Quick Guide to Fusion Pro Schedule Fusion 5.7 Schedule NOTE: The Inbox is an optional Fusion Pro feature. If your board does not offer it, none of the functionality described in this section will be available. Today s Summary Gadget One of the first things you ll want to see when you log on to Fusion is a list of tasks and appointments you have scheduled. The Today s Summary gadget on the Fusion Home Page tells the number of Appointments and To-Dos that are due today, as well as new messages and leads. These numbers also include overdue events and upcoming events with an early reminder. Click Appointments on the Today s Summary gadget to view your appointments on the Schedule tab. Click To-Dos on the Today s Summary gadget to view your tasks on the Schedule tab. Click the refresh button in the gadget s title bar to update numbers. For more information on Home Page gadgets, refer to the Fusion Quick Guide to Fusion Basics manual. The Schedule Tab Fusion s Schedule functionality makes it easy to keep track of everything you need to do. The Schedule tab displays at a glance all of your scheduled events. From this screen, you can sort, view, add, edit, and delete a variety of different tasks and appointments. To view appointments and tasks From the main menu, click the Schedule tab. To view your list of appointments, click Appointments in the bar at the top of the Schedule tab. To view a list of all of your other tasks, click Tasks in the bar at the top of the Schedule tab. The list of events uses colors and other visual indicators to tell you the status of each event: red events are overdue; black events are due today; blue events are upcoming; and crossed-out events are events that were completed today. 1
The Appointments and Tasks List The list of Appointments and Tasks display a variety of information about each event, including its type, importance, due date, start and end time, linked contact, description, location, and whether it is a recurring event. To sort the list of events, click the column header. Click the column header again to reverse-sort. To rearrange the columns, drag a column header to the left or right and drop it in the desired location. To edit the contact that is linked to the event, click the contact s name. To edit an event or view it in more detail, click anywhere else on the event. You can work with your list of Appointments or Tasks in a variety of other ways as described below. To filter the list of Appointments 1. Click the link beside the Filter label. The name of the link will indicate whether the list is currently filtered by DATE, CONTACT, or DESCRIPTION. When the list is filtered by Date, the program acts as if the selected date is today s date and will show or hide upcoming and completed appointments appropriately. 2. Click Contact, Description, or Date, then enter or select the filter criteria. 3. Click OK. The list will now display only those appointments that match the filter criteria you selected. 4. To filter the list by appointment type, click Category and choose an appointment type from the list. To filter the list of Tasks 1. Click the link beside the Filter label. The name of the link will indicate whether the list is currently filtered by DATE, CONTACT, or DESCRIPTION. When the list is filtered by Date, the program acts as if the selected date is today s date and will show or hide upcoming and completed tasks appropriately. 2. Click Contact, Description, or Date, then enter or select the filter criteria. 3. Click OK. The list will now display only those tasks that match the filter criteria you selected. 4. To filter the list by task type, click Type and choose To-do, Phone Call, or Email from the list. 5. To filter the list by status, click Status and choose Completed, Past Due, or Scheduled from the list. 2
To mark a Task as Completed 1. Select the checkbox beside the task(s) you want to mark complete. 2. Click Completed. 3. Click OK. To delete a Task or Appointment 1. Select the checkbox beside the event(s) you want to delete. 2. Click Tools. 3. Select Delete Event from the list. If the selected event is part of a series of recurring event, you must choose to Delete this occurrence of the event or Delete the series of events. 4. Click OK. 5. You can also delete an individual task or appointment through the Task or Appointment Details screen. Open the event details and click the Delete Item button. 6. Click OK. NOTE: Deleting an event linked to a client will also delete it from the client s history. Deleted events are no longer displayed on Contact Websites either. Adding a New Appointment An Appointment is an event with a specific start and end time. You can remind yourself of upcoming appointments using automatic email alerts. To create a new Appointment: 1. Click Add Appt/Task in the Schedule menu or on the Schedule tab. The event Details window appears. 2. Click the Appointment tab. 3. Enter a Description for the appointment 4. Select a Contact from the list and choose if you want the event to Show on the Contact Website. You can add and link a new contact by clicking the Plus icon, unlink a contact by clicking the Eraser icon, or edit the linked contact by clicking the Paper & Pencil icon. 5. Choose Low, Normal, or High from the Priority list. 6. Choose the type of appointment from the Category list. 3
7. Give the appointment Start and End dates and times. If it is a very long appointment, select All Day or Rest of Day as appropriate. 8. Enter the Location of the appointment. 9. If you want to receive an email alert before the appointment, choose when you want to be reminded from the Remind Me list. Use the Email my Reminder to list to select the email address where you want to receive the alert. 10. If you want the appointment to be a recurring event, click Recurring event and then click Setup Recurring Event Details. Choose how often the event will recur (weekly, monthly, or yearly) and when the series of events will end (if ever), and then click OK. 11. Enter any important Notes regarding the appointment. 12. Click OK to save the new appointment and close the window. Adding a New Task A task is an event without a specific start and end time. It can be a To-Do, a Phone Call, or an Email. To create a new Task 1. Click Add Appt/Task in the Schedule menu or on the Schedule tab. The event Details window appears. 2. Choose the To-Do, Phone Call, or Email tab according what type of task you want to create. 3. Enter a Description for the task 4. Select a Contact from the list and choose if you want the event to Show on the Contact Website. You can add and link a new contact by clicking the Plus icon, unlink a contact by clicking the Eraser icon, or edit the linked contact by clicking the Paper & Pencil icon. 5. Choose Low, Normal, or High from the Priority list. 6. If the task is an Email, choose which Email Template you want to use from the list. (Note: Two more options become available after the task has been created: a Preview/Send Email link for sending the message, and a View Email link for viewing the sent message.) 7. Give the task a Due Date or select No due date. 8. If you want to see the task in your event list and in the Today s Summary gadget before it is due, specify how many days ahead of time you want it to appear using the Remind Me field. Similarly, use the Overdue Reminder field to choose how long to display the task after the due date has passed. 4
9. Select Schedule a follow-up if you want to be prompted to enter another new event immediately after the current task has been saved. 10. If you want the task to be a recurring event, click Recurring event and then click Setup Recurring Event Details. Choose how often the event will recur (weekly, monthly, or yearly), when the series of events will end (if ever), and then click OK. 11. Enter any important Notes regarding the task. 12. Click OK to save the new task and close the window. If you chose to schedule a follow-up event, a new, blank window will automatically appear. Tasks and Appointments in the Contact Manager Tasks and Appointments linked to particular contacts can be viewed and edited from the Contact Manager. Scheduling a new event from the Contact Manager automatically links it the contact you are currently viewing. To View and Add Tasks and Appointments for a Contact 1. From the contact manager, click a contact s first or last name to open the details panel. 2. From the Tasks & Appointments section, click a task or appointment to view the details. The list of tasks and appointments is similar to the one on the Schedule tab, except all of the events are linked to the same contact. The available functions are similar to those on the Schedule screen. For example: Use the Type and Status options to filter the list of events. To edit an event, click the desired row. To create a new event linked to the contact, click Add Appt/Task. To delete an event, select the checkbox beside the task(s) you want to delete. Then click Delete Event followed by OK. To mark an event as Completed, select the checkbox beside the task(s) you want to mark complete. Then click Completed followed by OK.
