Overview of Visendo popconnect 2010 Thank you for choosing Visendo popconnect 2010. Visendo popconnect 2010 is the latest version of the popular Visendo popconnect line and serves to support your exchange server. It pulls the mails from POP3 or IMAP accounts on the internet and delivers them to your local mail server (e.g. Exchange Server or any other server supporting SMTP). Visendo popconnect is a Microsoft Windows application and has to be started regularly with a Scheduler or the Windows internal planner. New in popconnect 2010 is the integrated scheduler that lets you do this easily from within the popconnect GUI. With the new completely redesigned GUI popconnect has now become even more userfriendly. On click on an entry field a short help text is displayed. This makes the program more or less self-explanatory. An important new feature of popconnect 2010 is the possibility to support multiple Smtpservers. That way you can organize your mail-traffic in any way you like. With the update function you can always bring your popconnect 2010 up-to-date with a single click. So this application can always be stable. Additionally, Visendo popconnect 2010 contains a RSS Reader, which gives you the possibility to deliver your favorite web logs or news to a certain mail address. Editions Visendo PopConnect 2010 is available in the distributions Standard and Plus. This is a short list of the differences:

Visendo popconnect 2010 supports among others the following Mail-Servers Microsoft Small Business Server (SBS) 4.5, 2000, 2003, 2008, 2011 Microsoft Exchange Server 4.0*, 4.5*, 5.0*, 5.5, 2000, 2003, 2007, 2010 Lotus Notes Linux Mailservers (z.b. Postfix, SendMail) Software requirements:

In order to use an Access-database, Microsoft Access is not required. You only need the Jet OLEDB Provider. From Windows XP SP2 on, it is part of the standard Windows installation. For more information on finding out which version of the Jet provider is installed on your system look here: http://support.microsoft.com/kb/239114/en-us Install Visendo popconnect 2010 Visendo popconnect 2010 is provided as 30 days trial version. On the graphical interface, the demo version can be registered and licensed at any time. The current version is in an about 12 MB large ZIP File, which contains a Windows Installer package. Execute the MSI package to start the installation. After installing and registering you can bring your copy of popconnect up to date via the update function. After the installation, all the needed libraries, the Access database file, the scripts to create the SQL- resp. MySQL-database and the application itself (popconnect10.exe) are stored in the installation folder. On your desktop and in the start menu, shortcuts to the administrator interface have been created. For more information see chapter Configure Visendo popconnect 2010. The shortcut starts the popconnect.exe with the parameter /Admin. Please consider that only one instance of popconnect can be started at a time. If the Admin interface is open, the executing of the application via the scheduler is ignored! On the first time fetching emails from the mailboxes, subfolders for each account are created and named like the account. Also, Log files are created where information about the specific process is saved. You can choose how detailed these logs will be.

Configure Visendo popconnect 2010 To use Visendo popconnect 2007, you have to provide some basic settings. At least one account and the SMTP server have to be configured. The necessary settings can be entered on the first start with the help of a wizard. At the first start First you have to at least configure one account. You re assisted by the Configuration Wizard : Enter name or IP-address and the port of your destination smtp-server to which the received emails are forwarded. Postmaster is the central email-address, in particular for error messages (this is not the Destination E-Mail Address, see below.)

The new account should have a unique name and contain no special character. Now you have to choose if you have to use a single account or a domain account. With a domain account, all emails of a domain are put in one account and then delivered to the members you have selected. PopConnect then forwards them to the domain-recipients via your selected SMTP server. With single accounts, you have to create an account per user. Thus, the organization is a bit more complicated and the overall speed when pulling the emails is slightly less. For a single account enter the intern email address on the Smtp-server into the field Destination E-Mail-Address. For a domain account enter only the destination domain (without leading @ ) in example: company.com Destination E-Mail Address is the intern email address of the user to whom the emails are forwarded.

Now enter: 1. Name or IP-address of the POP3 or IMAP4 server 2. Username 3. Password If you do not know, you get this information from your mailbox provider. You can test your connection with the button Connection test. After that, you re prompted to enter your Windows username and password in order to register Visendo popconnect as a task under Windows.

Under Schedule you can choose how often popconnect will be started in order to fetch your emails. With that, the basic configuration of Visendo popconnect 2010 is finished. In the following, you see a detailed overview of the program. Home Home The start site shows general information on your popconnect version and on recent activities. When new updates are available, you can comfortably install them with one click on Get Latest Version. View E-Mails Use this function in order to test the connection to your POP3 and IMAP accounts and to view your accounts directly at the provider. Choose whether you want to display the emails from the file system or with support of the database and click the account you want to examine. You then see the emails on that account.

