INSTALLATION ASSISTANCE As always, our support department is available to help you with any installation questions or issues that might arise. We encourage you to test the 7.1.1 installation in your environment before going live so that you have the opportunity to work through any issues with our support department. WINDOWS/MICROSOFT UPDATES When running Windows update, you may not be set up to receive other Microsoft Updates such as Office Updates. UPDATING FROM SPECTRA 7.0.1 OR 7.1 IMPORTANT NOTICES 1. All of us at Spectra know how difficult the deployment of Microsoft Access 2010 runtime and Spectra 7.0.1 was for many of our customers. We thank you very much for your patience and persistence that it took to get Spectra working in your environment. The good news today is that the heavy lifting of getting Microsoft Access 2010 runtime working has already been done. We have a streamlined approach for updating your environment to Spectra 7.1.1. You will not be required to uninstall version 7.0.1 or 7.1. All that is required is to download the 7.1.1 update program and it will update the necessary files on your system. The update program is a relatively small download at 43MB. 2. The Spectra Update will need to be performed on each of your Spectra workstations. To save time, consider downloading the update once and place it on a shared location on your network. 3. Due to the large size of the Spectra help file, we made a separate update image for it. If you have your help files installed on a shared location on your network, you will only need to download and install this once. DOWNLOADING THE SPECTRA UPDATE IMAGE Create a folder on your PC or server to store the SPECTRA Updater. PERFORMING THE SPECTRA UPDATE Spectra must not be running on your computer to install this update. Double-click on the Spectra Update executable file downloaded in the previous step. Here is the update startup screen. Click OK to install the update. The update will process through all of the updated files to be placed on your computer. The Spectra Update is now complete. You are ready to run Spectra. The first time a copy of Spectra 7.1.1 is run, the usual database update process will take place. Repeat these Spectra Update steps any other computers running Spectra in your company. Perform the Spectra Help Update if desired. That s it you are updated to Spectra 7.1.1! UPGRADING FROM SPECTRA 6.X IMPORTANT NOTICES 1. Prior to installing this release, your data files must have been upgraded to Release 6.8 or later. If your data files are 6.7.2 or earlier, install 6.8 first. 2. This release requires that your existing version of SPECTRA be uninstalled before Release 7.1.1 is installed. Please refer to this detailed documentation for specific instructions. 3. If you are running Office 2010 or 2013 64-bit, switch to Office 32-bit before installing this release. 4. After installing this release, you must run the conversion step. CONVERSION TO ACCESS 2010 Spectra Version 7.1.1 will be installing the Access2010 runtime on your machine. This means that once version 7.1.1 is installed on your machine(s), you will need to check Windows and Office updates again. As you know, these updates may take hours to run and each update may reveal subsequent updates that also need to be run if your machine has not checked for updates in a long time. You must continue to rerun updates on each workstation until you have the message that no further updates are required. Our advice is to install Spectra 7.1.1 and then check for Microsoft updates. If you want to run updates prior to installation to get current with Windows, that s fine. But, you must still run Microsoft updates after installation as well. OFFICE 2010 OR OFFICE 2013 64-BIT If you are running Office 2010 64-bit or Office 2013 64-bit, you will need to switch to Office 32-bit. To find out what version you have installed, Open Word File Help and you ll see the version at the right. If you have the 64-bit version installed, uninstall Office and reinstall selecting the 32-bit option before you install Release 7.1.1 Last Modified February 14, 2014 Page 7 of 35
