DEPARTMENT OF CRIMINOLOGY AND CRIMINAL JUSTICE STUDIES FACULTY IN-SERVICE MEETING MINUTES & EMAIL POLICY UDATES 2014-2015 Web Site - Students Faculty members should encourage students to use this important resource for comprehensive program information as well as for advising. In collaboration with the academic advising office, our students may efficiently self-advise using this resource. Web Site - Faculty Faculty members should find all relevant forms needed for each semester at the website. http://www.hccfl.edu/yc/cjt/faculty-resources.aspx Faculty members should periodically re-read and review our departmental policy manual and policy memos at the website. http://www.hccfl.edu/yc/cjt/faculty-resources.aspx Faculty members should navigate our website to familiarize themselves with all of the various aspects of the department including degrees, certificates, colleague information, and club information. Documentation Flow All Documents required by the Dean's Office (including but not limited to Syllabi, EOTV, Grades, Grade Changes, Leave slips) should be sent to the Program Manager to be reviewed and then forwarded to the Dean. Do not send these documents directly to the Dean s Office. Communication All Communication about College issues should be with the Program Manager. The Program Manager is the first point of contact regarding all communication. If you need to communicate with the Dean's Office directly or if you are responding to an E-Mail from the Dean's Office, the Program Manager should be cc d on the communication.
Incompletes Per the policy of the college: An Incomplete can only be awarded only when requested by the students, approved by instructors and confirmed by the appropriate academic deans. I grades are given only when unforeseen circumstances prevent students from completing course requirements during the regular term. An I contract is agreed upon and signed by both students and instructors. Contracts include a list of the course requirements students must complete and the deadline by which the work must be completed. To be eligible for an I, students must have satisfactorily completed at least two-thirds of the course requirements. I grades must be removed before the end of the eighth week of the following term (excluding summer term) or they will be changed to F grades on the students permanent records. The form can be found at: http://www.hccfl.edu/media/445684/incomplete%20grade.pdf Change of Grades Please remember that change of grades, once submitted, do take time, as they require multiple signatures and delivery to the appropriate offices for the actual changes to be made. Field Trip Permission Field trips must receive prior approval by the Program Manager and appropriate paperwork must be completed and submitted to the prior to the field trip. Print them for your first day class and print a final copy after the drop/add date. Roster changes can occur up to the drop/add deadline for multiple reasons including students dropping or adding the course as well as periodic scheduled
purges. A student is purged from enrollment in a course when associated fees are not paid for the course. Faculty members should check Hawknet to confirm that those who are in the class are formally registered for the course. Students may not attend a course if they are not formally registered for the course. It is appropriate and expected that faculty members will request a student to leave the classroom if they are not enrolled. Students should be referred to the academic advising office for assistance in registering or with registration issues or problems. Final Grades Grades are due 48 Hours after the last class meeting. It is very important that all faculty members submit their grades within that 48 hour window. The Program Manager, Dean, and Campus President is notified if faculty grades are not submitted on time. WN Grades WN grades are assigned to those students who have never shown up to your course. Online courses must also submit WN grades for those students who have never logged into the course. WN must be entered in to WebAdvisor in the same manner as submitting final grades. Syllabi (1) For courses that began the first week of the semester and are a full 16 weeks, the WN deadline is in two weeks. (2) For courses that began the first week of the semester and are shorter than 16 weeks, the WN deadline is the first class meeting after add/drop, which ends on the fifth day of the semester. (3) For courses that begin after the first week of the semester, the WN deadline is the 2nd class meeting. Give out the syllabus the first day of class. Instructors are not only to distribute the syllabus, but should also review the syllabus with the students on the first day of classes regarding classroom expectations, procedures, and policy. All student must be provided a hardcopy syllabus during the first class meeting regardless of whether or not instructor chooses to post the syllabus online.
Prohibited Class Cancellations Instructors: (1) Cannot cancel a class in advance because of schedule conflicts. You must arrange a substitute whenever possible. (2) Cannot cancel a class and replace it with On-Line assignments, research projects, individual student library visits, individual student court visits, or take home or on-line exams (Rule does not apply to Low Enrollment & Independent Study Classes). (3) Cannot schedule a Guest Lecturer in place of an instructor. The Instructor must be present in class to oversee a Guest Lecturer as this presents liability issues for the college if employee supervision is not in place. (4) Must arrange an authorized substitute for class sessions they cannot attend and notify the Program Manager of such. If you cannot attend a scheduled class and cannot find an authorized substitute you must notify the Program Manager. If you arrange an authorized substitute, attempt to provide an in-class project: video, reading assignment, quiz, group project or some other activity for the substitute to oversee as opposed to teaching. Please note that you must complete a Leave Form and submit it to the Program Manager. http://www.hccfl.edu/media/445688/leave%20slip.pdf Emergency Absences (Last Minute) Faculty members must contact the Program Manager immediately in the event of an emergency absence. You may leave a message, but it is also best to notify via E-Mail as well. If the Program Manager is unavailable by phone, you should send an email AND you should contact YPST Front Desk at 813-253-7676 (after hours contact Security at 813-253-7611). Additionally, you should notify the Dean s Office at 813-259-6442 or 813-253-7714 (let them know if you already made arrangements for a sign on the door). Faculty Late Arrivals or Early Departures Faculty members are expected to be on-time to class meetings and each class meeting should last for the entire scheduled time. In emergency situations when a late arrival or early departure cannot be avoided, the Program Manager and the YPST front desk should be notified immediately.
Final Exam Day The final exam day is a mandatory class day. online, or for home, you must still hold class. If you give the exam early, Faculty Absences and Leave Slips If you are not in the classroom you must submit a leave slip (Special Rules apply to Low Enrollment and Independent Study classes). On-Line Program Training Faculty members are encouraged to take advantage of the training opportunities offered at the college. Criminal Justice Today Submit Articles Please contribute to the Newsletter. Annual "Great HCC Criminal Justice Teach-In" Every Criminal Justice class in session during the Teach-In must attend. Faculty members are required to attend the Teach-In with their students. This is a mandatory event held annually. Employee Information Updates on Contact Phone Numbers & Emails Faculty must notify the Program Manager of any changes in Contact Phone Numbers & Emails. Notice of Employee Discipline or Criminal Charges It is very important that if faculty experiences any allegations brought again them at other places of employment or in their personal lives that the Program Manager is informed of such allegations immediately. Criminal Justice Student Clubs Faculty members should encourage student involvement in our clubs. Departmental Training Program Beginning Fall 2014, our department will offer in-house professional development training for adjunct faculty.
