Cisco IP Phone Voicemail (Setting Up and Retrieving) OTS PUBLICATION: VOIP0 REVISED 0-0-6 TRAINING@TOWSON.EDU OFFICE OF TECHNOLOGY SERVICES Introduction Before you can listen to your voicemail messages, you must set up your voicemail. This self help document will show you how to set up voicemail, retrieve your messages, and send all your calls to voice mail. Setting Up Voicemail from your Phone. Press the messages button on your phone (Fig, ).. You will be prompted to enter your pin. If this is the first time you have gone through this process, type on the keypad. =Shortcut =Advice =Caution Process Summary Introduction Setting Up Voicemail from your Phone Retrieving Voicemail Messages. You will be guided through the mailbox setup. You will be Sending All Calls to prompted to record your first and last name. You will also be Voicemail prompted to record a personal greeting (or you may use the default greeting which is supplied by the phone). You will then be prompted to enter a new pin number. This number must be at least digits long. Retrieving Voicemail Messages CISCO IP PHONE: VOICEMAIL There are a variety of ways to tell that you have a voicemail message. They are as follows: The handset indicator light on your phone remains red (Fig, ). A message appears on your LCD which reads You Have VoiceMail (Fig, ). An envelope blinks beside the extension on the LCD screen (Fig, ). There are a variety of ways to retrieve your voicemail messages. You may retrieve them from your phone, in your Outlook inbox, from the web or from off campus. All of these methods will be addressed. Retrieving Voicemail from your Phone. Press the messages button on your telephone (Fig, ).. You will be prompted to enter your PIN followed by #. You will be told how many new messages you have and any saved messages you have. New messages will begin to play. Voicemail Commands Below are helpful shortcut keys you may use while playing your message, or after the message has been played. During the Message After the Message - Restarts the message - Repeats the message - Deletes the message - Deletes the message 5 - Saves the message - Forwards the message 6 - Speeds up the message 5 - Saves the message 7 - Slows down the message 6 - Marks the message as new 7 - Skips back 9 - Plays the message properties * - Cancels playing the message Retrieving Voicemail from your Outlook Inbox. Open Outlook and go to your Inbox.. Any messages with Voicemail in the From column are from your phone (Fig, ). Notice the message will have an attachment. This is because the voicemail will be in the form of a.wav file.
Figure. Open the message and double click on the attachment (Fig, ). The.wav file will open and begin to play immediately. Use the following as your guide: Stop (Fig, ) Figure Previous (press and hold to rewind) (Fig, ) Pause (Fig, ) Fast Forward (press and hold) (Fig, 5) Volume Control (Fig, 6) Note: When you delete a voice message from your inbox, it does not delete the message from the Web. 5 6 7 Full Screen View (Fig, 7) Retrieving Voicemail from the Web. Open Internet Explorer (must be IE) and type www.towson.edu/voicemail in the address bar.. The Cisco Personal Communications Assistant page will appear. Type your Username (NetID) and Password in the upper right hand corner of the webpage (Fig, ).. Click Login (Fig, ). Figure
. Under Welcome to the Cisco Personal Communications Assistant heading, click the Web Inbox link (Fig 5, ). Figure 5 5. If the Security Warning dialog box appears, click Yes. 6. From the Web Inbox, you will see all your messages. You have the following options: Figure 6 6 5 Play the message - Double click on a message and it will begin to play (Fig 6, ). If you wish to play the message again, click the Refresh button (Fig 6, ) and then double click on the message again. Forward the message - Click once on the message and then click the Forward button in the bottom right corner of the message (Fig 6, ). The Forward Message dialog box will appear (Fig 7). Beside To:, enter the name of the recipient you wish to forward the message to (Fig 7, ). As you begin typing either the first name, last name or NetID of the recipient, you will see a list appear below the To box, select your recipient from this list. Choose additional options such as making the message Urgent or requesting a Read Receipt (Fig 7, ) by clicking in the corresponding checkbox. If you choose Read Receipt, you may access the Delivery Status Notification (Read) from the Web Inbox, through the phone and also in your Outlook Inbox.

You may be prompted to choose your recording device when choosing this option (Fig 8). When you have finished recording, click Stop Recording. Figure 8 Click Send (Fig 7, ). Mark Unread - Click once on the message and then click the Mark unread button in the bottom right corner of the message (Fig 6, ). The message will become bold. Delete - Click once on the message and then click the Delete button in the bottom right corner of the message (Fig 6, 5). The message will be deleted. Click the Deleted link at the top of the page to see all messages you deleted (Fig 9, ). Empty deleted items - You may click the Empty deleted items button at the top of the screen to permanently delete all the message (Fig 9, ). Undelete - Click on a message to select. Click the Undelete button at the bottom right of the message. It will return to the Inbox (Fig 9, ). Figure 9 7. Click the Sign Out button at the top of the page when complete (Fig 6, 6). 5
Retrieving Voicemail from Off Campus. Dial 0-70-600 from any location.. You will be prompted to enter your ID followed by #. This is your extension (beginning with ).. You will be prompted to enter your pin followed by #.. New messages will begin to play. 5. Refer to page of this self-help document for Voicemail Commands. Sending All Calls to Voicemail On your handset, press the CFwdALL softkey (Fig 0, ). Press the messages button on your handset (Fig 0, ). There are two indicators that you have forwarded all your calls to voicemail: Forwarded to Voicemail appears at the bottom of the display (Fig 0, ). There is a telephone icon in the top right corner of the display with an arrow pointing to the right (Fig 0, ).. To cancel, press the CFwdAll softkey again on your handset (Fig 0, ). Figure 0 6