Conversion Note: When you install Release 7.1.1 on the first workstation, you must manually convert the Spectra data to the Access 2010 format. This will only be required on the first workstation to convert the data files once. Subsequent installation on other workstations will find that the data files have already been converted to the Access 2010 format. WINDOWS XP PROFESSIONAL You must have previously upgraded to Release 6.8 or later. If you have not already installed Release 6.8 or later, do not start this installation. If you are unable to locate your 6.8 or later CD, contact Spectra Support. To check your current release level: 1. Sign onto SPECTRA as usual. 2. Click on the word Help on the toolbar. 3. Click on About Spectra. 4. The version level will be in the top line. If your release level is 6.8 or later, you may install this release. 1. Post all unposted batches. It is always a good idea to print the Display Pending Batches Report and post any pending batches. 2. Security Module: If you have the Security Module, go to the System Tasks Spectra Utilities Access Codes Listing, and print this listing. Some of the Menu I.D. numbers may have changed, so you should review this listing carefully in case you need to modify any access codes. 3. Make a backup of your existing data files. Your SPECTRA data files are: SFWData.MDB, SFWAcct.MDB, SFWMtce.MDB To check the data file location, access SPECTRA as you normally would. From the pull down menu, click on Help, and select the menu item About Spectra. Connect Info will reveal the location of the data files. 4. Ensure that everyone has exited from SPECTRA. No one should be in the system when you are installing this update. 5. All installations require local operating system administrative privileges. 6. Network Installers Repeat the following installation procedure for every workstation running SPECTRA. If the help files are installed on the first workstation, select the option to install the help files on all subsequent workstations to ensure that each workstation is linked to the help files. 7. Determine your data file location before continuing and write down this drive and folder. If you don't know this drive and folder: Open up SPECTRA - Click on the word Help on the toolbar. Click on About Spectra - Click on Connect Info Look at the Property Database, where the SFWdata.mdb is located, e.g. X:\Spectra Data\SFWdata.mdb. This is the folder, e.g. X:\Spectra Data, where your data files are located. (Note: Ignore the file name SFWdata.mdb.) 8. You may wish to run Windows and Microsoft updates prior to installation to get current with Windows, as these updates can take hours to run. Click on Updates Change Settings to ensure that you have Microsoft Update and Software notifications selected. You must still run Microsoft updates after Release 7.1.1 has been installed. UNINSTALL SPECTRA To uninstall SPECTRA you must have Windows System administrator privileges. If you are unsure if you have these privileges, contact your network technician to clarify. For this release, please go to the Control Panel Programs Uninstall a Program to uninstall Spectra. This is a change from previous instructions. Please select the option to Remove: This option will remove all the SPECTRA programs, but will leave your SPECTRA data files intact. At this point, two different things may happen: the Uninstall may find the original installation Setup.exe or it may not. 1. If it finds the Setup.exe, the uninstall will proceed normally. Spectra File Locations Pay particular attention to the Spectra File Locations, because you will need this information when you install the new release and must choose a destination folder for the Spectra data files. Otherwise, the system will assume that you are a new client and install an empty set of data files. 2. If the original installation Setup.exe is not found, you will encounter a series of error messages, but the uninstall will complete successfully if you click on the OK button for each of them. (These screenshots were taken from an uninstall of a preliminary testing version of the release, so ignore the release level.) Click on OK Click on OK Click on OK Will appear a few times. When you are finished, the Spectra Fonts may still appear in your list of programs: UNINSTALL ACCESS 2003 RUNTIME To uninstall the Access 2003 Runtime you must have Windows System administrator privileges. BEGIN THE INSTALLATION Close any open applications including Microsoft Office Toolbar. If you are using a virus-detection utility, disable it. (You may reinstate your virus checking utility when the installation is complete, but at that time, exclude the SPECTRA program and data files from virus scanning.) Disable or remove any Desktop Search applications (such as MSN or Google desktop) that you may have installed, as they have been found to interfere with the installation process. Install this SPECTRA release from the download. Open the directory where you extracted the Spectra installation image, and double click setup.exe to start the installer. Installation Type: Choose Workstation Installation if SPECTRA will be installed on a single PC or a Local Area Network. If this is a Terminal Server installation, please refer to separate TS installation instructions. Choose Destination Folder for Program Files This is the location of your program files, not your data files. The default location is different for the various Authorized Environments: Windows XP Professional C:\Program Files\Spectra Windows XP Professional 64 bit C:\Program Files (x86)\spectra If you cannot install the program in the default destination folder for any reason, program files must still be installed locally. Choose Destination Folder for DATA files: Click Browse to set the location of your data files. This must be exactly the same as your current SPECTRA data file location. Then, click on Next. On a Stand-Alone installation this will default to the program files destination folder chosen in the previous step. For a network, click the Browse Button to select the location of your shared folder on the file server. Last Modified February 14, 2014 Page 14 of 35
