Before You Get Started LifeSize Connections Roles LifeSize Connections is a managed, cloud-based HD video collaboration service. It was designed to be easy to deploy, use and administer. The LifeSize Connections infrastructure-as-a-service (IaaS) offering leverages the power of our hosted cloud infrastructure to significantly reduce the complexity and load on IT resources compared to traditional on-premises deployments. Before getting started, it is important to understand the three roles associated with the service: Administrator, People and Rooms. LifeSize Connections is structured to be a centralized service that is set up and managed by an Administrator, who is responsible for creating the company s Connections account and setting up the end users accounts, whether those are desktop seats or meeting room seats. The Administrator needs to know only basic information about the People and Rooms to create their accounts. Administrator The Administrator is the user who has been granted permission to manage and oversee your company s deployment of LifeSize Connections. Among other things, this individual is responsible for creating seats for individual end users and meeting room endpoints within your organization. We call these two kinds of seats People and Rooms, respectively. By default, the Administrator is not assigned a People or Room account. The Administrator does not necessarily need to be an end user of the Connections services, although most Administrators are as a convenient way to communicate with other end users and meeting rooms throughout the organization. account requires knowing the serial number of the endpoint and that it is assigned a name, such as The Boardroom. Automation LifeSize Connections automates most common administrative tasks. Email Communications LifeSize Connections delivers all service- and account-related communications via email, including the sending of Administrator and People user account credentials. It is critical to ensure that you are able to receive emails successfully from the lifesizeconnections.com domain. When you provide your Administrator s email address during the account creation phase, there is an option to send a test email to the email address you provided. This is to help you determine whether you can receive email from the LifeSize Connections cloud. If you initiate a test email and it is not received moments later, please check your spam folder and/or modify your spam settings to allow emails from the domain lifesizeconnections.com People People are end users who have been assigned a personal desktop seat within your company by the Administrator. These are currently available for use with either a Mac or a PC. The Administrator need only know the email addresses and first and last names of end users in order to create People seats for them. Rooms Rooms are LifeSize endpoints that have been allocated a meeting room seat within your company s deployment of LifeSize Connections. Setting up a room LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 3

User Credentials When you create People accounts, the LifeSize Connections service automatically sends an email to each user with account credentials and instructions on where to download the software for PCs and Macs. Room Configuration Rooms generally do not have email addresses. When the Administrator creates Room accounts, he or she will need to enter the serial number for that endpoint and name the room. Once the Room seat has been assigned to an endpoint, the Administrator or a colleague will need to select Enable Connections on the endpoint. Then, the endpoint will contact the LifeSize cloud service, identify itself by serial number and receive its configuration and directory information automatically. Directory Services All People and Room accounts created will automatically be able to see the directory of all desktop users and rooms in your LifeSize Connections deployment. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 4

Terms Administrator The Administrator is the user who has been granted permission to manage an organization s LifeSize Connections account and service. This individual is responsible for creating and managing accounts for People and Rooms. This person is not automatically assigned an end user account, but he or she may find it useful to also register as an end user, making it easier to facilitate communication with end users throughout the organization. Administrator Portal The Administrator Portal is the secure, web-based console where the Administrator creates and manages the subscription(s) and the People and Rooms seats for his organization s LifeSize Connections account. The Administrator Portal also contains valuable reports on usage and detailed call records. Administrator Portals are accessible at http://admin.lifesizeconnections.com. You must have valid Administrator s login credentials to enter the portal. Connections ID The unique identifier for all People and Rooms assigned to LifeSize Connections seats, active or inactive..csv file A comma-separated values (CSV) file stores tabular data (numbers and text) in plain-text form. This file format is editable in