You ll be saving valuable time and money with Work Order Express in just a few minutes. By now, you have probably purchased and downloaded Work Order Express. The file you downloaded (Work_Order_Express_Setup.exe) is a self-extracting file that includes all of the components required to install Work Order Express. If you haven t done so already, navigate to where you ve stored this file, and then double-click it. Follow the installation dialogue to get to the main installation menu. This menu is a convenient tool that will walk you through a successful installation of Work Order Express. You can exit the installation menu at any time by using the Exit button. MySQL Server 5.0 MySQL Server 5.0 Installation Work Order Express uses its internal functionality to interface with QuickBooks, create and edit work orders, and to create a graphic representation of the shop load. These work orders are saved into a database so that they can be retrieved, sorted, backed-up, and modified. Work Order Express uses a database known as MySQL to accomplish these tasks. MySQL is the world s most popular open-source database largely due to its unparalleled reliability and ease of use. More specific help with MySQL installation issues can be found at: http://dev.mysql.com/doc/refman/5.0/en/windows-installation.html Select Install MySQL Server 5.0 on the Work Order Express Installation Menu. The MySQL Installation Wizard, in combination with the MySQL Configuration Wizard, allows a user to install and configure a MySQL server that is ready for use immediately after installation. Users of previous versions of MySQL need to shut down and remove their existing MySQL installations manually before installing MySQL with the MySQL Installation Wizard. Note about installing mysql on Windows Vista: If you are installing on Windows Vista and would like to add security settings to your database such as a password, it is best to open a port for MySQL to use before beginning the installation. To do this, first ensure that you are logged in as an administrator, then go to the Control Panel and double-click the Windows Firewall icon. Choose the Allow a program through Windows Firewall option and click the Add port button. Enter MySQL into the Name text box and 3306 (or other port of your choice) into the Port number text box. Also ensure that the TCP protocol radio button is selected. If you wish, you can also limit access to the MySQL server by choosing the Change scope button. Confirm your choices by clicking the OK button. If you do not open a port prior to installation, you cannot configure the MySQL server immediately after installation. Confirmation Dialog Once you choose an installation type and optionally choose your installation components, you advance to the confirmation dialog. Your installation type and installation path are displayed for you to review. To install MySQL if you are satisfied with your settings, click the Install button. Unless you would like access to post in the MySQL online forums or subscribe to the newsletter, you don t need to set up an account. Select skip sign-up and click the Next > button. The final screen of the installer provides a summary of the installation and gives you the option to launch the MySQL Configuration Wizard, which will need to be done before using Work Order Express. When you start the MySQL Server Configuration Wizard for a new MySQL installation, or choose the Re-configure Instance option for an existing installation, you advance to the Configuration Type dialog. There are two configuration types available: Detailed Configuration and Standard Configuration. The Standard Configuration option is intended for new users who want to get started with MySQL quickly without having to make many decisions about server configuration. The Detailed Configuration option is intended for advanced users who want more fine-grained control over server configuration. Choose Standard Configuration, and press Next > to continue. MySQL Server 5.0 MySQL Server 5.0 Installation (continued) Service Options Dialog On Windows platforms, the MySQL server can be installed as a Windows service. When installed this way, the MySQL server can be started automatically during system startup, and even restarted automatically by Windows in the event of a service failure. Install MySQL as a Windows service for the best integration with Work Order Express. Make sure Install as a Windows Service is checked, and click Next > to continue. Security Options Dialog For most typical installations, especially where the MySQL database will be located on the same computer as the Work Order Express application, the server instance will not require password protection. In this case, uncheck Modify Security Settings and click Next > to continue. If you choose to set a root password, enter the desired password into both the New root password and Confirm boxes. MySQL Server 5.0 MySQL Server 5.0 Installation (continued) Confirmation Dialog The final dialog in the MySQL Server Configuration Wizard is the Confirmation Dialog. To start the configuration process, click the Execute button. To return to a previous dialog, click the Back button. To exit the MySQL Server Configuration Wizard without configuring the server, click the Cancel button. After you click the Execute button, the MySQL Server Configuration Wizard performs a series of tasks and displays the progress onscreen as the tasks are performed. If any of these tasks are not executed, it is likely due to a conflict with either the Windows Firewall, or with an