User Guide Foreign Professor/Researcher
1 Registration and Login In order for you to register as a Foreign Professor/Researcher in the General Registry of the Information System "Apella", you need to create an account by clicking here. Note: If you wish to submit a candidacy application for a position of election or promotion, you have to create an account as a Candidate, following the process of registration and certification of users of this category (as described in the corresponding user guide). To create an account, you have to fill in an online form with information regarding your personal data. Specifically, you will be asked for information regarding: the creation of your account in the system (username and password) your personal data (name, surname and the name of your father in Latin and optionally in Greek characters) your identification data (identification s card number or passport s number) your contact details (Institution e-mail address, mobile and optionally phone number) 2
After you fill in the form, you may submit it by pressing the Register button. After you successfully register as a Foreign Professor/Researcher, an email with further instructions regarding the activation of your account will be sent to the email address you have previously filled in the registration form. This e-mail contains a hyperlink which verifies your email address. 3
By clicking on this hyperlink, you will be directed to your account s verification page, which gives you an overview of all the data you provided when you created your account, while, at the bottom of this page, there is a button "Login", to log in the system. In case you do not receive the verification e-mail, you can have it resent by selecting the Did not receive verification email link in the login page, using the e-mail address you have submitted in the registration form. In case the email address you registered is not valid, please contact the Helpdesk. You can login the system in the page https://service.apella.grnet.gr/apella.html. On the left side of this page, fill in the username and password you chose during registration and then select the button "Login". 4
In case you forgot your password, you can have it reset using the link Forgot my password and using the email address you have submitted in the registration form. 5
2 Account After logging into your account, you can edit your account details by clicking on the button "Account". Specifically, you can change your password or edit your contact information (e-mail, mobile and phone). To save the changes, you have to press the "Save" button at the bottom of the page. 6

3 Profile To complete your registration in the General Registry of the APELLA Electronic Service, it is necessary to fill in some information concerning your "Profile" as a Foreign Professor/Researcher. Clicking on the button "Profile" in the Home page takes you to your Profile page. In this page, you should fill in your home Institution/Research Center, the country of your home Institution / Research center and the full URL of the website of your home Institution / Research Center, where your curriculum vitae is published. 8
If your curriculum vitae is not uploaded on the institutional website, you can select the corresponding check box and upload a file with your curriculum vitae. Then, you have to select your rank, complete your academic discipline and indicate the level of your language proficiency regarding the Greek language. Finally, you are asked to confirm the accuracy of the information you entered in the system and accept the terms of use of the application by selecting the corresponding check box and press the "Save" button at the bottom of the page to save your profile. That concludes the creation of your profile, which should be approved by the Helpdesk. Once approved, you could be included in the external member Registry of an Institution. 9
4 Registries Once your profile is approved by the Helpdesk, a tab named "Registries" is displayed in your account. From this tab you can access the Registries of internal and external members of all Institutions. You can search the Institution s Registry that interests you using the search fields for the Academic Institution and the Discipline. In the column I am Member you can see if you have been included in the specific Registry. By selecting the button "View", you can view the members of the Academic Institution s Registry that interests you. 10
In the screen that appears, you can see for each of the members of the Registry, if it is an internal or an external member, its name, if it is domestic or foreign member, its rank, its home Institution / Research Centre and academic discipline. Note that if an Institution chooses you as an external member of its Registry, you will receive an e-mail with information about the details of the Institution that chose you. 11
5 Committees Once you join the Registry of an Academic Institution, you can be selected as a regular or a substitute member of an Election Committee. In this case, you will be accordingly notified by email with the details of the position for which you are appointed member of the election committee. You can view details of the positions for which you have been appointed member of the selection committees through your Home page on the tab "Committees". In this screen, you can see a summary of information concerning the new position (Position title, Academic Institution, Department, Description, Discipline, Government Gazette issue, Opening and Closing Date for Submissions, Position Status). By clicking on the link under the Position Title column, 12
you can see full details of the position in hand (candidates, members of the Selection Committee, Evaluators, files that have been posted by the Institution Administrator, etc). This tab is continuously updated with new information during the process of filling the position. 6 Evaluations If an Academic Institution chooses you as an external member of its Registry, you could be defined as an evaluator of candidates for a Position by the Selection Committee. In this case, you will be informed via an e-mail with the details of the position for which you have been appointed evaluator. You can view details about the positions for which you have been appointed evaluator through your account on the tab "Evaluations". 16