commonly available spreadsheet and text editor applications. Endpoints A general term for LifeSize HD video systems hardware. These are dedicated hardware devices enabling HD video conferencing in meeting rooms or offices. People A seat that grants user access via a soft client (PC or Mac) that is assigned to a specific end user of LifeSize Connections. Purchased Subscription Voucher A flexible method for subscribing to LifeSize Connections that is available exclusively from LifeSize Partners. Rooms A seat that grants user access via a room endpoint that is assigned to a specific serial number. Seats (or Users) The unit of measure for subscribed access to LifeSize Connections. Each seat may be assigned to a single Connections ID at a time. Slider The mechanism for adjusting seat quantity and subscription time in an annual voucher based subscription. Soft Client A general term for software that can access the LifeSize Connections service. Subscription(s) A combined metric of the number of active seats for a specific period of time. Trial Subscription Voucher An alternative mechanism for creating a free trial account. Trial vouchers may be stacked to enable a wider (more seats) trial for a fixed duration of 30 days. Trial vouchers are available from LifeSize Partners globally. 30-Day Free Online Trial LifeSize Connections is available to try for free by signing up online at http://www.lifesizeconnections.com. Free trials include an Administrator Portal and a quantity of People and Room seats, valid for 30 days. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 5

System Requirements Administrator Creating and using a LifeSize Connections Administrator Portal can be done from most Web browsers. Supported browsers include Internet Explorer, Chrome, Safari and Firefox. If you experience difficulty accessing a specific feature or function, it is recommended that you verify you are using the latest version of your preferred browser. People Users PC and Mac platforms are supported with the following system requirements: Operating Systems: Windows 7, Mac OS X 10.6 and higher, Windows Vista 32 and 64 bit, Windows XP 32 bit with SP2 or SP3 Processor: Intel Core 2 Duo 2.4 Ghz or higher (lower CPU will result in reduced performance) Memory: 1 GB Storage: 60 MB available hard drive space Rooms The following LifeSize endpoints, running software version 4.9 or higher, are supported on LifeSize Connections: LifeSize Passport LifeSize Passport Connect LifeSize Express 220 LifeSize Team 220 LifeSize Room 220 LGExecutive, powered by LifeSize Bandwidth The level of available bandwidth will affect the amount of the video and data that can be sent between two parties. The recommended bandwidth per seat overall is about 1.5 mbps upstream and downstream. The minimum required bandwidth varies by call type and by client and endpoint. The Connections service handles all scaling and compositing of multiparty video streams in the cloud. LifeSize Connections clients will automatically adjust to bandwidth conditions during calls to deliver the best possible video and audio experience for the given conditions. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 9

Managing People Accounts Log in to your LifeSize Connections Administrator Portal at http://admin.lifesizeconnections.com. The default page after login is the Account page. Navigate to the People page to gain access to People seats and related settings. Adjusting Seat Quantity LifeSize Connections was built with a variable consumption functionality that enables you to increase or decrease the number of available seats with ease. Depending on how you purchased your LifeSize Connections subscriptions, you can adjust your subscribed seats as follows: Using Subscription Vouchers LifeSize Connections vouchers may be consumed variably from 80% to 1200% of their denominated face value (seats). For instance, with a 10-seat annual voucher, usage may be consumed at rates from 8 seats over 15 months up to 120 seats over 1 month. The consumption rate may be changed as needed, even daily. Multiple changes may also be made within the same day. The intraday peak will be used for calculating subscription consumption for the day. To change seat quantity, navigate to the People tab and click Change Seat Quantity. The slider tool allows you to easily adjust the seat quantity and duration of service within the limits mentioned above. Changes do not take effect until you click Apply. Unredeemed vouchers will automatically expire five years from purchase date. However, once activated, a voucher is subject to the usage rate described earlier. The tables above detail the purchase and use options for a 10-seat and a 25-seat voucher purchased monthly, quarterly, biannually and annually. Again, changes may be made as often as needed. LifeSize Connections will do all the math for you, automatically adjusting the service date accordingly. Using a Credit Card to Purchase Online If you purchased your LifeSize Connections subscription online with a credit card, LifeSize Connections will adjust your monthly billing rate if you change the seat quantity for your subscription. This includes proration for