WinScribe Client (formerly known as Internet Typist) WinScribe Client is a new application that replaces Internet Typist. Appearance WinScribe Client has a modern look and feel including Microsoft Ribbon Bar technology and application skins. 1
Grid List and Folders Jobs are presented in a grid list allowing users to search, filter, sort and group work. Users can create specialized filters to show views of relevant job data and save these filters as personalized folders. 2
New Typist Play Bar Group Management Managers are now able to add/remove Typists to/from Groups (permissions based). Job Management The concept of Server Queue and Personal Queue has been replaced with the folders Shared Jobs and My Jobs respectively. Users with the appropriate privileges can shift work between Shared Jobs and My Jobs by dragging and dropping between the grid list and folders. Managers can allocate jobs to typists or Typist Groups by dragging and dropping between the grid list and folders (permissions based). 3
Users can choose to retype completed jobs (permission based). This functionality was previously provided by the Typist Job Manager application which is no longer supported. Job Notification User can choose to be notified when new work arrives. This functionality was previously provided by the Notification Service application (wsnotify) which is no longer supported. 4
Job Property Carousel Users can switch the grid list to a carousel to easily review all job details and modify job properties. Template Management Users can associate document templates to be used for particular jobs based on a combination of Author, Department, and Job Type values. Opening a job where the details match one of the configured combination results in the associated template being loaded in the word processor. If desired, these templates can be shared across the network for use by multiple Typists. Word Processors WinScribe Client add-in technology provides extensible word processor integration. Support for Microsoft Word 2003 and 2007 is included in the standard installation and an add-in for Open Office v3.0 is available on request. WinScribe Client does not support WordPerfect at this stage. In case of strong demand an add-in for WordPerfect could be created. Online Indication Users can now see who is currently online. 5
Typist Chat Users can instant message with one or more other WinScribe Client users. This is particularly useful in a work environment where general purpose messaging clients such as Microsoft Instant Messenger are not permitted. WinScribe Client Chat only recognizes other WinScribe Client users within the organization s local area network. Dashboard Reporting Users can generate productivity reports for a specified time frame and filter the information by Typist(s), Author(s), Job Type(s), Department(s), or Typist Group(s). WinScribe Author Appearance WinScribe Author has a new menu using Microsoft Ribbon Bar technology. Typist logged on indication If the typist name shown in the To field of WinScribe Author is red that typist is not logged on (updated every 5 minutes). Increased user field capacity Authors can now type up to 256 characters into user fields (this was previously limited to 15). Increased key field memory WinScribe Author will now list the last 20 values entered into the key field (this was previously limited to 10). 7
Typist and Author Importer WinScribe Author has a new menu using Microsoft Ribbon Bar technology. Administrators can enable/disable this feature on a per user basis. Automatic device detection on plug in. Automatic detection and population of job metadata based on device key field content. Manual addition of files, navigation to a file store. Direct audio playback of files. Import of DS2 encrypted files (Transcriptionist must know the Authors password) Import of AMR encrypted (from WinScribe for BlackBerry Smartphones)*. Individual or multi-file selection for upload. Optional file removal after import. Optional job confidential flag linking the job to the Authors preferred typist. Job properties override ability. *Note: In order to import audio files recorded with WinScribe for BlackBerry Smartphones users must have a Mobile Recorder license for each author. The same Mobile Recorder license consumed by the author to operate WinScribe for BlackBerry Smartphones entitles them, or any typist, to import audio files. When typists import from BlackBerry devices on behalf of an author the license is consumed for the author, not the typist. Internet Importer AMR Format It is now possible to import audio files in AMR format (not encrypted). 8
Confidentiality It is now possible to define rules and scripts to flag jobs as confidential to ensure that only the original author and their preferred typist can access the jobs. If no Preferred Typist is defined for an author then jobs cannot be marked as confidential and instead are assigned to a Typist Group. Multi-facility support Internet Importer can now import jobs from authors in different facilities, provided Author IDs are unique across facilities. The facility defined in the Destination is treated as the Default facility. If the Author ID is not found in that facility then the Importer looks for the same Author ID in all other facilities. If only one user exists with that Author ID then the import will succeed into the correct facility. If more than one user has the same Author ID (which can happen as WinScribe DOES NOT enforce unique Author IDs across facilities), then the import fails. WinScribe for BlackBerry Smartphones Job Details Authors can now select the Typist and set the Priority for jobs. Up to 256 characters can now be entered into the