Note: Below are directions for loading the Student Accountability Labels from the downloadable Scorecard Data file. The accountability labels are created from the state assessments that were administered in the 13-14 school year. The data will be loaded as a Fall 14-15 test. Step 1: Getting your data file 1.1 Obtain your district-level scorecard data file from the BAA Secure Site. See short demonstration video (with no audio) here: http://screencast.com/t/2pnhecbp6yi 1.2 Open the document (with Excel) and modify the UIC field to 10 digits a. Select all of Column A b. Right click and select Format Cells c. Select Custom d. Enter ten zeros in the Type field e. Click OK f. save as.csv If your district did not load the accountability labels for the 2012-13 school year (uploaded in 13-14) skip to Appendix A. Step 2: Copy the Administration from last year 2.1 Go to the Setup tab and select Test Setup. 2.2 Locate the accountability label assessment from the previous year and copy the administration.
2.3 Update the settings as displayed in the following screenshot. Step 3: Modify the Import Format from last year 3.1 Go to the Setup tab and select Data Transfer Interface (DTI). Then select Import Formats from the list on the left. 3.2 Locate the Import Format from the previous year. It will most likely be called Oakland_AccountabilityStudentLabelsDistrict_12-13. 3.3 Copy the format and modify the name to Oakland_AccountabilityStudentLabelsDistrict_13-14. 3.4 Change the Year value to 14-15 and Save the format.
Step 4: Upload the data 4.1 Click on Import Jobs from the list on the left. 4.2 Click the green plus in the upper right to Add import job and enter the following information in the Job Details Editor window. Then click Save. 4.3 Locate the job created and click on the Post Import button. 4.4 Locate the district scorecard file modified in Step 1 and click Submit.
Step 5: Viewing Students and Adding to Student Groups (Optional) 5.1 Once data has been successfully loaded, click on the Test Results tab. 5.2 There will be five rows, once for each subject area. In the Tested Skills column, click on the 1 for the first subject area. 5.3 Click on the red portion of the bar graph which represents the Bottom 30% for that subject area. 5.4 Click on the checkbox to select all students on the list. 5.5 In the take Action on Selected menu in the bottom left side of the page, select Add to Student Groups. 5.6 In the Select a Student Group window that pops up, click the button. Name the group, for example, *13-14 Bottom 30 % - Social Studies. Click Save in the Add New Student Group window then click Save again in the Select a Student group window. You may need to give the system about 10-20 seconds to build the group. Repeat the process for the remaining four subject areas.
Appendix A: Creating the Proficiency Profile and Test A.1 Go to the Strategy tab and add the Bottom 30 Profile and 12-13 Bottom 30 Profile rubric as below. A.3 Click on the district name and click Create Assessment called *State Assessments - Student Accountability Label. Create the test with the following parameters:

A.5 Click on the test you just created and select Create Administration. Note: In order to make the loading of these data much cleaner and more manageable, we are loading the 13-14 school year assessment data as a Fall 14-15 test. If you would like you can rename the test something like: *State Assessments Prior Year Student Accountability Label. If you choose to do so, you must wait until after data has been imported so that the import format is properly linked to the test name. A.6 Go to the Setup tab and select Maintenance, Other Maintenance, System Configuration. Make note of the value in the District Internal Key text box. A.7 Go to the Setup tab and select Data Transfer Interface (DTI). Then select Import Formats from the list on the left. A.8 Scroll to the bottom of the page and locate the format called: Oakland_AccountabilityStudentLabelsDistrict_12-13 A.9 Click the Copy to my format icon to the left. Then click the Save button.
A.10 Click the Edit Format icon to the left of the format you just saved. A.11 In the Value text box to the right of a. Year, enter 14-15 b. DistrictID, enter the value noted in Step A.6 A.12 Save in the Edit Format window. Return to Step 4 in this document to continue.
