1. WHO DOES WHAT? During your stay in Trento, you will get in touch at first with three offices. They manage different areas of the Double Degree Programme. 2. ENROLMENT Once you arrive in Trento, you need to enrol by filling in the form you will get from the Double Degree Programmes and International Projects Office in occasion of you first official meeting. The form has to be submitted to the Admission Office of your Faculty, together with: - Payment receipt of the student fee, tassa per il diritto allo studio (TDS) and revenue stamp 2 - #1 photo (passport format) - photocopy of your ID document or passport - Official copy of the academic transcripts (Home University) 3 After enrolling, you will be provided with both username and Esse3 password (strictly personal data!) that allow you to: -access your Esse3 web page (you might visualize and change personal data, print out official certificates, sign in for examination sessions ) -access the personal unitn - web mail box - use university computers. The Welcome Office will provide you with a short guide describing the Esse3 system. The Admission Office of your faculty also provides each student with the exams mark book (libretto universitario). Each Admission Office has different deadlines for providing students with their exams mark books. Passed exams will be recorded on the exams mark book. Lecturers will record course title, date when the exam was taken, and signature. NOTE: - If your classes started in the second semester, you could enrol within March 31 st. - If you are staying in Trento for three or more semesters according to your DD programme, you must pay the TDS for the second academic year. Also in this case, you must bear in mind the payment deadline. Every year, this is decided by Divisione Gestione Studenti. If you plan not to be in Trento by the time enrolments commence, you can send the properly completed application form via mail, and attach the payment receipt. The TDS has to be paid for each academic year during which you are involved in didactical activities (the last session to give exams avoiding the payment of this fee is September). At the end of your stay in Trento, you can decide to graduate in the ongoing academic year (i.e. at the latest, by March of the academic year following your last exams session). You have to submit the form domanda di attesa di laurea to avoid to pay the TDS again and to renew your enrolment. You can take exams until December 28 th. If you missed the payment deadline, you will be charged penalty fees. 2 The revenue stamp can be bought at any newsagent s and costs 14.62. The stamp shall be stuck on the application form. Students enrolling in the academic year 2010/2011 can alternatively pay 142.62 (the amount includes both tassa per il diritto allo studio of 128.00 and the revenue stamp of 14.62) at your bank branch or at the counter of the Admission Office of your faculty, but only with credit or Debit card. 3 ATTENTION: If students cannot present the official transcripts at the time of their enrolment, they must provide the official record within 30 days from their arrival in Trento. The documents are necessary in order to insert students in the Esse3 database, that is the career management system. 6
3. STAY PERMIT - RESIDENCE CARD Non-EU students must apply for their stay permit, supported by the Welcome Office. DIDACTICS You must make reference to person responsible for your double degree programme in your own Faculty. Your supervisor will help you during your study period in Trento, and will keep in touch with your supervisor at home. The supervisor will help you to choose the right courses. The definitive version of your study plan has to be submitted to the Double Degree Programmes and International Projects Office within October 10 th (if you arrive in the first semester) or May 15 th (if you arrive in the second semester). The study plan has to be submitted on a blank sheet, and it has to be signed by you and your supervisor. Course title and credits must be indicated. Within the following 30 days, your study plan will appear on the Esse3 system. Any changes in your study plan must be agreed with your supervisor and be promptly communicated to the Double Degree Programmes and International Projects Office. This is necessary in order to have your study plan updated on the Esse3 system. You can not take a given exam if the course is not included in your study plan. The Office will share information with the Double Degree Programmes and International Projects Office. There is a specific form to compile your study plan. This is provided by your Faculty. The form must be signed by you and your supervisor. Course title and credits must be indicated. Within the following 30 days, your study plan will appear on the Esse3 system. Any change must be agreed with your supervisor and be promptly communicated to the Double Degree Programmes and International Projects Office or to Ufficio Supporto alla Didattica (Dr. Emanuela Merisio or Dr. Katia Salvadori). This is necessary in order to have your 7