Help Files Option: By default the help files will be installed in a Help folder in the Destination Folder chosen in the previous step. You must select the Help Files option on each workstation to ensure that each workstation is linked to the help files. Create Desktop Icon: Installing Program Files: After files are copied, there is a delay of several seconds to a minute (again depending on the speed of your system). During this time neither an hourglass nor a progress meter is displayed. Last Modified February 14, 2014 Page 15 of 35
The next series of screens comprises the Microsoft Access Runtime 2010 installation: This screen will be shown briefly. Depending on the security settings of your server you may or may not see this message. If you do see this message, click the Run button. The Microsoft Access Runtime 2010 installation progress window will be visible for a little while. Last Modified February 14, 2014 Page 16 of 35
Next, the Microsoft Access 2010 Runtime Service Pack 1 (SP2) will be installed. Again, depending on the security settings of your server you may or may not see this message. If you do see this message, click the Run button. This is the progress message screen for the Microsoft Access 2010 Runtime Service Pack 2 (SP2) installation. IMPORTANT: Do not interrupt the process. Wait for the following screen to appear. InstallShield Wizard Complete Click Finish to return to the original installation screen and then click on the Exit button of SPECTRA s Setup Program screen. RUN MICROSOFT OFFICE UPDATE Go to http://windows.microsoft.com/en-us/windows/help/windows-update to obtain the most current updates, patches and security fixes, particularly the latest version of the Access 2010 Runtime. On the website, go to the Check your settings section. Last Modified February 14, 2014 Page 17 of 35
* This version requires Windows Update to be completely up to date on the PC and server with the latest Windows Security Updates. SPECTRA requires the latest Office 2010 updates. Please ensure that you run Windows Update after you install. When the updates are completed, reboot the PC/server. Run Windows Updates again and continue this process until there are no further Windows Security and Office updates. Otherwise, SPECTRA may not launch if a required update has not been installed. You will encounter errors if you do not run the Windows Update process completely. IMPORTANT: After installing SPECTRA, restart your workstation.. CONVERT SPECTRA DATA FILES Using Windows Explorer go to C:\Program Files\Spectra or C:\Program Files (x86)\spectra (if you are using a 64-bit workstation). Find and double click on the Convert Data shortcut. The Conversion program will find your three data files and convert them to the Access 2010 format. This needs to be done on the first workstation only. Subsequent installations will find the converted data files. Last Modified February 14, 2014 Page 18 of 35
Run SPECTRA Click on the SPECTRA program icon on your desktop. The first time you start the Access 2010 version of Spectra, the system will configure the Access 2010 Runtime. Be patient, as this can take some time. If you are prompted to upgrade your data to the current release level, click on OK to continue. This will start the attaching tables process. Each person should successfully sign onto the system, exit, and let the next person sign on. No processing should be done while anyone is attaching to the database. Network installers will need to repeat the steps above for each workstation. A network installation requires that the Help Files option be selected for installation on each workstation. The help files will be installed in a Help folder in the Destination Folder for DATA files and will only actually be installed during the setup of the first workstation. Subsequent installations will find that the help files already exist and will not create additional copies. However, if the help files are not installed on each workstation, the system assumes that this workstation will be accessing the help files directly from the CD Image. If help files have not been installed correctly, uninstall and re-install the SPECTRA program on that