No unauthorised copying or distribution of the document or any part of its contents is permitted. If you have any questions about the use or distribution of this document, call the 1-Stop Helpdesk on 1300 881 055. 1.2 Purpose of this guide This guide is for customers of the 1-Stop services. It is intended as a: training resource when you purchase 1-Stop s services; and reference guide, if you need help to perform specific tasks. Information about solving problems is included at the end of this document. 2 ABOUT 1-STOP 2.1 Who is 1-Stop? 1-Stop is an information communications technology (ICT) company that provides services to businesses involved in the import and export of goods to and from Australian ports. We are based in Sydney and our services are used all over Australia and in Auckland, NZ. Our customers include: terminal operators (stevedores); shipping lines; Australian Customs Services and Australian Quarantine and Inspection Service; container depots; importers and exporters; freight forwarders and agents; road carriers; and rail operators. 2.2 What does 1-Stop provide? Our ICT solutions permit the exchange of data via the web or by electronic data interchange (EDI), for purposes such as container and vessel tracking, vehicle bookings to collect and deliver cargo at terminals, Electronic Import Delivery Orders (EIDOs), Pre Receival Advices (PRAs), invoice and payments systems, and much more. 3 ABOUT THE BUSINESS INTELLIGENCE SUITE 3.1 What is the Business Intelligence Suite? The Business Intelligence Suite gives you a great snapshot of the benchmarks and performance metrics you need to reconcile and manage your operations. 3.2 Who uses the Business Intelligence Suite? You can view detailed facility statistics, see the slot utilisations and even drill down to your individual truck turnaround times. 4 TERMS OF USE All 1-Stop products have Terms and Conditions of use. If you are a new user of web-based services, you ll be asked to agree to these when you sign in. Downloadable copies of some of our Terms and Conditions are available on our website. 5 CUSTOMER SYSTEM REQUIREMENTS 5.1 Hardware To use the 1-Stop services, customers need: 1GHz CPU and above; 1GB RAM minimum; and a printer for report printing (where required). 5.2 Operating system 1-Stop services are compatible with any operating system with web browser capability. However, Internet Explorer for Windows is the recommended configuration. Functionality may be limited in other browser environments. 5.3 Software Customers need: Internet Explorer Version 7 and above (on Windows operating system); and an email account with HTML capability for receiving acknowledgements and EIDO responses. 5.4 Communications You need: internet access (we recommend ADSL or higher; a satellite is recommended for rural users); and email SMTP communications. 6 BEFORE YOU START 6.1 Registration If you haven t already registered for 1-Stop services, you ll need to do so. You can do this quickly and simply on our website at www.1-stop.biz. Go to the 1-Stop Home page and click on Register in the top right hand corner of the page, above the Sign In box and Latest News and Events. You will be directed to the Registration screen. Select your Registration Type you will need to register as a company, as you ll be asked to provide an ABN. Business Intelligence Suite-CUST-User GuidePage 8 of 28
You ll be asked to choose from a list of 1-Stop Service Families. Choose Business Intelligence Suite from this list. Select Australian Registered Company (the Gateway service is only offered to companies with a valid ABN which is registered in the Australian Business Register). Once the search results are displayed, click on the correct result, then click Next. Enter your information into the Organisation Details screen, then click Next. Enter the individual details then click Next at the bottom of your screen. Business Intelligence Suite-CUST-User GuidePage 10 of 28

7 GETTING STARTED 7.1 Logging in Go to the 1-Stop Sign in at the top right corner of the Home page. Enter your user name and password. You may be asked to reset your password. 8 HOW TO ACCESS THE BUSINESS INTELLIGENCE SUITE After logging in navigate to the Launch menu and click on Business Intellegence Suite: Business Intelligence Suite-CUST-User GuidePage 13 of 28
9 WHAT IS AVAILABLE Information is displayed in 2 formats dashboards and reports. A Dashboard summarises data that is available in each of the reports and displays it in graphically format. A Report will show the detailed information. There is 1 Dashboard and 5 reports available (Sept 2011). The reports can be divided into 2 functional areas: 1. Road Carrier (Truck) Reports 2. Terminal (Slot) Reports 9.1 Definition of the reports available Road Carrier Reports: Average Time, shows for each timezone the average truck turnaround time taken to service a truck (Gate In to last loaded/unloaded container). Average Time = Time Taken Number of Trucks Actual Time, show for each truck (REGO) the actual time taken to complete a truck service, the Service KPI (50 minutes for the 1 st container and an additional 10 minutes for each extra container manifested), and if the truck service exceeded the KPI. Excess Time, shows the total trucks serviced, total trucks serviced within and exceeding the Service KPI, and for excess KPIs a breakdown in 15 minutes increments. Performance Details, shows detailed information for each Truck based on REGO as Early, Late, On Time, Time Taken, and container details. Terminal Reports: Slot Summary, shows the available and extra slots created by a Terminal and the bookings made by Carriers. Available slots = slots released to all carriers, Extra slots = Stack Runs, OOG, HAZ and CTO created slots. Slot Type, CTO Report Only, shows the type of slots booked in each timezone by Carriers, shown as either Import or Export. Business Intelligence Suite-CUST-User GuidePage 14 of 28
