Papermule Ad Desk The Content Chasing, Reception, Matching & Management Solution Ad Desk is Papermule s content receipt and matching solution. It automates and streamlines the whole process of chasing, receiving and matching advertisements. It is a 100% web-based solution, requiring only an internet connection and password for user access. It can be provided as a separate system (with integrations) or else as part of an overall Papermule Publishing Solution that could include additional modules such as Ad Production, Ad Sales & CRM, Insight Client Portal and Flat Planning. Ad Desk is available on a SaaS basis and also as a traditional solution purchase with on-going maintenance. Papermule Ad Desk automates and streamlines the whole process of chasing, receiving and correctly matching advertisements to bookings. How does it work? Ad Desk accepts sales order feeds from any recognisable Ad Sales or Ad Booking solution (and if you don t already have one, we can supply a comprehensive Sales & CRM solution or else write a simple booking screen for you). Making Contact Ad Desk includes its own CRM for production and copy chasing purposes. This CRM is populated automatically using contact details from the Ad Sales / Booking system as well as manually by users. It also uses a pointsbased predictive model to suggest who should be contacted to supply content for given publications and/or brands. The system automatically adjusts its recommendations in light of recorded successful or unsuccessful attempts to reach the relevant contacts. Ad Desk provides publishers with three mechanisms for sharing production data with various CRM contacts. These are: 1. Email Production Data & Job Tickets Papermule s email technology offers publishers the facility to create mail-merged communications using configurable templates that can be sent automatically by Ad Desk or manually from within the Copy Chasing interface. 2. Delivery Channel Integration Ad Desk accepts advertising from many channels and has worked closely with several leading industry partners to implement URLbased job tickets. These automatically pass booking information to the delivery partner via URL links in the emails. The emails can be generated automatically or manually. Clicking on a url link within an email launches the relevant delivery partner website and automatically pre-populates the content submission forms with publisher-required meta data. The end user then has simply to drag and drop the required content into the delivery partner s website and submit it. AdSend & AdStream Booking Integration Ad Desk contains functionality to pass filtered booking information to Vio s AdSend and AdStream s MediaLink Pro solutions. The system uses a rules-based approach that is applied only for those insertions that are linked to specific contacts in the CRM database. This ensures that only those contacts that are known to have an approved relationship receive the relevant booking information. AdsML AdStream API Ad Desk uses the pre-populated meta data to automatically match the content to the correct insertion without a need for any further action from the publisher. Once passed to AdSend/AdStream the clients of those products can see the orders requiring fulfilment by the publisher. Clients are presented with all of the production specification and delivery data required to create and deliver the perfect advert. This allows for seamless matching and processing of the inbound copy by Ad Desk. Ad Desk also accepts status updates from Vio s AdSend platform, allowing Ad Desk to mark individual records with confirmed delivery information. Page 4 Papermule 2011
3.Insight InSight is Papermule s Client-facing WEB Portal technology. It is highly configurable, so that colour schemes and logos can be used to style it to reflect corporate or individual publication identity. Insight allows external users access to secure, restricted lists of advertising information. Clients can apply online annotations as part of the proof approval processing and also add interactive notes to aid communication. Pre Flight checks during the submission process ensure smooth delivery of valid finished advertising directly into Ad Desk with no further internal matching or processing required. Users can upload both finished adverts and content for ad creation using the Drag & Drop features within Insight. Insight allows users to drag-anddrop content directly into the DAM Engine, giving them instant feedback on whether it validated successfully. Papermule2011 Page 5
Chasing Copy Ad Desk provides a rich set of tools to assist staff in prioritising and managing the chasing process. The system presents the user with lists of jobs (orders) allocated to them which still require copy submission. Copy chasing contacts, notes and next scheduled call times along with prioritised colour-coded views ensure that users know from the outset who to expect copy from. When a user chases a contact for copy the interface groups together all orders requiring fulfilment from the same contact, ensuring that the minimum number of calls is required. The user is presented with a variety of tools to assist in the process, including copy matching, ad lifting, job ticket dispatching, regionalization and copy splitting As well as providing a full audit trail Ad Desk also maintains its CRM with a history of contacts, past jobs and success rates at matching. This enables the user to identify and select contacts most likely to produce a successful outcome when chasing copy in future. Ad Reception Ad Desk manages the collection and centralised organisation of all inbound advertising. Meta data provided with each advert is extracted and indexed into Ad Desk in order to drive automation and simplify further tasks. Ad Desk automates wherever possible and lets the user deal solely with the exceptions. Reduces costs and improves profitability Auto Matching Copy Once copy is within Ad Desk, the system uses configurable business rules to attempt to automatically pair the copy to the relevant insertion. As an example, the publisher might specify that the URN, publication and insertion date must match a record that Page 6 Papermule 2011
doesn t yet have copy. All copy that fails to link automatically is passed to the manual matching interface for a human to resolve. Ad Desk supports a variety of Material Meta data formats including GWG Job Tickets, AdsML and CI (QuickCut) formats. Manual Matching Ad Desk provides an innovative interface for linking unmatched content to booking records. The user is presented with a split window copy that is still to be matched on the left, and insertions on the right that meet the specific search criteria. Materials can even be linked to multiple records at the same time allowing for same copy runs to be populated in a single instance. Where a user links copy to a non-matching insertion they have the opportunity to force the link. A user may decide to take this action where the copy is a close, but not exact, match. This, like all actions in Ad Desk, is audited, ensuring that management know who took this decision and when. Validation After both Automatic and Manual linking Ad Desk validates the process and either delivers content to pagination or alerts the user to a failure. The user can ignore this notification and deliver the content to pagination or take the necessary actions to resolve the issue. Ad Desk groups the minority of bookings that have not matched automatically and presents the user with all of the tools and information required to resolve them. A quicker, cheaper solution The Ad Desk solution provides a publishing organisation with a set of tools that automates and streamlines content delivery, receipt and matching.