changes made before your next monthly billing date. To change seat quantity, navigate to the People tab and click Change Seat Quantity. Adjust the number of seats to suit your needs, and LifeSize Connections will reflect the change immediately. If you choose to increase your subscription, LifeSize Connections will take you to the service s online shopping cart to authorize the change to your account. Increases made mid-billing cycle will be prorated for the first (partial) month to align all of your subscribed seats on the same monthly billing date. Decreasing your subscription(s) requires that the seats to be removed be available (not assigned to users) prior to making the change. Making a seat available may require you to deactivate and archive users first. Decreases are effective immediately and do not require accessing the shopping cart. Mid-billing cycle decreases are shown as pending until the completion of the current billing period (monthly). In the next billing period, your decreased subscription will be reflected automatically. Creating Individual Users 1. Click the People tab of the Administrator Portal. 2. Click Add User Individually. 3. Enter the following information in the on-screen form: First name (free text) Last name (free text) Email address (must be a valid email address and not assigned to a Connections seat in any Connections account, trial or paid) Connections ID (must be lowercase alphanumeric with no spaces) 4. The Connections ID is entirely the administrator s choice, but it must be unique within the entire LifeSize Connections service globally. For example, if Bob Smith desires the ID bsmith and there is another Connections user already using that ID, then Bob should try bsmith1, bsmith2, and so on until he arrives at an acceptable option. 5. Click on Add. 6. The user will immediately be sent an email confirmation from the LifeSize Connections service including a link to download and install the soft client, as well as the user s Connections ID and temporary password. 7. The user will then be displayed in the User List on the Administrator Portal and in the UI directory available to all other People users and Rooms in this deployment. Importing a List of Users 1. Click Import Users. 2. Download and open the template.csv file link. 3. List (by either typing or cutting and pasting) the users last names, first names and email addresses into the appropriate fields. 4. Save the file locally. 5. Return to your Administrator Portal/People tab. Click Import Users. 6. Click Choose File and then select the file you saved locally. 7. Click Import. 8. A preview with any errors noted will be shown on screen. 9. Make any required changes to resolve the noted errors. 10. Click Import. 11. All imported users will then be displayed in the user list and will be displayed in the UI directory available to all other People users and Rooms in this deployment. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 11

New User Welcome Email All new People users, created individually or imported, will immediately be sent an email confirmation including a link to download and install the soft client as well as their Connections IDs and temporary passwords. Software Deployment and Updates PC Users To install the LifeSize Connections soft client, the user must have rights to install applications on his or her computer. Alternatively, the PC version of the soft client can be deployed centrally via command line using an MSI installation. This is done using the following command: X:\lifesizeconnectionssetup.exe/S, where X:\ is the path for where the file is saved. The PC soft client includes the automated LifeSize Updater. This utility will periodically check for software client updates and notify the user when one becomes available. Mac Users Mac users, when created, receive a link to install the LifeSize Connections soft client. The link will give them the option to download the soft client via the Mac App Store or directly from LifeSize. It is strongly recommended that they download and install LifeSize Connections via the Mac App Store because it will enable the users to benefit from the native application updates from Apple. Additional Actions Setting Bandwidth Bandwidth can be managed at both the global level and the individual user level. The bandwidth settings for each user are set to Default, and the Default setting is Client Managed. This is the recommended approach, giving the individual users the ability to manage their bandwidth settings according to their environments (home, office, traveling, etc.). In the Administrator Portal, People page, the Administrator can set the default bandwidth to one of many levels, ranging from 64 kbps to 3 mbps. This affects all users whose seat-specific settings are set to Default. Alternatively, the Administrator can set the bandwidth for each user to one of the many levels. This may be desired for specific deployments or use cases where the level of available bandwidth is known. Modifying Users 1. Navigate from your Administrator Portal to the People tab. 2. Find the user to be modified in the user list or the user archive list. 3. Click Edit in the Action