Exercise 3 Adding More Graphics, Animation and Sound To A Presentation 1. Click Start on the Menu bar, point to Programs, and select Microsoft PowerPoint. 2. The PowerPoint dialog box opens. 3. Select Design Template. 4. Click OK. 5. The New Presentation dialog box opens. 6. Click the Design Templates tab. 7. Select the High Voltage presentation design template. 8. Click OK. The High Voltage design has a medium blue background and contrasting white titles and white text. It also has an animated design running up the left side and down the middle of the slide. 9. Select the Title Slide AutoLayout. 10. Click OK. 11. You should be in Normal View. 12. Click on the Normal View button. 13. Notice that the Status bar displays information about the current slide the slide number and current design template. Saving Your Presentation Presentation1 has not been saved with a name. 14. Notice that the status bar displays information about the current slide the slide number and current design template. 15. Press Ctrl+S. 16. The Save dialog box appears. 17. To the right of the Save in text box, click the drop-down arrow and select your period folder. 18. In the File name text box, a suggested file name should be highlighted. 19. Replace this filename by typing Positive Mental Attitude, press Spacebar, type your initials, press Spacebar, and type your partner s initials. 20. Click Save or press Enter. Using AutoLayouts to Add Clip Art PowerPoint simplifies adding clip art to a slide by providing AutoLayouts designed specifically for clip art. 45. Double-click the clip art placeholder. 46. This places the picture into the selection basket. 55. Click the hyperlink. 56. Click Download Now. 57. Click Open. 58. The Insert Clip Art dialog box will open with the Clip Art image in it. 59. Click the clip art and select the top button from the Pop-up menu. 60. Close the Clip Gallery by clicking the Close button. 61. Select the Text & Clip Art AutoLayout. 66. Click OK. 67. Click in the text placeholder for Slide 3. 68. Type the words shown in the slide to the right. 69. Press Enter after each word except for the last. Changing the Spacing Between Lines 70. Press Ctrl+A to select all the bulleted text in Slide 3. 71. Using AutoLayouts to Add Clip Art PowerPoint simplifies adding clip art to a slide by providing AutoLayouts designed specifically for clip art. 75. Double-click the clip art placeholder. 76. This will automatically open the Clip Gallery. 77. Click the Clips Online button. 78. This will connect you to Microsoft on the World Wide Web. 79. Click the drop-down arrow next to Search and select Clip Art. 80. Type handshake in the text box. 81. Click the Go button. 82. Find any picture that shows friendship, harmony, or respect. 83. Check the box under the picture. 84. This places the picture into the selection basket. 85. Click the hyperlink. 86. Click Download Now. 87. Click Open. 88. The Insert Clip Art dialog box will open with the Clip Art image in it. 89. Click the clip art and select the top button from the Pop-up menu. 90. Click in the bulleted list placeholder. 100. Using the Formatting toolbar, change the Font Size to 72 points. 101. Press Ctrl+I to make the font italic. 102. Press Ctrl+E to center the bulleted text. 103. Remove the bullet by depressing the bullet button on the Formatting toolbar. 104. Type Anything is possible with a positive attitude! 105. Press Ctrl+S to save your presentation. Adding Animation Effects to a Presentation During a presentation you want to control the audience s attention. You do not want to let an audience fall behind or get ahead of your talk. In this exercise, you want to have the audience focus on one characteristic of having a positive attitude at a time. You also want them to focus on one strategy at a time to improve their attitude. Therefore, you will use animation effects that reveal one bullet at a time, so the audience can t get ahead of you. In addition, you can have each bullet dim so that the audience s attention can t go back to previously discussed items. Animating Slide 2 106. Click the Slide 2 icon in the Outline pane of the PowerPoint window. 107. PowerPoint moves to Slide 2. 108. Right-click the bulleted list placeholder. 109. Select Custom Animation. 110. The Custom Animation dialog box opens. 111. Under Check to animate slide objects: check Text 2. 112. Click the Order & Timing tab. 113. Under Start animation select On mouse click. 114. Click the Effects tab. Under Entry animation and sound there are three text boxes. 115. Click the drop-down arrow next to the top left text box and select Wipe. 116. Click the drop-down arrow next to the top right text box and select Right. 117. Click the drop-down arrow next to the lower text box and select the Drum Roll sound. PowerPoint Exercise 3 Page 5

