Main Menu: Reports Keep your finger on the pulse of your business with the reporting features included in Beacon. Information about various aspects of your business is presented in the format most appropriate for a given category and takes the form of tables, charts, or graphs. Report Writer allows flexibility of creating and generating custom reports. Daily Total Sheet Daily Total Sheet - Select any specific date. The report will automatically appear. The Daily Total Sheet contains several sections. Worker Sales - includes the following information for each Worker: Worker Name for only the workers who had ticket activity Service Sales total (not including tax) Product Sales total (not including tax) Total Sales total (not including tax) Total Tips total Totals for each column 3
Company Sales - includes the following information for all sales types, including Totals for each column: Sales Type name: Service Sales and Service Refunds Product Sales and Product Refunds Gift Sales, Gift Sales Online, and Gift Redemption Membership Sales Package Sales and Prepaid Package Usage Full Price for each Sales Type Discounts for each Sales Type (where discounts apply) Discounted Sales total for each Sales Type (full price less discounts) Tax Total for each Sales Type (where tax applies) Account Balances - includes the following information for each Account Type, including a Total of the Amount column: Account Balance Type name: Deposit and Deposit Online Prepayment Received on Account Amount total for each Account Type 4
Payments - includes the following information for each Payment Type, including a grand total of the Amount Paid column: Payment Type name for all active payment types as defined in Setup: Company: Payment Types Payment Total is the of all payment types used to pay for tickets Change Back is the total change given back after an overpayment on a ticket Less Tip Paid Out is the total amount of tips flagged with Tip Paid Out on the tickets Electronic will display a Y (yes) for payment types set to process electronically Number is a physical count of each payment type accepted for the report date Amount Paid total uses the Payment Total less the Change Back and Less Tip Paid Out totals Grand Totals - includes the following information for daily totals: All Sales for Service Sales, Product Sales, Other, and Tips Amount total for each item Tax total for each item (where tax applies) Amount + Tax total for each item (where tax applies) Total for each column Tips Paid Out If all tickets have been paid and accounted for, the Total for Amount + Tax should match the Amount Paid Total from the Payments section. 5
Daily Cash Drawer Daily Cash Drawer - Select any specific date. The report will automatically appear. The Daily Cash Drawer report details information for each configured Cash Drawer (defined in Setup: Tickets), and includes: Ticket # with Client Name Payment type used Amount paid Received By (logged in worker) Drawer Total Each drawer will be listed individually. NOTE: Drawer totals will exclude Tips that were flagged as Tip Left In Drawer. 6
Ticket Sales Chart Ticket Sales Chart - Bar graph showing the Sum of Total Sales compared to Appointments during specified date range. Ticket Sales Report Ticket Sales Report - Select Begin Date and End Date for the report and click Generate. Click the Print button to print the report. The Ticket Sales Report is a detailed report corresponding with the Ticket Sales Chart, including daily totals when printed for the same date range. 7
Ticket Detail Report Ticket Detail Report - Select Begin Date and End Date for the report and click Generate. The Ticket Detail Report is a table detailing ticket information during the specified date range. Click the Print button to print the report. Service Sales - Total Service Sales value, after price adjustments and before tax. Product Sales - Total Product Sales value, after price adjustments and before tax. Total - Total sales value, including both Service and Product sales. Payments - Total amount paid. Balance Due - Values in parenthesis ( ) indicate an overpayment. Paid or Not - Describes whether or not the client has fully paid for the ticket. 8
Ticket Analysis Report Ticket Analysis Report: Shows statistics, percentages, and comparisons of the tickets for a date range by individual worker or all workers combined. Use this benchmark report when coaching your staff. Select a Begin Date and an End Date for the report. Select the Report Type of either a Company Analysis or a Worker Analysis. Note: The Worker drop-down menu will only become activated after selecting the Worker Analysis Report Type. Click Generate after setting the parameters. Each report type will include the following information (all information is based on completed tickets): NOTE: Only Service Tickets, Product Tickets, and Refunds are used for the report. Tickets with only Ticket: Other items are not included in the report. Memberships are not included in the report. Ticket Statistics - Tickets with Services and No Product (# value) - Tickets with Products and No Services (# value) - Tickets with Both Services and Products (# value) - Tickets with Ticket Value < or = 0.00 (# value) - Total Number of Tickets (# value total of Ticket Statistics section) - Tickets with at least one service (# value) - Tickets with at least one product (# value) - Tickets with Multiple Products (# value) - Tickets with Multiple Services and Multiple Products (# value) Ticket Percentages - % of Product Revenue compared to Service Revenue (% value) - % of Tickets with Product (% value) - % of Tickets with Service (% value) - % of Service Tickets with product (% value) - % of Tickets with Multiple Products (% value) 9

