OVERVIEW This version of the Lincoln Land Community College Blackboard Guidelines and Procedures reflects the current status of the Blackboard course management system, version 9, at LLCC and the system s existing support. This document will be updated asthe status changes. Blackboard user groups are defined as: ITDE: Staff in the Instructional Technology and Distance Education department ITS: Staff in the Information Technology Services department. Faculty: Faculty members (Full-time and Adjunct) who teach online, hybrid or use Blackboard to supplement face-to-face courses. Library: Library staff who support the E-reserves services Students: Students who have classes using the Blackboard course management system. SYSTEM MAINTENANCE, BACKUP, AND RECOVERY ITS will maintain the Blackboard server operating system and hardware, as well as maintain a system backup for disaster recovery. This backup will be used to restore the complete system if there were a system crash. This is for disaster recovery purposes only. Routine Blackboard maintenance will be scheduled to occur when the least number of users will be affected. Routine maintenance is performed on the fourth weekend of every month, except during final week. The college community will be informed of scheduled and emergency downtime with as much notice as possible. COURSE MAINTENANCE, BACKUP AND RECOVERY All Blackboard sections no longer in production will be left online for instructor reference for no longer than 365 days past assigned semester s end. ITDE will send a general notification informing faculty members that courses from the assigned semester will be removed from the server. Faculty members are responsible for archiving and maintaining backups of their individual course materials and Blackboard sections.

In the event that a single course needs to be restored, the faculty member will be responsible for providing the archived copy to the ITDE department for upload. Instructions on how to archive your course can be found here: http://www.youtube.com/ watch?v=scnlr_lq6v0 It is recommended that Blackboard grade books are exported and saved as a separate file prior to archiving the course. Basic changes and maintenance to the properties and settings of individual course sections are the responsibility of the faculty member. Course availability is by default unavailable, this setting must be changed to available before students can access the course section. Courses will be automatically set to unavailable one week after semester grades are posted. Instructions on how to make your course available can be found here: http://youtu.be/ ZLGRD6hpe-A Changes to the Blackboard system and services will be communicated to the college community by the ITDE department. Training on course maintenance, backup and recovery will be provided by the ITDE department. COURSE SHELL GENERATION AND MAINTENANCE Course shell generation will be conducted by the ITDE department prior to the start of each semester. Course shells will be automatically generated based on Colleague/ WebAdvisor course listings. If you do not see a course in Blackboard please double check your course assignments with your academic department first, then contact ITDE. Course development shells will be created as the instructor requests them. Course development shells provide faculty a place to develop and store their course prior to course offering. Students do not have access to the material in the development shell.

Course development shells will be provided one per course title taught by an instructor. Any additional shells needed should be requested in writing to the ITDE department. BLACKBOARD USER ACCOUNTS - GENERATION AND MAINTENANCE LLCC network usernames and passwords will be used to access Blackboard. ITDE will create Blackboard user names and passwords for all user accounts prior to the start of each semester on a date designated by the ITDE department. Blackboard user accounts will be automatically generated based on college enrollment and/or employment data. Blackboard user accounts will use only LLCC email addresses and will not be editable. Blackboard user accounts must be activated through WebAdvisor prior to accessing Blackboard. Student level (SL) Blackboard accounts for instructor use are available in-course via the Student View tool For training on how to use the Student View tool, please contact the ITDE office. *Individuals requesting a student level Blackboard account are encouraged to meet with the ITDE before submitting a request, to verify that the need is not a training issue. FACULTY TRAINING AND SUPPORT ITDE will be responsible for faculty training through regularly scheduled workshops on a continuing basis. One-on-one training is available by appointment through the ITDE department. Individual faculty support services are available by appointment, walk-in, phone, or email through the ITDE department. AUDIO AND VIDEO Faculty members wishing to use audio and video as part of their Blackboard course sections must inform the ITDE department prior to implementation. Course space needs will be verified. Copyright compliance support will be provided. Additional information may be found in the YouTube section of this document. PUBLISHER COURSE CARTRIDGES Faculty members wishing to develop Blackboard course sections with the assistance of a publisher course cartridge download need to inform the ITDE office prior to the cartridge adoption. This will ensure proper course download integration. E-RESERVES Electronic reserve documents are managed by the Library s circulation department. STUDENT SUPPORT AND ORIENTATION MATERIALS Technical support for students using Blackboard will be overseen by the ITDE department in conjunction with the ITS helpdesk. Student support is provided in the form of web-based student support tutorials, email, phone, or oneon-one instruction by walk-in or appointment. Web-based student support tutorials are available on the LLCC Online web site. For access to and training for these technologies, contact the Instructional Technology and Distance Education department.