column for the user you intend to edit. 4. Make the necessary changes to the user and then click Update. Note: The Connections ID cannot be modified once it is created. It is a globally unique identifier in the LifeSize Connections service. Resetting Users 1. Navigate from your Administrator Portal to the People tab 2. Select the user(s) from the user list. 3. To resend the new user mail, including the user s Connections ID and a new temporary password, click Reset User. Forcing a Password Change 1. Navigate from your Administrator Portal to the People tab. 2. Select the People users from the user list. 3. To force users to change their passwords, click Force Password Change. Deactivating and Archiving Users 1. Navigate from your Administrator Portal to the People tab. 2. Select the check box adjacent to the People user you wish to deactivate. 3. Click Deactivate and Archive. 4. The People users selected will then be deactivated and show up in the Archive section further down the page. This section is collapsed by default and is viewable by simply clicking the triangle adjacent to the section title (User Archive). LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 12

5. Users will receive an email informing them that their user accounts have been deactivated by the Administrator. 6. Rooms seats will automatically be disconnected from the service. 7. Deactivated People users will automatically be removed from the organization s Connections directory, but they will remain in individual users contact lists, appearing as Offline. 8. The unassigned seats previously assigned to the archived People or Rooms are now available to be assigned to new People or Rooms. Reactivating Users 1. Deactivated users are in the Archive section further down the page. This section is collapsed by default and is made viewable by clicking the triangle adjacent to the section title (User Archive). 2. To reactivate a user, select the user from the User Archive and then click Reactivate. 3. People users will receive an email informing them that their user accounts have been reactivated by the Administrator. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 13

Managing Room Accounts Log in to your LifeSize Connections Administrator Portal at http://admin.lifesizeconnections.com. The default page after Login is the Account page. Navigate to the Rooms tab, which you will find in the navigation at the top of page. Adjusting Seat Quantity LifeSize Connections was built with a variable consumption functionality that enables you to increase or decrease your available seats with ease. Depending on how you purchased your LifeSize Connections subscriptions, you can adjust the number of subscribed seats with the below methods. Using Subscription Vouchers LifeSize Connections vouchers can be consumed variably from 80% to 1200% of their denominated face value (seats). For instance, with a 10-seat annual voucher, usage can be consumed at rates from 8 seats over 15 months up to 120 seats over 1 month. The consumption rate can be changed as needed, even daily. Multiple changes may also be made within the same day. The intraday peak will be used for calculating consumption for the day. To change seat quantity, navigate to the Room tab and click Change Seat Quantity. The slider tool allows you to easily adjust the seat quantity and duration of service within the limits mentioned above. Changes do not take effect until you click on Apply. Vouchers expire five years from purchase date. However, once activated, a voucher is subject to the usage rate described earlier. The tables above detail the purchase and use options for a 10-seat and a 25-seat voucher purchased monthly, quarterly, biannually and annually. Again, changes can be made as often as needed. LifeSize Connections will do all the math for you, automatically adjusting the service date accordingly. Using E-Commerce If you purchased your LifeSize Connections subscription via e-commerce, your Administrator Portal is directly integrated with the shopping cart. To change seat quantity, navigate to the Rooms tab and click Change Seat Quantity. There you will see your current subscription and be able to enter a new number of seats desired. Increasing your subscription will take you to the online shopping cart to complete the change to your subscription(s). Increases made mid-billing cycle will be prorated for the first (partial) month to align all of your subscribed seats on the same billing period. Decreasing your subscription(s) requires that the seats be available (unassigned to users) prior to making changes. Making a seat available may require you to deactivate and archive users first. Decreases are effective immediately and do not require accessing the shopping cart. Mid-billing cycle decreases are then shown as pending until the completion of the current billing period (monthly). In the next billing period, your decreased subscription will be reflected automatically. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 14