Product Sales Chart Product Sales Chart - Pie Chart including the Product Name of each item sold during a specified time range, the Sales value of each product, and the % of all sales for each product. Using a desktop browser, hover the mouse over each item to view details. Product Sales Report Product Sales Report - Select Begin Date and End Date for the report and click Generate. The Product Sales Report is a detailed report corresponding with the Product Sales Chart, including daily totals when printed for the same date range. 13
Click the Print button to print the report. On Hand Product On Hand Product - Table detailing each individual product, current Quantity On Hand, and the Minimum Quantity setting. The bottom of the report displays a total for the Product Name column. The information on this report is only applicable to the date and time it is generated. 14
Electronic Payment Details Electronic Payment Details - Table including the payment details of credit cards processed electronically via Tempus merchant accounts. Details include the following information during specified date range. Payment Date and Time - Date and time when the payment was processed. Reference Number - Number provided to the system during the processing of client s credit card. Ticket # - Ticket number where credit card was processed for the client. Card Number - Client s credit card with only last 4 digits visible for security. Payment Amount - Amount processed on the client s credit card. Auth. Code - Authorization code returned to the system after processing the client s credit card. 15
Worker Tips Worker Tips - Generate Tip reports in Summary or Detail format, for All Workers or an individual worker, for any date or date range. Select Begin Date Select End Date When a date range is selected, each Date within the date range will be listed one right after the other with a daily total for either Report Type Select Report Type Summary - lists Worker Name and Total Tip Amount Detail - lists Ticket #, Client Name, Ticket Total, Service Sales, Total Tip Amount, and how the tip was disbursed for each ticket Select Worker All Workers will list all workers one right after the other for either Report Type Individual Worker will display information for the single worker for either Report Type Click Generate Summary Report Type All Workers Summary Report Type Individual Worker 16
Detail Report Type All Workers Detail Report Type Individual Worker Process Compensation Process Compensation - Generate compensation reports for any date or date range. Select a Begin Date and an End Date for the period. A list of Workers will display with the assigned Compensation Method. Editable fields include: Regular Hours Overtime Hours Extra Pay Deduction See the following screen: 17
Click Unselect All to deselect all workers listed. Or, uncheck individual workers as necessary. Click Select All Workers to select all workers listed. Or, recheck individual workers as necessary. Only workers checked to Include will have a calculated Compensation Total. The Extra Pay is added, and the Deduction is subtracted at the end of the compensation method. Click Generate to calculate the compensation period. If the workers used the Time Clock feature to clock in and out on a daily basis, all clock entries will be added and displayed as a total in the Regular Hours field. M a n u a l l y a d j u s t t h e Regular Hours and Overtime Hours fields to accommodate overtime pay. Adjust the Extra Pay and/ or the Deduction fields as necessary. Beacon will retrieve the compensation method, Hourly Wage, and/or Salary as set on the Worker Setup: Profile tab, and will use the steps from the method to calculate the appropriate compensation. Compensation Total is the total compensation owed to the individual worker. The value for the Total Period Compensation is the total for all workers combined. 18
To print the Process Compensation page, click the Print button in the upper right-hand corner. To save the compensation period, click the Archive button in the upper right-hand corner. After clicking Archive to save the compensation period, a View hyperlink will appear next to each worker. Click the View hyperlink to view the details of the compensation period. To print the Process Compensation Detail page, click the Print button in the upper righthand corner. The Process Compensation Detail page displays the following: Information from the Process Compensation page Daily totals per each date of the compensation period for Services, Products, and Hours Worked Compensation Method steps, including the Result for each step of the compensation method 19
Worker Goals Worker Goals - Generate Goals reports for All goals or a specific goal, for an individual worker, for any date range. NOTE: Goals setup and tracking is detailed in a separate guide. Select Start Month and Year Select End Month and Year If multiple months and years are part of the date range, the system will display Goals settings for each appropriate time frame within the date range. Select Goal To Calculate Select the All option to report on all Goals currently set up in the system Select an individual Goals option from the list to report on the selected Goals Select a Worker Click the Display Goal Results button to generate the report The Worker Goals report will automatically display. Each Goal Name will be listed. The Start Date and End Date fall within the report parameters, but are actually set on the Worker Setup: Goals tab. The Goal Target is set on the Worker Setup: Goals tab. Calculated Goal: actual worker s performance for the goal s start and end dates. % of Goal: resulting percentage of Calculated Goal divided by Goal Target. 20
