Referring (Existing) Clients Sample email the business sends to existing clients asking them to refer friends and family. Email includes the Refer A Friend hyperlink. To create a Refer A Friend link, simply go to Setup: Appointments: Online Booking and make note of the URL at the top. Add the following to the end of the Online Booking URL to create the Refer A Friend link. /STX_Beacon ReferAFriend?referringClientId=[clientId]&senderEmail=[email] Once you have created the Refer A Friend link, use the entire link in an email marketing template by adding a hyperlink to either a Refer A Friend icon or any written text. 3 The recipient of the email marketing campaign will click the Refer A Friend link. The referring (existing) client s name and email address appear at the top. The Personal Message field allows the referring (existing) client to say something about the business, which will be included in the email sent to the referred (prospective) client. Click Send to submit the list of referred (prospective) clients. A Success page will display with the listing of referred (prospective) clients. If the referring (existing) client wishes to refer more people, they will simply click the Add More Recipients button located on the Success page.
Once the referring (existing) client submits the referred (prospective) clients, the business owner will receive an email. The email sent to the business owner contains the referring (existing) client name and email address, the personal message the referring (existing) client added, and the information about the referred (prospective) clients. Name - Referred (prospective) client name as submitted by referring (existing) client during the Refer A Friend process. Email - Referred (prospective) client email address as submitted by referring (existing) client during the Refer A Friend process. Result - If the referred (prospective) client does not already have a client record in Beacon, and the email address submitted by the referring (existing) client was successfully delivered, the email will be sent to the referred (prospective) client and will have a Result of Success. If the referred (prospective) client already has a client record in Beacon, the email will not be sent to the referred (prospective) client and will have a Result of Already a Client. If the referred (prospective) client does not already have a client record in Beacon, but the email address submitted by the referring (existing) client was not deliverable, the email will not be sent to the referred (prospective) client and will have a Result of Error. The Error message depends on the error that occurred when sending the email to the referred (prospective) client. Referred (Prospective) Clients 4 Referred (prospective) clients will receive an email notice of being referred. Subject: Tammy White just referred you to Tommy's Massage Referred (prospective) clients will click the hyperlink to register with the business.
Upon saving the profile, Beacon will create a new client r e c o r d f o r t h e referred client. The Personal and Preferences information selected in the Profile Center will be included on the new client record. Beacon will link the referring client in the Referred By field of the newly referred client. The Referred On Date is the date the new client was referred. The Refer A Friend Prospect is auto-checked by the Beacon system when a new client completes the registration during the Refer A Friend process. Customizing Referred (Prospective) Clients Email To customize the body of the Refer A Friend email that is sent to the Referred (Prospective) Clients, navigate to Setup: Emails. Click the Refer A Friend Email Template Name hyperlink. 5
Format the body of the email and upload images using the HTML Value bar. Use the image uploader tool to upload an image or logo. Insert special substitution variables to have specific information about your company, or the referring client s name, included in the body of the email when the email is sent to the prospective client. Company Name: Company Email: Referring Client: {!Company.Name} {!Company.Email} {!Referring.Client} It is highly recommended you always include a message in all email correspondence for the recipient to add your company email to their address book to ensure delivery. This will help to prevent your emails from going into the recipient s trash or junk folder. 6