118. Under After animation, click the drop-down arrow and select Hide on Next Mouse Click. 119. Under Introduce text, select All at once from the drop-down list. 120. This will make your bullets appear one by one rather than word-by-word or letter-by-letter. 121. Check the box next to Grouped by 1 st level paragraphs. 122. Click the Preview button to see and hear your animation. 123. The bullets appear one at a time and become dim when the next bullet appears. 124. If the picture looks correct click OK. Downloading a Wav File Sound Effect A wav file is an uncompressed sound file. A wav file sounds true to life. 125. Start Internet Explorer by clicking its icon on the on the Taskbar. 126. Type www.findsounds.com in the Address bar text box. 127. Uncheck AIFF and AU. PowerPoint can t play these sound files. 128. In the Search for text box type drums. 129. Press Enter. 130. You will find over 200 different drum sounds that are wav files. 131. Click any sounds to find one that you like. Saving a Sound File 132. Right-click the wav file you want and select Save Target As. 133. The Save As dialog box opens. 134. Look in your period folder. 135. Change the file name to whatever kind of drum it is. 136. Click Save. 137. Close Internet Explorer. Animating Slide 3 138. Click the Slide 3 icon in the Outline pane of the PowerPoint window. 139. PowerPoint moves to Slide 3. 140. Adding Slide Transition Effects 161. Click the Slide Sorter View button at the bottom of the screen. 162. PowerPoint displays the presentation in Slide Sorter View. 163. Slide 3 is selected. 164. Press down the Control key and click Slide 2 and Slide 4. 165. Slides 2 through 4 are selected as indicated by the heavy border around each slide. 166. Right-click Slide 3 and select Slide Transition. 167. The Slide Transition dialog box displays. PowerPoint Exercise 3 Page 7

168. The Effect list displays available slide transition effects. 169. Click the drop-down arrow and select Strips Right- Down. 170. Set the Effect speed to Medium. 171. Under Advance, make sure the slides advance On mouse click. 172. Do not apply a Sound effect. 173. The Slide Transition Effect preview demonstrates the Strips Right-Down effect. 174. To see the demonstration again, click the picture in the Slide Transition Effect preview. 175. Click the Apply button. 176. Press Ctrl+S to save. Spell Check the Document 177. Click the Spell Check button on the Standard toolbar. 178. Check all your spelling carefully. Running an Animated Slide Show 179. Click the Normal View button. 180. Click the Slide 1 icon in the Outline pane of the PowerPoint window. 181. PowerPoint moves to Slide 1. 182. With Slide 1 displaying, click the Slide Show button. 183. When Slide 1 displays in Slide Show View, click the slide anywhere except on the Popup Menu buttons. 184. Slide 1 will advance to Slide 2. 185. Continue clicking to move through the slide show. 186. When you reach the end of the show, you will be returned to Normal View. You can watch the slide show again or move on to the next step. Adding Headers and Footers to the Slides and Handout 187. Click View on the Menu bar and select Header/Footer. 188. The Header/Footer dialog box opens. 189. Click the Slide tab. 190. Check the Date and time box. 191. Select Update automatically. 192. 193. Check the Footer box. 194. In the Footer text box type your names. 195. Check the Don t show on title slide box. 196. Click the Notes and Handouts tab. 197. Check the Date and time box. 198. Select Update automatically. 199. Check the Header box. 200. In the Header text box type your names. 201. Check the box next to Footer. 202. In the Footer text box type PowerPoint Exercise 3. 203. Click Apply to All. Printing a Handout 204. Click File on the Menu bar and select Print. 205. The Print dialog box opens. 206. Make sure Ireland is the selected printer. 207. Under Print range, All should be selected. 208. Under Print what, click the drop-down arrow and select Handouts. 209. Next to Slides per page, click the drop-down arrow and select 4. 210.