Activity Comparison Activity Comparison - Generate benchmark comparisons starting with a single date used to compare specific time blocks from the current year and previous year, with a percent of change between the two. Select the Date to begin the benchmark comparisons. Select the Report Type of either Company or Worker. The Worker drop-down menu will list all workers when the Worker Report Type is selected. Select the Worker for whom you wish to generate the report. Click the Generate button. The report will appear. Columns on the report: - Category: Number Of, Amounts, Percentages, Clients - Date: selected date for the report - Week to Date: week including and only up to selected date for the report - Month to Date: month including and only up to selected date for the report - MTD Last Year: values from same month to date period from previous year - % Change: compares the difference between the Month to Date and Last Year values negative % indicates a decrease - Quarter to Date: quarter including and only up to selected date for the report - QTD Last Year: values from same quarter to date period from previous year - % Change: compares the difference between the Quarter to Date and Last Year values negative % indicates a decrease - Year to Date: year including and only up to selected date for the report - YTD Last Year: values from same year to date period from previous year - % Change: compares the difference between the Year to Date and Last Year values negative % indicates a decrease - Prior Year (Calendar): values from the previous calendar year of January through December - Prior 12 Months: values from the 12 months prior to and up to the selected date for the report 21
Category items on the report: - Number Of: Clients: number of clients with tickets Services: number of services sold Products: number of products sold Gifts: number of gifts sold (Company report type only) - Amounts: excludes tax and tips, most values rounded to nearest whole amount Total: value of all tickets - Company report type: Services + Products + Gifts) - Worker report type: Services + Products Services: value of all services sold Products: value of all products sold Gifts: value of all gifts sold (Company report type only) Per Client: average value of all tickets divided by # of Clients Per Ticket: average value of all tickets divided by # of Tickets - Percentages: Product % of Total Sales: total of all product sales divided by total of all ticket sales - Services + Products + Gifts = Ticket Sales value Productivity % Rate: Scheduled hours (booked time) divided by Work Hours Scheduled NOTE: The Productivity % Rate will not be accurate if the worker s services are customized with time durations and Setup: Services: Service does not have any time durations entered. - Clients: % w/ Product: percent of clients with product purchases # of New: number of first time ticket service clients Rebook %: percent of services flagged as Rebooked divided by all services Compensation %: Gross Pay divided by Total Sales - Company: Total Gross Pay for all Workers combined divided by Total Sales - Worker: Total Gross Pay for selected Worker divided by the Worker Sales The Gross Pay is as calculated via archived compensation runs. Report Writer: New Report Beacon contains a set of standard reporting formats and information while also allowing you to create your own custom reports. When using Report Writer, custom reports can be created and edited to display only the information you want to view, and line item information can be arranged for viewing in order of preference. Click Report Name hyperlink to view or edit the settings on an existing report. Click New to create a new report. Enter a Report Name Enter a brief Description (optional) Select a Report Type Click Save to add the report name to the list Once you return to the Report Writer list and see the newly created report, click the Report Name of the newly created report to complete the custom report setup. 25
After selecting the Report Type, some items will automatically be listed in the Selected section. You may wish to remove these items to build your own custom report. In the example above, all items automatically listed were removed, and 3 available items were added. Highlight an item in Selected and click the Remove button to move the item back into the Available section. Highlight an item in the Available section and click the Add button to move the item into the Selected section. Use the Up and Down arrows to have the selected items listed in a different order. The Date Selection Field is used for selecting the matching items associated with your Selected list. Select an option from both drop-down menus. In the example above, the report will select the appointments from Yesterday. The Sort Order is for sorting the information displayed on the report. This option may not always apply, depending on the items in your Selected list. The Total is for calculating a total for either # of items on the report, or for amount values. This option may not always apply, depending on the items in your Selected list. 26
When you have finished building the custom report, click Save to return to the Report Writer list page. Click the Generate button next to the newly created report. The report will appear. The columns on the report match the Selected items list created in the custom report. Appointment Date / Time: the date and time the appointment is scheduled for. If you see an odd time, it would be because a new service ticket was created without an appointment already being booked. Status: current status of the appointment. Reminder Sent: the date and time when the appointment reminder was sent to the client. Total Record Count shows there were 7 appointments for yesterday. 27
Report Writer: Select Dates Report Writer: Select Dates: When creating a custom report, you have the ability to use a Select Dates option. To use customized dates for the report, choose the Select Dates option from the Date Selection Field drop-down menu. Click Save to return to the reports list. Click the Generate button next to the report where the Select Dates option was chosen. Enter a Begin Date and an End Date. Click the Generate button. Your report will appear. 28
