2 1.1 KPI KPI Before trying to export any data to the KPI web site you will need to do some initial setup work with the V-TAS Lookups. Go to Admin then Lookups.
3 From the Lookup categories select Daily Log Category. You will notice at the right hand side of the screen three radio buttons have been added: i) Re-active ii) Pro-active iii) None You need to now assign a type of activity to each Daily Log category. This information will then be used to calculate your NPIs. To do this select a Daily Log Category then click Edit then assign a Type of Activity. You will need to assign an activity to each category. After selecting the relevant activity press save. This is now stored and will count towards your NPIs. You will need to repeat this step for each Daily Log Category.
4 You need to also change your Incident Categories. Do this in the same way as you did the Daily Log categories. Once you have completed the information select Save and Close.
5 To access the KPI data to upload you first need to enter the unique username and password provided by Peter Fry at the CCTV User Group. To do this select Admin then System Settings.
6 From the System Settings form select the KPI tab. Select edit and then enter your unique username and password. Once entered select save and close.
Go back to the Admin pull down menu and select Export KPI Data. 7
8 From here select the month that you wish to upload. Then once you have selected that month hit Export as
9 Select the location of where you want to save the file. Provide a name for the file and select save.
10 Once completed a message will appear stating Export Complete! You now need to access the KPI web site.
11 Open internet explorer and in the address bar enter: http://www.cctvusergroup.co.uk. Enter your unique username and password make sure it is the same as the one entered in the KPI tab in System Settings. Hit Login.
12 You will be taken to this screen the main screen for the KPI web site. From here you have four options: i) Baseline Data ii) NPI's Data iii) Upload NPI's Data iv) View Stats Each option has its own section and is explained in detail.

14 From here you will need to enter the parameters from which the KPI information will be calculated along with the V-TAS information that will be uploaded. Simply enter a value into each field then select Save details.
15 If all information is correct you will be notified by green lettering stating that the Data updated successfully.
16 Select main from the bottom right hand corner to return to the Main Screen.
17 To upload the data which has been saved from V-TAS you will need to select Upload NPIs Data.
18 From this screen select the Browse button.
Locate the file that you saved earlier. Highlight it and select Open. 19
20 When the extension appears in the file box select Upload. A successful upload with generate a green message stating: Thank you. KPI data has been successfully uploaded for the month of x.
21 Note: In case VTAS KPI file is not generated or found, then the website user can upload the monthly operational data by following the steps below: The next section NPI's Data allows you to enter monthly operational data. Simply click on NPI's Data.
22 You will have this screen in front of you know. From here simply select the correct month from the drop down list marked: Operational Period (Month). Once you have selected your month the NPI-1, NPI-2, NPI-7 and NPI-8 fields will automatically be calculated from the data uploaded from V-TAS. WHERE ARE THE KPIs CALCULATED WITHIN V-TAS? NPI-1 Average Number of re-active activities are: Total Number of Incidents having Re-Active Incident Category + Total Number of Daily Log Entries having Re-Active Daily-Log Category. NPI-2 Average Number of pro-active activities are: Total Number of Incidents having Pro-Active Incident Category + Total Number of Daily Log Entries having Pro-Active Daily-Log Category. NPI-7 Total number of recording reviews are: Total Number of Third Party Viewings + Total Number of Internal Viewings. NPI-8 Numbers of recordings reviewed and marked for evidential use are: Total Number of Movement Log Entries having Movement Action 'Taken for Evidence'.
23 By pressing Calculate NPIs button the web page will then calculate NPIs 3, 4, 5 and 6. Once the values have appeared select Save. This will store the data; again Green text will appear stating Data added successfully. Select Main to return to the Main Screen.
24 To view your statistics for any month that you have uploaded select View Stats.
From this screen select the required month. 25
26 Once you have selected your required month hit Stats by Month. You statistics will appear.
Once you have finished with the web site simply hit logout to end your session. Troubleshooting 27
28 This error message appears when you have not entered your unique username and password into the KPI tab under system settings.