Creating Individual Rooms Automated Provisioning 1. Click on Rooms from within the Administrator Portal. 2. Click Add Rooms Individually. 3. It is recommended to Provision Automatically (default choice). Select Provision Manually when you do not have the serial number of the endpoint. See Manual Provisioning for more detail on this. 4. Enter the following information in the on-screen form: Descriptive name (free text) Serial number (must be exactly as on the endpoint) Connections ID (must be lowercase alphanumeric with no spaces) 5. The Connections ID is entirely the administrator s choice, but it must be globally unique within all LifeSize Connections. For example, if boardroom is already assigned to another room, then try boardroom1, boardroom2, and so on. 6. Select the bandwidth allowed for the specific room. 7. Click Add. 8. The room will then be displayed in the Room List in the Administrator Portal with a status of Auto Pending and in the directory for each People user and Room in the organization s LifeSize Connections deployment. Manual Provisioning 1. Click on the Rooms tab of the Administrator Portal. 2. Click Add Rooms Individually. 3. Select Provision Manually when you do not have the serial number of the endpoint. See Manual Provisioning for more detail on this. 4. Enter the following information in the on-screen form: Descriptive name (free text) Connections ID (must be lowercase alphanumeric with no spaces). 5. The Connections ID is entirely the administrator s choice, but it must be globally unique within all LifeSize Connections. For example, if boardroom is already assigned to another room, then try boardroom1, boardroom2, and so on. 6. Select the bandwidth allowed for the specific room. 7. Take note of the Connections ID and the registration key. These will be needed when configuring the Room. 8. Click Add. 9. The room will then be displayed in the room list with a status of Manual Pending and in the directory for each People user and Room in thes organization s LifeSize Connections deployment. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 15

Importing a List of Rooms When setting up multiple rooms, it is advisable to import them as a list in a.csv format. This method can be used, however, only when you have the serial numbers for each endpoint to be set up. 1. Click on the Rooms tab of the Administrator Portal. 2. Click Import Rooms. 3. Download and open the template.csv file link. 4. List the rooms descriptive names, Connections IDs and serial numbers in the appropriate fields. 5. Save the file locally. 6. Return to your Administrator Portal/Room tab and click Import Rooms. 7. Click Choose File and then select the file you saved locally. 8. Click Import. 9. A preview with any errors noted will be shown on screen. 10. Make any required changes to address the noted errors. 11. Click Import. 12. All imported rooms will immediately display in the Room List with a status of Auto Pending and in the directory for each People user and Room in this deployment. Room Configuration To complete the provisioning, it is necessary to enable Connections on the endpoint. The endpoint must have Internet connectivity to complete this step. Using the endpoint remote control, navigate to the endpoint s Administrator Preferences. Navigate to Communications and then to Connections. The default setting is Disabled. Change this to Enabled. If using automatic provisioning, the endpoint will then connect to the cloud and receive its provisioning automatically. If using manual provisioning, use the endpoint remote to enter the Connections ID and registration key, and then click Register. The endpoint will then connect to the cloud and receive its provisioning automatically. Additional Actions Setting Bandwidth Bandwidth can be managed at both the global and room-specific levels. The bandwidth settings for each room are set to Default, and the Default setting is Client Managed. This is the recommended approach, giving the individual rooms the ability to manage their bandwidth according to their environments. End User Guide Getting Started Getting started with LifeSize Connections is a simple three-step process that takes only minutes. When your LifeSize Connections Administrator assigns you an account, you will receive a new user email from LifeSize Connections with instructions to download and install the soft client on your computer. In the same email, you will also receive your login (email address) and a temporary password. Installing the Soft Client For Windows-based computers, simply download the client and save it to a location on your computer. Run the installation by double clicking the executable file. For Mac computers, it is strongly recommended that you download and install the soft client from the Mac App Store. This will facilitate future updates when available. If you cannot use the Mac App Store, then download the DMG file and install accordingly. Log In Screen After you have downloaded and installed the client, the client will run automatically and will take you to the Login screen. You simply login with the login and temporary password provided to you in the new user email. If using copy/paste for the temporary password, please be sure that you do not copy any additional spaces before or after the password. Should you experience difficulty at this