workstation. Ensure that the Help Files option is selected on the "Select Features" screen. TROUBLESHOOTING Ontario Rent Legislation Module (optional module) If you do not want the 'Checklist' to print with each and every Termination notice, you need to rename a couple of files in the C:\Program Files\Spectra\PDF folder. Procedure: 1. From Explorer, find the C:\Program Files\Spectra\PDF folder 2. Right click on the N4 file. 3. Select the Rename option and key in the new name of N4.pdf3 and hit <Enter> 4. Repeat the above steps to rename the N4_Only2pages.pdf to N4.pdf. Help Files If the help files are not accessible for any reason, uninstall and re-install the program and be sure to select the option to install the help files. If you don't know, open up Spectra as usual: Click on the word Help on the toolbar. In preparation for the upgrade, you must ensure your UAC settings are set as shown below. Otherwise you may not be able to install or launch the software. Please go to the Control Panel, User Accounts Change User Account Control settings Ensure the bar is on Default. If not, please select it and click OK Restart! Windows 7 has a similar message about allowing the following program to make changes to this computer. Click Yes to continue. Note: The following instructions refer to Vista, but are also applicable to a Windows 7 installation. Follow the instructions on the Welcome to the InstallShield Wizard and the Licensing screens. Installation Type: Choose Workstation Installation if SPECTRA will be installed on a single PC or a Local Area Network. Choose Destination Folder for Program Files This is the location of your program files, not your data files. NOTE: The default location is different for the various Authorized Environments. Windows Vista C:\Users\Public Windows Vista 64 bit C:\Users\Public (x86) The default location is different for the various Authorized Environments. See note. Warning: If you cannot install in the default location for any reason, the program files must still be installed locally. Under no circumstances, should they be installed in C:\Program Files on a Vista Business machine. Note: You may wonder why SPECTRA s program files cannot be installed in the Program Files folder. You should discuss this with your Vista technician, as it relates to Vista s User Account Control (UAC) and Vista s virtualization functionality. Choose Destination Folder for DATA files Workstation Installation Click Browse to set the location of your data files. Windows Update may require multiple passes to download the most current packages. SPECTRA requires the newest version of the Windows Installer as well as Office 2010 Updates. If the Windows Updates are not processed to the fullest, you will receive an error message that will prevent you from launching SPECTRA until these updates are in place. When running Windows Update, check the Optional option for any Office 2010 updates and be sure to run these. We have found that the Important updates did not always install all the necessary Office 2010 updates for Spectra to run. Restart! Restart the workstation after running the Microsoft Windows Update. This needs to be done on the first workstation only. Subsequent installations will find the converted data files. Run SPECTRA Click on the SPECTRA program icon on your desktop. The first time you start the Access 2010 version of Spectra, the system will configure the Access 2010 Runtime. Be patient, as this can take some time. This will start the attaching tables process. Each person should successfully sign onto the system, exit, and let the next person sign on. No processing should be done while anyone is attaching to the database. Network installers will need to repeat the steps above for each workstation. Important Note for Vista Backups The VISTA backup will default to C:\, but VISTA will not allow you to put a file in the root of the C: drive. You must enter a folder name after the C:\ prompt (e.g. C:\Monday, C:\Tuesday, etc.) for the SPECTRA backup to be successful. Last Modified February 14, 2014 Page 33 of 35
TROUBLESHOOTING User Account Control If you encounter installation issues on Windows 7 workstations, change the User Account Control Settings to their lowest level and reboot the workstation. Help Files If the help files are not accessible for any reason, uninstall and re-install the program and be sure to select the option to install the help files. Ontario Rent Legislation Module (optional module) If you do not want the 'Checklist' to print with each and every Termination notice, you need to rename a couple of files in the C:\Users\Public\Spectra\PDF folder. Procedure: 1. From Explorer, find the C:\Users\Public\Spectra\PDF folder 2. Right click on the N4 file. 3. Select the Rename option and key in the new name of N4.pdf3 and hit <Enter> 4.