By pulling one or more column headers upwards, you can group the emails accordingly. You can search for certain emails in the list and perform certain actions for selected emails (Pull/Deliver or Delete).

Settings Accounts Here you can add new accounts or administer existing ones. Click on the folder symbol in order to add a new account. Click on the account to give further details. You have to specify whether the account is a group account or a single account. On single accounts, you have to create an account per user. Thus, the organization is a bit more complicated and the overall speed when pulling the emails is slightly less. For a single account enter the intern email address on the Smtp-server into the field Destination.

On a domain account, all emails of a domain are put in one account and then delivered to the members you have selected. PopConnect then forwards them to the domain-recipients via your selected SMTP server. For a domain account enter only the destination domain (without leading @ ) in example: company.com. You can enter the members of the domain account after a click on the folder -symbol manually, or you can import members from Active Directory after a click on the selection symbol ( ).

. Under Server specify the server from which popconnect will pull the emails. You need the server name, protocol type, port and the username and password for the server login. You can test your data with the Connection Test.

In the extended options you can among others specify whether and in what time frame the emails are to be deleted on the POP3/IMAP server after they have been pulled. This can be useful e.g. for testing. Please note that the option Delayed deleting can only be used in combination with a database. If your mail server uses alias-domains, you can enter these at Replace Destination Domain. SMTP By clicking on SMTP (destination) you can choose the destination fort he emails. Give a postmaster email address. Enter the name or the IP-address of your SMTP(destination-)server into the field SMTP-server. When you require an SSL connection, you can specify this here. You can test the connection with Connection Test. With the option Authentification you can specify the authentification information with which popconnect logs on to the SMTP server. Under Errors you can declare how to handle errors (e.g. send again or send again from postmaster).

Configuring the Scheduler Visendo popconnect is a Microsoft Windows application and has to be started regularly with a Scheduler or the Windows internal planner. New in popconnect 2010 is the integrated scheduler that lets you do this easily from within the popconnect GUI. Visendo popconnect 2010 automatically creates a Windows task that can be configured from the popconnect administrator console. Receiver settings Header fields

Here you can set the fields of the mail header which should be parsed by popconnect. The following fields should always be set: TO, CC, BCC. You can add your own user-generated fields. The other fields like envelope-to, x-to and so on are variable and generated by the mail server. Sometimes it may happen that no extended field like this is created. X-Lyris fields are created by Lyris mail server and can be parsed now too. Which fields occur you can find out by asking your provider or by taking a look into the mail headers.. Limits Here you can define the size a mail must not exceed in order to be received, and the timeframe in which they will be filtered. You also can choose the number of mails to be fetched per connection.

Attachments PopConnect is able to automatically remove unwanted or possibly dangerous attachments. In that case, the user receives only the email without the attachment. The removed attachment is saved in the folder Attachments in the directory C:\ProgramData\ppedv\Visendo popconnect 10 (Vista, Windows 2008, Windows 7) resp. C:\Dokumente und Einstellungen\All Users\Anwendungsdaten\ppedv\Visendo popconnect 10 (Windows 2000, XP, 2003). You have two ways to specify how to treat files that are sent as attachments: Whitelist: In general, attachments are removed. Only attachments of the file types specified in the list are forwarded to the user. Blacklist: In general, attachments are forwarded. Only attachments of the file types specified in the list are removed. In the example, Blacklist is selected. Therefore only attachments of type.xml,.txt or.jpg are forwarded to the user; all others are removed. If in the example you would change from Blacklist to Whitelist, only attachments of type.doc,.pdf and.zip would be sent on. All others would be removed. When the option Notify user resp. Notify postmaster is activated, the user resp. postmaster additionally receives an email indicating that an attachment was extracted and at what place it was saved. Routing In this mask you can enter rules for handling emails. Example: For all emails containing the word information in the subject header, a copy shall be forwarded to the address info@ppedv.de.

Step 1: Create the template: Click New to create a new template. Click the button behind Edit. In the popup-window click on New to choose a new condition. In the example: Condition Type: MailSubject (For all emails containing the word information in the subject header ) Operator: Contains (For all emails containing the word order in the subject header ) Confirm your selection with Ok. Now choose the remaining conditions: - All: Filter for all conditions in the list (in our example there is only one). - Distribution Type: MailCopy (a copy of the email shall be forwarded)

Step 2: Create a rule from this template: Under Rules click on New in order to create a rule from this template. The Condition (in the example: MailSubject ~) and the Routing type (in the example: MailCopy) are already pre-selected. Click into the field behind Condition to specify the value. In our example, it is order (For all emails containing the word order in the subject header ). Now enter the destination where the copy of the email is to be sent (in the example: sales@company.com).