Notes field. Job details can now be edited in the Drafts folder. Job lists are now easier to read thanks to date separators. Dictation key configuration The keys used for dictation functions are fully configurable. Download complete jobs Authors can set the number of days (from 1 to 999) to download completed jobs for the Job List. The default is 30 days. All non-completed jobs are always downloaded. USB Upload Authors can choose to store audio files on the USB store and then upload them via WinScribe Client Importer or WinScribe Author Importer. If the Application Settings of Job Store it set to Store and the device does not display the Store as a USB drive when plugged in via the USB cable (e.g. the Bold 9000 does NOT, the Curve 8900 does) then the audio files will not be available for USB upload. They will need to be changed to Mobile upload and uploaded via the mobile network. 9
WinScribe Dictation v.4.0 NEW FEATURES When the BlackBerry device is plugged in via the USB cable to the PC the following functionality must not be used: Creating new jobs Editing jobs Moving jobs Changing job details Changing job state (mobile to USB or vice versa) WinScribe Pocket Author The Pocket Author application has been changed as follows: Upgraded to.net Compact Framework v2.0 and SQL Server Compact v3.5. The executable is now called wsmobileauthor.exe (previously wspocketauthor.exe). The application is resolution aware and works with any Windows Mobile devices resolution. There is no automatic upgrade of Pocket Author to v4.0. This feature will be available from v4.0 to future versions. All Pocket Author users on v3.8.1.1 or earlier must perform a manual upgrade to 4.0. Speech Recognition WinScribe Dictation v4.0 works with Dragon Naturally Speaking (DNS) 10 for server-side and client-side speech recognition. WinScribe Dictation v4.0 still works with DNS 9.5. Confidentiality Jobs can now be flagged as confidential to ensure that only the original author and a chosen typist can access the job. The following applications can mark jobs as confidential: WinScribe Author WinScribe Client - through the Importer functionality Internet Importer - through rules and scripts Web Manager - through Author Job Upload Time Zones WinScribe Author, Internet Author, and WinScribe Client now display all time information in local time to support sites that work across different time zones. 10
Security Password Policy Administrators are now able to define a facility specific password policy. Such policies can: Force users to change their password after a defined period. Prevent users from re-using their most recent passwords. Lock out users for a defined period after 3 failed login attempts. Define a minimum password length. Force users to change password at first logon. Force passwords to comply with complexity requirements. Prevent users from saving their passwords on the logon dialog. The following applications can enforce this password policy: WinScribe Author WinScribe Client Internet Author Web Manager Increased Password Length Passwords can now be up to 32 characters long. Note: The maximum security code length for phone authors and typists is 18 digits for standard telephony and 31 digits for Advanced Telephony Server (ATS). 11
Limited Support for Alphanumeric Password Password can now contain the following characters (excluding the commas) a-z, A-Z, 0-9,!, #, $, ^, _, - The following applications support alphanumeric passwords: WinScribe Author Internet Author WinScribe Client Web Manager Exporter Manager Pocket Author The following application can create Authors, Typists, and Managers with alphanumeric passwords: User Importer Web Manager The following applications DO NOT work with alphanumeric passwords: WinScribe Server (Standard Telephony) Advanced Telephony Service (ATS) Limited Support for Alphanumeric Logins The following applications allow users to enter their email address as their user id: WinScribe Author Internet Author WinScribe Client Web Manager This feature works best when users have unique email addresses. If users share email addresses then special care must taken to ensure that these users have unique passwords (security codes). Failing to do so will result in users logging in as someone else. Web Manager Security Web manager has a new Security Settings page for configuring the password policy. Additional Job Details Home page now shows Total Job Count and Total Job Length. Job lists now show Target Completion Date. Job Details page now shows archiving status. Additional Job Filters All Browse By pages now have filters for All Jobs, Active Jobs, and Archived Jobs. 12
Telephony Manager Telephony Manager is a new application for configuring the Telephony portion (if installed) of the WinScribe product. It replaces the LAN Manager. LAN Manager must be removed prior to installing the Telephony Manager. Scripting Changes Jobs now have a 256 characters field which is hidden from users and only accessible via scripting API. There is a new assembly called wsievents.dll which fires event notifications to any subscriber from the Client application. There are over 300 events available. Hardware Devices This version introduces support for the following hardware devices. System Infrastructure Microsoft.NET Framework v3.5 SP1 The following applications require Microsoft.NET Framework v3.5 SP1: WinScribe Author WinScribe Client Microsoft.NET Framework v2.0 The following applications have been converted to use.net v2.0: Database Reader Microsoft SQL Server 2008 Support WinScribe v4.0 supports SQL Server 2008 and SQL Server 2008 Express. Citrix Support WinScribe Citrix Client Connector operates on Citrix ICA Client v11.0. 13
