Instructions for Using the Online Wcps System
Background The intent of the Warranty Claim Processing System (Wcps) when it was developed jointly by the Equipment Marketing & Distribution Association (EMDA), Farm Equipment Manufacturers Association (FEMA) and the North American Equipment Dealers Association (NAEDA) was to provide a uniform Web-based warranty system for dealers, distributors and manufacturers. The goal was for greater access to warranty information including policies, procedures, product registrations, and warranty claim filings. All three organizations are responsible for the financing, promotion and maintaining this program. Confidentiality of the program s content is a top priority in the operation of this program. Neither EMDA, FEMA nor NAEDA has access to the system, claims being filed or any other information stored by the outside contractor who maintains and operates this system and program. Getting Started When you log on to www.equipwarranty.com you will see the screen below. This is the home page for the program. All initial sign-ups and later logins will start on this page. 2
Dealer Sign-up Instructions Dealers can sign-up to the Wcps System by logging into www.equipwarranty.com and then click on the dealer sign-up page. Note: Some manufacturers and distributors will assign a username and password to dealers. For those dealers who receive pre-assigned logins, you will still need to complete the sign-in information and agree to the Terms and Conditions page before being allowed to continue in the system. If you have not been given a pre-assigned login and password, click on the Dealer Signup tab to start the registration process. 3
Next, you will need to complete the form shown below and then click on the Continue tab as shown. 4
Dealers must agree to the Term & Conditions before the registration process is complete. Be sure and check the box by clicking on it. Once you have completed this form, click on the Submit Query button shown. 5
An email will be sent to you at the email address given on the previous screen that will include a new dealer s Username and a temporary Password. Dealers must confirm their sign-up by clicking on the hyperlink in the message that was sent by Wcps System. The following email message is what you should see that acknowledges you have been registered and that the confirming email has been sent to your email inbox. Please allow at least two hours for the Wcps System to generate that email to you. Below is a sample copy of the email sent after the initial registration. Be sure to click on the hyperlink to complete your registration and activate your account on the Wcps System. Note your username and password. Please be sure and store this information is a safe place to prohibit unauthorized use of the system. You will need this information for future logins. 6
Review Warranty Policies A distributor or manufacturer s warranty policies can be found by logging into the Wcps System and clicking on the Warranty Policies button. Dealers are encouraged to look at the warranty policies prior to completing an online warranty claim form. To look at a warranty policy, begin by typing the name of the manufacturer or distributor and choose from the dropdown list that appears. Note that some manufacturers and distributors have elected to not include their policies on the Wcps System. If they registered with the Wcps System, you might be re-directed to their Web site. This is how they want their warranty issues handled, therefore the automatic re-direction to their Web sites. For manufacturers or distributors who have elected to not register and include their policies on the Wcps System, you will need to contact that manufacturer or distributor directly. Their name will not be shown on the dropdown list. 7
Dealer Warranty Claim Filing Dealers once registered and who have received a login and password can: 1) Review a manufacturer/distributor warranty policies as mention previously, or 2) begin filing warranty claims with manufacturers/distributors who have agreed to participate in the Wcps System. To review a manufacturer / distributor warranty policies, click on the Warranty Policy button. Then scroll down and choose the manufacturer/distributor. For dealers wanting to file a claim, click on the Warranty Claims button as shown below. 8
The warranty claim form will pop up in the window. Complete the equipment information section of the warranty claim form and the other sections as needed. The more information included in the claim form the more likely the claim won t be returned for incomplete information. Note the screens below where information needs to be completed by a dealer. 9
The Wcps System is capable of uploading additional claim information should you need to add additional sheets of information or documentation and or pictures. To add and upload those files, click on the Add Files button and then follow the prompts to add those documents or pictures. 10
Pictures will automatically be sized by the system as they are uploaded. There is no need to worry about the file size of the images. The warranty claim form has a place to note whether the parts are going to be returned to the manufacturer/distributor. Check the appropriate box before submitting the form if being return by one of these methods. Once you have uploaded the files, the following screen will appear showing the status of those uploaded files. Successful uploads will have the OK shown under the status column. 11
Once all the information has been included in the warranty claim form, click on the Submit Claim button and the claim will be sent to the manufacturer or distributor. The claim at the time is also going to be upload to the Claim Report function of the system. Should you need to save the claim form and gather additional information for filing at a later date, select the Save as Draft button and the claim will be saved for you to return to and submit at a later date. To re-access an unfinished claim form, click on Claim Report and find the claim you want to complete. Click on it and it will open up in a new window for you to complete and file or save again for more information. 12
Dealer Claim Reports To access a list of your claims, click on the Claim Report button. This will take you to a screen that will list all of your claims and their status. Their status can be drafted, filed, pending, approved or denied. If you need specific information about a single claim, click on that claim and you will see a screen like the following appear with the claims details. This can be printed if needed by using clicking on the print function on your browser or on the print page on the form. 13