10 DASHBOARD Truck & Facility Reports Performance Dashboard is a summary reporting page. The data comes from the VBS and other 1-Stop systems and is combined to show the information in a summary format to allow a quick overview of performance. The Dashboard shows a summary of the selected facilities : Average Truck Turnaround Time A summary of the Slots Available in each timezone against the number Booked by Road Carriers. A User can change facilities by clicking on the drop down box to selecting another facility, the screen will refresh to show the latest information for that Terminal The time period shown defaults to yesterday, and can be changed to another period by selecting a period for the drop down list. Yesterday: Previous Day Current Week: Week starting Monday and ending Sunday Month: 1 Month, up to 12 Months. 10.1 Dashboard Reporting Period Reporting Period values include : Business Intelligence Suite-CUST-User GuidePage 15 of 28
Yesterday (default View) Current Billing Week (Monday to Sunday of the current week) 12 months start from Current Month descending 10.2 Average Truck Turnaround Time 1. A trucks turnaround time is a calculation of the total time taken to service a truck. The measurement is from the time the truck enters the terminals IN Gate until the last container has been loaded or unloaded from the truck. 2. The yellow line shows the average time taken in each timezone for the selected Stevedore to complete truck services 3. 10.3 Carrier Truck Performance Slot Performance based on truck arrival times. Performance is measured based on the number of slots arriving: 1. On Time, arrived within the booked Timezone 2. Early arrival, arriving before the start of the booked Timezone 3. Late arrival, arriving after the end of the Timezone 4. Failed to Arrive, not arriving for the booked Timezone (also known as No Show) For more information refer to Sydney Ports PBLIS-OPM Measures. 10.4 Terminal Truck Servicing Time Truck Turnaround Time Truck Turnaround Time KPI The current measurement allows 50 minutes for the 1st container and 10 additional minutes for each additional manifested container on the truck trip. Within TTT is defined as completing truck servicing from Gate In to Job Complete (last loaded/unloaded container) within the KPI. Excess TTT is measured based on the time taken in excess of the KPI for truck servicing. Measured in increments of 15 minutes blocks over the KPI 1. 0-15 minutes over the KPI 2. 13-30 minutes over the KPI 3. 30-45 minutes over the KPI 4. 46-60 minutes over the KPI 5. 1 hour over the KPI Business Intelligence Suite-CUST-User GuidePage 17 of 28
For more information refer to Sydney Ports PBLIS-OPM Measures. 10.5 Slot Summary To provide visibility of the slots created by Terminals the Slot Summary graph shows the number of slots created by the selected Terminal in each Timezone and the number of slots taken up by the Industry. Blue Bar shows the number of slots created by the terminal in each Timezone. 10.6 Click Through Reports There are four hot spots on the dashboards that allow access to the detailed data that makes up the report. These are accessed by clicking on one of the graphic, a hand symbol will be shown. 11 REPORTS Reports are available to provide the users with details of the data summarised in the dashboard. The reports show the actual data. These Reports are accessible two ways: 1. From the Truck & Facility Report Menu on the left hand side of the screen or; 2. Via click through, to access the reports via click through just click on the graph and the report will be launched. 11.1 Report Menu 11.2 Report Selection Filters Based on your level of access a user can apply the following filters to the reports: Terminal Selection (base on VBS accessible Terminals) Stevedore Terminal Selection (only available to Carriers) Carrier Selection (only available to Stevedores) Period Selection o Yesterday o Current Week o Month Timezone (on certain reports) Business Intelligence Suite-CUST-User GuidePage 20 of 28
11.3 Average Truck Turnaround Time Description: Displays individual Terminal and/or carrier s Truck Turnaround Time in minutes across all time zones or selected time zone for the reporting period selected. Stevedore Use: Shows trends for individual truck service time across time zones to understand which time zone has the fast and slowest TTT. It will also assist Terminals in resource planning. Carrier Use: The report is designed to allow a Carrier to see the average time taken to service their trucks at a facility. Whilst comparing the average time taken by the facility. Calculation: Time Taken for each truck (added) Number of Trucks 11.4 Actual Truck Turnaround Time Description: Display individual Terminals actual Truck Turnaround Time minutes across all time zones or selected time zone during reporting period Business Intelligence Suite-CUST-User GuidePage 21 of 28
Stevedore Use: Displays detailed truck turnaround time, timezone service, truck rego, and for Port Botany if the truck was serviced within the PBLIS KPI for truck servicing Carrier Use: Displays carrier trucks by Truck Rego the amount of time taken by the selected terminal to complete truck servicing. Based on rego a carrier can see the performance of an individual truck compared to other trucks within their fleet. 11.5 Truck Performance Details Description: Displays all truck trips in detail based on Truck Registration (REGO) as: Business Intelligence Suite-CUST-User GuidePage 22 of 28
Blue Bar shows the number of truck arriving On Time Yellow Bar shows the number of trucks arriving Before the Timezone Report Details: Red Bar shows the number of trucks arriving after the end of the timezone Timezone Serviced, Truck Rego, Gate In Time (Terminal Entry), Job Complete Time (last loaded/unloaded container), Time taken in minutes to complete truck servicing (Gate In time to Job Complete). For each truck the report shows the manifested container number, type (Import/Export), Status, ICO Code and Commodity. 11.6 Excess TTT Description: Displays Terminals and/or Carrier s excess truck turnaround time statistics, i.e. number of Within TTT (within allowable time) vs. Excess TTT (above allowable time) against selected timezone or reporting period. Usage: Only For Port Botany, to understand excess truck turnaround time pattern and penalties payable under the PBLIS Regime. 11.7 Slot Summary Description: Displays available slots (number of slots available for booking), Booked slots vs Total slots across all time zones from the selected Terminal.
