Using mywestfield is the only way to find your grades, register online or access your e-mail, and is the best way to stay informed regarding news and upcoming events. REGISTRATION GRADES EMAIL Available through mywestfield.westfield.ma.edu MyWestfield Access: Log into the portal with your first initial, last name and last 4 digits of your CWID. Your initial password will be your CWID or current email password. After logging in, Your Email Account is displayed on the first page Click ACADEMICS tab to REGISTER find registration tools to add or drop classes If you experience difficulty logging in, contact the IT HELP Desk at 572-5300 x4357. WEB REGISTRATION PAYMENT You can pay your bill online immediately following registration with a credit card. If you would prefer to print the statement page and mail it in with payment, please know that payment, including tuition waivers, are due within five (5) days of registration. Failure to do so will result in the addition of the $100 non-refundable late payment fee and loss of the early payment discount. REGISTER BY MAIL, DROP-OFF OR ONLINE If you prefer not to register online, but are unable to register during published days and times, please consider leaving your registration and payment in our secure drop box; we will enter the data at the earliest possible time. Your course schedule and payment receipt will be mailed to you. You will be notified if the course(s) you select are closed or cancelled. Please do not email or fax payment information. Employees of Westfield State University are permitted to register during general registration and late registration periods only. Employee registration for non-credit courses begins one week prior to the start of the class, pending availability. It is your responsibility to arrange an appointment with the advisor as soon as you are admitted into a program to outline your program of study, taking into consideration previous work and your academic objectives. Although your advisor will assist you in planning your program, you must assume responsibility for knowing and meeting the curriculum requirements. WESTFIELD STATE UNIVERSITY 5 4 FALL SESSION 2015 GRADUATE AND CONTINUING EDUCATION WITHDRAWAL AND REFUND SCHEDULE Withdrawal Professor's Signature Transcript Notation WITHDRAWAL AND REFUND POLICY Students may withdraw from courses before the second scheduled meeting without notation on their permanent record. Students must withdraw in writing. A withdrawal form is available in the Graduate and Continuing Education (DGCE) office or on our website. A withdrawal after the second class meeting requires the student to obtain the signature of the faculty member. Non-attendance does not ensure withdrawal from a course. It is the student s responsibility to withdraw from courses as outlined above, or a Failure to Withdraw grade of F will result. At the instructor s discretion, a student may sometimes be reported for non-attendance and an Administrative Withdrawal may be requested, but it should not be assumed that nonattendance will result in withdrawal from a course. In addition, non-payment does not result in Administrative Withdrawal from a course. NON-REFUNDABLE FEES Refunds of tuition and instructional fees, if any, are made on the basis of the date and time of receipt of a student s withdrawal. The registration fee, late registration fee, and late payment fee are non-refundable. Failure to pay within five (5) days of web registration will result in the addition of the $100 non-refundable late payment fee. The DGCE accepts checks, money orders, Mastercard, American Express, Visa, and Discover cards. Cash cannot be accepted for payment over $10. Original signed waiver forms must be presented at the time of registration. Late waivers will not be accepted. MEETING & REFUND FOR ONLINE AND BRICK & CLICK COURSES Online and brick & click courses are deemed to begin meeting on the first day of the semester at 9 a.m., unless otherwise noted. The refund and withdrawal schedule follows this meet schedule and is effective regardless of individual student login. Please note that online courses may have earlier start dates. FINANCIAL AID The Financial Aid Office at Westfield State University is located within the Student Administrative Service Center in the Horace Mann Center, and is committed to insuring that no student is unable to pursue his or her educational goals for lack of financial resources. Westfield State University participates in a wide variety of federal, state, and private programs. Assistance can be in the form of gift aid (scholarships and grants) and self-help programs (loans, work study, and graduate assistantships). The staff of the Financial Aid Office is available for assistance at (413) 572-5218. MEAL PLAN REFUNDS Meal plan pricing varies, dependent on the number of meals in the chosen plan. Please see the University Bulletin online or visit the policies section at westfield.ma.edu/dgce for more information on meal plans and refunds. PARKING PRIVILEGES Parking decals are required and only available online at buymypermit.com/wsu. Vehicles without parking decals will be ticketed. For more information, please see the policies section at westfield.ma.edu/dgce. STUDENT I.D. CARD All Westfield State University students should have a bar-coded Student I.D. card as I.D. cards are required to print information on campus. For more information, please see the policies section at westfield.ma.edu/dgce. HEALTH INSURANCE REQUIREMENT Chapter 15A of the Massachusetts General Laws mandates that every full- or 3/4-time student in a public or private institution of higher education during the fall and spring terms shall participate in a qualifying student health insurance program. You may waive this insurance coverage if you certify that you have comparable coverage. Failure to submit the proper waiver form will render you liable for the state-mandated coverage provided by the University and you will be billed accordingly. Post-baccalaureate and graduate students are considered 3/4-time at 6.75 credits and full-time at 9 credits. Undergraduate students are considered three-quarter time at 9 credits and full-time at 12 or more credits. HEALTH INSURANCE WAIVER INFORMATION Please be aware that effective with the Fall 2009 semester, all students enrolled in three-quarter time coursework (6.75 or more credits for postbaccalaureate and graduate, 9 or more credits for undergraduate) and who do not wish to purchase a health plan through the university, must provide proof of medical insurance coverage by posting this information via the web. We will no longer accept this information on paper. In order to avoid being assessed a state mandated insurance charge you must waive the fee by entering your medical insurance information online at www.universityhealthplans.com From the main screen, please do the following: Select Westfield State University. Select the Accident & Sickness Insurance Plan option. Then click on the Waiver Form link to continue the waiver process. DELAYED PAYMENT Westfield State University offers a program for matriculated students that allows for payment of tuition over a period of time during the semester. Students must meet the following requirements: Matriculation in a degree or certification program through DGCE. Payment of the application fee (non-refundable). Ability to pay total tuition and fees by published due dates. Students must follow all regulations regarding withdrawals as stated in the Division s refund policy, and are responsible for total payment even if they withdraw before the end of the semester and regardless of grade. No student may apply for delayed payment who has been sent to a collection agent or placed in Administrative Withdrawal. First payment due at registration. Students must complete the application and have it approved before they may register into courses. The application must be completed each semester. There is a late payment penalty charge if bills are not paid in full by the date of the final payment. Any account sent to collection is charged a 20% collection fee. The first payment is due with registration, and includes the $100 non-refundable fee. The remaining payments are due according to the following schedule: Fall Semester Last Friday in September Last Friday in October Spring Semester Last Friday in February Last Friday in March Summer Semesters At mid-point in term SENIOR CITIZEN TUITION WAIVER In accordance with Chapter 915 of the Acts of 1977, Commonwealth of Massachusetts, the Division of Graduate and Continuing Education will waive tuition for persons over 60 for Massachusetts residents only, provided registration, institutional fees and related expenses are borne by the student. Students must have the waiver form completed in advance of registration. The form is available in the DGCE Office. Proof of date of birth is required. AUDITING CLASSES Students may audit any in-person course. Online and hybrid courses are not available to audit. Students are encouraged to audit Signature Classes, which are classes listed on the non-credit course offerings page in this catalog. Registration for these courses begins on the first day of registration for credit-bearing courses. In-person classes not listed in the non-credit course offerings page may still be audited, pending available space in the class, and registration begins one week prior to the start of the class. Students registering for an audited class will not be offered an early payment discount nor charged a late registration fee. Art courses for audit have a $25 material fee.
