Purpose and Overview The purpose of this quick guide is to help you create, add, update, and delete your payment election (direct deposit information) accounts in Workday. In addition, you can specify how your payroll payments are distributed among, if applicable, multiple payment election accounts. Note: This is only applicable for employees with US Bank Accounts. Workday Steps New Employee Creating Payment Elections for the First Time 1. On your Workday Home page, click the Pay Bubble. In the drop-down list under Actions, click Payment Elections. 2. 3. The Payment Election Option page is displayed. a. Click the prompt icon in the Payment Type field and select US bank deposit in USD. Note: If you select Check as your payment type, you will not complete the Account Information section. b. Complete the following fields for Account Information and Additional Information: Field Action Example Account Nickname (Optional) Type the name for this account. Primary Bank Account Type* Select the appropriate radio button for either Checking or Savings. Checking Bank Name* Type the name of your bank. Field Action Example Type your nine digit routing number located at the bottom of your check. Note: Do not use the routing number from a Deposit Ticket. Routing Transit Number* 123456789 Type the account number located at the bottom of your check to the right of the routing number. Include all zeros but NOT the check number. Account Number* 1234567890 Bank Identification Code * Required (Optional) The Bank Identification Code, also known as a BIC or SWIFT address, is a unique address that identifies the exact bank involved in the financial transaction. 4. The Payment Elections Employee page is displayed. a. Click [Done]. Maintain Account(s) Note: You can also stay on this page to add additional accounts or change distribution settings. See below for details. 1. On your Workday Home page, click the Pay Bubble. In the drop-down list under Actions, click Payment Elections. 2. The Payment Elections Employee page is displayed. 3. To add an additional account, under the Accounts section, click [Add Account] then complete steps 3b 4a in the New Employee Creating Payment Elections for the First Time section. 4. To change existing account information, under the Accounts section, on the account line to be changed, click [Change Account] then complete steps 3b 4a in the New Employee Creating Payment Elections for the First Time section. Note: Only update those fields in step 3b that are applicable. Delete an Account 1. On your Workday Home page, click the Pay Bubble. In the list under Actions, click Payment Elections. 2. Under the Accounts section, on the account line to be deleted, click [Delete Account]. 3. The Delete Bank Account page is displayed. 4. Click [OK]. Add Payment Election(s) The payment distribution will default to the first account you enter. If you only have one payment election account 100% of your payroll payment will be deposited to this account. If you create an additional payment election account you have the option to distribute your payroll payment to multiple accounts (you can have up to three payment elections). 1. On your Workday Home page, click the Pay Bubble. In the list under Actions, click Payment Elections. 2. The Payment Elections Employee page is displayed. Note: You must have at least two accounts before changing elections. a. Under the Payment Elections section, on the first account line, click Change Election. 3. The Payment Election page is displayed. The first account created, Steve s Checking, is displayed. b. Complete the following fields for each additional payment election: Field Action Example Country* Type the country or click the prompt icon and select the United States of bank s country from the drop-down list. America Currency* Defaults based on the Country selected. USD (US Dollars) Payment Click the prompt icon and select the appropriate payment 1 US bank deposit in Type* type from the drop-down list. USD Account* Select the bank account for your Payment Elections. Steve s Savings Select either the Amount or Percent radio button and type the amount or percentage, respectively, you would like deposited in the added bank account. Example 1: If you select the Amount radio button and enter $100.00, Workday will direct $100.00 to Steve s Savings account. Then, on the line for Steve s Checking, select the Balance radio button. Workday will deposit all remaining monies, after deducting $100.00, to this account. Field Action Example Example 2: If you select the Percent radio button and enter 10, Workday will direct 10% of the payroll payment to Steve s Savings account. Then, on the line for Steve s Checking, select the Balance radio button. Workday will deposit all remaining monies, after deducting 10%, to this account. Balance/ Amount/ Percent* Steve s Savings: Percent radio button 10 Steve s Checking: Balance radio button Remaining monies Note: For Steve s Checking, instead of selecting the Balance radio button, you could also select the Percent radio button and enter 90%. The percentages for all accounts must total 100%. * Required c. Click [OK]. 4. The Payment Elections page is displayed. Note: The Payment Elections section contains the defined payment elections (for this example $100 goes to Steve s Savings and the balance goes to Steve s Checking). Maintain Payment Election(s) 1. On your Workday Home page, click the Pay Bubble. In the drop-down list under Actions, click Payment Elections. 2. The Payment Elections Employee page is displayed. a. Under the Payment Elections section, on the first account line, click [Change Election]. 3. The Payment Election page is displayed. 4. To update the disbursement of payroll payments for existing payment election accounts update the values / amounts in the Balance / Amount / Percent column. 5. To delete an existing payment election account click the remove row icon. Note: If the remaining payment election has the Amount or Percent radio button selected it will need to be changed to the Balance radio button. 6. Click [OK]. 7.