Mailing lists With the mailing list function you can receive newsletters without problems. Because newsletters often do not contain a valid address in the TO-field for your domain, they are hard to forward. With a mailing list this is not a problem anymore. With a right- click on mailing lists you can create a new entry. In the following popup-window, enter the receiver emailaddress and click Add. You can also specify several intern recipients for one mailing list. For this, just enter an email-address and click on Add. Now you can repeat this until all intern recipients have been entered. To confirm click on Ok. Now the mailing list and its recipients are displayed.

RSS Feeds In popconnect 2010, you can add RSS-feeds to your accounts. So you can automatically receive your favorite blogs, price lists or news per email and are always up-to-date. For single accounts you can configure RSS-feeds per account. Click on New RSS feed and enter a name and the link to the RSS document. For domain accounts, you first have to create members. They merely serve as destination for the RSS feeds. Once the members are created, RSS-links can be added like with single accounts. Log files By default, popconnect only creates one log file: popconnect.log. Here, every task from receiving to sending is stored in a W3C-valid format. For diagnostics or for sending them to our support, detailed logging can be activated. In that case, Visendo popconnect writes additional information to the logs. For each day, the following log files are created:

popconnectreceive_datum.log o information pertaining to fetching the emails from the POP3/IMAP accounts popconnectsend_datum.log o information about delivery to the intern Smtp-server popconnectrss_datum.log o information about fetching and delivering RSS feeds popconnect_datum.log o information about general information on fetched and delivered emails popconnectadmin_datum.log o here, all actions started from the administrator GUI are logged popconnectreporting_datum.log o here, database access events and errors are logged Archiving Here you can configure the archiving of the fetched emails. Archiving can be done daily, weekly or monthly. You can specify whether you want to keep the emails in your email folder or whether you want to delete them either after the archiving or without archiving (Please be aware that, in that case, the emails will be permanently deleted!).

Database PopConnect 2010 pulls the emails from the mail-server and saves them in the file system. For the basic functionality, there is no need for a database. Depending on your needs it can often be useful to use Visendo popconnect with a database. You then can use the database search functionality. Also, the option Delayed deleting" can only be used with a database. Visendo popconnect 2010 supports databases of type Access, SQL and MySQL. 1. Access: In order to use an Access-database, you do not need a full version of Access, but only the Jet OLEDB Provider. From Windows XP SP2 on, it is part of the standard Windows installation. If this restriction is a problem for you, you can use the (freely available) alternatives SQL or MySQL. At setup, popconnect 2010 creates an Access-database named popconnect.mdb in the installation directory of popconnect 2010 (usually C:\Programme\ppedv\VisendoPopConnect10). Of course, you can use another name or place. At Path you can specify the path to the Access-database you want to use. With connection test you can test the connection to your database.

2. SQL or mysql First you have to create the database. You find the SQL-script for creating the SQL- or mysql-database (VisendoPopconnect10_SQL_DB.sql resp. VisendoPopconnect10_MySQL_DB.sql) in the installation directory of popconnect 2010 (usually C:\Programme\ppedv\VisendoPopConnect10). The script generates a database named VisendoPopconnect. Of course, you can change this name in the script or in a database administration tool. In popconnect, enter the name of your database server and the name of the database (Note that Path only refers to the path to the Access-database. For SQL- or mysql-databases this field is not needed). Choose whether you can log on to the database server with Windows authentification or whether you have to log on with username and password. With connection test you can test the connection to your database.

Plugins Plugins can define routing or processing rules for emails. By using extern plugins, the functionality of popconnect can be extended almost indefinitely. The plugin interface supports the Microsoft SDK. This presents developers with clear-cut specifications to write their own plugins for their own needs. E.g. there is the possibility to use an anti-virus program as a plugin. Update & License This mask shows the info about your currently installed version of popconnect. If there are newer versions available, you can download and install them with the integrated updater (for one year only). The update function is only available after registration. Here you can also register your popconnect version and so change the test version into a full version. For this, click the button License update and choose the way to register: http query (online) E-Mail (offline) When you use online-registration (http query), your license data are matched directly against the registration database. For this you only need the license key (8-place).

For an offline-registration you first have to fill in the form on our website (http://www.ppedv.de/registration/registration.aspx). You ll then be sent a registration-code per email. With this code and the email-address you can register Visendo popconnect also without an internet connection. Help Our customers are number one for us.
