This document is intended to serve as a guide for configuring the Microsoft Exchange Journaling feature on a customer s mail server. Because Smarsh only has limited knowledge for Exchange servers, if you need assistance with this process please reference Support for Microsoft Exchange Server or contact Microsoft Support. The instructions that follow are based upon Microsoft Exchange 2007 & 2010, both of which have a very similar architecture. You will need the following information (which has been provided to you via email): Your personalized Smarsh archiving email address. Example emailarchive@yourcompany.journaltosmarsh.com Your personalized address space for your journaling send connector (only if setting up Smarsh encryption) Example yourcompany.journaltosmarsh.com Create an SMTP Smarsh Archive Contact (using the Exchange Management Shell) The easiest way to create an SMTP contact is to use the Exchange Management Shell. Perform the following command, inserting the unique archive email address provided to you by Smarsh as the green text and replacing the Organizational Unit field to match your environment (yellow text). sssnew-mailcontact -Name "Smarsh Archive Contact" -ExternalEmailAddress emailarchive@yourcompany.journaltosmarsh.com -OrganizationalUnit YourOrganizationalUnit Please see the following article if you have questions creating a contact: https://technet.microsoft.com/en-us/library/bb124519(v=exchg.141).aspx Page 3 of 11
Hub-Transport Journaling Rule Method **If you only have a Standard License for your Exchange server and cannot use the Hub-Transport Journaling Rule, please skip to Page 10 for the Mailbox Database Level Journaling section.** IMPORTANT NOTICE You will need to determine if you will be archiving selective users on your Exchange server, or if every mailbox will need to be archived. If you will be archiving only select users, you may use an existing distribution group that contains these users, or you can continue following the guide below to create a new group to use. If every mailbox existing on the Exchange needs to be archived, you may skip to the section labeled Create the Journaling Rule on page 7. Create a new Distribution Group to archive selective users 1) Using the Exchange Management Console a. Navigate to Distribution Group, under Recipient Configuration 2) Click New Distribution Group on the right-hand side. Page 4 of 11
3) At the New Distribution Group dialog a. Click Next > 4) Choose Distribution for Group type and fill out: Name Name (pre Windows 2000) Alias b. Click Next > Page 5 of 11
c. Click New 5) Find the Distribution Group by navigating to: a. Distribution Group under Recipient Configuration b. You can use Apply Filter to find newly created group c. Double click on the distribution group d. Click Members from the tabs at the top i. Find the Member(s) you wish to add to be a part of archiving journaling rule ii. Click add and Repeat for additional members. e. Click OK when finished listing your member(s) Page 6 of 11
Create the Journaling Rule 6. Navigate to Hub Transport under Organization Configuration a. Choose Journal Rules from the tabs at the top b. Click New Journal Rule from the right-hand side. For Selective User(s) Journaling: Skip to Page 8 For Global User(s) Journaling Rule Creation: Skip to Page 9 Page 7 of 11
Selective User(s) Journal Rule Creation 1. Enter the following: a. Rule name b. Send Journal report to e-mail address - select your Smarsh archiving contact created previously c. For Journal message for recipient - Choose your distribution group of archived users created earlier (remember to check the box) 2. Click New 3. Skip to Page 11 for finishing verification. Global User(s) Journaling Rule Creation 1. Enter the following: a. Rule name b. Send Journal report to e-mail address - select your Smarsh archiving contact created previously c. Leave the Journal messages for recipient section unchecked **This will journal every mailbox on the Exchange server to the specified journaling address. 2. Click New 3. Skip to Page 11 for finishing verification. Page 9 of 11
Mailbox Database Journaling Rule Method Set the Journaling Rule for a specific mailbox database 1. Navigate to your Mailbox Database by going to Mailbox under Organization Configuration a. Click on the Database Management tab **In Exchange 2007 this may be located under Server Configuration Page 10 of 11
2. Right click on the Mailbox Database that contains the users that you wish to journal to Smarsh. a. Choose Properties b. Check the box for Journal Recipient c. Click Browse, and choose the Smarsh Archiving Contact you created earlier 3. Depending on your type of Exchange server, you may need to click on the Maintenance tab at the top to set the journaling. Verify users are successfully journaling and capturing into our system You have successfully set up Email Journaling. Please verify with us that we are receiving messages into the archive.