study plan updated on the Esse3 system. You can not take a given exam if the course is not included in your study plan. FOR STUDENTS FROM KU EICHSTÄTT-INGOLSTADT ONLY: The Bilateral Commission set specific rules for these students. These rules are the following: a) Students must submit the documentation concerning the exams taken in Germany in occasion of the first informative meeting with the Double Degree Programmes and International Projects Office. b) Fourteen days prior to the beginning of lessons, incoming students from KU Eichstätt- Ingolstadt University must provide a draft of their study plan here in Trento. c) The draft will be discussed in occasion of a further meeting with the academic supervisors, Dr. Emanuela Merisio and/or Dr. Katia Salvadori (Ufficio Supporto alla Didattica di Sociologia) d) After this meeting and after the approval of the study plans, Dr. Emanuela Merisio or Dr. Katia Salvadori will send official study plans to the Admission Office in the Sociology Faculty. They will send copies to the Double Degree Programmes and International Projects Office. e) If a study plan does not conform to the general rule, the student at issue will be contacted by the Double Degree Programmes and International Porjects Office or by Dr. Emanuela Merisio/Katia Salvadori to revise it. If the student does not find valid alternatives, then the study plan will be examined by the Bilateral Commission. f) Any requests for change must be promptly communicated to Dr Emanuela Merisio/Katia Salvadori or to the Double Degree Programmes and International Projects Office. Changes must be approved by the Bilateral Commission. Changes are not to be considered finalized until the Double Degree Programmes and International Projects Office gets in touch with you. 5. HEALTH INSURANCE The University of Trento health insurance scheme covers hospitalization due to an injury occurred in the realm of didactic activities. It also covers costs resulting from damages or accidents to third parties occurred inside University buildings. EU students shall apply for the European sanitary card BEFORE leaving their countries. Alternatively, they can buy a private insurance. Welcome Office will inform you about the access modality to the Italian health care system. CIAL - INTERFACULTY LANGUAGE CENTRE University of Trento organizes extensive and intensive Italian language courses for exchange students. CIAL - Interfaculty Language Centre encourages instrumental learning, the practice and study of Italian and of other foreign languages (for example Chinese, French, English, Spanish, German). It offers taught courses and self-assessment facilities (self-access room and media library). 8
Exchange students can attend for free only one course of Italian, for each level. University of Trento also organizes specialized language courses. Currently, the only course is ITALIANO GIURIDICO. PART- TIME STUDENTS COLLABORATION (150 HOURS) Our students can be rewarded for collaboration activities in the University administrative offices or for Opera Universitaria. These are called part-time student collaboration/ 150 hours (collaboration contracts are in fact for max 150 hours). Calls for applications are generally advertised in September, and exchange students are invited to apply. 9. BEFORE LEAVING TRENTO Before going back to your home University, you have to stop by the Double Degree Programmes and International Projects Office in order to: 1. return a copy of your libretto universitario 2. communicate an eventual new address in your home country 3. discussing the enrolment to a further academic year or domanda di attesa di laurea. NOTE: You must submit a copy of your libretto universitario to the Admission Office of the Faculty in which you enrolled. Please, communicate eventual changes of address to the Double Degree Programmes and International Projects Office. This is necessary to allow correspondence. 10. GRADUATION PROCEDURES AT THE UNIVERSITY OF TRENTO Notwithstanding the University where you will work on your thesis, Double Degree students must apply for graduation to the Admission Office of their Faculty, respecting deadlines. The graduation calendar can be found on each Faculty s web sites. To candidate for a graduation session, a revenue stamp must be attached to the application form. If applications occurred one year after the TDS payment, the TDS had to be paid again. Students who do not respect payment deadlines will be charged penalty fees. If your dissertation occurred in Trento on a specified date, your proclamation might take place on a different date. For further information about both dissertation and proclamation dates, please consult the Deanship s Office of their Faculty (Segreteria di Presidenza). For further information, please visit http://portale.unitn.it/pos/dl.htm, under esame finale Please, remember that your presence at the proclamation ceremony is compulsory, even if the dissertation took place abroad. 11.