aftermarket antivirus or firewall program. If conflicts occur, you may have to allow an exception within the firewall software. The error message on the screen should provide information on creating the exception if necessary. If security settings need to be modified, you can re-launch the MySQL Configuration Wizard by clicking the MySQL Server Instance Config Wizard entry in the MySQL section of the Windows Start menu at any time. After the MySQL Server Configuration Wizard has completed its tasks, it displays a summary. MySQL Administrator MySQL Administrator Installation In order to restore the MySQL database that comes packaged with your copy of Work Order Express, you will need to install MySQL Administrator. Select Install MySQL Administrator on the Work Order Express Installation Menu. When the wizard starts, click Next to accept the license agreement and set the installation path for the administrator tool. Select complete installation and click Next to continue. To install MySQL if you are satisfied with your settings, click the Install button. Work Order Express Work Order Express Installation Once MySQL and MySQL Administrator have both been successfully installed on your computer, it is time to install Work Order Express. Select Install Work Order Express on the Work Order Express Installation Menu. The automatic installer will guide you through the steps required to install Work Order Express on your computer. When the wizard starts, click Next to accept the license agreement, enter your supplied serial number and set the installation path for the application. Click the close button to exit the setup wizard and return to the Work Order Express Installation Menu once the installation is complete. Congratulations! You have completed the installation of all of the components required to run Work Order Express. Press the Exit button on the Work Order Express Installation Menu. MySQL Database Restoration MySQL Database Restoration Introduction Work Order Express comes with a backed-up database structure that must be restored before using the software for the first time. This process is very simple and only needs to be performed once. Restore Navigate to the MySQL program folder in the Windows Start menu and select MySQL Administrator to launch the administrator tool. Enter your Server Host Name ( localhost for typical installations), username ( root for typical installations) and password that you created when you installed MySQL and click OK to proceed. If you did not create a password during the MySQL instance configuration, leave the password field blank. Stored Connection is also typically left blank. To restore the Work Order Express database, click Restore on the left hand pane of the administrator tools window. In this tab, you specify which backup file should be used for the restore procedure. Navigate to the Work Order Express installation directory (typically C:\Program Files\McCarthy Enterprises\Work Order Express) and select WorkOrderExpress_DB_Backup.sql and click open. Click the Start Restore button to restore the database. Starting Work Order Express for the First Time Starting Work Order Express for the First Time Congratulations! You re almost ready to start creating work orders. Follow these steps when launching Work Order Express for the first time. Start QuickBooks, log in as the Administrator (for multi-user accounts) and open your company file just as you normally would. After the company file loads, you can minimize the QuickBooks window if you prefer. Start Work Order Express either by double clicking the desktop shortcut or by selecting Work Order Express from the Windows Start menu. The first time you start Work Order Express, a QuickBooks window will open up informing you that an application is attempting to access QuickBooks. As long as this window informs you that the application calls itself Work Order Express, it is safe to select Yes, always allow access even if QuickBooks is not running and select Continue. Depending on your version of QuickBooks, you may get a window that requests a conformation that you are allowing an unsigned application to access your data. Starting Work Order Express for the First Time Starting Work Order Express for the First Time (continued) The first time you run Work Order Express, it must be pointed to the location of the database that you have restored in MySQL. To do this, click on Database Settings to enter the options dialogue. Enter the IP address of the computer where MySQL is installed (127.0.0.1 if it s the local computer), and the user name and password created during the MySQL instance configuration process. Leave the password blank if you didn t create one earlier. Click on Test Connection, and then Save. You may now log out of Quickbooks as the administrator (if applicable) and log in as you normally would. You must be logged in to Quickbooks to use Work Order Express. That s it! You re now ready to start saving time and money with Work Order Express. IMPORTANT! Setting the starting work order number First time use The first time you use Work Order Express, the work order number field will not contain a number on the Work Order Creation screen. For companies already using a numbered work order system, this is your chance to input your own unique starting number. (e.g. If the last work order created with your old system was 204027, you can enter 204028 as the first work order number in this field.) After this first work order is saved, all subsequent work orders will be automatically numbered in logical order.