step, it is advisable to simply type the temporary password manually. Upon successful login, you will immediately be instructed to reset your password. Set your password to something memorable but difficult for others to guess. First Use Once you have logged in, you will see a blank contact list. You can begin adding contacts to your contact list from the directory or by inviting contacts outside of your company. You will notice that the user interface for Connections is simple and intuitive. The entire UI is single click, and there is a tool tip for most functions. Expose the tool tip for a given function by simply moving the cursor over the function. Check Your Settings Click the Gears icon in the top row. You can then set your photo for your account, change your password or check your Application and Device settings. LifeSize Connections auto-detects your available audio and video devices, but it is recommended that you test them before making your first call. To do this, simply click the Gears icon on the main UI and then click Application and Device Settings. Adding Contacts From the Directory Navigate to the Directory. The list of all people and rooms in your company are shown in alphabetical order. The first action adjacent to each name is Add to Contacts. Click this and in moments the contact will appear in your contact list. Their image, if they have set one, and presence status (available, in call, etc.) will be visible. Adding Contacts from Outside Your Company To add contacts from outside your company, click Add Contacts. You will be prompted to enter a Connections ID or an email address for the contact. If you enter an email address that does match a current Connections user, you will be prompted to invite the person as your guest. Guests When you invite a guest, the guest receives an email from LifeSize Connections automatically. The email contains a unique guest login code and a link to LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 19

download the software. Your guest needs only to download and install the soft client and then login using the guest login code. He or she will then be able to call you and receive calls from you. You can easily see the guest code by clicking on the Information (i) associated with the guest in your contacts. To disable a guest, simply remove him or her from your contact list. Making Calls and Other Collaboration Functions Make a Video Call Simply find the person or meeting room in your contact list you wish to call. If their presence button is green, they are available and you simply need to click the Call icon to call. One of the first features you will notice with Connections is the high quality of your video call. Your HD video call is delivered at 720p30. LifeSize Connection s adaptive bitrate control ensures the highest quality video available for your given connection, providing the best frame rate and resolution combination. Make a Voice Call If you prefer to make a voice call, simply click the Voice Call icon to dial. A call window will appear with your outbound video turned off. At any time during the call, you can turn video on by clicking the Webcam icon in the lower right of the call window. Send a Chat Message You can send an instant message to anyone, anytime whether you are in a call or just want to make contact via chat. When you click the Chat icon next to your contact s name, the Chat window opens and you are ready to type your message. Receiving Calls Inbound calls have an audible ring and display a message at the bottom right of your screen. If you are not in a call already, you will be prompted to accept or ignore the inbound call. You can choose to answer with Inbound While In Call video enabled (default setting) or not by checking or unchecking the Video Enabled checkbox before answering the call. If you are already in a call, you will have the choice to Conference, Switch or Ignore the inbound Inbound While Not In Call call. Conferencing an inbound call will join your current call and the inbound call in a multiparty conference. Switch hangs up the current call and answers the new inbound call. Multiparty Calling LifeSize Connections enables you to conference with several people at once in a multiparty call. There are two easy ways to place multiparty calls. First, you can create a conference by adding multiple people and placing the call to everyone at the same time. You simply click the Conference icon and start adding members to your conference list. When you have added all the participants, click Call Now. If you are in a call and want to add additional callers to the call already in progress, you simply click to call additional individuals and they will be conferenced in to your existing call. Callers can leave the call when they wish without interrupting the continuing call. Data Sharing When you are in a call, you can share your screen or a specific application window with everyone on the call. In the lower right of the screen, you will see an icon for data sharing. Click it while in call and you will be prompted to share your desktop or select a window. LIFESIZE CONNECTIONS GUIDE FOR ADMINISTRATORS AND END USERS 20
